Mail generation on Order/Notification created.

Hi
I want that the mail is automatically generated & sent to any specific R/3 user or any specified mail id when Order or Notification is created. How to do this?
By using Workflows or by enhancements?

Follow the steps for notification creation IW21:
1. Goto SPRO
IMG-PMCS-Maintenance and Service Processing-Maintenance and Service Notifications-Notification Processing-Set wrokflow for Maintenance Notifications.
click on Assign Agents it takes to a new screen, der open Process Sample maintenance notification select PMtask: Edit newly-created notification den click on create agent assignment (press F5) on the top left corner of the screen. it pos up a new window select user and mention the concerned user there.
Come back from that screen, click on Activate Event Linking open WS20000317 for task BUS2038 CREATED click on the details button and tick both the options Event Linkage activated and Enable usage of event que press enter, then you can observe the Green indicator Activated.
Now create a Notification, it will trigger a mail in SAP to the user u assigned. That user can check SAP mail box (T code SBWP, Inbox - workflow).
2. You can follow the same setting for maintenance orders creation too.
IMG-PMCS-Maintenance and Service Processing-Maintenance and Service Orders-Functions for order types-set work flow for orders.
open PM-PM-WOC-Maintenance orders, follow the same settings that of notifications.

BAPI/FM Help Needed for PM Work Order Update and Notification create

I am using BAPI - BAPI_ALM_ORDER_MAINTAIN to update the work order details and create notifications for the object list but i am getting errors in doing that.
IWO_BAPI 203 -Changing the execution factor in the BAPI is not supported
And i have to create notifications to each object in the object list. This BAPI is not supporting that.
So i used another BAPI BAPI_ALM_NOTIF_CREATE to create notification and passed the order number , counter etc to it but in the order it is creating a new row for that equipment and linking the notification to it.
Need some help on these.

1. If you want a Notification mandatory to be created for Order using IW31 you can once make this happen by User Status in Order , i would suggest if you are doing implementation better Use Order Types which has got Notification integrated in it .
Check Order type PM05 in Ideas server you have PM05 Order with notification fields integrated , which created notification in Background when order is Created or released.
2.For Work Order B --> Notification A , Not Allowing I donot have any idea check whether is there any User exit from experts or ask ur Abaper

User statuses on notifications should carryover to order when created from

Hi,
I have requriement for user statuses on notifications (IW21/22) should carryover to order when created from notification automatically.
Did anybody worked on this type of scenerios. I already found some userexit (QQMA0014) but i could not able to find any thing related to user status in VIQMEL view.
At the time of creation of notification IW21, when i go for creation of order, User status of notification should copied to order automatically.
Appreciate any help.

Thanks Anji for your response.Yes there is FM status_read which i can use to get Status but my problem is during creation of order from notification, i don't have notification number so i can't use any database tables to get status for later use. As per requirment, during creation of notification, I can go to order creation. at that time whatever user-status I choose at notifcation, same status should get copied to order. I hope it got clear to you now.

Purchase Order notification

Hi All,
Whenever a supplier clicks on the reply-to in response to a purchase order notification from his mail box the mail goes to the Generic workflow mailer id. I have a requirement like whenever the supplier replies to a PO mail notification it should always go to the buyer of that PO. It would be great if someone could give guidance on how to acheive this.

To add to my earlier comment;
The lag is because of 2 reasons.
1) The workflow background processor is running every x minutes. So it takes time to process the po approval workflow.
2) The notification mailer is running every y minutes. So after a notification is created, it takes y minutes to actually send an email out.
You can avoid the delay caused by step1, you can set PO:Workflow Processing Mode to ONLINE. This will process the approval right away (instead of waiting for the workflow background process to run.)
However, you will find that users don't like this option because they have to stare at the hour glass for a few seconds while the PO is being processed.

Problem in Automatic mail generation after shipment creation in vt01

In VT01 Automatic mail generation to customer whenver a new shipment is created & in from address user mail adderess is mentioned but in my requirements i have to mention different mail id in user mail address.
how can i do this?

he want this mail should come to the mail id of his colleague.

Automatic Send mail when sales order is change

Sending Email to Material Department when a Sales Order is created

Hello All,
I am a facing the problem to find out the exit when creating the sales order.
My Requirement is whenever a sales order is created via VA01, a email is sent to the material department with some contents. My task is to enhance the contents of the email.
Can anybody tell me where, this exit is triggered.
I have checked in USEREXIT_SAVE_DOCUMENT_PREPARE and
USEREXIT_SAVE_DOCUMENT. But nothing written in these to forms

Hi,
There might be some output type which is associated with VA02 , that output type triggers when ever you create or change , that might be sending the mail.
You Go to <b>NACE</b> transaction there you can see the output type related to sales order , in that look for output types which are sending mails. there you can get the driver program and use that progrm , go to SE38 and modify the content accordingly..

Disable e-mail field when line item created by copying another line item

I need your help. Actually our user wants to create a line item by copying existing line item in shopping cart. While doing so the requirement is the e-mail address field remains disable after the line item is copied. Please guide me how to do it. Please feel free to ask me any further questions.

Thank you for your response. Assets are not my area so I’m not sure if I missed a transaction or step in the process. I tested this out by doing the following steps:
Created AUC Asset class with line item checked
Assigned PM Order type as non-investment with no investment profile and created order number
Created a main asset number
Created an AUC sub asset number to step 3
Created settlement rule to sub asset number on order
Posted costs to order
Settled from order to AUC with transaction KO88
Created distribution rules for asset with transaction AIAB
Settled from sub asset to main asset number with transaction AIBU
When I settled from the sub to the main asset number in step 9, I found I lost the line item detail. Is there another configuration setting I need to make to allow me to see the line item detail when I use AIBU?

Workflow step Mail with purchase order number is not executing

Hi All,
I created aworkflow which gets triggerd when a Purchase Order is created. I have mentioned the BUS 2012 event 'Release Step Created' as starting condition for the workflow. My workflow is triggering correclty. I need to send a mail to the initiator stating that the purchase order <po. no.> has been created. But I am not getting the PO number and workflow is stopping at the step mail where subject is mentioned with element &BUS2012.PURCHASEORDER&.
If I didnot mention the PO number workflow is executing correclty. I have done all the necessary binding also.

Hello,
This can often be caused by not adding 'US' to the username, check if that's the case here.
I would try creating a test workflow which does nothing but send a mail, try to get that working first.

Hi guru's,
the above problem is sorted with help of workflow and basis consultant as in SWU3 RFC destination was not enabled,
as now it is enabled, workflow is getting triggered but after creating distribution package it is generating error saying no receipient found,
the mail is not reaching the SAP INBOX,

Inserting Object link as reference object in Maint Order/Notification

I've mapped pipe line using obejct link,now when i create Maint Order or Notification system displays below mentioned message,
Select a link object as reference object
Message no. IH101
Diagnosis
You are trying to create an order or a notification for a link object, but have not yet selected an object.
Procedure
Place the cursor on a link object. This object will be entered in the notification or order as the object referred to.
In std Screen RefObject thers is no ref object for Link,
Please guide me how we can create Maint.Order/Notification against Object Link,as it is required to track cost as well as history of repairs in pipe line.

i refer page no 18 of SAP book Object Networking (CS-BD/PM-EQM-ON) SAP AG Release 4.6C,
To select a particular link from the list, (IN18)select the object link and choose one of the following options:
Goto --> Change/Display --> link, You reach the object link data screen.
Goto -->Create notification --> Notification type
You reach the screen where you can create a maintenance notification for the link. If a link object is entered for the selected link, the system automatically uses it as a reference object for the notification.
Goto --> Create order
You reach the screen where you can create a maintenance order for the link. If a link the system automatically uses it as a
reference object for the order.

Automatic mailing of sales order to Customer

hi,
My client is using version 4.6B and wants a solution to this problem.
When a sales order is created,there should be an option to mail the sales order,i.e soft copy of the sales order to the customer.
Also certain branches do not have SAP, but theyw ant to mail certain reports related to billing (ZReprts and standard reports) everyday to the branches via e-mail
How can this be accomplished?
Is it possible to achieve this in the above said version?if yes then how?

If you want Simple solution without ABAP , I will suggest you following
We will divide it in two steps
1. Create PDF file of your report.
2. Mailing it to particular email address - This will be done manually , it will not pickup from customer master
1. Create PDF File
go to SPAD and define new output device ZPDF1, and select Device type PDF- if that is not visible you can implement note Note 317851 - Creating PDF format using the SAP spooler in 4.6C/4.6B/4.5B
Or there is other manual method, you can run report RSTXPDFT4 in SE38 and execute, give the spool number of your report and then give the path to save the report in PDF file in your desktop.
2. Email
in SPAD you have now defined ZPDF1, for that in HostSpoolAccMethod, check in Host Spool Access method M: Email to receiver owner is there if it is avaiable then save it
if it is not available execute report RSPO0075 in SE38 and activate access method 'M' by enabling check box for M. Then you can go to SPAD and edit your ZPDF1 Output device.
Now you are ready to use ZPDF1, run your report select Output device ZPDF1, your output will go to spool request , when you select it and click on printer icon, it will ask you for email address, just type it
But now your Email should have access to Internet
So in SCOT - i.e SAP Connect for define node in INT and define RFC Port (TCP/IP)for your Node in SM59, if you are not able to do it take help of BASIS
I think this settings will be enough.

Address book - mailing list - sorting order of names

Generally difficult to edit mailing lists - alter order of names in the list - add email/names in middle of list - drop names from list - copy parts of list to another list - how can you edit a mailing list?

1 at a time? I don't think so.
Here is a bonus lesson in selecting multiple items.
select item 1. Press control+a to select all
select item1. move up or down several items and hold the shift key while clicking item 2. This selects items 1 and 2 and all items in between.
hold the control key while clicking random items. This selects any item that is clicked on.
hold the control key while clicking a selected item. This will deselect that item.
You cannot drag and drop from a list though. This will only work in the address book itself.
A contact must exist in the address book that the list is created in to be added to that list.
You can move or copy contact between address books using drag and drop.
Drag and drop to move. Hold the control key before dropping to copy. You will see a + sign appear to indicate a copy.
There operations are universal and not a Thunderbird thing. It has been a part of computer shortcuts since the early 90's.

How to Trigger a Workflow when work order is created

HI Everbody,
Please help me in this.
When Work order is created , system has to trigger work flow to notify the person who has submiitted the request . Use the Created by field on the associated notification field to identify the person.
