Managing content expiration.

Hi everybody!
I am in charge of develop a solution that manages content expiration based on a sort of categories.
I am thinking to do the tasks below:
1- Creating a table in the configuration manager UCM applet and populate this table all category and expiration times.
2- Creating a view that will look for the category table
3- Define this view as a combobox in the check-in form. So, users can choose which category a content belongs to.
4- After calculation, expiration date will be set in dOutDate CHECKIN optional parameter.
Lately, some developers came up with the argument that I could use URM or IRM to manage content expiration.
I'd like to know if my idea is appropriate or it's possible to use URM or IRM to accomplish the task.

First of all, I think you should approach your requirement from business, or compliance side, not from its technical implementation.
If I read between lines correctly, you want to automate expiration of content (by setting expiration date) based on rules in a custom table (and most likely also the date of its ingestion). If you requirement is really that simple, you may go easily with the functionality of the new component Framework Folders, which introduced Folders Retention - see http://docs.oracle.com/cd/E23943_01/doc.1111/e10978/c08_folders.htm#BCFEHCDJ
Note that retention folders are query folders, i.e. rather "assign" a folder to an item, you can create a query - an item can correspond to several queries at once. And retention rules are a bit more flexible (you may retain x last revisions rather than delete everything, it works with the concept of "fiscal year". etc.)
Records Management (URM, I'd forget about IRM for this case) will be more formal and more complex to setup:
a) it will ensure that content will not be deleted earlier
b) it will keep audit
c) disposition rules can be even more flexible
d)it minds exceptions (so-called "freezes")
etc.

  • Managed Content Folder Pagelet: Can Sub-folder list be sorted?

    It seems that even prefixing the names of folders with numbers cannot influence the random arrangement of folder names. Is it possible to sort these for Interaction Hub 9.1 ?
    The image below is of a homepage pagelet that was generated with the Pagelet Wizard for the type 'Managed Content Folder.'  Note that when viewed from the managed content 'Browse Folder' these sub-folders do appear in order 1 through 8.

    Is the content of the pagelet a navigation collection?
    I have seen that in a navigation collection we can specify the order using the 'Placement in Folder' drop down.
    I am assuming these options should be similar for Interaction Hub 9.1 as well? Let us know if this was useful or if you are still running into issues. Thanks!

  • SharePoint 2010 Manage content and structure copy operation issue

    Hi,
    I am trying to copy a subsite from location A to B in the same site collection using the copy operation of Manage content and structure. Site is getting copied but default.aspx page is not getting copied to the destination. I tried copying the default.aspx
    page directly using copy operation but that too is not working. There is no error thrown but the page is not coming up in the pages library of destination site.
    As a workaround, i copied the page using SharePoint designer but i am looking for a solution to this issue.

    Hi Ajit,
    According to your description, my understanding is that you could not copy default.aspx page using Manage Content and Structure.
    I did a test about this issue, and found the followings:
     1.When I checked out the publishing page, then copied the site to other location at the same site sollection with Manage Content and Structure, the page was not copied.
     2.When I checked in the page without publishing,  and copied the page as the step1, the page also was not copied.
     3.I published the page,  then copied it, the page could be copied.
    So , for resolving your issue, please check the default.aspx page, make sure that the page is published.

  • Item level security not available to accounts with manage content?

    Though I'd post this here before trying metalink.
    Environment: App Server Portal 9.0.4 (10g) on Win200
    The scenario:
    I have set up a page with one item area. This is set to be a portlet on another page and act as a message board.
    I wish to set up a group of users to maintain this message board, but restrict their access any further.
    Setting a user up with 'Manage Content' on the Page properties almost does this. It allows them to Enter/Edit/Move or delete items but pretty much no more which is exactly the level of access I require.
    What it doesn't allow, when they add or edit an Item, is the ability to change Access permissions.
    The page has 'item level security' ticked, and a user with higher 'Manage' access can set access permissions on items, for example only allowing a certain group viewing an item, but it also allows them to manipulate the page which I do not want to permit.
    Is it possible that 'Manage Content' level users can also set access on items?

    Resolved, it appears that access can be set after item creation using the edit. a little quirk.
    Also I was trying to set access on an item created by the 'manage' user, which was beyond the 'manage content' users scope, and not a practical situation.

  • Manually Manage Content?

    I have a massive iTunes amount of music and video, and have recently started storing most of my video on an external drive and my iPod Classic and not in my iTunes library. (There's a fair bit of content I do want with me at all times, and I'm on the go so often that keeping my iTunes library entirely on an external drive doesn't work for me, as that means carrying an piece of hardware, power cord, and firewire cord with me everywhere, which kind of defeats the purpose of a portable computer.)
    I'm considering an Apple TV, but had a question before I shell out a few hundred bucks.
    Obviously, to get content onto the Apple TV, I have to load it back into my iTunes library, which I don't have a problem doing. Once it's there, do I have the option with the Apple TV to manually manage content the way I can on an iPod, or may I only sync it? That is, can I load content into iTunes, put it on the Apple TV, then delete it from my iTunes library the way I've been doing with my 160 gig iPod?

    No, you cannot, in theory or otherwise. Being able to select, even very specifically, what items to sync to the AppleTV is still far different than manually managing content the way you can with an iPod. With an iPod you can turn off syncing and manually drag and drop content from iTunes to the iPod. After manually moving content to the iPod you can delete it from iTunes and the content will not be deleted from the iPod unless you yourself delete it.
    Specifying what items to sync to the AppleTV does not allow you to delete those items from iTunes as the original poster was hoping to do. Doing so would cause those items to be deleted from the AppleTV at the next sync. The closest "in theory" solution would be to choose what items to sync and then delete the files from your HD but not remove the items from your iTunes library. This would probably work but would be very, very risky as choosing to consolidate or refresh your iTunes library would result in the deleted files being remove from the iTunes library and ultimately from the AppleTV on the next sync. So the simple answer is no, the AppleTV is not able to work the way the original poster and many other people had hoped.

  • Why page is being unpublished when moving from Manage Content and Structure ?

    I am getting strange behavior in Manage Content and Structure as below :
    when I move published pages from site 1 to site 2 , all moved pages in
    site 2 are being unpublished !!
    and mention below status :
    Status: Checked in and viewable by authorized users.  
    how to move pages from
    Manage Content and Structure so that I don't need to publish the moved pages manually ?

    This is a default behavior as a new content is added to site 2 with a different metadata so it is marked as unpublished

  • MOSS 2007; Manage Content & Structure = timeout & authentication request = 401

    Hi,
    I am having from time to time some issues with an older MOSS 2007 environment. Sometimes browsing to manage Content & Structure ends up in a long thinking process which ends with an authentication request. A Timeout seems to happen. Whatever a user enters...
    it ends ip in a 401 error.  That does not happen every time, but sometimes. The rest of Sharepoint works well. 
    Let me first describe the environment. The environment is fully virtualized. The content db is huge - the approx size is about 1 TB. There is only 1 site collection and quite a huge site structure.
    The environment as such
    2 WFE
    1 IDX
    1 SQL 2005 Cluster
    We use Kerberos for authentication. 
    The w3wp processes grow to about 1-2 GB.
    We have identified that when SQL Cluster fails from one node to the other.. this symptom disappears for a while. I have no clue what this  can have to do with the described effects. 
    An IISRESET on all servers sometimes helps, too.
    We cannot identify any errors, but the issue is really annoying. 
    Any thoughts?

  • If I create and publish content with the trial version of Captivate 8 will it (the content) expire?

    I see this is the case with Captivate 6,  content expires 30 days after publishing or something like that.
    Does anyone know if they have kept this "feature" with Captivate 8?

  • Moving Solution Manager content across platforms

    I have a pretty good understanding of Solution Manager's capabilities but need to make a decision about the platform to install it on for our project.
    We want to get something up and running quickly so we can learn from it, but this probably wont be the final platform that we use for our implementation and production running.
    How difficult is it to take Solution Manager content from an installed server and move it to another one? Can this be done? Will it result in much "downtime" for our project?
    What if the final platform is totally different from the initial one - say from SQL Server/Windows to Oracle/AIX - will we still be able to move developed content from old to new?

    You can do system copies - but the "content" (means solutions, EWAs) are not that easy to transfer since they depend on the CRM structure (Businesspartners, roles of them etc.)
    We are in the same situation of having an upgraded SolMan (initally started with 2.1 over 3.1/3.2 to 4.0 with Unicode conversion) with > 7.000 support desk messages which we don't want to loose. Our research to move those messages to a freshly installed SolMan turned out to be too complicated and needing too much time - thus we decided to freeze the current SolMan at some point soon and install a new one and start the implementation from scratch.
    It may be possible to export/import certain configurations/settings but as far as I know there is no standard procedure for this.

  • SRM based on Solution Manager content

    I look at SRM architecture and there is no SM gets involved.
    But why each SAP SRM document says that SRM is based on SM content?
    How to access the Solution Manager to get  the SRM process description -- as instructed by the SRM documents?

  • Automatic content expiration

    Hello,
    In educational market we have an important feature lacking in current DPS implementation (maybe?). We need a way (API, Folio configuration, etc) to allow automatic content expiration. Consider an Editor that sells eletronic books for schools and wish to guarantees, according to his business model, an annual renovation fee to allow the school to continue using his content, of course using entitlement.
    Is it possible already or should I post this on the feature request sub forum?

    This isn't something DPS supports today, and once a reader has downloaded content to their device it remains on their device until the reader chooses to remove it. There is no revocation support.
    We have heard this request from other customers, and it's being considered for future releases.

  • Portal Content Expiration

    Hello,
    Is it possible to change the way the expiration period of content is displayed in the Add Item Wizard? We would like to force the users to enter an expiration date. Out of the box the Never Expires radio button is selected. I have looked at the File Type in Shared Objects and I set a default date which was better but the ideal solution would be for that date to be dynamically populated and the 'Never Expires' option hidden.
    Is there a way of acheiving this?

    Thanks for your response.
    Unfortunately, I am unable to remove the expiration date from the wizard completely as the users may be adding content that is valid for 3 months, 6 months, 12 months etc. By assigning a default value for the expiration date, it avoids the 'Never Expires' option being pre-selected in the Wizard but I have not managed to find a way to set the default date to be relative to the date of upload. i.e. if a user uploaded something today, I would like the date to be shown as 29 Mar 2005 but tomorrow it will default to 30 Mar 2005.
    Any other suggestions?

    Is there a way to expire content from the Teaming site. My management is wanting to know if there is a way to police expired content.

    With a Teaming workflow, you can set a time-based transition from one (or all) states to a state called (for instance) 'archive' state. The time-based transition will let you specify the days, hours or minutes after which the transition should occur. When the entry enters the 'archive' state, you can add an 'on entry' action to move the entry to a pre-defined folder (for instance) 'outdated/archived content'.
