Mail rules -- apply only to inbox or all mailboxes?

I've done a major revamp of my Mail application. I used to have a dozen or so mailboxes, and some had rules that would move newly arrived messages from my inbox to a designated mailbox.
I've now opted instead to use a dozen or so 'smart mailboxes.' I've moved all my messages back to my inbox and deleted the dozen or so mailboxes. The smart mailboxes nicely filter the messages as I've constructed the smart mailbox rules. However, I still have two mailboxes whose content isn't easily filtered via smart mailboxes.
Now, back to my inbox .... It's got a few thousand messages. My goal is to create a mail rule in preferences that would move anything older than 30 days into secondary mailbox. If I write this rule and run it, does it apply ONLY to my inbox? Or to the inbox and any other mailboxes?

I played around with it and found out that my rule to move older docs to a separate folder only runs on my inbox, as I had hoped.

  • Email with Mail Rules applied are automatically marked as read

    I am using Mail in Mac OS X 10.5 with Gmail IMAP, and any email I receive that has a mail rule applied to it (such as, if person x emails me move email to this folder) is automatically marked as read (i.e., doesn't show up as a new message). Any email that comes into the Inbox, however, is marked as new.
    The mail folder I am testing this with does not have the "mark email as read" rule applied to it, yet it keeps marking any email that goes through this rule as read. Also, no new mail sound plays after receiving these emails. In Tiger, even when an email was automatically marked as read by mail rules, it made the new mail sound.
    I don't know if this is a Mac OS X Mail issue or a Gmail IMAP issue, but it's frustrating as all edit: I guess he-double-hockey sticks is a four letter word]. Is anyone having this issue and does anyone have a solution?

    For me, it never counted it as new. It would just appear.
    I deleted the Mail preference file and that seemed to fix some things, even though it did require me to re-setup Mail almost entirely. This morning, though, I got an email from my girlfriend that did not filter at all, even though the email address she sent from is in a rule. Might be an isolated incident, though.

    I have created several Mail rules, including one the delete unsolicited mesages either from certain senders or to certain addresses. The rule reads like:
    If 'any' of the following conditions are met:
    'From' 'is equal to' 'Online Casino'
    'To' 'contains' 'fax@<mydomain>'
    <several more similar>
    Perform the following actions:
    'Delete Message'
    Unfortunately the rule does not appear to be applied: these messages are moved to my Junk folder, from where I delete them using 'Erase Junk Mail'.

    Mail rules only apply automatically to the Inbox when email arrives. If your email provider is marking them as spam, it may be moving them to the Spam (Junk) folder on their server. Rules won't fire on those.
    You can apply rules manually, but you have to select all the messages you want to check, then choose Apply rules from the Message menu.
    Also, there is a setting in Mail's Junk preference to trust junk mail headers. In that case, if someone marks the message as spam, Mail will move it to Junk, but not mark it as junk. I'm not certain, but I don't think rules will fire on those, either.
    And, I forgot about the Filter setting as Csound1 has pointed out.

    Odd. I've got a Mac mini and an iMac, both running 10.8.2, both with iCloud syncing Documents & Data. Mail on the mini has rules -- created on that machine -- for SpamSieve that are not syncing to the iMac; in fact, both rules disappear every few days and I only notice because spam starts piling up.
    On the other hand, changes to Mail rules on the iMac are synced to the mini. The mini has been running Mountain Lion for five months; the rules only started disappearing after I upgraded to ML on the iMac last month.
    Any ideas on why the syncing is only one-way?

    It appears that I can't edit my original question. So here is new information. It is syncing. However, the contacts are syncing with my personal folders. The calendar is syncing from Outlook to Ipad from my personal folders. However, the calendar is syncing to Outlook in a hotmail calendar in the profile that I didn't know existed. How do I get it set right.
    I tried to select the calendar. However only one calendar is available in itunes. It must be the correct calendar as it is syncing fine. So how do I get ipad to sync back to the personal folders calendar instead of the hotmail calendar in my profile?

  • How do I apply a Mail rule to only a certain mailbox?

    I want to put certain messages into a mailbox and have them "expire" (be deleted) in 30 days.
    For example, I want to put all my "email receipts" in a folder after I complete the transaction and have Mail automatically delete them after 30 days. That way, if I ever need them (for returns or whatever [which I would do in 30 days]) I have them, but after a point (when I don't need them) Mail would delete them for me.
    As a side note, is it possible to create a rule that meets ALL of some criteria and ANY of other criteria?

    Yes.  I understand this.  I want to set up a rule to move the message to a different folder.
    There's a header field X-Envelope-to: and the mechanism to edit header list - select Delivered-To lets me do this.  Previously I had tried to select Header, and that did not work:-(  I solved my own problem!

    I have 2 yahoo mail accounts. One of them updates to my iphone every time I get a message, the other one does not. In fact, the other one will not load new messages at all. I have deleted the account from my phone and reactivated it. I have updated to iOS 6.1.1 (from iOS 5). I have turned it on and off again. I have made certain push notifications are ON and Fetch is set to 15 minutes. Any other solutions out there?

    One thing to remember is that mail rules are only executed on incoming email.  To run a rule against existing email, Mail > Message > Apply rule.

    After upgrading to Mountain Lion, the mail rules appear to be "shared" for all user on our Mac. When a user adds a rule, everyone sees this rule.  Some mail rules are lost in the process.  How can we fix this?

    If it is hanging on the 'upgrading database' portion please see this discussion and the solution posted by registerednderd at the bottom of the first page.  It worked for me at least to get past the 'upgrading database' hangup and then to import the old messages.

  • Modifying existing mail rules now even worse with Mavericks 10.9.1

    Mail nightmares continue with Mavericks update 10.9.1 installed. In fact, the nightmare gets bigger. The story goes like this.
    Prior to Mavericks, I created a stack of rules to move Mail messages from the Inbox to designated Mailboxes, e.g. messages from Friends would be moved to a Friends mailbox. Everything worked fine.
    Along comes Mavericks, and when I Edit a rule to add a new recipient, and Apply that rule change to Move existing messages to another mailbox, messages would be Copied instead of being Moved, even though Move was the only action selected.
    Now with Mavericks 10.9.1, nothing happens when I Edit an existing rule and then Apply the rule change to an existing message. The messae just sits in the Inbox and does not appear at all in the Mailbox I want to move it to.
    How do I modify mail rules to move a message to another mailbox, then apply that rule modification to existing messages?

    Unfortunatelly you are not the only one with this problem. I am in the same situation with the exception that once I create the rule the new incoming messages will go to the designated mailbox. If you want to create a new rule, the message will just copy, not move to the mailbox. I contacted Apple support and a representative called me back and asked me to do all kind of stuff, but no luck. I was hopping that the update to 10.9.1 will solve this, but again no luck. I gave up in trying....I am waiting for the next update and hope for the best.

    Sorry, I misread you post. There is a feature with ATT mail that allows that. Deselete it in Settings, more options.
    Change it to don't POP spam.

    My Mac has 4 mail accounts coming into it, but you are correct, one of them is a POP account, (and unfortunately it is the main @ account, and is the one associated with my apple id, since we've had it for years).  I couldn't figure out how to replace this with the Imap version, short of deleting that account entirely. 
    Is this what I have to do?

  • In Apple Mail, the "All" selection has disappeared so I cannot search All Mailboxes. I can only see "Inbox" "Sent" "Flagged" and "Drafts" as search options.

    There used to be an "All" selection before "Inbox" -- How do I get it back? I rely heavily on searching All mailboxes.

    I have rules set up to color code my e-mails. They work fine in all my mailboxes (Inbox, Trash, personal folders), but do not work properly when applied to my 'Sent' folder (the messages all turn orange). What's the problem?

    there is no problem. Mail rules work on incoming mail only. if you want Mail rules to apply to sent messages you need a 3rd party plugin. MailActOn

    I just used my email account which is a business account- not an ECU account but these rules according to the apple thread apply for all emails. Thank you

    You can set it easily...
    To access this feature in Apple's Mail app, right click on any sub-folder (like your exchange inbox on the left) and choose "Get Account Info." A window will pop up that looks like the one below. Make sure to select your Exchange account from the Account dropdown. Then click on the Out Of Office tab. If you have ever put in an Out of Office message in the past it will be displayed here. You can adjust and set your Out of Office from Apple Mail from within this tab.
