Mail and GMail and Filters?!

i am realizing i don't understand something. i use mail on my laptop, desktop and iphone using IMAP. i have a GMail and many, many other accounts.
in order to retain mail but not have it clog up IMAP, i DOWNLOAD this mail by /moving/ it to the ON MY MAC section of my desktop machine. so this mail shows up in FOLDERS under "ON MY MAC". so my understanding is that this mail is no longer on IMAP and instead it is in Mail basically residing on my hard drive somewhere.
so now i want to /organize/ some of my mail and to /filter/ some incoming mail. so now i am noticing that i have set up some FOLDERS that are listed under the portion of my GMAIL account that shows up UNDER the ON MY MAC area. i mean, it is not /nested/ under this listing but it does show up under this listing along with all my other accounts. under each of these accounts is listed a series of folders which includes in all cases one titled "Mail".
ALSO, i have a series of FOLDERS that i set up under my GMAIL account that are listed down here with the intention of using these to FILTER incoming mail into my GMail account. the reason i did this is that i am not seeing a way to see this
i am wondering a couple of things.
1. am i correct in thinking that the mail that goes into the GMail account is basically a IMAP folder that can be seen on all my devices? and if so, can i set up one of these in ANY of my IMAP accounts simply by creating a folder in this account? if so, is there a good reason to create one of these folders in my GMAIL account as opposed to one of these other accounts? i mean, for some reason at one point i was thinking that it was necessary to create these folders in GMail (or that there was some benefit to doing it this way) but now i am not so sure.
2. if i set up a FILTER in Mac Mail how does this work? i mean, if i set one up on my desktop machine does Mac Mail need to be on for the filter to take effect? i see one listed on my desktop and it is not listed on my laptop so it must be machine specific.
3. if i want to start FILTERING Mail can i do this by just using Rules in Mac on my desktop?
4. anyone out there sent all their Mail to Google and let google handle all of this?
5. do Mail rules/filters have problems?
i don't want to spend a ton more time trying to fix something if it is broke but at the same time i don't want to have my inbox as messy as it looks right now.

Q.1 part 1: Gmail isn't really IMAP, but it can act more or less like it. (One way that Gmail isn't really IMAP is that oneGmail message can have multiple tags, which makes it look like it is in multiple IMAP folders. Another is that every Gmail message is in a special All Mail "folder" in addition to any tag "folder(s)."
Q.1 part 2: Yes, you should be able to set up folders in any IMAP account.
Q.1 part 3: One possible reason to use Gmail for this is that Gmail storage quotas are higher than for many other free accounts.
Related point: Another approach is to spread out your folders among several servers, either to expand the total quota or for functional reasons.
Q.2: Yes, the Mail application must be running and fetching mail for its filters to be active. Yes, filters are machine-specific, but they can interact. Whichever machine happens to notice a new message in its inbox first will start trying to match the message to its filters. If another machine then notices the same new message in the inbox before the first machine moves it out, it will also try to match the message to its filters. If two filters on different machines try to move the same message, whether to the same folder or different folders, the results are ill-defined. I have observed one message appearing twice after filtering. This is called a "race condition."
Q.3:  Yes, you can start by defining filters on your desktop machine.
Related point: Some mail service providers let you run filters on incoming mail before the mail ever hits your inbox. This would eliminate the possibility of a race condition, since none of your clients would ever see those messages in the inbox. A limitation of this feature is that server-based filters are usually limited to moving mail from that server's inbox to another folder on the same server. Gmail and iCloud offer server filters, as do many but not all IMAP-based mail services.
Q.4: Probably somebody has, but I have not.
Q.5: Other than the possibility of a race condition as described above, Mail filters (called "rules") have limitations in what you can search for and the complexity of the condition allowed. Some server-based filters are capable of more, some are more restricted.

  • Can't sync Apple Mail with Gmail and Yahoo

    Hi all, I really hope you can help. I have e-mail accounts with Gmail and Yahoo, and I'd really like to set either or both of these up in Apple Mail, primarily so that it will be really quick and easy to send people photos from my iPhoto library.
    I've put in the correct info and I've enabled POP and IMAP in my Gmail settings, but when I try and set up it just says "checking connection to server [email protected]" for ages and doesn't acheive anything. When I did somehow manage to set it up briefly, I tried sending a message and it just dissapeared when I pressed send, didn't appear in my sent mail either in Gmail or in Apple Mail, and was not delivered.
    Any ideas would be appreciated. I'm really frustrated that something that should be so simple could be such a pain - setting up e-mail on my iPhone took seconds and works perfectly! Thanks,

    Do you have all of those accounts on your iPhone? In order to send mail from an account, it must be set up on the iPhone. When you create a new message from within the Mail app, the sending account will be whichever account you're currently accessing, unless you tap the field with the from/cc label, then tap the from field, then choose another account from the list.
    The 'default' setting only applies to email messages that are started from outside the Mail app (e.g. tapping on a clickable email address in Safari). That's stated right in the Settings.

    Upon further investigation, I have determined that flag colors applied in Apple's Mail program DO sync through your iCloud @me.com email address AND through a Google gmail account. However, flag colors DO NOT sync through Yahoo. Email highlight colors DO NOT appear to sync through iCloud, Gmail, or Yahoo. If anyone figures out a way to enable any of these features that at the moment do not sync (flag color in Yahoo, highlight color, mail rules), please respond!

  • Mail App, gMail and automatically deleting trash

    I have the Mail App setup for gmail's IMAP configuration. I have set up the client to store both locally and the server for the TRASH folder. gMail automatically deletes trash in 30 days but I am trying to enhance that feature by allowing MAIL to handle this for me. And as you would have guess, I want less than 7 days too.
    So I developed a script that when run removes the trash greater than 3 days. But as soon as I do it the TRASH is added back from the server. It seems to work but doesn't stick.
    Here is my script if someone is curious:

    Maybe there is a better way to do this. I would appreciate any suggestions or solutions that you guys know about.

    An SSL cert'd link/download simply confirms the logon/handoff/receipt is passing over a secure connection.
    What occurs to your particular packets in transit, point-to-point-to-point is another matter entirely.

    Hello, I bought my BB9700 and i have follow problems now (maybe it is normal but in nokia mail it works well).

    I have google apps for my domain. When i tried add my google apps acount like a gmail account then was problem - BB can't find my server (mx records aren't move to google but to another server which move it to google) so i had to wrote name of mail server - imap.gmail.com. Now i can't set sync calendar and contacts via my bis account on blackberry (i can do it in gmail account but not in google for domain account)- of cours i use google sync but there is another problem. In this situation when my domain in google is not like gmail account i have problem with mail synchronization - when i read or send e-mail via webbrowser i can't see it on my BB.
    Is it any option to set this account like gmail account?

    You should just change records of my hosted domian in google in your servers to google server.
    I know that i can change MX records - but it's problem when we have a lot of employes and just few of us use blackberry, rest of the mailboxes in domain is in another server.
    So my domain iand servers works that:
    MX record move e-mails to my server XYZ
    My server XYZ check name of mailbox and decide to which server send an e-mail
    If e-mail is to me, server send e-mail to google apps for domain.

    The second post in his thread refers to changing the app server config. You'll need to log into the app server admin console. On Creator 2 update 1, this can be found at http://localhost:25848, userid=admin,password=adminadmin
    In the admin console, on the left nav bar, go to Configuration->HTTP Service->HTTP Listeners and click on http-listener-2.

    I use firefox on my HP laptop running windows 7 and I also use g mail for email. I cant send photos from my windows picture library to email.

    This option was alrady selected. I even removed the selection and selected it again, but there was no change. I still cannot see the icons. Some setting that should be changed?

  • Onscreen Keyboard and GMail (and other sites)

    Couldn't find anything on this in my search - but my onscreen keyboard pops up when i touch the screen (in regular notepad mode when I'm using the physical keyboard).  It seems to happen only for certain textboxes on certain pages.  
    One place for sure when this always happens is GMail when I hit the compose button.  When I touch anywhere in the compose box the onscreen keyboard pops up.
    This is completely annoying and I don't know how to make it stop.
    Is there anyway to completely disable the onscreen keyboard in notepad mode?  I would only need it in tablet or other modes.

  • Apple Mail and Gmail IMAP

    With the iPhone coming to Verizon soon, I'd like to move back to Apple Mail from Gmail, but still want to keep Gmail as my source because my domain is setup with Google Apps but mostly because of the unparalleled spam filtering Gmail has. My problem is that even though I've configured Apple Mail exactly as Google recommends (shown below), I still have some issues.
    From the Mail menu, click Preferences > *Accounts > Mailbox Behaviors*
    Drafts:
    Store draft messages on the server > *do NOT check*
    Sent:
    Store sent messages on the server > *do NOT check*
    Junk:
    Store junk messages on the server > checked
    Delete junk messages when > Never
    Trash:
    Move deleted messages to the Trash mailbox > *do NOT check*
    Store deleted messages on the server > *do NOT check*
    I want to have true IMAP functionality here, but I'm not getting it. Sent messages work fine...if I send a message, it shows up in Apple Mail in the Sent folder and when I go to Gmail it is also in the Sent folder. BUT...when I delete a message in Apple Mail it goes to the Gmail *All Mail* folder (in Apple Mail and Gmail) and never shows up in the Gmail Trash on either Apple Mail or Gmail...where it should. I've tried changing the settings under *Apple Mail > Trash* but that doesn't fix the problem.
    I realize some of you might be inclined to say "It's Google problem...ask there" but I'm hoping a Gmail user here might have had this same issue before. Even as a dedicated Apple person for many years, I still can't give up Gmail and their spam filtering that Apple Mail can't come close to. Thanks for any suggestions.

    Thanks, Andy. I should have posted a closure statement on this thread as I finally figured everything out. The most frustrating thing is Google's own advice at http://mail.google.com/support/bin/answer.py?answer=78892# couldn't further from correct. After many hours of experimenting with settings, I finally came up with the correct ones. In fact, I'm in the process of writing an article about it since there is simply no definitive guidance on the web that I've been able to find in the time I've searched.
    Your comments are on target...everything on the *Behaviors Tab* needs to be checked (excepts Notes) and the *Delete when* settings must be set to Never. But there are a few other things that must be done, including some changes on Gmail Settings before Mail and Gmail will be perfectly synchronous. I'll post the entire solution on this forum when I finish the graphics.

    Mid morning, before Christmas, my iMac stopped downloading all mail from gmail and my personal domain.     Can you loginto gMail's Webmail in a browser using the same login credentials?
    In Mail's Window Menu, choose Connection Doctor, any red dots for status, if so what is the message?
    Then click the Show Details button & Check again.
    Gmail send but not receive...
    Here are two steps that have come in handy in related situations
    1) login to gmail on your computer or device via a web browser
    2) once logged in successfully, go to this URL to unlock:

    The Password rejection can confuse people since it's a catch all meaning...
    This Password, Username, Authentication method... is not recognized on this Port to this Server, or a server end problem.
    If using a browser to login via WebMail works it's not Name or Password, but one of the other ones.
    The receiving email ports are:
    IMAP is port 143
    IMAP-SSL is port 993
    POP is port 110
    POP-SSL is port 995
    Outgoing ports are...
    SMTP and SMTP-SSL is on ports 25, 587 and 465. Port 587 has to be SSL, and port 465 is enforced TLS-wrapped and is generally used by Outlook users.

  • Mac Mail and Gmail Sync

    Firstly, I'm posting this in the iCal section because there's not a dedicated Mail support section, and I think my question may be similar to some iCal concerns.
    With the advent of 10.6, I know it's now possible to sync your "Contacts" contained within your Mac address book with Gmail. I also know that for some time it has been possible to import your Gmail contacts to Mac Mail.
    My question considers the reverse - that is, it is possible to export your Mac Mail contacts to Gmail, and even better, possibly keep them synced. Often, Mail contacts and Address Book contacts are not one and the same. I'm specifically referring to the email addresses and names that Mail autocompletes when you type in the "To:" or "Cc:" fields. I only have 100 contacts in my address book; I know I have many more stored somewhere within Mail. As of now, however, I am unable to find them and unable to use them when using Gmail on the web. It would be great to be able to write an email to a new address in either Mail or Gmail, and be able to bring it up later from a different computer.
    Any help or suggestions would be much appreciated.

    It sounds like you've got Gmail set up in Mail on Leopard as a POP account. This would cause problems with how it synchronizes with other clients (like your iPhone) accessing the same mail account. The iPhone by default uses IMAP for Gmail access, which is what you should use if you are going to access Gmail with more than one client on a regular basis.
    Once that is done, make sure you use the recommended settings for Apple Mail in order for your Gmail account to behave properly.
    Lastly you should 'map' your folders so that Mail uses your Gmail folders for it's like folders. Using your Sent folder issue as an example, once you've set up Gmail to use IMAP you'll see a folder named [Gmail]/Sent. Click on that folder and go to the menu Mailbox > Use This Mailbox For > Sent. That folder will disappear from the folder pane and when you click on the Sent folder, the items in your Gmail Sent folder will now show up.
    Edit: I just noticed that you say your MBP is using Snow Leopard. The settings should be exactly the same, but in the future you should post your questions about Snow Leopard (10.6) in the Snow Leopard forum.
