Mail back-up and archive strategy.

Hi, all.
I am new to Mail as I just recently switched from Entourage. One thing I have always done to avoid database corruption and crashes was to periodically export the content of my folders and mailboxes and then empty then so the database wouldn't grow too big (a constant threat to Entourage).
Some questions since I am new to Mail:
1. Can the Mail database experience the same problems? Where is the database located and what would be considered a size limit, if any, for the database before it became prone to crash and/or corruption?
2. What strategy do you use for exporting mail and archiving different folders and mailboxes? Are there any third party applications worth using for this process? I have seen some that archive Mail mailboxes as PDF files. I would prefer for them to be archived as text in another database so that I can search past mails if it become necessary.

I am not currently using Time Machine.
Whatever backup method you use should be backing up the mail files. If it's not, use a different method, such as Time Machine.
how would export work ?
Select the mailboxes you want to export in the mailbox list. Then select
Mailbox ▹ Export Mailbox...
from the menu bar.
In case I want to save the entire Mail database where is this database located in OS X ?
Triple-click the line below to select it:
~/Library/Mail
Right-click or control-click the highlighted line and select
Services ▹ Reveal
from the contextual menu.

    backup, using start and finish as far as I remember.This is true only if ur database is in ARCHIVELOG MODE. If its not then the only way to back it up is cold backup by either RMAN or without. In short you can do HOT/online backup ONLY if your database is in ARCHIVELOG MODE.

    Doing system-level tasks in J2EE is not a good idea. Use a system level tool to do it (like cron and tar on Unix).

    I'm having a similar but slightly different problem. My company just migrated to Gmail, and it's saving mail drafts every 30 seconds into my Trash folder.
    I unchecked the "Show in IMAP" preference in the Gmail settings, but my Drafts folder completely disappeared. I went back and checked it and the folder reappeared (with my drafts still in there).
    I like the idea if starting an email on my laptop and having the option of finishing it on my iPhone or iPad, so only saving Drafts locally would not be ideal.

  • Tip: Mail vs Gmail - Auto archive and duplicated messages.

    This is not a fix, just a simple workaround until Apple and Google find a solution for this problem.
    Go to GMail Settings >> Forwarding and POP/IMAP >> Forward and make Gmail forward every message to another account, in my case I chose my @me.com account. Don't forget to save your changes.
    Go to Mail Preferences >> Accounts >> Gmail and uncheck "Enable this account"
    Go to your iPhone Settings >> Mail, Contacts and Calendars >> Gmail >> and uncheck the mail.
    Repeat in your iPad.
    In this way, I am still receiving my Gmail messages, but without the annoying auto-archiving issues and the eternal synching between Mail and Gmail. Mail runs much lighter... like before Maverick!
    It is not perfect though:
    Cannot access your GMail's old messages and archives from within Mail: have to go directly to Gmail for that.
    Cannot reply from your GMail address from within Mail.
    If you can live with that, this solution might help you while we wait for the real fix to come.

    Yes, as I mentioned above, it is definitely the Mac or Mac Mail doing the substitution of two dashes into one longer dash, despite it being in the middle of a URL. Even if I personally had that in system settings somewhere it wouldn't help resolve the problem because I can't change all the recipients' preferences. If it's a system preference it's the default because multiple Mac Mail users mentioned it to me.
    Maybe I just have to create a tinyUrl if I need to post a URL containing two dashes, to accommodate Mac Mail users?
    About the Japanese encoding, you and I go way back on these issues (I remember previous posts). What you say might be true, but it's difficult to do that every single time you mail a message. Do you happen to know a way of setting a default for all outgoing messages? On the other hand, I'm not sure what encoding AU is expecting. If they handle utf-8 well then if I could force Mail to always use utf-8 that would be good. Otherwise it's really cumbersome to do a manual setting before each reply!

  • Strategy & Options for Desktop/Laptop/iPhone/iPad Email Syncing and Archive

    I'm looking to investigate alternatives and, ultimately, blow up what I'm currently doing for email "sharing" across my Apple products.
    I currently have an iMac 27, MacBook Air, iPhone and iPad. I POP email from multiple accounts to my iMac and iPhone. I read and respond to urgent email from the iPhone and then Bcc: myself so I can clean up the mess when I'm back on the iMac. Not good I know.
    I POP to the iMac, filtering via SpamSieve, then manage everything into folders with MsgFiler and then archive everything with MailSteward.
    I like this setup and have about 7-8 years worth of email in MailSteward and would definitely NOT like to disrupt this.
    I also really like SpamSieve and MsgFiler. Great products!
    However, I now definitely want to be able to access and deal with my mail from any of the four devices BUT still get everything on the iMac so it can be the central repository and archive.
    I guess I'd like to ask the Group about my options for POP and IMAP, or maybe a mix (?) and how I could use all four platforms while still having the desktop be the primary email system, as well as the archive.

    With how you describe your workflow, continuing to use POP accounts would be the way to go, since all messages can be downloaded iMac without indication of whether Read or Unread.
    With multiple devices, using IMAP is a lot cleaner, but would be cautious about using SpamSieve, MailSteward and the other thing.
    I have never seen a compelling reason to use MailSteward or anything similar. I have most every legitimate message ever received or sent, kept at the ready for searching in Mail, where I have way over 100,000 messages, 15 plus accounts, and many On My Mac mailboxes.

  • Mail - IMAP and Archiving Questions

    From other threads it seems to make the best sense to clean up/archive your IMAP mailboxes by creating local mailboxes ON MY MAC, and then dragging the archive mail into these local boxes which creates room on your IMAP folder and also lets you still see the old mail.
    Questions....
    I have some old local legacy mailbox that I do not want to delete, but do not need to get to it hardly ever.
    Q: I would like to take the legacy mailbox and remove it from my main computer and just put it on a archive hard drive for safe keeping. What is the best way to do this?
    Do I simply close Apple Mail and then copy the Legacy mailbox to the archive drive - then open Apple Mail and delete the legacy original mailbox?
    Or is there a better way?
    Now, when I want to read the mail sometime in the future, how to I get Apple Mail to see it?
    Do I have to :
    1 - actually reimport the legacy folder mailbox from the backup drive just look at one piece of mail - or can I simply copy the legacy folder the into lib> mail user folder and Apple Mail will just see it?
    2 - when I'm done I'd have to delete the import to clear space?
    Could it be that easy?
    ALSO: if by some chance I wanted to get these local folders to show up in entourage what is the best way to import them in entourage? What about importing the legacy folders into entourage?
    In entourage: I used to be able to just move old folders - to archive drives and I'm done. Then If I ever wanted to see them again - just drag an alias to the 'Microsoft User Data' folder and it would be seen instantly right from the arc. drive... Can it work like this with apple mail also?

    You can simply select that mailbox, CTRL- or RIGHT-click and select Archive Mailbox from the contextual menu. Save the archive wherever you want. The archive is a .mbox file that is importable into Mail. If you need access to its content you will have to first import it back into Mail.
    I see no reason why you couldn't use an alias, but I've never tried it myself.

  • When I open a slde show in New Yahoo Mail I can't get back to Yahoo. When I click on the "back to Yahoo" button, the screen freezes with a gray cast over it and I have to use the back button and forward button to get back to my inbox.

    This problem started immediately after I upgraded to Firefox 9.0.1
    If I open my inbox in my New Yahoo Mail, then open an email with attachments and then open the attachments to "view as a slide show"....I can't close the slide show and return to the email by clicking on the "return to Yahoo" button. If you click on it, it returns to the first pic shown, and if you click on it again, the pics disappear and a gray haze appears over most of the screen but none of the features under the gray screen work. I have found that if I hit the back page and then forward page buttons, I can get back to my inbox eventually, but this is a terrible "pain in the ass"!

    Clear the cache and the cookies from sites that cause problems.
    "Clear the Cache":
    *Tools > Options > Advanced > Network > Offline Storage (Cache): "Clear Now"
    "Remove Cookies" from sites causing problems:
    *Tools > Options > Privacy > Cookies: "Show Cookies"
    Start Firefox in <u>[[Safe Mode]]</u> to check if one of the extensions or if hardware acceleration is causing the problem (switch to the DEFAULT theme: Firefox (Tools) > Add-ons > Appearance/Themes).
    *Don't make any changes on the Safe mode start window.

  • How can I reinstall my mail accounts and get all my mails back?

    My internal HD died a few days ago . Fortunately I did a Time Machine backup a couple of hours before it happened .
    Now my MacBook Pro is back from the repair center, with a brand new HD and Mac OS 10.6.8 installed (the system I had) .
    But how can I get all my mails back? Indeed I used Mail to manage many mail accounts, and some of the inboxes or local mailboxes contain messages that are a few months if not years old. I coud reconfigure my accounts, but then I only get the mails of the last few weeks downloaded (those that were not erased from the pop3-server). Is there a possibility to get all the mails (including outbox) as it was before the crash?
    By the way, I'm also still looking for my address book and my iCal calendars !!

    I have an iMac that is the same age as my MacBook Air.  My iPhone is 2nd or 3rd generation.
    None can support "the Cloud".  I use gmail and my iPhone and both computers are all synced.
    I can't get email on my new iPad that does use "The Cloud".

    you should look in your applications folder to see if mail is still there. the dock icon is pointing to mail being in your applications folder. it has probably been moved or deleted for some reason from the app folder. do a spotlight search for your mail program. if it is still on your computer, move it back to the applications folder and when you click the question mark, it should see it is back and open. The email folder in your library shouldn't have to be touched. you need mail.app itself.

    In a word, yes. In a little more detail.... When you restore from an iCloud backup, you must erase the device and start all over again. There is no other way to access the backup in iCloud without erasing the device. Consequently, you are starting all over again. Therefore, it would also be my assumption that Pages and Numbers will work again and that the deleting apps issues would be fixed as well.
    If the documents are not in the backup, and you do not have a backup elsewhere, the documents could be gone forever.

    You should really read the manual.

    Restore.  When given the choice, choose to use backup.
    "And how can I check to see if the pics and videos are on my computer somewhere first??"
    They would only be where you put them.  What program did you use to import them?  Pics/vids taken with ipod are not part of the sync process at all.  You should be importing them just as you would with any digital camera.
    If you did not import them, then they are not on your computer.

  • Mail 3.x and Ipswitch Mail

    I've had problems similar to others reported on this forum with Mail 3.x and Ipswitch mail. After upgrading my MacBook Pro from Tiger to Leopard (archive and install), Mail ceased displaying messages from any of my Ipswitch Mail IMAP folders, including my inbox. From what I've read, there is a known conflict between Apple Mail's use of the IDLE command and Ipswitch's implementation of that command. Lots of fingerpointing, but no fix from either side. But I wonder if that's the whole story.
    I recently decided to do an "erase and install" reinstall of Leopard on my MBP. I was just looking to clear out the junk on my partition in preparation for a major reorganization of the music/pictures/movies on my hard drive. After this reinstall, I reopened Mail to see if it made a difference with my work email (which uses Ipswitch). Lo and behold, all the messages loaded and I was able to open and read all of the messages. I figured that one of the software updates from Apple fixed the conflict.
    To make a long story short, it didn't last. I am not sure if I actually sent any messages from this setup. But a couple of days after I set up the IMAP account in Mail, when I tried to send a reply to a message, the account stopped working. The messages that had been downloaded still displayed, but I cannot send or receive any new messages--basically back to square one. Here is the error message that displays (the same as ones that I saw prior to my "erase and install" of Leopard):
    "Some actions taken while the account "midyork.org" was offline could not be completed online.
    "Mail has undone actions on some messages so that you can redo the actions while online. Mail has saved other messages in mailbox "Sent" in "On My Mac" so that you can complete the actions while online."
    "Additional Information: The connection to the server "mail.midyork.org" on port 143 timed out." Also seen: "Operation could not be completed (MFMessageErrorDomain error 1028.)"
    The fact that it worked for a while, then didn't, makes me wonder if there is a preference file or setting that is getting "stuck," if you will: For example, in Mail > Preferences > Accounts > Advanced, the option Use IDLE command if supported by server" is checked, and cannot be changed. Is there a way to turn off IDLE support for an account using a terminal command?
    Any advice on a way to bypass the conflict between Mail 3.x and Ipswitch Mail will be appreciated.
