Mail and Spotlight

I'm running Mail v2.1 (752/752.2) under OSX.4.7
I have an email which appears, for example, as 11200.emlx in the path ~/Library/Mail/Mailboxes/Mac/Apple.mbox/Messages/11200.emlx so why can I not find it using Spotlight and the literal 11200.emlx?
I ask because my back-up software (Intego's PersonalBackupX4) is constantly hanging during execution of a script which backs-up Mail to a memory stick and the culprit is always an nnnnn.emlx file. There appear to be several of these (I have no idea why) so I have been checking the offending files and deleting them if they are of no consequence. No sooner have I deleted one and run the script again than it encounters another such file.
But this means trawling manually through every Mail file to find out where the culprit resides - so why can't Spotlight find them for me? It would be much quicker.
It isn't all nnnnn.emlx files as many are backed up as expected and nor do I think that the files are virus infected as I run VirusBarrierX4.
Any suggestions?

Please accept my sincere apologies, David, I claim (rather weakly) a senior moment. Now that you remind me I do remember - and I have no explanation as to how I missed your response as I always try to acknowledge responders to any of my silly questions! I can only assume that, as I unexpectedly went away for more than a week the day after posting that query, the notification of your response got buried in the inevitable deluge of emails awaiting me on my return.
An unpardonable oversight on my part for which I apologise.
But that question was partly different - it was about how to identify the specific files which I have now done "manually" by watching PersonalBackup until it hung.
PB shows the "current file" and that's how I knew which one(s) were doing it - but I then couldn't find the individual file with Spotlight, hence this slightly different question. I had to trawl through all my emails until I found the offender - an ongoing time consuming process which bores me to tears as I keep on meeting yet another email that hangs the process!
I have indeed verified/repaired permissions, both with Disk Utility and OnyX on a periodic basis and with Macaroni automatically every three days. I also have both DiskWarrior and TechTool Pro permanently monitoring my system. I have also done several "repairs" on my Mail application, based on advice from this forum, as I was having a number of problems with Mail (incorrect unread message numbers, junk mail peculiarities, etc.) all of which have now been resolved. Indeed, you contributed extremely usefully to that discussion as well and I followed your advice to the letter!
You aren't wasting your time and I'm sorry if you think that you were.
But I'm still noreally much the wiser as to finding the ultimate solution!

    Searching in Mail does not reveal BCC recipients. I found a post pointing this out from 2006. There were no replies and you cannot reply if you try, it been "archived."
    Does that mean Mail simply does not search BCC's?
    What's really weird is Spotlight won't find them either.
    Am I doing something wrong or is there a gap in the app?

    Yeah and even worse, Spotlight does not store Cc mail adresses, too.
    when you do an mdls on an emlx file there is only a recipients kmditem. the cc and bcc email adresses are not stored/indexes by spotlight. and can't be searched for!

  • Gmail, Apple Mail, and excluding mailbox spotlight indexing

    Hello,
    I use Apple Mail with my gmail IMAP account. Therefore I have a big mailbox "All Mail" where I have duplicates for all emails in "Sent" and my other tags (mailboxes in Apple Mail).
    Whenever i search for something, I always get duplicate results, one from Inbox, the same email in All Mail, for example. I've added the "All mail" mailbox to the list of Spotlight exclusions, but Apple Mail seems to ignore this, because I still get results from that mailbox.
    Also tried resetting hte spotlight index but this doesn't fix it.
    Any ideas on how to force a mailbox not to be indexed by spotlight?

    Thanks, Andy. I should have posted a closure statement on this thread as I finally figured everything out. The most frustrating thing is Google's own advice at http://mail.google.com/support/bin/answer.py?answer=78892# couldn't further from correct. After many hours of experimenting with settings, I finally came up with the correct ones. In fact, I'm in the process of writing an article about it since there is simply no definitive guidance on the web that I've been able to find in the time I've searched.
    Your comments are on target...everything on the *Behaviors Tab* needs to be checked (excepts Notes) and the *Delete when* settings must be set to Never. But there are a few other things that must be done, including some changes on Gmail Settings before Mail and Gmail will be perfectly synchronous. I'll post the entire solution on this forum when I finish the graphics.

    When searching in Apple Mail, sometimes a get a few results (with many missing), and sometimes no results at all.
    I had absolutely no problems before with Snow Loepard.
    I have reindexed mail and my startup drive. I have followed discussions regarding this matter and tried everything - a waste of time.
    This is VERY serious for me - I have many thousands of messages that I archive and need to reference for work and clients, and now I cannot find them.

  • Mail and safari hogging cpu - corrupt preferences?

    I am having a major problem when I run Mail or Safari under Mavericks on my iMac - they hog all the CPU making it hard to do other things unless I keep quitting the Mail Web Content or Safari Web Content processes using Activity Monitor. This also has shown up in other discussions on this board and no one seems to have a resolution to the problem. But the curious thing is that I only have the problem on my older iMac, but on my new MacBook Pro that also runs Mavericks, runs Mail with identical settings (and is accessing the same server) and runs Safari with the same bookmarks there is no problem. So the problem must be with something on my iMac that is causing Mail and Safari to keep running these Web Content processes and taking over the CPU.
    In the old days I would have assumed it was a corrupt Preferences file and deleted that, but no one has sugggested this. Is this possible? If so, what should be deleted?

    While everything had been working fine, this morning I installed the latest update to the operating system and I am back with the same problem (although I am only having Mail Web Content hogging the CPU and not Safari Web content this time).  I am posting below some information from the log as you suggested (sorry if it is too much but I don't know what you are looking for).   • Lost MAIL and address book!

    I couldn't open the program I use to make greeting cards. Read my OSX manual and read that I should reinstall OSX. I backed up everything (I thought!) When I opened up MAIL after the reinstallation, everything was gone...address book, saved e-mail, and current e-mail messages. My backed up MAIL will not open, so I can't use my backup.
    I am 75 miles from any Apple store or help. I have been told that if something is put into my computer it is always there. How do I recapture my MAIL data? Many thanks. Agana

    Hello Agana, you fail to mention what type of "simple re-installation" you used. Archive and Install or Erase and Install. You "backed up the folder" in which way, to an external, or Archive and Install? You can search through Spotlight, but I'll guess, thou art loss thy data. (sorry couldn't resist) I am sorry if this be the case, but a reinstall was not really necessary, I imagine. Regardless, you want to know where it is. You must search your folders, Hard Drive>System>Library...etc. Or Users, hard to say. There are applications used to extract such data, if found. Re-installs are a last resort, it's likely the application could have been repaired. Nevertheless, more information is required for a complete answer. Specifically, how did you "back up the folder?" If you did an Erase and Install, it is "erased."

  • In OS Yosemite the search function in Mail, Finder, Spotlight- does not work

    In OS Yosemite the search function in Mail, Finder, Spotlight… does not work. Messages or documents with the search criteria are there and one could find them manually, but the search function fails to find them. Following advice from Apple Support (728965377):
    1. I applied an Apple protocol for adware removal (Remove unwanted adware that displays pop-up ads and graphics on your Mac); I had none, because I had formally utilized a similar protocol that I had found in Internet, actually an app that implemented automatically Apple's adware removal protocol.
    2. I rebuild the post boxes in Mail (Mail (Yosemite): Reconstruir buzones); It took a while but it functioned properly
    3. I re-install the System (OS X Yosemite: Reinstalar OS X); It took about 4 hours but there was no problem whatsoever with the installation.
    Afterwards I searched for messages in Mail, and documents in Finder and Spotlight, without any difficulty. The search function in all of them was working properly. But the next time that I needed to search messages or documents, an hour later or so, the problem reappear and a couple of new issues occurred:
    1. in app RagTime 6.5.2 (Build 1821), www.ragtime.de, the menu bar disappears (it is invisible), when one performs certain operations, e. g., calculating a value with a formula, whether it is in a spreadsheet or some other component (text, drawing, etc.). After touching with the cursor the menu bar is visible again.
    2. after reading an e-mail in Mail or copying an address, this is seeing as a floating object in the finder and over every application. There is no logical way to get rid of the floating object and neither copying or deleting or cutting it. It is not a big issue but nonetheless bothersome.
    3. In Mail, messages with Flag or in VIP contacts cannot be seen in the appropriate folders, only in the Incoming mail folder, together with other messages. It seems to me, this issue is part of same search function problem.
    4. The preview function within Mail does not show the attached documents to a message, whether it is in the IN, OUT or Draft boxes.

    Launch the Console application in any of the following ways:
    ☞ Enter the first few letters of its name into a Spotlight search. Select it in the results (it should be at the top.)
    ☞ In the Finder, select Go ▹ Utilities from the menu bar, or press the key combination shift-command-U. The application is in the folder that opens.
    ☞ Open LaunchPad and start typing the name.
    The title of the Console window should be All Messages. If it isn't, select
              SYSTEM LOG QUERIES ▹ All Messages
    from the log list on the left. If you don't see that list, select
              View ▹ Show Log List
    from the menu bar at the top of the screen.
    Click the Clear Display icon in the toolbar. Then try again to re-index Spotlight. Select any messages that appear in the Console window. Copy them to the Clipboard by pressing the key combination command-C. Paste into a reply to this message by pressing command-V.
    The log contains a vast amount of information, almost all of which is irrelevant to solving any particular problem. When posting a log extract, be selective. A few dozen lines are almost always more than enough.
    Please don't indiscriminately dump thousands of lines from the log into this discussion.
    Please don't post screenshots of log messages—post the text.
    Some private information, such as your name or email address, may appear in the log. Anonymize before posting.

  • Digitally Signed PDF crashes Mail and Preview

    I've run into an odd situation - if I try to send a digitally signed PDF file using the Mail app or even view that file in the Preview app, those apps crash. The PDF files are created in Adobe Acrobat Pro version 9.1.0 (for the Mac). My Mail and Preview apps are right up to date.
    The same PDF file still opens just fine in Adobe Acrobat. If I create exactly the same file, but don't go through the digital signature step, the files open (in Preview) and send (in Mail) just fine.
    Anyone else run into this problem and/or have a suggestion on how to avoid it?
    (P.S. By "create", I mean I have printed to the "Adobe PDF 9.0" print driver, which creates the base PDF file. Then I have also "secured" the file by requiring a password be entered to change anything. The final step, which seems to be causing the problem, is digitally signing the file.)

    The problem may be related to asking Acrobat 9 to output a file format "compatible" with older versions -- along with adding security.
    If you check the Console log, I think you will find that the "mdworker" task is also crashing -- even when you open the file successfully with Adobe Reader. I presume this is Spotlight trying to index the file.
    Safari will also crash when attempting to view such a PDF. It puts out a Console message indicating invalid AES block size or some such. Presumably this is related to the 128 bit AES security in the PDF file. Using 128 bit RC4 results in a file that doesn't crash Preview, but the document content is garbled by Preview so it's just as bad.

  • Safari, mail, and ichat disappeared

    Hi all,
    I quit safari recently (just command Q) then shut the screen. After returning to it hours later, I only get a '?' over the icon. I've tried to search for it in finder (spotlight) but can't find anything. It seems like Safari, Mail, and iChat have all disappeared?

    and then re-download the 10.5.6 combo updater for your system to update everything to the correct version.
    The likeliest cause is that someone had access to your machine and deleted them for whatever reason.

    I'm having the same problem with a Mac Pro desktop and it started after I upgraded to 10.7.5 . Exact same issue , Crashes for no reason ( very little running - mail,browser) then reboots. Sometimes it does multiple reboots.
    I hate to say it but it's tiumes like this that I envy the Microsoft's approach to updates, if it is bad (which is not unheard of) you can go into programs and remove the last update. It would be nice if Apple implemented this since their quality doesn't seem to be what it once was.

    It seems that it is missing a plug in or something.  Error messge is Mail quit unexpectedly when using the est-e-Filing-pdes plugin.
    Same message in Preview.
    Actually I have experience more crashing (with Numbers) since last update.
    Can anyone help?

    Step 1

    Please do not indiscriminately dump thousands of lines from the log into this discussion.
    Important: Some private information, such as your name, may appear in the log. Anonymize before posting.

    Still in the Console window, look under User Diagnostic Reports for crash reports related to the process. The report name starts with the name of the crashed process, and ends with ".crash". Select the most recent report and post the entire contents — again, the text, not a screenshot. In the interest of privacy, I suggest that, before posting, you edit out the “Anonymous UUID,” a long string of letters, numbers, and dashes in the header of the report, if it’s present (it may not be.) Please don’t post shutdownStall, spin, or hang logs — they're very long and not helpful.

  • Trash Email and Search and Spotlight?!

    I noticed that with both email search and spotlight search, no mail are searched in trash folder.
    Is there any chance to include it in general search aswell instead of having to open that folder and search manually in it?

    You can enable the searching of the Trash when you do a spotlight search in Mail, by configuring the preferences for the application.
    To include the Trash and Junk mailboxes, and encrypted messages, when you search all mailboxes, choose Mail > Preferences, and then click General.

  • Time Machine and Spotlight

    I've been having mixed results with Time Machine and Spotlight. It seems to be able to find any files that were indexed before the original backup, but it doesn't find anything that was added after the original (ie from incremental backups). I don't have the Time Machine drive in Privacy in Spotlight prefs.
    Also, I can't search in Mail in Time Machine. Once I enter Time Machine mode, the search box goes gray for both the Now entry, and for all past backups too.

    I second that. By default both Spotlight and Time Machine should be off. Or at least it should be possible to configure that, which comes handy when installing a new system, updating, etc. I do not want Spotlight or Time Machine to work until all is installed and updated.
    On the other hand, it would be great if Spotlight did not require to re-index a new disk when all its contents have been copied from an older disk using the Migration Assistant. After all, the Spotlight index is also on the old disk, so copying such index should be quicker. Likewise, for the Time Machine volume: it should not be necessary to re-index the Time Machine volume, since copying the Spotlight index of the booting disk should be enough.
    That way, the slow down and incompatibilities between Spotlight and Time Machine would we wiped out for ever.

  • Slow backup (and spotlight problems) after time machine restore

    Hi All,
    After having some shaky moments with my macbook pro's internal hard drive, I have now installed a new one. I am running the latest version of 10.6.8.
    The machine is running fine after a restore from my Time machine backup, but there are a few problems:
    1) Time machine is now making a new backup - it looks like it wants to do a complete backup, which is ok as I have the space. However, after about 30 mins it has completed 156k and is now running at about 1k a second (or less).
    2) Spotlight is reindexing, but appears to be stuck on "Estimating indexing time".
    3) I tried opening mail, and it said it had to convert my mailbox - it got part way through the number of messages and stopped. I force quite, I'll try that one again later.
    Any ideas for 1) and 2) above? I can't see any odd looking messages in the console...

    So... thought I'd update this since it may help someone else later...
    The time machine backup completed fine in the end - it looked like it wanted to do a complete backup but I think it just did a delta in the end.
    The spotlight reindex ran for about another 6 hours, judging by the console messages.
    However, now I'm trying to run mail - and it's stuck on importing the mailbox - it got to 14157 of 57904 and stopped there. The "time remaining" is increasing by about 5 minutes every minute....
    I've seen the following message in the console, which I also saw while it was trying to do the spotlight index last night:
    NSDataMessageStore: couldn't find body
    Anyway, I'll let it run and see what happens...
