Matching open items doubt

hi,
in FB05 first screen, at the first line item, i entered PK 50 and open item managed account A.
on second screen, i provide amount 600 and hit enter and provide another open item managed account B.
1) why $600 at amount entered field is 600- and i need to find PK 50 in assigned field only can return 0 in not assigned field.
2) the list to match is for account B and PK for account B is 40 so why amount entered is referred to credit 600 and not debit 600?
3) the double entry shows is CR account A and DR account B but why in matching screen which list account B account items i need to look for PK 50. confusing me.

It depends the way the posting keys are been configured.
If 50 is for credit and 40 for debit, then if you type in PK 50 on first screen and mention A/C A and then hit enter and type in 600 on the next screen and type in 40 and A/C B and then hit enter and type in 600 on the next screen and try to save it. This is what happens
Cr A 600
Dr B 600.

    Dear SAP Gurus,
                       I have an issue with lockbox process. The problem is selecting the customer open item for clearing. Our Client uses standard SAP USER EXIT (FEBLB001).
               Our billing document number does not equal to the financial accounting document number all the time. We store our billing document number in the Assignment field some times, and so this is the number the customer will reference when remitting payment. I have not been able to find a way to make the SAP system to use the customer's reference number (e.g. Assignment field) to clear the open item.
    I m not sure how to resolve this issue. As far as my knowledge, we have to add selection field ZUONR to USER EXIT apart from XBLNR, BELNR. Please help me with this problem by providing me some basic knowledge. I would greatly appreciate for help.

  • Open Item and Line Items are not matching

    Hi Gurus,
    I ran the EFT for vendor #1600109 for payment on 10/18/07.  If I run the vendor open items report (ZFI019) for today, it shows the balance net of the EFT that is $203,466 ( $263869 - EFT Value is $60,403). 
    When I ran the vendor line items display (FBL1N), it shows all the invoices including the invoices paid on the Oct 18 EFT $263,869 which is (2034,66+60,403). 
    User wants the open item report should tally the line item display.
    I will assign good points.

    Hi Gurus,
    EFT is working fine. But the Vendor Open item Report (Custom Report) and Vendor line item report (FBL1N) is different.
    We are looking a balance for a vendor as on 15th where the balances are not matching between the reports but if i run FBL1N on 18th the balances are matching.
    Clearning date is 18th
    Posting Date is 15th.

  • Open item Settlement for exact match.

    Hi All,
    We have requirement in our project to clear the exact match first ahead of the oldest due debt.
    To elaborate on the requirement, please have a look at the following example.
    1st Invoice -$100  Due date-1/11/2010
    2nd Invoice-$250  Due date-1/12/2010
    Customer makes a payment of $250 on 10/12/2010.
    As per our requirement, It should clear the 2nd Invoice first, as it gets an exact match and not the oldest debt due.
    However, if the customer makes a payment of say $300, then it does not find any exact match and hence will clear the oldest due first.In this case,the 1st invoice.
    In the clearing Step under the clearing variant , we have tried to use the Amount rule as '0'-Clearing only possible when amounts are same.....but it is not working as per our requirement.
    Can any one of you give any thoughts on the issue?

    Hi - tried this config, and I cleared an open item based on exact amount, that was due later that 2 other items. See below.

  • Mark Debit Open Item as Doubtful

    Hi All,
    I like to do an enhancement on Dunning by defining Dunning Activities. For that I will create a function module which will mark the debit open item as doubtful, similar process is done by tcode FPZW.
    Is there any function module that would do certain process ? so I can make it as a reference. I have tried FKK_S_DOUBTFULDEBIT_CREATE, but kept getting error message saying that there's an error on the document, eventhough If I ran through FPZW it can be succeeded.
    another thing is, how do I create the function module which to be defined on Dunning Activities ? I mean, what parameters should I create for the function module ? or any parameters I need would do, but how am I supposed getting the informations required ?

    Depending on your ERP release, you should be looking at RFSEPA02.  RFSEPA01 is to rectify if you forgot to check "Line item Display" on the account master record.  This will create the appropriate BSIS, BSID, and BSIK records for line item display. 
    RFSEPA02 is if you forget to check "Open Item Management" on the account.  This will creat the appropriate BSIS, BSID, and BSIK records for Open item management.
    By the way BSAS, BSAD, and BSAK are for the cleared items.
    RFSEPA03 is to turn the account off from Open item Management.
    In our ECC 6.0 system; however, RFSEPA02/03 are no longer options.  A popup error message suggests creating new accoutns and migrating the line items or archiving the existing items to use the existing account.

  • Doubt about report FBL5N of screen field:Open items and Cleared items

    i know the report FBL5N is use DDF LDB and the report work flow is BSID->BKFP->BSEG
    but i don't know to differentiate Open Items and Cleared items in this report.
    Open items and Cleared items stand for a field flag in these table (BSID,BKFP,BSEG )? if true the field is?
    or they must be calc in program ? if true what about calc rules?

    Hi,
    Here is the difference in Open Items and Cleared Items.
    In FI first the document is Open (when it is posted) so the entry is made in table BSID. Once the document is cleared, it will move from BSID to BSAD. And for Cleared item you will see Clearing Document no and Clearing date values updated (these are blank when the item is open).
    The only difference in Open and Cleared is via Clearing Document and Clearing Date. If the values are present, it means document is cleared.

  • Open Items Count not matching in FBL3N

    Hi All,
    Kindly help with below urgent issue:
    My client is using the Bank Reconciliation process (Manual). They have done the reconciliation for the SBI bank till 10th April 2014. They are using only three accounts : Main bank, Payment  and Receipt Account.
    Now want a clarification in in the FBL3N report, when they see the Payment account.
    The issue is as follows:
    1. When the user sees the Open Items as on 10.04.2014, he can see 17 items.
    2. But when he sees All Items Posted till 10.04.2014, he can see 16 open items. Once Items less that got cleared on 24th April.
    So if it got cleared on 24th April, it should show in the Open Items also when the users tries to see All Items posted till 10th April 2014.
    I have attached all the necessary screenshots.
    Below is the user comment  " In FBL3N, If you see the GL 2000151052, in open item dated 10.04.2014, it shows 17 items. But with all item from 01.04.2014 to 10.0402014, it shows 16 items."

    Yes. You are right. All items would show all the documents that have posting date in the given range.
    Even if you create a document today with pas posting date, it would come in all items list.
    If a document is cleared on a particular day, it would come in cleared list as on that date. If you give one day before, it would show as open item.
    Technically, an item is open and cleared on clearing date.
    EG: At 10 am, item is open. You clear the item after 10 am, status would be cleared after 10. Since SAP dont track clearing time, item would be shown as cleared as on clearing date.
    Note: All items option will always show current status of the item. If you want the status as on particular date, please try open items at key date/cleared items at key date options.
    Post a doc on 15.04.14 with posting date 01.04.14, clear it on 16.04
    Open items option as on 01.04 or 15.04-Shown open
    Cleared item option as on 01.04 or 15.04- No result, as on 16.04, cleared
    All items as on 01.4 to 15.04 (Run on 15.04) -Shows Open, Run on 16.04 with same dates-Shows cleared (Current status)
    You can try posting one document and run with different options to understand better.

  • F.05 doubt in Open Item and balance managed

    Hi,
    I noticed that we have the option to valuate open items and G/L balances for the same account number's in F.05
    If suppose, an open item managed account was entered and checked in both places (Open item and G/L balances), will the system do both? Since it can also take the balance of the account and give the difference or if SAP actually checks whether the option of open item managment is ticked in FS00 and decide to valuate it as open item.?

    If open item management is selected in G/L Master, SAP valuate open item only. It won't do both valuations.You can verify the same with F.05. If u selected open item management, and in F.05 u want to valuate account balance for the same GL, SAP won't valuate.

  • EBS Customer open items automatic clearing within tolerances

    Hi Experts,
    We have already implemented Elecronic Bank Statements automatic uploading functionality.  As part of this process, customer open items need to be cleared automatically. 
    As per the standard process, SAP will be able to clear off the open items ONLY if the collection amount (reflected in MT940) is exactly equal to the invoice amount (reflected in the open item).  But general practical situation is that customers may under / over pay.  For example, if the customer invoice is for USD 100,005 the actual payment from the customer could be for USD 100,000.  In this case, it is normal business practice that open item will be cleared off rather than keeping balance USD 5 in ledger and chasing the customer.
    So tolerances are already set up both at GL account level (Trans OBA4) and customer level (Trans OBA3) with blank tolerance group with permitted payment difference of USD 15.  And no tolerance group is assigned to the customer master.  Also account determination is maintained for the differences with nil reason code.
    Inspite of all these settings, I am getting an error message indicating that the difference is too large for clearing while trying to upload this bank statement.  Here the difference is only USD 5.
    My doubts are:
    1. Does the standard EBS program RFEBKA00 considers the permitted payment difference tolerances set in transaction OBA4 and OBA3 ?  I don't need to post the differences with reason code.  That's why account determination is maintained with blank reason code as well. 
    2. SAP Note 124655 (Point No 3) says that entering reasons for differences is not possible in the standard system through EBS.  Does that mean clearing of open items WITHOUT reason code is possible ?
    3. SAP Note 549277 (Point No 5) says that even though Note 124655 specifies certain functionalities as not supported in standard system, they can be achieved by customer through user exits.  Does that mean it is possible to code in the user exit saying that system should consider the payment difference tolerances for clearing off of the open items ?
    Could you kindly let me know your experience with these questions.  I will be very glad to hear from you.  Thanks for your time.

    Hi Experts,
    I got this resolved by using the enhancement FEB00001.  If the field "Distribute by age" is activated through this enhancement, then system will be able to match the paid amount and the combination of open items for automatic clearing.  If there is no exact match, then automatic clearing through FF.5 is not possible as indicated in SAP Note 124655.
    There is no more necessity to use BAdI FIEB_CHANGE_BS_DATA.  Complete relevant logic can be maintained directly in the enhancement itself.

  • What happens to the open item in bsid table when it is cleared

                   i have a doubt about open and cleared items of accounting documents. as we know open items of customers are stored in bsid and cleared ones in bsad. For suupose, an open item is closed ina particular period then what happened to the entry in bsid and bsad table. an entry regarding is stored in bsad (cleared),and what happens to the entry in bsid, still it will be there or removed from it.

    When ever we clear the document(Complete payment) that document will be moved to BSAD table. Other wise it will remain in BSID.
    If u are making partial payment then all the partial payment documents along with original document will be stored in BSID till u made the complete payment for that invoice.
    Assumption is u have to give all partial payment documents made for particular invoice item while u are making complete payment in F-28 transaction. So that these partail payment documents will also be cleared while making complete payment and moved to BSAD table.
    This trasaction can be used for both partial and complete payments.
    Irrespective of complete or partial payments made all the documents will remain stored in BKPF and BSEG tables.
    BSID and BSAD are index tables to address performance issues with BKPF and BSEG tables.
    So all open and cleared documents will be there in BKPF and BSEG tables.
    All cleared documents will be there in BSAD table.
    Alll open documents will be there in BSID table.

  • Vendor Open Item Was Not Offset After a Replacement Check

    Hi FI Guru,
    We have an issue with vendor replacement check.  Our vendor open item still apears in FBL1N after a replacement check is paid.  We initially issued a check against a vendor invoice and we had to void that check because due to check printing problem.   The check was cancelled in FCH8.  We then issued a replacement check in F110.  When I displayed open items for the vendor in FBL1N, the vendor invoice still showed up.  The replacement check already sent to our vendor.  So we have to apply the payment to the vendor's invoice.  It seems the second transaction (for the replacement check) is incomplete because I dont't think it hits our bank account.
    Here are my questions:
    1) Is there another transaction our user needs to offset vendor invoice?
    2) If we have to fix it manually, what is the best option to offset the open vendor invoice and still be able to hit our bank account.

    In order to change the Open Item Management for a G/L account using
    ZFSEPA02 the line item total(Total of open items)for this account
    should match/tally with the account balance for this account (FS10),
    otherwise the open item activation will not be possible.
    Unfortunately as per note 175960 you find reports RFSEPA02/ RFSEPA03
    are no longer supported as of release 4.5A.
    ALTHOUGH you can find a possible solution on how to tally the line items
    to the balance in the NOTE 403744.
    1.  Active New General Ledger
             This note applies ONLY WITH RESTRICTIONS to Release ERP 2004 or ERP
             2005 with activated New General Ledger and activated document
             splitting.
             In these releases, it is not currently possible to subsequently
             activate the open item management under the specified conditions.
             The only option currently available is to set up a new account with
             open item management and to use this instead of the original
             account.
             However, it is also possible to deactivate the open item management
             using report ZFSEPA03 under the prerequisites described below.
         2.  Migration to the New GL:
             If you are planning to migrate to the new General Ledger using a
             migration type that enables the use of document splitting, ensure
             that in Phase 1 and Phase 2 NO changes are make to the open item
             management. Phases 1 and 2 indicate the period between the migration
             date and the end of the actual migration (the "Migration Completed"
             indicator is set)

  • F110  - payment on vendor open items as of a prior week

    Hello,
    I am trying to run F110 to pay vendor 1000's open items as of jan 2nd. Can anyone please tell me what how can I restrict the F110 to pick open items as of Jan 2nd? Do i enter it in the "docs entered upto" field? I have tried that and that doesnt seem to work.
    Also how does the Free selection tab work?
    My client ran FBL1N for vendor 1000 - open item as of Jan 8th - then sorts by payment date of Jan 2nd and these are the items that we are trying to pay using F110 - not sure how to bring it in F110 as it brings a lot more stuff than that needed.

    For that you can do through this way
    In F110 there is one option that is  next payment date 
    If you will give there 9th Jan date system will pick all open item from run date to 8thJan
    So you can pick all open items through this way.
    Free Selection tab is working for inculsive and exculsive for field selcetion
    If it is Inclusive system sorted that for selection
    If it is Exclusive system deselected for selection

  • Unable to clear vendor open item.

    Hi experts,
    Have posted vendor document  under document type KZ directly, there is no open item invoice to clear the document.
    posted entry as below. now we are unable to clear the open item document through F-44. we did not find open item for the posted document which is posted in document type KZ.
    Vendor account entry
    25 vendor account 10000
    38 vendor account  8000
    50 bank account     2000
    document has been cleared only 8000 not 2000.  Please advice me how  to clear the KZ document.

    HI Anji Reddy,
    There is some Process to do Clearing function
    first of all Open item should be there in Vendor account with the Invoice.
    For that invoice there should be a payment which is full payment or else Partial Pament.
    Then you can do clearing function to clear the Open items.
    Through F-51 you can do both Payment and clearing which is Post with clearing
    if you have done payment throgh any other Tcodes you have to come F-44 and do mannual Clearing.
    Try to explain your senario more Clear so that your doubt can solve

  • Bank Clearing Account - Open Item Clearing

    Dear Friends,
    We have maintained the configuration for importing the electronic bank statement and we have tested and found that the entries are getting posted in the Bank Clearing Account. However, we have encountered a major issue, when we perform the automatic payment run, the value date gets updated in the Assignment Feild, whereas the users want this to be updated with the combination of "Document No. + Value Date".
    Secondly, when we import the bank statement, in the multicash format, the posted entries in the Bank Clearing Account have the "Document Header Text" field updated in the Assignment Field coloumn, thus making it difficult to do automatic clearing of open items. In these entries also it is desired that the combination of Document No. relating to the item paid thru payment run plus the Value Date should get update so that the open items in debit and credit can be matched and cleared off automatically.
    Your help would be highly appreciated in achiveing these objectives.

We need the original Docuemnt No. + Value Date to get populated in the Assignemnt Field in the entries posted while importing the electronic bank statement.

    my client is having 3 company codes, these companies exchange goods/services for which intercompany vendor and customer is billed.when it comes to clearing of open items in intercompany vendor/customer client demands some automated approach to reconcile the vendor/customer line items in  another company(both company codes are in the same instance) and also to clear these line items.
    i have two questions in this regard,
    1. Is this possible to reconcile (match) the line items of vendor in another company code with line items of customer in own company code.
    2. If answer to above question is yes, how i can automate this process.

    The answer to your question is yes. This is what you need to do.
    Execute transaction code <b>OBYA</b>, when prompted, type in 1st coy code, say <b>A</b> and then 2nd coy code, say <b>B</b>. This would take you to the "<b>Maintain FI Configuration: Automatic Posting - Clearing Accounts</b>" screen.

    So, if you are using the Customer/Vendor approach, company A must be set up as both a Customer(Use Txn Code<b> XD01</b>) and a Vendor(USe Txn Code <b>XK01</b>) in Company B and vice versa.
    Once you have completed this set-up, you can then use transaction <b>F.13</b> and/or <b>F13E</b> to carry out your automatic clearing.
    However, if you intend to use the G/L approach, then the account numbers would be Inter-coy G/L account for each coy code as defined in the chart of accounts.
