Library management with external hard drive

I have a 120GB external hard drive, where I store all of my music, audiobooks, videos, etc. When I created my iTunes library, everything worked great and I loaded my media into my Video iPod.
But, the next time I plugged my external hard drive into my laptop, the library "cannot find" any of the files. So, if I want to copy anything over to the iPod again, I have to delete and recreate the library.
Any thoughts on how to make this work so the link to a library on an external hard drive remains permanent?

Using an ExHD is no problem. However, you should note several items:
- The ExHD should always mount as the same drive letter. If not, iTunes will lose the references (you'll get the '!')
- You must have the ExHD up and running before opening up iTunes, otherwise you may not be able to play the music and iTunes will reset the Music Folder to the default (on the C: drive).
- It may be best to remap the ExHD to a letter that will never be taken by any other peripheral you attach. Use something like 'M'. That way, if you plug in something else before turning on the ExHD, the expected mount letter will still be available. Also see: How to change drive letter assignments in Windows XP
I run a dual Library with Lossy files on my Laptop's internal drive and Lossless files on my ExHD. I have it mounting as 'L' and have never lost the references within iTunes.
If I do have the ExHD disconnected (most times), and select a Lossless song, I will get the '!', but the next time I open iTunes with the ExHD properly attached, those 'broken links' go away.
I would guess that you are mounting the ExHD as different drive letters from time to time.

    I have recently transferred my iPhoto Library to my external hard drive (WD MyBook Live) and have some questions.  Since I have done this and used the "alt + option" to select it as my default library I have been having some issues.  When using the library on the external drive as my default drive it takes a very long time to load compared to when it was on my macbook's hard drive. Is this normal?  Also, once it does load the thumbnails are only viewable when scrolling quickly through the photos and they are very blurry.  However, if I were to select one randomly (because of this problem I have no way of knowing which one I'm selecting) it brings it up in the edit view and it is a crystal clear picture.
    Is there a way to fix these issues?  I'd love to be able to use the iPhoto Library off the external drive to free up space on my macbook but if it isn't going to work as streamlined as it would on my macbook hard drive.  I have not yet deleted the original iPhoto Library from my macbook because I did not want to do so until I knew the new iPhoto library on the external drive was working properly.  Does this make a difference?

    The problem lies with occasional dropouts that can corrupt the library's database files if they are being written to as the time of dropout.  It's the nature of wireless networks.  If you have a very strong signal throughout and are willing to take a chance then go for it.
    But as for the speed, it must be iPhoto 11 and it's complexity causing the slowness. I had tried using a library on an EHD connected to my iMac from my laptop wirelessly with iPhoto 7 or 8 and it was pretty fast.  I think it was 7 before faces and places came into being.
    Send a feature request to Apple via http://www.apple.com/feedback/iphoto.html to improve wireless performance, etc.

    no need to create a secondary library - too troublesome, IMHO. you can spread your library over as many drives you can connect to your Mac (wired or wirelessly):
    iTunes > preferences > advanced.
    point iTunes media folder location to the external
    on the same tab, ensure the copy files ... when adding option is checkmarked
    okay out of preferences
    highlight the content to be moved in iTunes and right-click
    select consolidate files from the pop-up menu
    wait for the process to finish
    when done, you may delete the original files from your boot drive.
    alternatively, you could move the whole shabang to the external HD:
    copy the entire iTunes folder (not just the iTunes music or media folder) from <MacintoshHD>/users/<yourname>/music to the external, launch iTunes while holding the option(⌥) key, click on choose library when prompted, and select the iTunes folder you copied to the external.
    when done, be sure to point iTunes media folder location to the external so that new additions to your library will be put there. also, you need to make sure the external is mounted on your desktop before you fire up iTunes.

    Go into Time Machine (the program not the bundle on the extrnal disk) and using Time Machine's browser go to the Folder where the library lives. You could look in the library bundle in Time Machine but that won't really tell you much,
    If you want to make sure it truely has backed up your library you will need to restore it and open the restored library with Aperture.
    If all this still has you confused you need to read up on Time Machine in order to get a feel for how it works, for what it is doing and for how to restore files from it.

    Yes. Find the LR catalog file by looking in Edit/Catalog Settings/General. Close LR and navigate to that spot. The catalog file is the one that ends in .lrcat - move it to wherever you want. Next to the .lrcat file is a subfolder called Previews.lrdata. You can move that over as well, but if you don't LR will generate new previews. Double-click on the .lrcat file in its new home and LR will open with that catalog. Set Preferences to When Starting Up Use Most Recent Catalog.

  • Running itunes on two pc's with external hard drive library

    Hi All;
    I am working with two laptop pc's, a large external hard drive and my iphone. I am in the process of putting my cd library onto an external hard drive and I plan on plugging the drive into either laptop to play my music library wirelessly using apple airplay. Both laptops are running windows 7 and I use the latest version of iTunes.
    Initially, I transferred my music off my laptop onto the external drive (following the 'consolidate library' process provided in one of the help menus) and then successfully told iTunes where to find the library on my external hard drive (E:/itunes Music). I then did this with the 2nd laptop. Then I resumed downloading music from cd's.
    All of my music is successfully saving to my external hard drive (E:). However, when I download on one laptop and then go to the other, I can't always see all of the albums. I got frustrated, started checking and unchecking things, now I'm sort of lost. iTunes has never been my favorite program.:/
    My questions are below:
    1. Can I use two laptops and my external hard drive interchangeably?
    2. Right now, I get the message 'please choose an iTunes library' but when I direct it to the E: drive and click 'open' it keeps opening into my music files and doesn't open the program. If I try 'create library' I see this:

    My question is- should I have both boxes checked? Only the top one? What do they mean, anyway?

    Making some assumptions:
    The iTunes Library.itl file located at E:\iTunes Music\Music\iTunes 1 is your current/active database
    When you run iTunes all your media files can be located and will play
    You have free space on your external hard drive - at least as much as currently used for your E:\iTunes Music folder
    If one or more of these are not valid, STOP HERE and report back - some parts of the procedure below would be different.
    Before starting I would strongly suggest taking a backup of your E: drive as insurance against anything not working as it is supposed to.
    Exit iTunes
    Open Windows Explorer and navigate to drive E:
    Select Organize > Folder and Search Options, then the View tab - make sure that the Show hidden files, folders and drives option is selected
    Create a new folder E:\iTunes - this will be the new starting point for your iTunes library
    Navigate to the folder where your library files are currently stored (E:\iTunes Music\Music\iTunes 1) - you've already provided a screenshot of this, but with the Show hidden files, folders and drives option selected you should see one more file:
    (sentinel is a hidden file that iTunes uses while running).
    Select all five files in this folder:
    then right-click > Copy or press Ctrl-C.
    Still in Windows Explorer, navigate to the E:\iTunes folder you created in step 4, then right-click > Paste or press Ctrl-V.  At this point the E:\iTunes folder should look like this:
    Now hold down the Shift key and start iTunes.  You'll get this prompt:
    Click on Choose Library..., navigate to E:\iTunes and select the iTunes Library.itl file (that you just copied into this folder).  Click Open.  iTunes will start and show your library with the same content as before.
    Select Edit > Preferences > Advanced.  Click the Reset button, which will change your iTunes Media folder location to E:\iTunes\iTunes Media, which is what you should want it to be (ignore the I: drive shown here, yours should be E:)
    Click OK - you should get this prompt:
    Click Yes.  This doesn't actually move your files, there's one more step.  Still in iTunes, select File > Library > Organize Library... When you see this prompt:
    check the Consolidate Files box and - if not greyed out - the Reorganize files ... box.  The click OK.  iTunes will now start copying your media files to the new, preferred location and layout.  The time taken to complete this process depends on the size of your library - for a small one it'll be a few minutes; for a large library considerably more.  Allow the process to finish.
    Once complete, your library in iTunes should look exactly as it was before - you should be able to select and play any of your songs/albums.  However, if you right-click > Get Info on any song and select the File tab, you should see that the file location has been updated:
    and if you go to Windows Explorer and navigate to E:\iTunes\iTunes Media you'll see a Music subfolder which in turn contains one folder for each artist:
    In your case the drive reference at the top will be "My Passport (E:)" and the folders listed will be those for your library.
    Successful completion of all these steps should now have brought your library into the "portable" or "well-formed" layout.  Just to make sure everything's working:
    Exit iTunes
    In Windows Explorer, rename your E:\iTunes Music folder to something like "Old iTunes"
    Restart iTunes, without holding down shift.  Your library should be available to you as in step 11 above - however, its worth testing a significant sample of your music just to make sure that everything is in the right place and plays correctly.
    One point I didn't cover is the case where the other (older) iTunes library you have - the one where the iTunes Library.itl file is on the C: drive - may be referencing albums/songs that were not in the library that was on the E: drive and that the procedure described above will bring into a more standard format.  If this is the case then there are a couple of approaches that you can use to merge the two libraries - report back if this is the case.
    If this last point doesn't apply, you can now go ahead and delete the renamed E:\iTunes Music folder - otherwise there will be a few more steps to go through before you can finally get rid of this.
    Finally, once you've completed everything successfully, work out how you're going to create and maintain a backup of your library.  With the approach described above all of iTunes' data is in one place - E:\iTunes.  I would suggest using the method described in turingtest2's notes on Backup your iTunes for Windows library with SyncToy ... remembering that "Hard drives fail.  Always.  You just don't know when its going to happen."
    Apologies for the length of these notes - however, based on your description of your current setup I thought it worth going through all the steps to bring it into a more conventional layout.

    I moved my iTunes library to an external hard drive due to lack of space on the PC. I uninstalled it from the PC at the time to increase space. My wife is a user on the computer and shares the same apple account. I discovered that iTunes was back on the PC hard drive when I tried to sync my iphone and it would not for lack of space on the PC. If I uninstall I tunes from the PC where I am the user will it affect my wife's itune account which is still on the PC?

    Close iTunes. Click the icon to start it, then press and hold down the left shift key. Keep holding until asked to choose or create a library. Choose the iTunes folder on your external drive. That should bring back all your playlists, ratings, play counts etc. You may have to settle for removing and reloading the media onto the device again. That's not too bad, but what you don't want to have happen is your apps being removed and reloaded as then you can lose settings and data. If that looks likely backup and then restore the device rather than sync it.
    If for some reason rebuilding the library the way you did has moved files around then the restored library may have trouble finding things. If so post back and I'll explain what to do...

    I upgraded MacbookPro 2009 from 10.6.8 to Yosemite 2 weeks ago. My iphoto is now a nightmare. i went to our local apple retailer but they could not help either. Perhaps someone can help. Beforehand the OS upgrade I made a backup copy of my Iphoto library onto an external hard drive. Lets call it BU with 50GB. I also deleted half of my photos from the default library on my laptop, lets call it DE, now with about 20GB, to gain space. I then upgraded to Yosemite.
    I have also installed since a long time Iphoto Library Manager 3.8.6. (this may be the cause of the problem as it was not upgraded and perhaps thus not compatible with iphoto 9.6 which I have now after the upgrade to Yosemite) It all worked fine before the upgrade, switching in iphoto between the two libraries DE and BU.
    It also worked fine after the upgrade for a few days. At one stage Iphoto asked me to upgrade the iphoto version as it otherwise could not read the photos when I tried to load the BU library into iphoto. I did click yes to upgrade iphoto. As a result I became a brand new but totally empty library, no photos.
    BU was still on the external disc, however the "Master" file was empty. We fortunately discovered all photos were in another file called Old Master, also under BU. We made another copy of the Old Master file onto the external disc. Lucky we did, because shortly afterwards we could not open anymore the BU file thus had no access to anything in there. Now I have 17000 photos in a file called Old Master on my external disc and another smaller library  DE on my laptop. When I tried to import the photos from Old Master into a new iphoto library it was very messy. All events dates were mixed up, many photos were imported twice. I have no idea whether all my 17000 photos have been imported.
    Can anyone suggest what is the most time efficient way? How do I best import my 17000 into a new library ensuring I don't loose any in the process. I do not wish sorting through 17000 photos for a week or so. Shall i also get a new iphoto library version now? Thank you for anything that may work.

    Yes, the Old Master file has a folder for each year where I find all photos from that specific year. I am attaching a screen shot of the file.
    In the meantime i have managed to download all photos (it did not download any video files though in mpg, avi, 3gp, m4v,mp4 and mov format) to a new iphoto library. Unfortunately the photos are quite mixed and often doubled up. I ma considering to purchase iphoto library which checks all duplicates in iphoto. this will save me a lot of time. What do you think?

  • HT1229 Tried moving my library to an external hard drive and now when I open iPhoto, there are no pictures there!!!!

    I am using iPhoto '08 and moved my library to my external hard drive exactly as all the instructions online explained how to do.  I renamed the original "iPhoto Library.old" and ,y external hard drive shows a iPhoto library using the same amount of memory as what it shows on my internal hard drive.  Here is where is becomes a problem.  When I hold the option key and open iPhoto, the only box that comes up does not give me a list of libraries to choose from.  It give me the option to "Create new library" or "choose existing library". When I click "choose existing library" I can find the copied library on my external hard drive but when I open it, iPhoto shows No Photos.  When I have tried opening the original iPhoto Library (the exact same way using the option key and choosing library) that I have not done anything to, except rename it, it does the exact same thing: No Photos.  Both my internal and external hard drives show about 137 GB of space being taken up by photos but I can't access them.  My other big problem is that ,y internal hard drive is completely full, which is why I am trying to transfer them to an external, to free up space so I am very limited on what I can do because I have no free space.  Also, when I open iPhoto and try to go to the Preferences to change to path under advanced settings, it freezes and I have to force close it. 
    Ay advice would be greatly appreciated as I am getting stressed out that I can't open my thousands of photos!

    My guess is that the library has been corrupted from being run on an overfull HD.
    So, try rebuild the Library on the External
    Try these in order - from best option on down...
    1. Do you have an up-to-date back up? If so, try copy the library6.iphoto file from the back up to the iPhoto Library (Right Click -> Show Package Contents) allowing it to overwrite the damaged file.
    2. Download iPhoto Library Manager and use its rebuild function. (In Library Manager it's the FIle -> Rebuild command)
    This will create an entirely new library. It will then copy (or try to) your photos and all the associated metadata and versions to this new Library, and arrange it as close as it can to what you had in the damaged Library. It does this based on information it finds in the iPhoto sharing mechanism - but that means that things not shared won't be there, so no slideshows, books or calendars, for instance - but it should get all your events, albums and keywords, faces and places back.
    Because this process creates an entirely new library and leaves your old one untouched, it is non-destructive, and if you're not happy with the results you can simply return to your old one. 
    3. If neither of these work then you'll need to create and populate a new library.
    To create and populate a new *iPhoto 08* library:
    Note this will give you a working library with the same Events and pictures as before, however, you will lose your albums, keywords, modified versions, books, calendars etc.
    In the iPhoto Preferences -> Events Uncheck the box at 'Imported Items from the Finder'
    Move the iPhoto Library to the desktop
    Launch iPhoto. It will ask if you wish to create a new Library. Say Yes.
    Go into the iPhoto Library (Right Click -> Show Package Contents) on your desktop and find the Originals folder. From the Originals folder drag the individual Event Folders to the iPhoto Window and it will recreate them in the new library.
    When you're sure all is well you can delete the iPhoto Library on your desktop.
    In the future, in addition to your usual back up routine, you might like to make a copy of the library6.iPhoto file whenever you have made changes to the library as protection against database corruption.

    I'm getting repeated issues with External Hard Drives, including ones that I have been using successfully for months/years, suddenly failing to mount and then becoming 'unknown device' through the firewire branch of 'About This Mac'.

    My concerns are:
    * Some of the permissions repaired yesterday appear to have needed to be repaired again today
    * There are several files which carry a warning that they won't be repaired as they have been 'modified', and some of these clearly relate to disk management.

    Many problems with the 10.5.7 update have been fixed by a Restart.
    If that doesn't help, something may have gone wrong with the update. Download and install the "combo" update, from: http://support.apple.com/downloads/MacOS_X_10_5_7_ComboUpdate
    If that doesn't help, try running the Apple Hardware Test, on the disc that came with your computer.
    1. Disconnect all external devices (including the Ethernet cable) except the keyboard and mouse.
    2. Insert the "Additional Software & Apple Hardware Test" disc that came with your computer.
    3. Restart while holding down the "C" key. When the list of available startup volumes appears, click Apple Hardware Test and the right arrow.
    4. When the Apple Hardware Test main screen comes up (after a moment), follow the on screen instructions.
    5. If it detects a problem, an error code will be displayed. Make a note of it.

  • I have iPhoto 11 on my macbook. I want to export photos to another iPhoto library on an external hard drive. How can I do this.

    I have run out of space on my internal hard drive on my macbook and I want to create another iPhoto library on an external hard drive using most of the photographs already on the hard drive.
    I did this easily on an old G4 mac and an old version of iphoto. I simply imported the photographs from the library already on the hard drive to the new library I created on the external hard drive.
    It does not seem to be possible to do the same thing using iPhoto 11.
    I have no idea where to find the files on the mac to do it the more direct way by just importing the files.
    Any ideas?

    Here's one way to do what you want:
    1. Quit iPhoto.
    2. Copy the iPhoto Library from your Pictures Folder to the external drive.
    Now you have two full copies of the Library. To choose between them:  Hold down the option (or alt) key and launch iPhoto. From the resulting menu select 'Choose Library'
    3. On the Internal Library, remove the pics you don't want with you all the time.
    Now you have one full library on the external and another smaller sub-set on the Internal.
    A couple of comments:
    a. The external disk needs to be formatted Mac OS Extended (Journaled)
    b: When you're removing the unwanted pics from the Internal Library you need to delete them in batches of about 100 or so. Trashing more at one time can cause problems with the database.
    c: Managing Multiple Libraries - including moving pics/albums/rolls and metadata between them - is greatly facilitated by using iPhoto Library Manager

    One thing to bear in mind, if you are using Time Machine on your Time Capsule and have it set so the TM backup includes your external drive, you will effectively be backing up your Aperture library twice on the same drive, once with Time Machine and once with the vault. This isn't a problem unless you start to run out of space.
    Another thing to note, vaults on network drives used to be flaky (i.e. not really supported) and required workarounds to be able to use them. I'm not sure if this has changed, but I just managed to create a vault on my TC ok.

    I would like to save a copy of my iPhoto library on an external hard drive (InfoSafe) that has been reformatted to Mac OS Extended file system (journaled).  I want the photos to be moved in the same Events they are in and with all of their metadata. 
    Then I want to delete some of those pictures or events from iPhoto on my computer.   I am using OS X 10.8.5 and my iPhoto '11 9.4.3.  Once I do this and make sure it works and everything is where it is supposed to be, can I just stick the hard drive in a safe place for years?

    No. Hard Drives are volatile and can be damaged. Over time the connection protocols change - USB 1 to USB 2 to USB 3. Firewire is almost dead and so on - and HDs fail. Multiple, redundant back ups are required. And when a back up is a copy of two drives at least, you won't have an actual back up for any of the material you then remove from the laptop.
    For long term archiving I use Flickr. Then backing up the photos becomes their problem but it works in other ways as well - images available from any computer, as future-proof as just about anything is, and you can set the privacy protocols to keep the material private.
