Mac Mail - Grouping Mailboxes

Hi, is there a way to deal with each user account on it's own rather than have the 'Mailboxes > Inbox, Sent etc' set-up followed by each user account below that? I have read time and again people suggsting setting up smart mailboxes but this seems a bit unnecessary when outlook for mail has a simple option to 'group similar mailboxes together' or not as the case may be. Before you suggest just using outlook for mac I already am but need a separate mail application to deal with different email accounts as I currently need to keep track of 10 user accounts and would prefer to separate them, I was hoping mac mail would make my life easier!

Let's see if we can work through your problem.
A Smart folder's contents will NOT sync to other devices. It's a way to view messages on one device.
An IMAP folder will sync to other devices. IMAP folders do NOT show up under "On My Mac".
A folder under "On My Mac" will not sync to other devices.
The Friends & Family, insurance etc folders work fine and still show up on all devices. It's only the smart mailbox that seems to 'hide' my mail from her on my other devices.
The account is an IMAP account.
The Friends & Family folders exist only as it states "On My Mac". They do NOT sync. If you move messages to these folders the changes will not be reflected on other devices. While you can create the same "On My Mac" folders on multiple devices, they are not created via the server.
Please verify that both your accounts types. I suspect at least one is set as POP on this computer.
Open Mail > Preferences > Accounts > select account > you should see account type
You need to assign the Alex XIVVI  folders.

    In Mail's sidebar there will be a subsidiary set of folders (located below the main Inbox/Sent folders). Click the down arrow to expand it, look for an inbox in there, if it exists and if it contains the mail do this. Select it, go to the Mailbox menu and choose 'Use This Malobox For' and choose Inbox.

  • Mac mail rebuild mailbox interruption

    In an effort to integrate my emails from a previous installation into my current installation, I imported emails.
    I then tried to rebuild the mail box in order to get the search to work properly.
    Did not realize that I had run out of disk space, so I had to force quit, and then try again.
    as a result, I have two "Data_Rebuild-n" folders along with my original "Data" folder.
    What does the rebuild process do and in what sequence?
    Is all my data spread over the three existing folders?
    How can I recover and successfully rebuild (now that I have enough drive space)?
    I search for answers, but have not been able to find an so far.
    any suggestions?

    The issue with g-mail became cronic. Now I can't delete e-mails received to my gmail account.
    When I try to delete emails in the gMail or Mail inbox the following message is show.
    The Message could not be removed to the mailbox (null)
    The destination mailbox "(null)" does not allow messages to be moved to it.
    This started after following the recomendation I found in the forum to sync gmail folders to the Mail - folders.
    I am looking for solution to get back to the original condition that while not what it should be it is better than now.
    Was hoping for solution were I wouldn't have to delete gmail account from mail then start again.
    Any ideas welcome as I would like to delete emails in the gmail folders in Gmail without logging into Gmail every time.

    On MBP:
    1. Can I merge my Gmail & Macmail folders under one group? I only use gmail, but I guess a long time ago, I unwittingly created folders under my Mac mail group in apple mail - the mail program  that comes with every MBP
    2. I have been creating regular folders, then setting rules to ensure incoming mail is organized into the right folders. But I also see the option to create a "smart" folder. What's the difference?

    The Smart Folder that you have created on the Mac will not sync to the iPad. Those folders are for local storage on the Mac only.
    If your Gmail account is IMAP - and I was under the impression that it was, but I do not use Gmail - you can create folders in the mail app for that account. You cannot create folders for POP accounts.
    If you go to your email account in the Mail app and look at the window where your inbox, trash folder and sent folder are - if there is an Edit button at the top of the window - tap that and then tap Add Mailbox at the bottom.
    Any folders that you would create on the server in your Gmail account should sync to the iPad - if the account is in fact IMAP.

  • IMAP Mac Mail on Multiple Computers - Asking too much?

    I'm trying to set up Mac Mail for someone who uses a different Mac at the office than they do at home. Yes, they could use webmail via a web browser, but can't Mac Mail be set up for this?
    I tried to set them up using Mac Mail in IMAP mode so that all of their mail (inbox, sent, drafts, trash, etc.) are stored on the server but it's simply not working. Deleted mail just disappears. Trying to save a draft gives me an error message. Copies of sent messages are not being saved locally or on the server. Synchronizing the mailbox doesn't seem to work. Am I asking too much or am I just doing something wrong?
    (They are not using a .Mac account, but their provider supports IMAP protocol.)

    You’re welcome. Here’s an explanation of how mailboxes are supposed to appear in Mail that I’ve posted in other cases and that you may find useful as well. Let me know if there is still something you cannot figure out after reading it:
    1. Instead of grouping mailboxes by account, Mail groups mailboxes by purpose first, regardless of whether they are stored locally or on the server, then groups by account the mailboxes that don’t serve a specific purpose in Mail. If you have more than one mail account, each has its own Inbox, Drafts, Sent, Trash and Junk mailboxes, which appear under the respective group showing the account name instead of the real name of the associated mailbox in the filesystem.
    This has the advantage of letting you choose at any time, and independently for each mailbox, whether you want to look at your Inbox, Sent, Trash, etc. mailboxes as if you had just one of them shared by all accounts (i.e. an aggregate), or look at each of the corresponding individual mailboxes separately.
    2. Each mailbox under a pre-defined group is associated with a mailbox in the filesystem whose name may or may not be exactly the same as the name of the corresponding mailbox group. By default, the name of the actual mailboxes in the filesystem associated with Sent and Trash, for example, would be Sent Messages and Deleted Messages, respectively.
    3. The association between a mailbox in a pre-defined group and the actual mailbox in the filesystem is fixed for POP accounts, but can be changed for IMAP accounts by means of Mailbox > Use This Mailbox For or the corresponding Preferences > Accounts > Mailbox Behaviors > Store messages on the server setting.
    4. Mail may defer the creation of a pre-defined mailbox until actually needed to store messages there. Also, in some circumstances Mail may be unable to create or locate the actual mailbox in the filesystem (see #10 below for an example), but the association does still exist in those cases from a logical point of view, even though Mail may be unable to display or store messages there.
    5. Each and every mailbox appears once and only once in the mailbox list, be it (1) under one of the pre-defined groups with an icon that conveys its purpose and the name of the account it belongs to (if you have more than one mail account), or (2) with a generic folder icon and the real name of the associated mailbox in the filesystem if it serves no specific purpose as far as Mail goes. Under no circumstances can the same mailbox appear both ways; it’s either one or the other, depending solely on whether it serves a specific purpose in Mail or it’s treated by Mail as a generic mailbox like any other.
    6. By itself, the name of the mailbox is no indication of whether it serves a purpose in Mail. If it appears in Mail with a generic folder icon, then as far as Mail goes it’s a generic mailbox like any other, no matter what its name.
    7. For IMAP accounts, a mailbox with a generic folder icon can “disappear” and become associated with one of the pre-defined groups as a result of changing the corresponding Store messages on the server setting in Preferences > Accounts > Mailbox Behaviors or doing Mailbox > Use This Mailbox For on it (server-stored mailboxes only). This, in turn, would cause the mailbox being previously used for that purpose to become dissociated from the corresponding group and “appear” as a mailbox with a generic folder icon.
    8. In addition to the account-specific mailboxes that appear with the account name under each of the pre-defined groups, Trash and Junk may also have an “On My Mac” mailbox. This is where messages deleted or marked as junk are moved if they were previously stored in a custom “On My Mac” mailbox or in a locally stored mailbox associated with an IMAP account (i.e. a mailbox for which Store messages on the server has been turned OFF in Preferences > Accounts > Mailbox Behaviors).
    9. Generic mailboxes that don’t serve a specific purpose as far as Mail goes (i.e. mailboxes that appear in Mail with a generic folder icon), appear below the pre-defined groups. In principle, “On My Mac” mailboxes (i.e. locally stored custom mailboxes) would appear as top-level folders, whereas server-stored mailboxes would appear grouped under a globe icon for each IMAP or .Mac account. However, if there is no need to differentiate between “On My Mac” and server-stored mailboxes (e.g. because you only have one IMAP account and no custom “On My Mac” mailboxes), Mail will display the server-stored mailboxes as top-level folders instead, just as if they were “On My Mac” mailboxes.
    10. Some IMAP accounts use a NAMESPACE feature that Mail doesn’t handle properly and that causes server-stored mailboxes to appear as subfolders of the account’s Inbox, even though they really aren’t — see “Can't create folders, only subfolders of INBOX” in the Courier FAQ, for example. Those IMAP accounts require INBOX to be typed in Preferences > Accounts > Advanced > IMAP Path Prefix for Mail to handle them properly.

    Found this on the "more like this" Worked like a charm!
    With the Mail.app quit and using the Finder, go to Home > Library > Mail. Copy the Mail folder and place the copy on the Desktop for backup purposes.
    Go to Home > Library > Mail > Envelope Index. Move the Envelope Index file to the Desktop.
    Launch Mail and you will be prompted to import mailboxes. Select OK and allow the import process to complete.
    After confirming all mailboxes were successfully imported and available, you can delete the copy of the Mail folder and old Envelope Index file from the Desktop and this should resolve the problem.

    My mailbox list in the mailbox view pane does not appear in alphabetical order. (Mac Mail iCloud account). This is on my iMac running Lion 10.7.4. Interesting though, the mailboxes are alphabetically sorted in my laptop and iPhone which are both also synced to my apple account. I'm baffled???

    Getting the alphabetical sort of your songs is easy. If you upgraded to the new iTunes all you would do is view your music and go to the List view. That option is on the right hand side underneath the search bar. Once you have change to that view, just click on the Name view to organize by name.

    Using Tiger (10.4.11) and Mac Mail 2.1.3. It always crashes when I try to import a Mailbox from Eudora. Any ideas?

    I've done it without problems as a test.
    Have you done any Disk or OS Maintenance lately?
    How much free space do you have on the HD?
    Does it always crash in the same place/time?

    Yes, you can. Is "Mac OS X (10.7)"  still your current system?

    Hello all. I am a MobileMe user, synced mail between 2 macs, iPhone, & iPad. In my Mac Mail prefs I have I DO NOT have junk mail filtering checked, I want everything (spam or not) to go to my inbox. There is no junk mail brown paper bag icon on my sidebar. The problem is every once and a while an email will come through and there will then be a folder(mailbox) created called "junk" and that email will show up in that mailbox, that I did not create. I can read the mail, delete it, or do whatever I need to do with it, then delete this "junk" mailbox from my sidebar, but then it might happen again the following week, or not for several months.
    Kinda frustrating since it should be set up to put everything in my inbox regardless of sender. Why does my system automatically create this mailbox?
    Again there is no brown paper bag on my sidebar, Mac Mail just creates this junk mailbox that shows up right along with my other .mac mailboxes.
    Any ideas?

    This happens to me too, usually only when I log into my mobileme account via a web browser (which I rarely do), but just a few minutes ago it happened spontaneously when Apple thought some legit mail was junk.
    I also sync between two macs and an iPhone (no iPad), and I have junk mail turned off wherever possible (can't find a "turn off junk" option on the iPhone). One other thing, along with a junk folder, I also get a deleted messages and a drafts folder. After checking to make sure they are all empty, I just delete them on whichever mac I am using.
    Looks like there is a bug in Apple's software where in some cases they ignore the settings in preferences, then they see that there are not folders that they deem are necessary so they create them for you.
    I've tried a few different ideas on how to deal with this, mostly by turning on junk mail and making some rules to put everything in my inbox, but none of them worked well. I think we'll just have to live with this bug. I've seen lots of postings on problems with junk mail for years now, and Apple doesn't seem to be doing anything about it.

    Go to Contacts/File/New Group. Then drag the desired contacts into the group. In Mail, type the name of the group.

    I am running several mail accounts on mac mail. I just set up a bunch of smart mailboxes which are working but the emails in those smart mailboxes are still showing up in my inbox? I thought the purpose if mailboxes (smart or not) was to reduce your inbox volume?
    Does Lion or any other 3rd party mail apps do this? Thanks.
    OK sorry forum and Apple bandwidth and Storage..ha I didn't look hard enough at the forum...found my answer which is to create regular mailbox and set up a rule.

    Smart Mailboxes do not remove mail from where they are stored. They only serve to help you to organize and find spefific criteria quickly. They don't perform actions.
    If you want to move messages, you could try creating mail rules to perform actions, such as moving messages. You will have to look to see if rules support the criteria you're looking for. Mail/ Account Preferences/ Rules
