Mail and Exchange - Some tips

I just installed Mail 3.0 and connected it to my Exchange account at work. I went through a couple of speed bumps and referred to this forum a few times. I got it to work pretty well so I thought I'd share what I learned.
Mail was very slow, especially sending mail. One post in the forum said to put in a DNS server in the network settings, but my Mac was already configured that way so I needed to try something else.
I went to the account settings in Mail and clicked on "Advanced". My settings were wrong there. Yours may be different than mine, but if you check with your mail administrator you can verify. BTW I got these settings by looking at my iPhone
"Use SSL" should be checked. This will bring up port 993. I put "/" in the IMAP Path Prefix but looking at it later this setting isn't there anymore. Maybe it's the default.
I set Mail to look for new mail every minute. I'm not sure if my Exchange server pushes mail or not.
I don't have access to my corporate email directory like I do with Entourage. If anyone knows of a way to do that I would be most appreciative. Otherwise, I'll have to enter all my frequently used addresses. I continue to use Entourage for my address book because it synchs with the Mac address book. I still prefer to use Entourage's calendar function.
A plug for a product called MailTags. Mail doesn't have a way to create categories - something Entourage and other email clients have. MailTags adds that functionality. I'm using their public beta for Leopard and it seems to be working well enough for now.

try clearing up your inbox , archiving and delete all your old emails .

    Mail and Exchange 5.5 Server (Round 2) "Rejected Passwords"
    This one is huge, as you may have seen in my other replies to Mail and Exchange Server, I have had this working for over a year no issues.
    Every once in a while I get a user that I setup and all of the sudden their password on the Exchange (5.5) Mail server (running IMAP, OS X Mail app)
    is REJECTED.
    This is just no good, and still to me a Mystery.
    Has anyone seen this?
    It seems there is some corruption happening on the Exchange Server, with the users accounts, preferences, settings.
    The one way to fix it, (that I have seen) and the Windows server guys hate this, but I say too bad, completely move the afftected User's Exchnage e-mail account to another Exchanage NT mail server (they have 6 old NT 4, Exch Servers), once that is done, Mac OS X Mail app connects fine and ha no more issue with Rejecting passwords.

    I think I have the same problem without Exchange involved. I have seven different email accounts and two of them are acting like you describe: changes like deleting doesn't reflect on other clients (like mobile phone email client and webmail).
    This also happens with read emails showing up unread so that if the email is been read and deleted same message can appear as new and when that message is deleted I can see two separate items of that same email message.
    Also all marks of reply, forward or flagged are gone when the email show up as new again.
    My service provider said that updates to Mail.app have previously made some big changes to way how it acts with email servers and thought that Mail is misbehaving with my two email systems.
    I am using IMAP protocol with all accounts.

  • E-mail and Exchange Active Sync

    Planning on configuring E-mail in your Xperia phone? Or do you experiencing problems syncing your E-mails? If yes this might be the topic for you.
    Below you’ll find some guides on how to setup E-mail sync and troubleshoot any problems.
    POP3/IMAP
    POP4/IMAP E-mail accounts are the most commonly used. This guide will show you the steps of configuring your E-mail manually if your E-mail server doesn’t support auto setup. Please note that the Next button won’t be lit if you have typed an incorrect E-mail address containing characters or symbols that are not supported.
    Configuring POP3 or IMAP E-mail
    Go to the E-mail application and enter your E-mail address and password. Now press Manual setup.
    Chose the kind of E-mail server your provider is using. If uncertain check this with your E-mail provider.
    Under Incoming settings enter your username, password and server details. If you’re uncertain about these details contact your E-mail provider. But in general your username is the same as your E-mail address but some providers may use a specific user name for your account.
    Here you can also set if the server should delete the E-mails if you delete them in your phone. This setting is by default always set to Never.
    Next step is Outgoing settings. If your E-mail provider also has an SMTP server you can enter the details for sending E-mails here. This normally requires a sign-in on the SMTP server. If yes, check the Require sign-in box and enter your E-mail address and password. As above if you’re uncertain about any of these details contact your E-mail provider.
    If your E-mails provider lacks an SMTP server you can check if your network operator provides an SMTP server and use their details. Using your network operators SMTP generally doesn’t require sign-in.
    Now it’s time to set how and when to check for new E-mails. Set and check the options you desire.
    The last step of the setup is to enter an account name and your name (signature).
    Troubleshooting POP3/IMAP E-mail
    First make sure that you have a working Internet connection in the phone.
    You can download Internet and MMS settings for your phone by going to Setting > Xperia > Internet settings.
    If you have a working Internet connection but still not able to connect to your E-mail server or sync your E-mails check that no Proxy server within your APN settings may be blocking this. You can check this by going to Settings > More (Wireless & networks) > Mobile networks > APN or Access Point Names > Your Internet APN. Check if any details are set for Proxy and Proxy port. If yes you can try to delete them (temporarily) and save the APN. Now check if you’re able to connect or sync with your E-mail server.
    You can also verify suspected Internet connection issues by trying via a Wi-Fi network instead.
    E-mail disappearing?
    By default our E-mail application is set to only mirror the server. So if an E-mail on the server is deleted it will also be removed from the phone at the next sync.
    Syncing sent E-mail?
    This is not possible on POP3 configurations. To be able to sync sent E-mails in the phone you must have configured an IMAP or Exchange Active Sync account.
    Problem sending E-mail?
    If you’re not using the same SMTP server as network operator in your phone you might experiencing problems sending E-mail via mobile networks. If this is the case you can connect to a Wi-Fi network to send E-mail or check with your SMTP provider if the outgoing port can be encrypted.
    If none of the tips above helps you, you can try to download a third party E-mail application from Google Play store. This can be easy way to rule out where a specific problem may be located.
    Exchange ActiveSync
    Our Xperia phones come with the built-in Android native client for synchronizing your corporate E-mails, calendar and contacts. Here are some things worth double checking if you would experience any problems with Exchange sync.
    Begin with checking your sync account details and if you haven’t configured the Exchange ActiveSync account yet see the instructions bellow.
    Configuring a Exchange ActiveSync account
    Go to the E-mail application and enter your corporate address and password. Then press next.
    Don’t worry if the setup might fail at this point because most Exchange servers don’t have auto setup enabled. In this case just press Manual setup. Please note that the Next button won’t be lit if you have typed an incorrect E-mail address containing characters or symbols that are not supported.
    Now our E-mail application needs to know what kind of account you want to configure. Press Exchange ActiveSync.
    This will bring you to the incoming settings screen. Enter domain\user name, password and server address. If you’re uncertain about your details contact your IT department to check which credentials to use. You will also need to know if you should accept all SSL certificated or use a client certificate.
    When all details are correct you will have to setup how and when to sync. So enter and check the options you desire.
    When you see this screen the setup is complete.
    If your Exchange server requires certain security settings you might see the following pop-up after finishing the setup. If this is the case you must approve the security update in order to sync E-mail, calendar and contacts.
    Pressing OK will give you a screen showing you what permissions you need to give the E-mail application. These permissions/ security settings are set from the Exchange server and depend on your corporate IT policy.
    Troubleshooting Exchange Active Sync
    First make sure that you have a working Internet connection in the phone.
    You can download Internet and MMS settings for your phone by going to Setting > Xperia > Internet settings.

    ActiveSync protocol version

    Compare this with your server to make sure they’re compatible.
    “SERVER REQUIRES UNSUPPORTED SECURITY FEATURES”
    If you get the error message above your Exchange server is using security settings which are not supported by the Android native Exchange ActiveSync application. Which security settings that your phone model supports depend on firmware version and phone model. If your company runs on security settings that the Android native mail application doesn’t support and you don’t plan to alter the security settings, an alternative is to download any of the dedicated Exchange ActiveSync applications from Google Play store.
    New meetings don’t sync?
    If you have entered a new meeting in the phone and it doesn’t sync make sure that the meeting has been put into the correct account. When creating a new meeting in the calendar application make sure that you’ve chosen your ActiveSync account as calendar when creating the meeting.
    How to use GAL (Global Address List)?
    In most of our models you can access the GAL by opening the contacts application and tap the search icon. This will search the Global Address List on your exchange server. Our mail application also searches GAL when typing something in the To: field. Unfortunately we don’t have any default support at the moment for browsing the complete Global Address List.

    Are you sure that your account is really configured for the ActiveSync protocol? Because we've seen this occur only when using IMAP with Hotmail/Outlook.com.
    I suggest that you make sure that the account is configured as POP3 or EAS. Or use their own dedicated app.

  • Mail and Exchange 2008

    I reported back in Sept. 09 that my Mail ( MS exchange account) does not show the "sent" messages. all other features work fine including sending the message itself, it just doesn't show it in the SENT folder. !
    has anyone figured out a solution to this problem yet?

    hope someone will benefit from this experience.
    I was tidying up my emails and I ended up archiving / removing some 3000+ in outgoing and almost same from INBOX.
    Soon after , when I launched OSX Mail 2.0 the SENT folder was populated with all the SENT messages left after i cleaned up. !!!
    I have done nothing else to mails, and i did the cleaning from Entourage.
    I can only conclude that the reason was MAIL 2.0 was unable to "save" sent messages in the SENT folder was the sheer size of the email messages !!

    Hi All,
    Need some help with settings for sending email through exchange 2000 from Mail. I can receive mail all day long, but when I try to send, I'm prompted with the message of "Cannot send message using the server 'XXXXXXX'". I have both the webmail address as well as the IP address and it's set to deliver mail on port 25.
    Have email setup via IMAP. Help!

    You are not alone. I can't get mail to work with our exchange server no matter what I do. I set Entourage up in less than 2 minutes by entering some simple information. I am using the latest versions of Leopard and Mail and it just refuses to connect.
    For instance, in Entourage I entered my user name, password and the exchange server name and that was it. Got my mail and it works great. Mail wants to know the SMTP server name? What SMTP server? No matter what information I put in that field it gives me an error saying it can'tr connect to the SMTP server. That is because it is an exchange server not an SMTP server I guess. Also, even when I enter the exact same information as I did with Entourage, mail refuses to connect with it saying to "check the connection". The connection works fine, as Entourage is having no problems sending or receiving mail. With Entourage there is a LDAP setting but no where in Mail can you enter what the LDAP server is. At least is doesn't use that terminology anywhere.
    What do you have to do to get Mail to work with an exchange server?

  • Apple Mail and Exchange Server

    I have Apple mail with many accounts included two Exchange accounts. As soon as my MacBook Pro with ML goes into screensaver the exchange servers disconnects and the list of emails dissapear in the inbox. I need to restart Apple mail and then they are back. I need to to restart Apple mail several times daily. Any ideas or workaround?

  • Apple Mail and Exchange Out of Office Not Working

    Has anyone had issues with Yosemite Mail and setting Out of Office for Exchange 2010?
    I can set Mail to send Out of Office replies but cannot change the scheduled dates from 2/12/1982, 10:00 AM. Even when I do set it, it does not seem to send the OOO notifications. I can set it just fine on my iPhone 6 and Mavericks Mail worked fine for setting the OOO.
    I deleted my account several times and reset it and I can get all my Mail back just fine but OOO still doesn't work correctly. I wanted to try to change the server settings but Mail doesn't allow you to do that for auto connect Exchange accounts.
    Because of this (and my concern with reported issues with updating meetings), I switched back to Outlook 2011 until these bugs get ironed out. This is too bad because I love the notifications feature for Apple's programs.
    I'm running on a 2014 13" MacBook Pro.

  • Tiger Mail and Exchange

    Hi, I've read plenty of Exchange related topics but my problem is fairly specific.
    I have two iMac G5s using Mail.app to connect to an Exchange 2000 server. One works and one doesn't, and I've tried duplicating settings with no luck.
    The one which does not work will connect and authenticate, but it shows no e-mail in any folders, and when I click on each mailbox I see the pie icon but it never downloads the mail. I am able to send but not read e-mails, and bizarrely the red star on the Mail icon in the dock reports the correct number of e-mails in the inbox.
    I understand that Entourage is best but the decision-maker in this case feels that since it works on one iMac it should work on the other. Also, information regarding the exact configuration of the exchange server itself are hard to come by.
    Any help on this would be greatly appreciated.

    I think I solved part of my problem, in two steps.
    1. You must enable IMAP in Gmail Settings on the Gmail site. 2. And then when you set up the account in Mail, you need to tell Mail that it is an IMAP account - that means UNselecting the 'setup account automatically' option during the initial setup.
    It doesn't answer why I can't Mail crashes so much. Well, anyway, I wonder if there's a way to use Mail 2.0 in leopard!

  • Mail and Exchange many issues - Workarounds available?

    After reading several posts about the incompatibilities between Exchange and Mail, and in the meantime that Snow Leopard is released, wanted to ask if there is someone else that has the same symptoms described below and how you have resolved them.
    I'm using an Exchange server with Apple Mail Version 3.5 (930.3) and the only way to keep getting emails is by quitting the app and then reopening it.
    1- Mail keeps synchronizing "Sent Items - Exchange account" and it takes forever to do this
    2- Constantly have ghost emails (First Name, Last Name and the ghost will be Last Name, First Name) and only one of them will be readable while the other will be blank
    3- [Exchange acct] Communicating with... - [Sent items] Fetching.... keeps going and is it never ends
    4- Adding Messages takes forever to refresh
    5- INBOX - Exchange account Updating [Evaluating] and this never moves.

  • Mail and Exchange Server Name Auto Resolution

    Here's the configuration:
    Exchange 2003 Server mail system (multiple servers)
    Apple Mail under Leopard and Tiger (all of the updates applied)
    Active Directory user accounts (Macs are NOT bound to A.D.)
    When running the Apple Mail New Account configuration using the account type "Exchange", Mail does not seem to want to resolve the incoming mail server field to the proper Exchange server on which the user's mailbox is homed. This causes the setup process to fail. Entourage 04 and legacy mail clients (Outlook 2001, 98 and Exchange 5) all can resolve this with no problem. Since Mail uses WebDAV, I've tried using our OWA URL in that field as well, however that doesn't work either. I can get around this by locating where the user's mailbox is on one of our 8 Exchange boxes and then inputting the exact server name, but having to get that information every time makes things difficult for our field techs.
    This is definitely not a problem with our DNS either as that resolves fine.
    Anyone else seeing this or have a suggestion?

  • Mail and Exchange 2007 Assertion Failure

    I have been using Mail with Exchange 2007 on SL since it came out without issue, until last week. Once I start Mail I experience the following issues:
    1. Mail folders sometimes show as empty. Occasionally synchronizing the account corrects the issue, but often I need to restart Mail.
    2. Messages are duplicated in my Inbox. The only way to correct this is to delete and readd my account.
    3. Sent mail creates a draft message after the message has been sent. This usually goes away in 5-10 minutes of normal use.
    4. I get the following error message around 5 times per second in the system log while Mail is open and connected to Exchange:

    I have only seen one person report this issue so far and the fix was to remove /Library/Preferences/com.apple.mail.plist. I tried that, but the issue was not resolved.
    I am running Mail 4.2 on Snow Leopard 10.6.2 on a MBP 15" unibody. Any help is appreciated.

    I too have been using Mail.app x Exchange 2007 since SL came out without issue. Very similar issues started exhibiting themselves last week for me, as well:
    1. Mail folders sometimes show as empty (including the inbox). A restart of Mail fixes this.
    2. New messages occasionally only show headers. A restart of Mail fixes this.
    3. Mail will occasionally hang forever retrieving new messages.
    4. Sending a message will occasionally return a failure message, when it was, in fact, delivered. If I choose to "Send Later", a duplicate message is immediately sent.
    #1-3 are annoyances, #4's caused me to switch away from Mail.app--comes across as incredibly unprofessional to my user base and associates.

    I'll try deleting and reinstalling the Developer Tools as hinted at in the above post, but I'm not so sure it'll make a difference for me, as my Mac Pro was immediately loaded with SL.

  • 10.8 Mail and Exchange

    So Apple are looking at the reasons behind the 10.8 Kernel Panics....... In the meantime I installed 10.8 on my 2009 Mac Book Pro configured my Exchange account and can't see any email beyond May 2012.  This is the same thing on my iMac. 
    I can see everything on my webmail or Outlook 2011. 
    What on earth is going on?
    Is anyone else having the same problem or rectified this?

    I've had no end of issues with OSX Mountain Lion (10.8) and Mail.app with Exchange connectivity.
    As I use multiple machines (which I foolishly installed 10.8 on to all of them!), I suspect that if Mail.app is open on more than one machine, they tend to get out of sync with each other with no way of resyncing.  Sometimes I loose sight of *all* emails within the mailbox, sometimes I see just new ones coming through.
    The only way I've found of fixing this is to run first off a 'rebuild' of the Exchange mailbox (from the mailbox menu), which could be run sometimes on the inbox or sent items.  If that doesn't work, I have had to remove the Exchange connectivity altogether (either from inside just mail.app or sometimes from 'System Preferences/Mail, Contacts & Calendars'.  I then re-add everything, what for that sync to happen (which of course means re-downloading *all* the email/calendar items/contacts etc...
    Not ideal!  Come on Apple - please sort out this shoddy release with some fixes!

  • Mail and Exchange 2003

    I am having a heck of a time getting Mail in Snow Leopard to work with Exchange 2003. Since Mail natively supports Exchange 2007 I have to use IMAP to connect to Exchange 2003. The problem I have is when Mail is running and communicating with Exchange it slows the server down to a point where it affects all other users connecting to Exchange. It causes long delays and Outlook displays a message stating it lost connection to Exchange and is waiting for a connection. If the user running Mac Mail closes Mail then the server is back to normal. I have seen other references to this in various forums however I am unable to find a fix. I tried configuring Mail to connect directly to Exchange via IMAP, and I have also tried using DavMail as a local mail gateway however Exchange slows down in both scenarios. What can I do?? The Mac user really wants to use Mail however I am close to the point of telling him it is not possible with Exchange 2003.

    I'm having some kind of related problem, not slowness but connection to Exchange.
    I have been successful in connecting my Iphone, and it works great with calendars and address book, but no way to get Mail to connect...
    Any body who could help me would be more than welcome, as I feel the problem being around domain or something.

  • OSX Lion Mail and Exchange Server

    My ITS person says that OSX Lion Mail "doesn't allow for exchange accounts so calendars etc don't work".

    If you are both still on this thread, I would like to ask about solutions to a space problem:
    My primary computer is a MacBook Pro (Lion 10.7.3), where I am running Entourage 2008 (13.1.2).  Because I have limited space on my MBP for housing old emails (under "On My Computer"), I created a server from an old Mac in my office.  Then, using Entourage 2008 from my MBP, I created an additional IMAP account on the old Mac server, with subfolders for "email_2005", "sent_email_2005", "email_2006", "sent_email_2006", etc.  This is where I archive all my old email.  The nice thing about setting it up this way is that I can search any or all of these folders anytime, and from any location, directly from my Entourage 2008 app on my MBP, yet they take up no space on my MBP.
    First of all, I suspect there were easier ways to archive off emails from my MBP, but after searching and asking for weeks, this is what I settled on and it has served me well for years.
    But now, my old Mac really is getting old and I'm worried it will die at some point.  Plus I'm not thrilled about trying to maintain the server software on this old Mac.
    I also have space on a shared drive maintained by ITS, that's backed-up nightly.  This would be an ideal place to house archived mail folders.  Then I could take down the server on my old Mac and not worry about it anymore.  Unfortunately, I have not been able to set up an IMAP account on my shared drive space (I suspect it's against the ITS rules of this drive).
    Entourage 2008 does not permit me to designate where "On My Computer" folders are housed (they have to be on the same computer running the Entourage 2008 app).  If I could designate the location of "On My Computer" folders, a simple solution would have been to just locate them on the shared drive and I wouldn't have to bother with creating additional IMAP accounts housed elsewhere.
    Questions:
    1) Does Outlook 2011 or Lion Mail permit designating the location of local files (off my primary MBP) for archiving emails?
    2) Is there a simpler solution to archiving emails off my laptop, but that would also allow them to be conveniently searchable from within a mail app on my laptop?

  • Junk mail filtering only working on internal mail (and only some of them)

    Good morning
    I'm trying to get Junk Mail filtering working properly on my server (currently running 10.5.6). All mail that comes from externally doesn't seem to pass through the spam filter at all. It gets scanned for viruses (in the email header i get "X-Virus-Scanned: amavisd-new at example.co.uk" but no sign of any spam filtering.
    I have previously configured the filtering using the instructions here http://www.netmojo.ca/blog/2009/04/13/spam-proofing-leopard-server/ but i had been searching through the support here and had started following the instructions in the OS X mail manual, creating a junkmail user and forwarding email to it. Whilst doing this i noticed that some emails had started to be tagged as junk using the settings i had set in server admin. These have something like the following in the email header:
    X-Virus-Scanned: amavisd-new at example.co.uk
    X-Spam-Flag: YES
    X-Spam-Score: 3.479
    X-Spam-Level: *
    X-Spam-Status: Yes, score=3.479 tagged_above=2 required=2
    tests=[ALL_TRUSTED=-1.44, AWL=0.286, HTML_MESSAGE=0.001,
    RAZOR2CF_RANGE_51100=0.5, RAZOR2CF_RANGE_E8_51100=1.5,
    RAZOR2_CHECK=0.5, URIBLOBSURBL=2.132]
    However those emails not tagged as spam do not have any such lines. I would have expected to see X-Spam-Flag: NO and the spam score and such. Are these lines hidden if a mail does not trigger the threshold?
    I've had this aparently learning for about a week now and even with the setting set on 1 it's still yet to catch a single piece of junk mail entering into the server.
    I do have emails to quite a few different domains directed to this server so i added the lines suggested here http://discussions.apple.com/thread.jspa?messageID=7034527&#7034527 to /etc/amavisd.conf but to no avail.
    Any suggestions? Any parts of any log files that may be of use? I've been looking at the junk mail log in debug mode in SA and also in terminal but there's so many lines per mail it's difficult to see what's going on. I can't see anything different from one mail to the next...

    You need to edit /etc/amavisd.conf and set:
    $satag_leveldeflt = -999;
    This will make sure all mails get the headers inserted.
    Also make sure that "@bypassspam_checksmaps = (1); " is commented out.
    That said, the Bayesian filter will need to be fed at least 200 HAM and 200 SPAM messages before it kicks in.
    Each time you modify settings in amavisd.conf, you need to restart amavisd by issuing:
    sudo /bin/launchctl unload /System/Library/LaunchDaemons/org.amavis.amavisd.plist
    sudo /bin/launchctl load /System/Library/LaunchDaemons/org.amavis.amavisd.plist
