Lockbox GL Account

Please help.
When you have one bank account that has all 9 clearing accounts, and also its a lock box account. What clearing account to you allocate to the lockbox account. because you cannot make it, a master account since its the same bank account.
Please urgent.

Both are activated.
Can you please let me know that how to get the profit center populated for a clearing account i.e bank accounts when there are multiple invoices(more than two)  posted to different profit center of a customer and needs to be cleared.
It then gives the error the balancing profit center is not filled in line two i.e the Bank or lockbox line item.
Please advice.

    Here My Question is How many times the Segment E1IDLB1' & E1EDPA1' can be repeated for a single IDOC Num in I_EDIDC. I am sure segemnt 'E1IDPU5' will repeated multiple times for a single idoc num .But dont know abt other two segments.
    I have to process some other function based on the value in the segments.
    How can we create test data in WE19.
    How can any one know that for a particular IDOC type a segment can be repated or not for a single IDOC Num.

  • Configuration for lockbox

    Hi All
    I have been given to configure
    1)lock box set up
    2) lock box processing.
    I did the lock box set up by using OBAX and OB10.
    What are the configuration steps to do lock box processing? (house banks and accounts are already defined).

    Hi,
    Lockbox configuration will not involve many steps. I assume you are configuring BAI2 format and it is a text file (encrypted) from Bank. The steps to be followed are:
    1. Define Housebank for Lockbox. (?Menu Path > IMG > Financial Accounting > Bank Accounting > Define Lockboxes for Hose Banks)
    2. Define Control Parameters ie. BAI or BAI2. You can use the standard SAP. But if required you can make changes like GL postings / for partial payments etc.
    3. Define Posting data. Here you define the Origin and destination. House Bank for Lockbox, GL Accounts where the transactions are to be posted and the document types to be used.
    This completes the configuration.
    Using transaction code FLB2 you can execute the Lockbox. Here, you can create a variant and define from where the file will be picked up ?(unix path) and other processing parametrs.
    In case if you are using the EDI, the procedure will be different, as you have to define Bank as a partner and also define the basic idoc type  to be used etc.

    Hello Friends,
    I have a question in Lockbox testing. I am using BAI2 format for lockbox file. I have done all control and data settings to run FLB2. I was unable to clear the customer invoices when the T.code FLB2 is executed. Both the Cash deposit clearing a/c and Bank Clearing a/c for Lockbox are working fine, in the sense that cash deposit a/c gets debit entry and bank clearing a/c gets credit entry inititally and bank clearing a/c gets debit entry for all the customers that are found due and the customers are posted with credit entry. The customer a/c shows both the credit and debit entry but they are not getting cleared automatically. Am I missing any config step.
    Any help is appreciated and rewarded.

    I am having the same problem.. exactly. Did you find a solution? The invoices are getting cleared, the amounts are in the right accounts, but the lockbox clearing account is not getting cleared automatically. I would be highly grateful if you could share your solution.

  • Lockbox - BAI2 Format

    Has anyone had an issue with Lockbox entries (BAI2 format) showing on the log as "Applied" vs. "Partially Applied" for over or under payments on invoices?  These payments are clearing as residual items vs. going "on account."

    Take a look at the following config on your system:  IMG -> Financial Accounting -> Accounts Receivable and Accounts Payable -> Business Transactions -> Incoming Payments -> Electronic Incoming Payments -> Payment Advice Notes -> Define Further Processing of Payment Advice Notes.
    Drill into the entry with Payment Advice Type = 01 (Payment advice from lockbox) and Account type = D (Customer) for the relevant Company code.  In the Accounting - Specifications section, you will see a check box labeled "Partial Pmt".  This check box controls whether the system posts partial payments or residuals - unchecked = residuals, checked = partial payments.

  • GLT2 201 Balancing field Segment in line item 001 not filled - BAI2

    I am using BAI2 Lockbox format. I am on Enhancement pack 4 in ECC 6.0. I have reviewed all the threads which are based on this issue in the past. As I am already on EP 4 all those notes won't be applicable to me. I am also facing the same issue. As per process lockbox is a 2 step posting:
    I am getting the GLT2 201 issue in this area only
    Area 1
    Dr. Bank Clg A/c
    Cr. Lockbox Incoming A/c
    I am able to clear my customer when I import the lockbox file
    Area 2:
    Dr. Lockbox Incoming A/c
    Cr. Customer A/c
    I was of the perception that system should post the Area 1 entry first then the Area 2 entry but if system does like this then how the segment will come in the first entry as both line items are B/S related.
    As per system behaviour it is clearing the Area 2 entry first. This means that 'Lockbox incoming account' should derive the segment/profit center from the customer line. Area 1 posting should take the segment/profit center from the Area 2 entry. I am sure that lots of people have got this issue but none of them have given the clear explanation of how to crack this issue. Your sincere response is hightly appreciated. I have seen one of the thread where 'AMS' has posted that the issue has been resolved using sub rule but it is not mentioned how to do it.

    Here is SAP's response on this. The only option is to default the profit cneter or Segment or the split object you use.

    In general the bank postings like payment on account or bank tranfers
    are handeled as unassigned processes since these do not contain a link
    to the causing invoices. Therefore in such scenarios we normally expect
    a default cash account assignment to be set.
    But this not leading to the not balancing balance sheet on the segment
    level. as you have mentioned in your previous reply lock box business
    process works as follows.
    Two documents are posted via the lock box functionality:
    - customer payment via check and
    - bank transfer when the check is used.
    During the first posting a customer payment with clearing is posted.
    Unapplied Cash A/C 50 <- orginal segment taken over from customer line
    Customer -50 <- orginal segment derived from the cleared item
    The payment is linked to the causing invoice via the clearing process
    therefore the original segment can be derived.
    During the second posting a bank transfer is taken place. Since there
    is not link to the causing invoice the bank posting is posted to a
    default segment.
    Main Bank A/C 50 <- default segment
    Unapplied Cash A/C -50 <- default segment
    Since the unapplied cash account is open item managed the clearing on
    this account will have to take place between the customer payment and
    the bank transfer. This will create the missing link between the paymentand the bank transfer.
    Unapplied Cash 50 default segment derived from cleared item (doc.2)
    Unapplied Cash -50 original segment derived from cleared item (doc.1)
    Zero Balance A/C -50 default segment
    Zero Balance A/C 50 original segment
    Via the automatically created zero balancing lines in the clearing
    document on the unappied cash account the financial statement on the
    segment level is balanced.
    In case of the electronical bank statement the situation is indeed
    similar. The only difference would be that the process starts with the
    incomming payment on the bank account, which is then transfered to the
    unapplied bank clearing account and only after that customer payment
    is posted. Therefore the clearing of the unapplied cash account as
    well as the zero balance are posted during the customer payment on the
    customer reconciliation account.
    The functionality of document splitting enables the setting of the
    source related account assigments on the follow-up documents, only in
    such cases where the causing relationship can be derived from the
    business process at the point of the posting. There are still sceanrios
    where the required connection is not available at the time of posting.
    Therefore in such processes the assginment of defaults is required.
    I hope I could clarify the logic of the process from the point of view
    of the SAP standard process. If you still have doubt or questions pleasespecify those in detail and with concrete examples.

    I am trying to implement Lockbox. I need to create an BAI2 file, which consists of "Customer Invoice". I need to know where can we get the Customer Invoice number. We can post Customer Invoice using FB70, after giving all the information, I got a message "Document 1051 was posted". Is 1051 the Customer Invoice number ?

    Lockbox is a process provided by a bank where the customer remits his payment to a PO Box at your bank, the bank deposits the check in your account and enters the remittance data from the customer. Then the bank sends the data to you electronically for you to import and apply in SAP-AR.
    The structure that the bank uses is usually one of two formats. BAI will provide you the customer information and the check amount but no invoice remittance data. Usually cheaper and works well for a business where customers are paying only one invoice at a time.

    Lockbox is the procedure for rapid deposit of checks used mainly in the USA. Checks that are sent by the business partner to the bank or the local box provider(Service company that process checks) are credited to the payee's account. The information entered is forward to the payee per file transfer.
    Lockbox is payment media mainly used in USA and mainly by small vendors. The flow of data can be explained with the help of an example. Suppose customer X wants to make a payment to Company Y. Customer X will send the check to one of the Y's banks, which is closest to customer. Company Y may have number of lockbox bank accounts in different locations. Each lockbox bank a/c represents a bank which process payments for Company Y. Every bank consolidates all the payments they receive for Company Y and send a file to Company Y via EDI or may be any other way. The EDI group of the company consolidates all the files received from different locations and format it in the format that is required for SAP (standard is BAI2) and sends only one file to SAP.
    Following is the configuration steps:
    OBAY (setting up control parameters)
    OBAX (Account determination and posting parameters)
    OB10 (Setting up lockbox for company code and house bank)
    FI12 (Define house bank, bank a./c, etc.)
    There are two lock box file formats. BAI and BAI2. (BAI2 has better flexibility). There are three main steps in Lock Box processing.
    Define Lock Box (OB10)– Here you specify the Account number at the bank and give a name to the lock box.
    Define Lockbox Control Parameters (OBAY)– You specify the procedure name (LOCKBOX) and Record Format (BAI2 normally)
    Define Posting Data (OBAX) - You specify the origin (lock box or account #), destination (destination code submitted by bank) and Bank Account # (GL code for the account at bank).
    RFEBL00 is the program that does lock box processing.
    Lock Box program debits the Cash Deposit Clearing Account and Credits the Bank Clearing Account. It then debits the Bank Clearing Account and credits the Customer AR account.
    If the system can’t find the matching Customer AR account, then it leaves the credit in the bank clearing account.

    Hi Deepa,
    Customer payments are posted into the system to represent the collection of money and the application of this money against Customer liabilities to the company. This can be performed two ways within the system, either on an individual payment-by-payment basis, or collectively, in what is commonly called lockbox processing.
    Individual payment-by-payment processing will have the User entering one transaction per payment. Lockbox processing is a two step process: step one has User using one transaction to post multiple payments based on data file from the bank, and step two is a transaction to correct any un-applied payment data from step one. 
    Lockbox is a function, performed by a bank, which allows the Customer to send payments directly to a bank via ‘lockbox’ (a specific mail address set-up for the company at the bank). These payments are collected by the bank and applied to the company’s bank account, with data from the payments (like check routing number, Customer bank account number, check number, payment amount and invoices being paid) being made available to the company in a file format to allow for collective processing. The lockbox data is either sent daily to the company, or located at the bank, and retrieved by the company daily.
    The lockbox process uses a 'lockbox clearing' account to post all payments directly to bank G/L account. This allows the bank account to have a correct balance while the clearing account has non-zero balance until all payments are applied to Customers or written off. The lockbox posting log should be printed for future reference (especially in resolving issues for post-processing).     We are experiencing issues with our Lockbox and Autocash process. In some cases Autocash will successfully apply multiple invoices paid with one receipt for multiple related customers. Based on our configuration it does not appear that this scenario should ever be successful since our lockbox format does not include a customer number or MICR number and we use Autoassociate for matching based on transaction number. Now my question is,Is there any way that i could apply a single receipt to multiple customers?

    We are just setting up lockbox, and we have 5 accounts in different currencies - If I link all the accounts to a single payment method, which is then used to create a single lockbox, will I be able to succesfully import my receipts to the 5 accounts OR do I need to set up a Lockbox per account?

  • Using Lockbox want to hit different GL account for each payment

    Hi Everyone,
    Currently, we have lockbox up and running for credit card payments from third party system and hitting cash account in Oracle.
    I want to implement one more payment mode for e.g. ACH, which will hit differed revenue account in Oracle.
    1. Now, as the current lockbox is hitting cash, I didn't left with any other option but I ended up setting up new lockbox with deffered revenue account attached to it. Here correct me if I am wrong with my understanding. Can one lockbox hit different GL account for different payment mode like Cash account for Credit Card and Differed Revenue account for ACH?
    2. With my assumption from point 1 that I have to create new one for different GL account, I created new lockbox and added lockbox number in transmission format, control file and in data file. After that launched lockbox program for each lockbox number with understanding that each lockbox program will pick up its own payment records based on lockbox nubmer in datafile and process it. But what happened is that first lockbox program processed its own record and also another lockbox number records and finally, its processed its own way of hitting cash account. So again payments hit cash accounts, where my expectation was that each lockbox will pick up its own lockbox number record and hit it to respective GL account i.e. cash and deffered revenue.
    Why one lockbox processed another lockbox number records also from same file?
    How to achieve this? I dont want to make two seperate data file for each lockbox number, but want to process from one single data file.
    Please update me ASAP as I need to freeze the requirement at the earliest.

    I suggest you to create a Dummy Materials. Lets say,
    material number: 1001
    enter material description as Domestic
    material number: 1002
    enter material description as Imports
    and in OBYC for GBB
    make the following settings:
    val grp      gen mod    val cla      gl a/c dr     gl a/c cr
    0001     VBR     4000     74180040     74180040
    0001     VBR     4001     78020091     78020091
    so that when u create PO u can get default GL (consumption GL )  for the material (u can use the same for material group also) and u can maintain WRX acc determination as follows ..

    Thus u need to create 2 different valuation class for these material group specific and in PO while entering the text u can add the text which is displayed along with material description

  • Lockbox Customer Number and Bank Account Validation

    When attempting to run lockbox, we are populating both customer number and bank account number. My understanding is that when providing bank account only, Oracle requires this be the pirmary bank account for the customer. It uses this information to identify the customer.
    When we provide the customer number in our file, it should use that value.
    We do not have the primary flag set for any bank accounts, as we have multiple per customer in many cases, any of which can receive payment.
    Oracle is not processing these records with both fields populated because we do not have the account marked as primary.
    Is this the way I should expect Oracle to process the file. I think it should accept this record.

    That's what I thought as well, but it isn't. It's set as text and still drops it as if it were an integer
    If I enter 0123456 into this field, when I go into 'Cases' to retrieve this information, it is displayed as 123456

  • On account posting for lockboxes

    Friends,
    I have a quick question on lockboxes. We need payment from specific customers to go on to account instead of creating residual items or partial payment.
    The tolerance for payment advice in OBA3/4 can do the trick by setting to the highest value 99999.99. But for payment difference beyond this value for a payment advice, system still applies the payment.
    We would want it to all go an account every time.
    What is the suggestion from this forum?

    Hi,
    When you just create a PO, It would not hit any account. Your assigned G/L account for invoice can not post during MIGO.
    The standard behavior of a PO with account assignment that the stock is considered as consumed on delivery against the said acc. assignment (cost center/project/etc), so the stock is not posted to the unrestricted use. If PO created with account assignment category, then inventory account will not increase while doing the GR or else (PO with account assignment) inventory account will increase when doing the GR.

  • Lockbox payment + MICR + "ON Account"

    Hello All,
    In our case, MICR code on Customer master matched Bank information on the Lockbox file. In this case, Lockbox processing should post check amount on "ON Account" status, But it is going as Un-Processed. Could anyone let me know if there is a configuration to tell the Lockbox program to post to "ON Account" when the MICR code on Customer master and BANK Information on the Lockbox file matches.

    Vijay is correct. If the MICR is found, it should definetly put the item on 'on account'. Since this is not happening, this customer MICR may belong to many other customers.
    Also in FLB!, does the list identify the customer name? If yes, then MICR is found. There is someother reason why it is unprocessed. May be the remittance info or company code is diff on payment.

  • USING LOCKBOX with MULTIPLE PRIMARY ACCOUNTS ATTACHED TO THE PAYMENT METHOD

    We have set up a payment method with 4 different bank accounts in 4 different currencies - A Batch Source has also been set up using this payment method -
    When the batch source is however selected for the lock box the system auto defaults the bank account for the functional currency and does not allow the other accounts to be selected -
    Can some one pls help clarify -
    1) If we have receipt trxs for these 4 accounts, will they be processed via this single lockbox as the batch source has all these accounts or do i need to create a lockbox per bank account?
    2) Why am I not able to review the accounts associated with my payment method in the lockbox set up form.
    3) Are there any specific requirements that we should code for the lockbox data file to succesfully load into the four different accounts?

    When you enter bank details in master, update field "Partner bank type" LFBK-BVTYP with free form value, may be currency is good choice.
    During invoice entry, this field is available for update, update which bank to be used for payment of this invoice. You may build logic to populate this field, like substitution to populate currency in this field during invoice posting.
    During payment, system checks value in field Partner bank type in invoice and selects corresponding bank.
