Losing Smart Albums during 09 to 11 upgrade.

Regardless of the process I use, upon upgrading to iPhoto 11 and opening it for a 2nd time, many (most) of my smart albums disappear.  I have tried using iPhoto Library Manager during the process also.
FYI-My Smart Albums are organized in the iPhoto 09 side bar within folders that have 1-4 levels of hierarchy.  I have tried collapsing the hierarchy to just 2 levels before upgrading to iPhoto 11, but still experience the same issue. 
I have tried 3 methods of upgrading and have not been able to preserve my smart albums.
Method 1) Upgraded by leaving the iPhoto 09 library as is, and downloading and installing iPhoto 11 from the app store and then opening iPhoto 11.
Method 2) The same as #1, but then ran iPhoto Library Manager and then re-opened in iPhoto 11.  I think the smart albums appeared, but after closing and re-opening iPhoto, they disappeared again.
Method 3) Ran the iPhoto Library Manager on the iPhoto 09 Library, prior to installing iPhoto 11 and then installed iPhoto 11 and opened the Library.  I think the smart albums appeared, but after closing and re-opening iPhoto, they disappeared again.
Does anyone have any suggestions?  To re-create my smart albums will be hugely time consuming.  I have about 16K photographs and I imagine about 200 smart albums.

P.S.  Before doing anything, I repaired permissions and rebuilt the library in iPhoto 09 to insure that it was in good shape.
My second step was to backup my iPhoto  09 files to an external drive.  The items I backed up were:
-Pictures/iPhoto Library (package)
-Users/Me/library/caches/com.apple.photo (folder)
-Users/Me/library/preferences/com.apple.iphoto.plist
-Users/Me/library/preferences/com.apple.iphoto.plist.lockfile
-Users/Me/library/preferences/com.apple.iphoto.LSSharedFileList.plist
-Users/Me/library/preferences/com.apple.iphoto.LSSharedFileList.plist.lockfile
-Users/Me/library/preferences/com.apple.iphotomosaic.plist

Never upgrade any app in the middle of a project. Finish and order your books, then upgrade. Not before.

  • Just upgraded to iPhoto '11...missing Smart Albums and Flags...Help???

    I just upgraded from iPhoto '08 to iPhoto '11 via the App Store.  While it appears that all of my photos are still on my computer, when I try to open my Smart Albums, it says that they contain "no photos."  Also, it appears that none of my photos marked with flags are still flagged.  Can anyone help?

    How did you upgrade the library? Did you just open it with iPhoto 11 and let it convert the library to the new version?  If so then try the following:
    Make a temporary, backup copy (if you don't already have a backup copy) of the library and apply the two fixes below in order as needed:
    Fix #1
    Launch iPhoto with the Command+Option keys held down and rebuild the library.
    Select the options identified in the screenshot. 
    Fix #2
    Using iPhoto Library Manager  to Rebuild Your iPhoto Library
    Download iPhoto Library Manager and launch.
    Click on the Add Library button, navigate to your Home/Pictures folder and select your iPhoto Library folder.
    Now that the library is listed in the left hand pane of iPLM, click on your library and go to the File ➙ Rebuild Library menu option
    In the next  window name the new library and select the location you want it to be placed.
    Click on the Create button.
    Note: This creates a new library based on the LIbraryData.xml file in the library and will recover Events, Albums, keywords, titles and comments but not books, calendars or slideshows. The original library will be left untouched for further attempts at fixing the problem or in case the rebuilt library is not satisfactory.

  • Losing Folders and Smart Albums

    I have Folders in my projects that hold Smart Albums and I lose most of them next time I launch Aperture. I have done a Library rebuild but does not fix the problem. Any ideas ??

    I've beem having the same issue, the program simply does not keep items not stored in a project and deletes them, this is really erking me, i deleted the plist file and restarted and it still does it, everytime. lemme know if you come up with anything.

  • Smart Album not so smart?

    Hi. A few months ago I upgraded from iPhoto to aperture. It's all rather confusing but I've been willing to overlook it because of the usefulness of aperture as an advanced photo editor.
    Now however all sorts of weird things are showing up. The Smart albums in particular are bizarre. Even the ones that come pre-made in Aperture. In particular the “in the last month” and "in the last week" etc. contain images from all over the map, as it were. Yes, there are images from in the last month, week or what have you—but there are also random images from all sorts of other time frames, projects, albums and folders.
    This is particularly annoying because it also seems to have messed up the way photos are synced with my iPhone which (much to my surprise) is one of my favorite things to do on the iPhone: display my photos. Albums on the iPhone contain images often repeated 75 times or other such bizarre problems.
    I assume something is corrupt somewhere but I don't know how to “reboot” my libraries without losing precious information.
    Can anyone tell me what is wrong with my smart albums and what is wrong with the syncing.

    As a new Aperture user myself, I had a similar issue. Maybe it's related to yours.
    Smart Albums have many options to choose from, and I was a bit confused at the beginning. While setting the Smart Album, you need to be sure you're marking the options you really want/need, and nothing else. For example, my "In the last month" Smart Album showed only one photo, and that wasn't correct.
    But the reason was simple: I had written some text in the Search/Filter field (upper right), and obviously that was filtering the not-so-smart results in my folder.

    I don't use iPhoto daily and so just realized I have lost my many smart albums. Not sure if it happened during an operating system upgrade, a migration (got a new computer) or a iphoto upgrade.

    Here's a possible solution if you're unable to restore the smart albums any other way.
    1 - rename your current library to something other than it is now, like iPhoto Library Old or whatever.
    2 - copy the library from  your old laptop to the Pictures folder on the new iMac.
    3 - get the paid version of  iPhoto Library Manager and use it to merger the renamed library into the library from the laptop. iPLM can be set to not import duplicates.
    This should give you a library with the smart albums and any new photos.  Once you've confirmed that the merged library is complete and working correctly you can delete the renamed library.

    OK, just upgraded.... So, whats the difference between an Album and a Smart Album?  
    Also, I like to organise my stuff, so if I create a folder for each year, and then a project within that year, why is it that the photos are always in both - and then again if I chose to create an album specific to a project, they are there again.
    So it might look:
              Folder (2012 Equine Photography)
                   Project - Specific Events
                        Album - Big Barn Dressage May
    Does this mean the individual photo is stored 3 times and using 3 times the space?

    No. Conceptually the Master only lives lives in the single (time based) Project you import it into. Albums are just collections of pointers that point to  images in various Projects.
    "Big Barn Dressage May" could be a Project, but only if it is only one day and a limited number of image files; otherwise an Album. "2012 Equine Photography" should be an album or a Folder of Albums. "Specific Events" could be an Album or a Folder of Albums.
    A Project should not be used as a Folder.
    From an earlier post of mine:
    Folders are indeed flexible organizational tools but IMO often overused. Folders can effectively hide contents from view and therefore require users to remember how folders are nested and what is inside them. Folders were the only way to deal with single-original film, but are IMO limiting to image database thinking.
    The way I look at it conceptually:
    Aperture is a database (DB), and each image file lives in one Project.
    Albums are just collections of Pointers that point to individual image files living in one or more Projects. Since they just contain pointers, albums can be created or deleted at will without affecting image files. Very powerful. And Albums of pointers take up almost zero space, so they are fast and do not make the Library size grow.
    Keywords can be applied to every image separately or in batches. Keywords are hugely powerful and largely obviate the need for folders. Not that we should never use folders, just that we should use folders only when useful organizationally - - after first determining that using keywords and albums is not a better approach.
    As one example imagine the keyword "flowers."  Every image of a 100,000 images Library that has some flowers in it has the keyword flowers. Then say we want to put flowers in an ad, or as background for a show of some kind, or to print pix for a party, or even just to look for an image for some other reason. We can find every flower image in a 100k-image database in 2 seconds, and in another few seconds create an Album called "Flowers" that points to all of those individual images.
    Similarly all family pix can have a keyword "family" and all work pix can have a key word "work." Each individual pic may have any number of keywords. Such pic characteristics (work, family, flowers, etc.) should not be organized via folders.
    So by using keywords and albums we can have instant access to every image everywhere, very cool. And keywords and albums essentially take up no space in the database.
    Another approach is to use a folder "Family" for family pix, a folder "Flowers" for flowers pix and another folder "Work" for work pix. IMO such folders usage is a very poor approach to using an images database (probably stemming from old paper or film work practices). Note that one cannot put an image with family in a field of flowers at a work picnic in all three folders; but it is instant with keywords.

  • New Album from Smart Album makes NEW VERSIONS of all files? Bug?

    Got what I think is an oddball bug here, but see if any of you have experienced it.
    Making a new album of the contents of a Smart Album with about 600 images resulted in the SBOD, a lot of time and disk activity and the creation of NEW VERSIONS of all the files populating the new album. This, of course, also doubled the number of files in the original Smart Album, since the keywords used are a match. First thinking it might be something I had not read in the manual, I grabbed the book and could not find this behavior listed…..so….my expected result is a new album with the identical contents of the Smart Album selected as the source.
    I am creating a presentation for a client whose work is in multiple projects in a ~150GB library. All images are heavily keyworded, so making Smart Albums of specific elements of the work was easy. My intended workflow to get through this mountain of pix was to make Smart Albums of specific elements, then make New Albums from each, manually edit and reorg these albums individually, then combine my edits into a single book file.
    Now the structure leading to this problem is as follows:
    1) I created a single “main” folder to store all projects and other elements and hierarchy for this client. Clicking on this folder returns some 8500 images spanning multiple projects…all as expected.
    2) At the top level of this “main” folder, I made about 20 Smart Albums to presort the main elements I wanted to include. I made the first Smart Album by clicking the icon in the top bar. The rest of the smart albums I made by duplicating the previous Smart Album, then changing keyword selection. I would select the new keywords I wanted, then de-select the ones that were from the album I had duplicated. The reason I did it that was for speed, there is little delay in displaying the items that were already searched for, and a significant delay in going from new. Anyway, somewhere in this process, I decided to organize my workflow further, so I created a new folder (calling it Smart Album Selects) at the same level as the Smart Albums, and then dragged the Smart Albums into the new Smart Album Selects folder. Still, no problem.
    3) Later in my session, I went to create another new Smart Album, and this time I did so already in the Smart Album Selects folder. When I opened the HUD to select the keywords, the Keyword area and check box were greyed out!!! Weird, I though….so I simply duplicated an existing Smart Album from my Smart Album Selects folder, opened the HUD, and sure enough, all my keywords were there. I changed the keyword selection, and went on with work. During the day I did this same operation 3 more times, making 4 Smart Albums created the same way.
    4) OK…here is the strange behavior. To make my new custom album from the Smart Album selects, I selected one of the Smart Albums, and clicked on the New Album icon. Got the expected dialog, make with 1 image or all images, selected all images, and instead of a new album popping up moments later, I got the SBOD, and the Activity Monitor said Aperture and my hard disk was cranking away. About 4-5 minutes later, Aperture became responsive again, and had created a new album. However, upon inspection, the album contained NEW VERSIONS of all the images that were in the Smart Album, about 600 files.
    5) I went back and clicked on a different Smart Album in the same spot in the hierarchy…but it was one of the first ones I had created (meaning I built this BEFORE reorganizing into the Smart Album Selects folder). Tried making a new album again, with 1 image, worked fine, popped up instantly. Tried selecting 4 images, same thing, worked fine. Selected All, made album, worked fine.
    6) Went back to the Smart Album I had the problem with, this time selected 4 images, make New Album, and sure enough the New Album had NEW VERSIONS of the pix again…OK, I went back to the top of my folder hierarchy, my “main” folder and made a brand new Smart Album by clicking the icon, and selecting keywords. Made a new album from that, no problem, popped up instantly, no new versions.
    7) I then re-made all my Smart Albums at the top of the folder hierarchy, and they all work fine creating new albums. I got back to the task at hand…hopefully there is enough data here to let the Aperture engineers find this problem…Assuming, that is it is not just me misunderstanding some element in the program.
    Sorry for the length, but has anyone else run into this??

    Nope, all the images at this point in my workflow have been unstacked, with the non-picked members of the original stacks discarded.
    Now that it seems I am not the only one who has witnessed this behavior, what I am really trying to find out, is what is the definitive proper operation of this according to the Aperture group at Apple.
    Assuming I have opened a Smart Album with images displayed, and no images are selected.
    Is the correct behavior:
    1) Selecting New Album makes a new Untitled Album (very quickly) with the identical contents of the Smart Album....OR...
    2) Selecting New Album makes a new Untitled Album (slowly) with NEW VERSIONS of the contents of the Smart Album. (Also, depending upon the number of images, typically brings up SBOD and makes Aperture unresponsive until it is complete.)
    Now what I expected to happen was #1, as it is what happens when I select New Album when a project is selected. Given Apple's human interface creedo for intuitive operation, I think this is the most intuitive choice, because I can't think of a good reason I would want to double the number of versions of all files in an album, unless I expressly told the app to do this.
    Could an Apple guy provide the definitive answer, please...

  • ITunes\Apple TV 2 Not Updating Aperture 3 Smart Album Photos

    Hi,
    Even after both updating the Preview photos in the Aperture 3 Smart Album and waiting for several hours, my iTunes photo link to the Apple TV 2  still shows the OLD pictures (and the photo count) from when I first linked the album. The link is off by scores of photos that have since been added.
    In attempting to remedy the out-of-date Album link, I have:
    closed all programs,
    restarted the computer,
    linked and unlinked the photo album.
    The photos on the Apple TV still show old versions of the pix, since revised. I don't know where these are coming from since they have been updated. They must reside in the ATV's memory. I'd like to flush that out and replace with the new versions!
    QUESTIONS:
    --> Is there a way to get iTunes to see the updated Smart Album that resides in Aperture 3?
    --> Can I force an update of the Smart Album photos to the Apple TV?
    Perhaps there is a secret incantation and dance?

    I figured it out. The Aperture Smart Folder was actually being updated in iPhoto!
    The story...
    I recently upgraded to the new commonly shared Aperture \ iPhoto file format and imported all my iPhoto photos into my Aperture library.
    Unknown to me, Aperture was saving changes made in Aperture to the old iPhoto file (package)  -- with no notice, advisory, or infornation to this effect!
    Mind-numbingly confusing, but once I deduced that my Aperture Library was now kinda fronting for some data stored in iPhoto, I could link to the Smart Folder stored there.
    I intend to export the whole mess to an entirely new Aperture Library to be entirely (I hope!) in an Aperture environment.
    If you lose information in Aperture, try looking in iPhoto! 

  • IPhoto 9.4.3-keyword "" not working correctly in smart albums

    Every May I work on the 5th Grade recognition slideshow (using Keynote) for our 5th grade students.  In iPhoto, I always give photos the checkmark keyword after I've placed that photo so that I know it's been added/used.  I have many smart photo albums with keywords like "5th graders 2012-2013" and others like the checkmark. 
    None of the smart albums seem to be recognizing and using the checkmark even though it's one of the smart album criteria.  For example, I have a smart album called
    "5th grade-already used" which has the criteria Match All:  Keyword is "5th graders-2012-2013" and Keyword is "✔".  However, even after giving some photos the checkmark keyword, this smart album shows up empty.
    Similarly, I have another smart album called "5th-Still to use" which has criteria Match All: Keyword is "5th graders-2012-2013" and Keyword is not "✔". The photos that I've placed the checkmark on are STILL showing up here.
    These smart albums have always worked before.  Has anyone else noticed issues with the checkmark keyword not working properly?  It has to have happened with an update sometime in the past year.

    When I went to open the library using iPhoto Library Manager, it had to upgrade the library to work with this version of iPhoto.
    That's normal.
    Option 1
    Back Up and try rebuild the library: hold down the command and option (or alt) keys while launching iPhoto. Use the resulting dialogue to rebuild. Choose to Repair Database. If that doesn't help, then try again, this time using Rebuild Database.
    If that fails:
    Option 2
    Download iPhoto Library Manager and use its rebuild function. (In Library Manager it's the FIle -> Rebuild command)
    This will create an entirely new library. It will then copy (or try to) your photos and all the associated metadata and versions to this new Library, and arrange it as close as it can to what you had in the damaged Library. It does this based on information it finds in the iPhoto sharing mechanism - but that means that things not shared won't be there, so no slideshows, books or calendars, for instance - but it should get all your events, albums and keywords, faces and places back.
    Because this process creates an entirely new library and leaves your old one untouched, it is non-destructive, and if you're not happy with the results you can simply return to your old one.

  • Changing Sort Order in Smart Album when Looking for Roll Name=Corruption

    We've confirmed via testing and from new posters that changing the sort order in a Smart Album who's criteria is to look for a roll name will cause iPhoto to crash and then crash upon launch after that.
    So to avoid corrupting your library do not change the sort order of a Smart Album designed to locate rolls.

    Rebuilding the library with iPhoto Library Manager recovered the library. However, I don't know if a rebuild via the Control+Option key will do the same.

    Ha! I upgraded to iPhoto 6.0.3 and opened the dummy library I had created. (This was the library where the crash on launch kept happening because I had a smart folder looking for rolls and sorted by title or something else other than the default.)
    Guess what, it opened just fine! 6.0.3 fixes the crash. Not sure how much it helps people who started new libraries, but at least others won't run into this.

  • Iphoto-I inadvertantly created a smart album.  It has captured all recent photos in it I want to delete it but need to know if this will delete the same photos in their albums?

    iphoto- I accidently created a smart album which is capturing all current new photos.  I put them in their  own album but I can't delete them in the smart album.  Can I delete the smart album without losing the photos in the other albums? larrybksfld

    Yes you can delete the Smaert Album. It will not delete the photos.

  • Smart Album Not Updating Dynamically

    I recently upgraded to iPhoto 11.  My Smart Albums now no longer update dynamically.  For example, I have a smart album that contains the last 3 months of photos.  It does not update after I import photos from my camera.  I have to manaully edit the settings for the smart album and click ok.  I don't change the settings, just edit and click ok.
    Why aren't the smart albums dynamically updating?

    Dynamic update of smart playlists when playing music untethered on an iPod touch 2G set to manually manage music is broken with the latest iPhone 3.0 Software Update for iPod touch. Here we go again on this issue. It seems to be broken or purposefully disabled on every other update for the iPod.
    On a side note, I noticed that my iPod now occasionally displays a wait screen when opening Music. I found this happens when I alter my playlists in iTunes.app, then disconnect the iPod for a session of untethered listening. Perhaps the iPod is actually building the smart playlists then, perhaps not, perhaps a smart developer will take advantage of this to trigger the smart playlist updating.

  • Trouble with Smart Albums

    I'm trying to create a smart album from within one of my projects.  The criteria I'm trying to use is the "Image Location" found in the IPTC data.  The image city is "Seattle", but when I try to create the smart album, it comes up empty.  No matter what I do, I can't get it to include the images with the city, Seattle.  Everything else works properly, including other cities that I've used for smart album creation.
    Any thoughts on what could be causing this?

    First thing to do is examine the install disk for any scratches and dirt. If there are any, then you'll need to fix it. I've had success using liquid auto polish (w/o wax) rubbing with a cotton cloth (old, white T-shirt works great) from the center to the edge. Once the disk passes checking, then do an Erase & Install installation, and when it restarts into the Welcome and Setup routine, use the Migration Assistant to transfer your stuff from the bootable backup. It doesn't matter how many times you've upgraded, the new OS will delete anything that's older than the current OS.
    Oh, if you can't fix the disk, then call 1-800-MY-APPLE and get a replacement install disk. Should be a nominal fee for S&H.

  • Some smart album rules not working

    At a bit of a loss here - either my upgrade to Mavericks or my upgrade of Aperture to 3.5 has caused my Smart Albums to not work with various EXIF checking rules.
    I frequently have rules which check the EXIF tag, Camera Make, and check if it is Canon - this allows me to filter out and focus on my Canon 5D3 photos and not get distracted in relatively pointless editing of iPhone snaps. Unfortunately it doesn't work. Camera Make is Canon returns no matches, Camera Make starts with Canon returns nothing, Camera Make ends with Canon returns nothing.
    If I go and look at a photo, I can see the Camera Make exif flag says "Canon" in the field. No spaces at the end or anything silly. It used to work.
    Anyone experienced similar? Anyone have solutions?

    Hmm, interesting. Given your use of quotes I just tried "Canon" including the double quotes, but that made no difference either.
    The EXIF filter is the only rule on the smart album, and while the smart album is set for a single project, there are several hundred photos that should match in it. If I set the smart album to "Library" rather than the project, it still matches none...! Just in case there's some other rule burried away that just isn't displayed, I switched the smart album to "Match Any" rather than "All", and that too returns no photos.

  • Aperture 2: Smart Album not updating automatically?

    I have a smart album based on non-existence of keywords in photos. In other words, I have an album full of images that do not have any of a set of 4 keywords specified. Works great, BUT, when I add keywords to photos from that set, the photos do not disappear from the smart album like they used to.
    In fact, to get them to disappear I have to go to the magnifying glass of the smart album uncheck the Keywords checkbox and then recheck it, and only then will it update.
    Am I missing something? Is it just a bug or is it a performance issue updating the smart ablum after every change? (I know that was impossibly slow in 1.x, but they seem to have fixed the meta data performance issues in 2.0.)
