Logic in Creation of Document Types

Good Morning Folks-
Is there documentation on when to create a new document type?  I am on an AR project and I have a client that has (in my opinion) duplicate document types.  For example, they have 2 document types for incoming payments and they are different because cash comes via lockbox(FLB2) and the other comes from a wire.  I have 4 document types to identify invoices and they are different because they come from the legacy system or created in SAP, etc.  They have a document type for credit memos and typically I have seen it is the same as an invoice but differentiated by posting key.  For credit memo, would be posting key 11.   
I am trying to find some documentation that gives advice and warnings about this.  I have worked with 9 US A/R projects and at most had to be concerned with was only 4 document types.  I know what the definition of a document type is but they think it is to have them by source.  I see warning flags here.  I don't even know how to create clearing rules because it is so complex.  In addition, they are unable to balance from their legacy system to SAP.

Hi,
This looks to be a Business Process question or as per the requirements of the client. You can find documentation on document types and how to configure, but not on how many document types to be set up. This purely depends upon Business practice adopted by the client.
If a client has moved from a legacy system to SAP, the document types used in legacy system also influences this decision. There will be some reluctance to reduce or increase number of document types vis a vis legacy system.
There should be too many or too less number of document types. Basically, document types will be helpful for reporting and analytical decision making.

    U can create Doc type ZCAP bu coping std Doc type NB or u can creat as your own
    Item categories help system to ask for a relevent data as if u give item category L which is for subcontracting then it will ask for supplied components
    If u say U the it will change venter in to suppling plant and also change relevent things for stock transfer

    We can use NB document type for creating new one but ist not compalsory u can directely create your own. We copy so that, all the releating item catagories can be copied.
    we create new one if u want different number range for asset proc and others.
    or if u want to have subcontracting po diffrent form others. etc.
    but there is no relation between Account assig cat and document type.

    We create a Sales Order (eg. ZXXX) through a Z-development. My requirement is that this particular document type should not be created using t.code VA01. Need a validation for VA01 in the first screen itself  ( where the document type, Sales Org, Dist Channel and Divn is entered) to restrict creation of document type ZXXX thru t.code VA01

    If your requirement is - To restrict Creation of Sales Document Type "ZXXX" with Transaction Code: VA01
    which, I have understood from your query:
    My requirement is that this particular document type should not be created using t.code VA01.
    ...the same could be achieved by changing/ modifying the Transaction Group in to Sales Document type.
    Path: T. Code: VOV8 --> Key-in Sales Doc. Type --> Go in to Detail-page --> Tab: Transaction Flow --> Field: Transaction Group
    If, we maintain entry as "0", the sale doc.will be created with VA01
    If, we maintain entry as "1", the sales doc. will be created with VA11.
    Note: If, you change Transaction Group to "1" for Standard Sales Doc. Type - OR; it will be created with VA11 and not with VA01.
    So, change the Transaction Group from "0" to "as reqd." for Sales Document Type "ZXXX" in VOV8

    Check & press F4, NB Purchase Order (for catagory F) will be there after entering PO output type NEU & then maintaion the condition record in MN04.
    Output type NEU automaticaly defaulted during purchase order creation with document type ,then just fine tune the output (message) type in following path:
    SPRO--->MM->Purchasing>Message>Output control->Message types> Define message type for Purchase Order----->Fine-Tuned Control: Purchase Order
    Now here select the check box corresponding to your output(message) type NEU to have print output automatically displayed & save.
    Now try to creating Purchase Order & you will have default message type NEU.

    Im facing one issue while the PO is created from Purchase requistion(ME59N).
    If the purchase requisition document type is - XTB while creation of PO from ME59N the document type is taking as UB
    the SPRO setting has been done for supplying plant and receving pant as - XTB but still getting the error as
    Doc. type XTBshould be used for suppl. plant XXXX and receiving plant XXXX.  06 - 674  ( Msg class and No)
    Could any one please help me on this.
    The manual PO creation(ME21N) is perfect .

    One similar kind of issue i am facing, i implimented one enhancement in the BADI "ME_PROCESS_PO_CUST"  for checking the supplying plant.
    When i processd it through ME21N ( manulaly) it's taking the right plant, But when i processed it through ME59 ( Autoamtion of PO) the Enhancement is not triggered.
    ME59N is not supporting as there is no support pack ( OSS notes need to be implimented).
    Coluld you please provide any helpful answer for me

    We are using the Net Invoice Posting with document type RN(Invoice- Net). We are generating different vendor line items in the accounting document based on the withholding tax codes involved in the invoice posting. When it comes to net invoice posting system is giving an error message M8-688 - Creation of vendor line items is not possible for document type RN. Is there is any way to create multiple vendor items with net invoice posting? Please suggest.

    I dont think that there is any way because it is a hardcoded error message.
          IF NOT t003-xnetb IS INITIAL.
            MESSAGE e688 WITH pi_rbkpv-blart.
          ENDIF.
    SAP is checking the customizing for net/gross posting per document type in table T003
    And if it is set up as net, then it is a hard error.

  • Immediate Transfer Order Creation not occuring for Sales Document Type

    Hello gurus,
    I have a situation where a transfer order is not being created immediately for a specific sales document type.
    Here is an example document flow of a desired scenario where the system is working:
    Sales document type:  ZOR
    >  Delivery type:  LF
    >  WMS transfer order
    The Item Category in this scenario is TAN.
    Here is an example of the document flow in the current scenario where the system is not working:
    Sales document type:  ZPRD
    > Delivery type:  LF
    The Item Category is also TAN in this scenario.  The only identifiable difference in these scenarios is the sales document type.  For the ZOR SaTY, a Transfer Order prints immediately once the delivery is created.  For the ZPRD SaTY, a Transfer Order needs to be manually created after delivery creation.
    Is there a configuration setting that is controlling this?  Any help would be greatly appreciated.

    Thank you very much for the link.  When I insert the WMTA output type in the delivery output header, the Transfer Order is automatically created.
    The problem I'm running into now is the configuration setting that controls this.  I thought I figured it out when going to this IMG path:
    SAP Customizing Implementation Guide  -->  Logistics Execution -->  Shipping -->  Basic Shipping Functions  -->  Output Control -->  Define Print Parameters Shipping
    When selecting the Delivery Note, the shipping point I was using was not configured in this location.  I added the shipping point into this transaction, saved, and created a new order & delivery.  However, the WMTA output type still was not automatically inserted into the delivery when saving.  Is there another location I should be looking to fix this so that when I enter an order with a particular Shipping Point, the WMTA output type automatically appears in the delivery?

    Can use personal settings.

    In order to create a document type for a purchase requisition  use the path
    spro-materials management - purchasing--purchase requisitions --define  document type
    in that screen you select the document type you want to copy to create your document type and perform the action.
    if you want to change the screen/field selection for your document type select the field selection key (if you select the document type as NBB the field selection key will be NBB.,and go to the screen and change the field status.
    Hope this will be suffient for your requirement.

    Document types are created at client level. to restrict one kind transactions only and to identify the transactions pertaining to what.
    At the time of configuring BRS we have to specify the document type there u can specify what ever you want before it has to create. go to OBA7

    I have this request , How I can  do a dunning Letter  and for a specific Document type  , must have always a Dunnng level 1 . I mean do not increase the Dunning Level every time.
    For istance :
    Every week we make one dunning run. This run has to include all open invoices from ordinary deliveries (dunning level 1 to 3) and also  the open invoices for a specific Document type  (dunning level 1).   This Specific doc.type have not dunning level 2 or 3 .
    I have check on BTE and I have update  00001051 DUNNING: Read additional fields for MHND (BSID)  with this Abap code :
    IF I_BSID-BUKRS = 'KC01'.
            IF I_BSID-BLART = 'B2'.
          IF C_MHND-MAHNS IS NOT INITIAL.
            C_MHND-MAHNN = C_MHND-MAHNS.
          ENDIF.
        ENDIF.

    But nothing happen ...

    Invoice 2  200   lev 1
    Invoice 3 300    lev 1
    The Customer do not pay nothing
    Second Time Dunning Customer AABB
    Invoice 1  100   lev 1    Special Invoice
    Invoice 2  200   lev 2
    Invoice 3 300    lev 2
    Thirt time Dunning Customer AABB
    Invoice 1  100   lev 1    Special Invoice
    Invoice 2  200   lev 3
    Invoice 3 300    lev 3
    I mean in the same Dunning letter for invoice 2 and 3 the level Dunning increase(as usual)  for Special Invoice number 1 the Dunning Level   still remain 1.
    I know that I can change Manually on open Item the Dunning level but I looking for if it's possible to this automatically.

    We have copied from existing SA  document type to new document type.
    In standard SAP  SA  document type - define document splitting rule, we have select  "NO INHERITANCE OF ACCOUNT ASSINGNMENT", when posting the  GL document SA  document type without mapping partner profit center,system is control the derive the partner profit center.
      Our requirement is  copied from existing  SA  document type to create a new document type - we have created the new dusiness transaction variant and we have map the "classify document type to document splitting rule " and we have selet the "No inheritance of account assignment" while posting in FB01 GL document with out mapping partner profit center system is not control the " derive partner profit center".
    Could you please assist us as soon as possible

    Hi,
    You can define different numbering series for the Documents. Administration --> System Initialization --> Document Numbering. In this you can view Document names. For these documents you can define and maintain different numbering series. Double click the button left to Document names. New window opens. In that window you may view "Primary" as Name of Numbering Series. You can rename that name and if you want to add another name then Right click the mouse on #, Menu opens with dew options. In that Menu, select "Add Rows" to add new numbering series in this screen.
    You cannot define same number to the different numbering series. ie., If you Raw materials - Starts from 1, then your Stores should not start with 1. If you assign then Document Number Overlapping error may occur. Define different numbering series. Lets assume GRPO- Stores Starts with 1 and its Last number is 100000. then your GRPO-RM starts with 100001 and ends with xxxx.
    Like this you can define the series.

    If you want both the numbering series should start from 1. Then you should go for Administration --> Setup --> Financials --> Sequence. In this sequence setup also you can view few Document names. For these documents you can assign Numbering series. Right click the button left to the Document name. It opens new window. In that window, enter the name of the Document numbering series and it's first number and last number, if required you can define Prefix or Suffix to the series. In this you can assign starting number as 1 for both the numbering series. Let's assume, GRPO - Stores starts with 1 and last number xxxxx, GRPO-RM starts with 1 and last number yyyyy.
    It works as an sub-numbering series concept. Your original numbering series will be different from sequence numbers in the document.
    You can use any one of the method to solve your problem.

    I use InterCompany biling in SD with standard invoice document type 'IV' and message category  'RD04' (which enables  vendor invoice creation).
    My customer asks to be able to print a form for the intercompany bills.
    For the non intercompany bills this is actually performed by using a specific message category. 
    So my question is : is there any way to have TWO message category ('RD04' + specific message for form) automatically  attached to an intercompany bill (customizing, user-exit,...) ?

    Assign the logic to the RD04 output type smartform.Then it is possible,In the smartform include the logic that it should automatically attach to the intercompany billing.
