Mail Archiving Issues - The Basics

These are probably simple questions but I can't find any support in the Helps section.
1) If I archive a main mailbox, will all of the sub mailboxes be included in the archive ?
2) Once they are archived is it a good practice to remove the emails from mailboxes once they archived?
3) Is there any connection with the quantity of emails in the mailboxes and the normal speed of the computer? Would massive quantities of emails slow the normal function of the mail program?
4) I use gmail. Is it frequently checking that system for emails and is that slowing my system?
5) What is the relationship (if any) between archived on my laptop and archived at Gmail.
6) When I experimented with archiving it set up various apple archive mboxes. How do I know what has what in them or is it good practice just to make one giant archive mailbox? Is it a good practice to rename archive mailboxes (can it be done)?

Let me take a stab as some of these
1. Only if you check the box to include sub folders.
2. Entirely up to you. Most will archive to reduce the amount of mail in their box so you would need to delete what you archive.
3. Not sure. I've heard that there is.
4. I can't imagine that is slows your computer noticeably.
5. None that I know of.
6. Re-import might be the only way to see what is in the mbox file. If you archive by folder then it would help in knowing what each mbox file contains.

    To Disable Visual Voice Mail
    Sign in to your My Verizon online account. On left side of page find the drop down menu.
    Click to open menu, then go to change features and locate Basic Visual Voice mail.
    Locate the button Basic Visual Voice Mail and click the Red Remove Box.
    Scroll down until you see the listing: Basic Voice Mail, Visual Voice Mail etc. and click the Red Add box by Basic Voice Mail to add on this service.
    When you're done making changes click next at the bottom of the screen and then ok.
    Go into your device and set up your required Basic voice mail program. You may continue to receive an  error  message “new voice mail update" for a period of time”.   Hope this helps, GalaxyClass

    Je suis saturé en mails dans "MAIL" avec plus de 100000 mails!
    J'ai besoin de temps à autre de les consulter et souhaite les archiver sur Time Capsule tout en les supprimant de mon Mac.
    Existe-t-il une méthode pour créer une archive pour les mails les plus ancien par exemple ?
    Seront-ils archivés dans les dossiers du meêm nom que ceux que j'ai créer sur mail ?
    Enfin, je voudrai être certain qu'en cas de besoin de les retrouver la méthode est facile.

    Right I have an exchange 2010 set-up and we have just got in a Barracuda mail archiver. The demo etc seemed to say it was more or less all automated to set up the archiving but the documentation I have been linked just says set up journalling as per your server. However I am unsure how to set it up for the barracuda appliance.
    Not to mention I cant get it to import anything with the service account that they say I should use. I have a ticket with them for that but want to try and get the journalling up and running while they look into that issue.
    Anyone set this up or know how to?

    Macbook Pro crashed (display). However, the hard drive is fully ok. How I can restore the local Thunderbird mail archive from the hard drive? I can see it as external drive from another mac computer.

    I'm trying to reach these issues myself. There are a few different flavors of voicemail:
    Basic voice mail -- the kind you call in with your phone and press touch tones, like people used to do twenty years ago. Included with contract.
    Basic visual voice mail -- see your messages listed by caller, choose which one to play. Included with contract, but only on certain phones. The Note yes, Galaxy s5 yes, Galaxy s4 no.
    Visual Voice Mail -- the 2.99/mo version Verizon wants you to pay for. Has the features of 2, but also will transcribe your voice mails into text. Available on most phones because it is a Verizon app.
    iphone visual voicemail. Same as 2, for all intents and purposes. Has always been included because Apple established it as a condition for the carriers to be permitted to sell them.
    The mystery is number 2, what you are asking about. Though it is mentioned on a verizon comparison chart, 'basic visual voicemail' is not discussed in any verizon literature and I suspect most techs don't know about it yet. It seems to have been enabled with a kitkat update (version 4.4.4 of Android) that has been released on some, but not all phones. I think the way it worked is that users were given a free trial of the pay version of voicemail, but at the end of the trial were able to 'downgrade' to basic voicemail and keep that without paying.
    I also have an S4, and basic /no cost visual voice mail does not seem to be possible, though I have heard there may be some ways to make it work with technical workarounds. I have not confirmed any of these methods but they almost certainly would not be recommended by Verizon staff.
    To get back to your question, basic visual voicemail and what Verizon calls regular 'visual voicemail' are different products. The basic seems to be a recent product only available on some phones. The regular 'visual voicemail' is the pay service available on all phones.

  • Mail not updating the smart folder list after "archive" correctly

    I am using OSX Mail on Yosemite (10.0.2) and have - since about two months ago - weird behavior of smart mailboxes. Previously, when I Archived  (ctrl-cmd-A) messages selected in Smart mailbox, the GUI immediately removed the messages from the list and they just disappeared (moved to Archive). The messages in the Archive are not displayed in this smart mailbox.
    Since about 2 months ago, the messages started to only get greyed out in the list, but do not disappear and stay there until I change the mailbox or optionally, Mail checks the servers and the GUI is then synced with server. When I change the mailbox and come back to this smart mailbox, the messages are not there and they were moved to Archive, so it more or less works. But I would like back old behavior when the messages get re-moved immediately.
    Anyone has any idea why is this not working as before and how to get this fixed? Thanks a lot...

    It didn't do anything for the VIP though, I selected the VIP group and rebuilt that, but it didn't seem to make a difference?

  • My e-mail archive somewhere in the system.

    Hi,
    A few of my incoming mails archive somewhere? After I suspect a missing mail I google the person above my e-mail account and find it.
    It then pups up in my e-mail but still can not see where it is archieved? When I click on incoming mails it disappears again somewhere?
    I can correspond with a person and then loose recipients answer. Also some new e-mails do the same. Frustrating since I do not know how many e-mails
    I loose! 
    I have goe through all my settings an can not see anything that should be changed.
    So far nobody has been able to help to solve the problem. Could this be safari settings problem, or my own settings?
    Any idea what it could be?

    For updating applications, if the other AppleID is showing, that means that those apps were purchased under that other ID, and they will be forever tied to that ID - regardless of what ID you have signed on to iTunes & App Store. Any time you try to update those apps, you will have to put in the password for the ID that they were originally purchased under.
    For purchasing new Apps, if you have the correct ID signed on under iTunes & Apps option on your iPhone, then it will come up with whatever ID you have signed on under that option whenever you purchase a new App.

  • HTML emails render as plain text.  Restarting Mail.app resolves the issue

    I keep seeing this problem every day. Occasionally when I receive an HTML email (e.g. a newsletter), the HTML isn't rendered -- instead some sort of plain text equivalent is displayed, which is full of entity codes and URLs to all the images in the HTML. Clearly not right.
    If I restart Mail.app when this occurs, the HTML email is ALWAYS rendered correctly. It's really annoying having to do this every day!
    It seems like it could be to do with leaving Mail.app running when my Mac is in Sleep mode -- the issue always seems to occur when I wake the Mac. When I have restarted Mail.app after the issue occurs, all incoming HTML emails are rendered correctly.
    Has anyone else seen this issue and do you know of a workaround? How do I submit a bug to Apple?

    Hi again:
    The preference file is located in the home folder (~library>preferences). Occasionally (rare, but it happens) preference files become corrupted and then cause all sorts of odd behavior.

  • Has anyone else noticed an issue with the new mail icon on the lock screen?

    After updating to iOS 8 there is a new mail icon on the lock screen. When I slide it up I get this message:
    "Failed to continue activity- the connection to your other device may have been interrupted- Please try again"
    After trying again and again I get the same message and I do not have the "other device" that it mentions. I'm not sure what is going on, does anyone have any ideas?

    Nope, have not seen this issue or have this issue myself.  Try going into Settings and toggling off that email account, toggle back on and then send a test email to yourself.  If it still persists, delete the email account and re-add and try again.

  • Mail archival and status of the archived mail

    I use IMAP to talk to microsoft exchange server. When the server complained that the mailbox was full, I decided to archive the mail and delete it from server. Then I imported the archived mail. But to my surprise ALL of my mails in that archive are showing up as "unread". I had about 100 or so unread emails when they were in the server, but I have now lost the knowledge of which ones, because everything is showing up as unread.
    Am I doing some thing wrong in the archival process? Why isn't Mail.app preserving the [un]read status of the mails during archival process?

    this is the default behavior. Mail archives messages in mbox format that is used by many mail clients. this is just a plain text file containing the raw source of the messages. read status is not contained in that file. hence when mail imports an archive like this it has to treat all messages as new.

    Hi,
    I recently changed jobs and want to archive all email (with attachments in place) for the associated work email account.  I also plan to remove the old work email account (IMAP) from the list of active mailboxes in Apple Mail.  I don't want Spotlight searches for personal or current work email cluttered with results from my old job.
    I have created an archive of the old work account by doing Mailbox Archive for all of the IMAP folders for that account.  The entire archive is 1.7GB in size.
    Before I delete the old account from my Mail preferences, I want to make sure that I have really exported everything.  So I've compared the size of the new archive folder with that of the mailbox folder in users/.../Library/Mail for that same account.  That latter is 8.7GB in size.  Why the enormous difference?
    Can the difference be attributed to lack of compression and indices (which would be rebuilt if I import the archive) for spotlight searches?  Am I missing something in the archive that I created?
    I've created a zip of the system folder.  Can I easily restore this at a latter time if I delete the email account from my Mail preferences?
    Is there a better way to achieve my objective?

    I did find a "Recovered Messages" by looking in the the Mail client under "On My Mac" (I don't normally use that feature).  One message with an accicental 99MB attachment that I never sent, was recovered ~60times, consuming 5.7GB. 
    I deleted all of those, but the size ~/Library/Mail/xxxaccount folder did not change much.  It is still much larger than the Archive I created.  BTW, this is an IMAP account that was syncing with corporate GMail.

    You can get faster help by posting the Mac OS version you have and more details about your iMac. They have been in continuous productionsince 1998 with four distinct procesor families, and each ahve different troubleshooting steps. If you called a Ford dealer about a car problem, the first thing ithey will ask is "which Ford model and year?" Same deal here.
    The processor description is found when you do "About this Mac" and will be a good start for identifying your iMac model; the Mac OSX will be there too.

  • Help! Is there a way to rebuild the mail archive? all mail scrambled...

    All my archive is scrambled... The emails are connected to the incorrect "from", "subject" etc. in the finder. I'll highlight, for example, an email from "susan x." in the mail finder and the email attached to that will be a totally unrelated email from a different person or company or something. It is a complete mess.
    Is there any way to fix this?

    In Mail, select the problematic mailbox and go to the "Mailbox" menu. At the bottom select "Rebuild".
