Material documents archiving

Presently trying to archive material documents through SARA and using object MM_MATBEL. Is this only for inventory maange ment or mat doc generated through process orders can also be archived (transaction type WR).
For variant picking the document on the date basis. But when execute it says no document found while documents are there in the MKPF table.
Further when trying using program RM07MARCNot able to do archive the same.
it display the following message
"Plants/Transact./Event Types for Which Doc. Ret. Period Has Not Been Maintained"
where this needs to be maintained.

In SARA -> Application Specific Customizing for MM_MATBEL -> Define document life
one can set the residence time for material documents per plant and transaction type. Check if you have maintained any entry for transaction type WR or if there is any entry where Plant is '####' and Transaction Type is '##'
If you dont find either entries then you have 2 options.
- Maintain an explicit residence time for transaction type of WR
- Maintain a implicit residence time for all transaction types ie add a entry where transaction type is '##' (This residence time effects only those transaction types which are not maintained explicitly)

Cancel Archived Material Document

Hi Experts
I have scenario, where I need to cancel a Material document(PGR ref to a delivery) which appears to be archived. I was archived by the system, due to an update termination error, following some conversion issues in material master.
How can I cancel this archived material document

your question is not clear
if a material document is already archived (deleted physically from the tables), then you cannot cancel it, as you can only cancel what is available.
In this case you would need to perform a new movement using the cancellation movement type, but without reference to a material document.
I was archived by the system, due to an update termination error,
this is just impossible. Archiving is only done by execution of certain transaction, but not by termination of postings.
If the update has terminated, then the movement has never been in your system, hence you dont need to cancel it.

Return Delivery when the material document has been archived

Hi There,
We have a situation in which we need to return some consignment material to a vendor because we don't need it anymore. We have 74 units in unrestricted stock. The thing is that the PO's material documents have been archived. This causes we can't do the return delivery using MIGO transaction.
Could someone tell me what options do I have?

You can create a return purchase order to do that, just flag the checkbox "Return" in the PO item line.

Deleting archived material document

Can we delete any material document which is archived ?

Deletion of archived documents is one step during archiving.
SAP reads the archive and verifies that it can read any record, and then deletes it from the database.
This step can be seen in SARA.
enter object MM_MATBEL.
Click the delete button, select your archive and shedule the job.

Delivery document archived and material document has zero quantity

Hello Gurus,
This is intracompany STO scenario with delivery. There is one STO for quantity say 1000 pc created in 2008. Delivery and PGI done for 1000 qty in 2008. Goods are received in receiving plant for qty 1000 in 2008. Now this delivery document is archieved and user has reversed the GR material document in 2010. Now this reversal material docuemnt has zero material qty becasue the delivery was archieved(which is the probable reson)
When I want to cancel this reversal material document it gives error that "Qty and / or "delivery completed" ind. or final issue ind. are missing" which is logical since material document has zero quantity.
Is there any sap notes or any other way to fix this?
Please guide.

Where is actually the problem, if one only reversed 0 quantity?
Why do you think you need to reverse this reversal again?
why with year 2010?
Dont you do anual inventories? Such stock counts have corrected your stock anyway. if you start cancelling older movements then you create stock inconsistencies again.

FM for List of Material Documents

Is there an FM for getting the list of Material Documents (like MB51)?

In SAP standard program RM07DOCS(MB51), there is no standard FM to fetch it, but you can check in these subroutines: DATA_SELECTION, DATA_SELECTION, DATA_SELECTION_VIA_MATNR, DATA_SELECTION_VIA_BUDAT.
These 3 subroutines fetch the data from MKPF(Mat. doc header) and MSEG (Mat. doc item).
To read the mat. doc from the archive, check out the subroutine SHORTDOCUMENT_READ. The table is MARI.
You might be interested to check FM MB_MATDOC_ARRAY_READ as well.

Retriving material documents

Hi All,
what are the ways to retrive the archived material documents other than retriving via MB51.
what is the purpose of the push button storage system - retrieve files and store file in the T.code SARA for the archiving object MM_matbel.
is it required to run any batch job before retriving or we can always retrieve via MB51 after archiving.

Hi Mahendra,
Let me answer your second question first. Sometimes the terms 'restore', 'retrieve' and 'display' of archived documents is confusing.
Restore is to bring back the data from archive files back into the SAP database. This feature is not available for all archive objects; and also not a recommended action to do.
When you run a archiving job, it first create archive files in the file system, which can later be moved (optional) to a external storage system (like IXOS). Retrieve (as in SARA-> Storage System) is the process of bringing back the archive file to file system from the external storage system. So the store and retrieve option can be used only if you have a external storage system.
What happens thru transactions like MB51 is the display of archived document, where in the specific document (or range of documents / data) is fetched from the archive (either archive file or external storage system) for temporary display.
Hope this clarifies.
You can also use Archive Information System (transaction SARI) and Document Relationshiop Browser (transaction ALO1) to view the archived material documents. Earlier there was a option of viewing archived material documents using transaction MB03 (see note 431689) but is no longer supported as this feature requires index MKPF_ARIDX, which is no longer supported.
However, if you go to document display from either SARI or ALO1, it will be thru MB03.

i have ran the mb59 by giving material , plant , movement type and Archive info struct as Z_MM_MATBE. here i got the material doc and same doc i have checked at table levle but it's showing.
and how can i get invoice number by using this information..

Delete Material Document

Is there any way to delete material document in the test client permanently.

MBAD can only delete documents that are contained in an archive.
Instead of this single transactons, execute SARA, enter MM_MATBEL as object and hit enter.
Now you get a couple of buttons, that need to be processed from top to down.
But first you have to customize the object. you have to define where you want store the archive, after how much records you want close an archive file and create a new one.

Material documents in IQ03

Hi Supremes ,
We cannot see the archieved material documents in IQ03 which are visible in MB51 if archive checkbox is tickets. Is there any option we can add in IQ03 where the scope of check can be extended to view archieve mtrl docuemts also.

The user changed the following things in PO
changed Net Price from 1 to 100 AUD
changed Scheduled Quantity for 3 times with different amount respectively
changed PO quantity for 3 times with different amount respectively

Material Master Archiving Issue

Hi,
I have Issue with Material Master archiving. I got an error message" MARD:Reservation /Dependent requirement exist.
I have checked in MB24-Open reservations. All Reservations are closed. No stock existed. No Transfer requirements & No stock in transit.
I ran MBVR also.
How to solve thsi problem.

Error W4017 - Reservation/Dependent requirements exist:
This message indicates that some reservations exist for the material you
are trying to archive. You should be able to see the existing
reservations using table RESB. Firstly, you must archive the document
that caused the reservation to be created, for example Production Orders
then you must archive the reservations themselves. Afterwards, it should
be possible to archive the material.
Note 30781 may assist if you identify that these requirements stem from
purchase requisitions.

How to get relationship between material document no and accounting documen

I want to create a report displaying accounting document no and GL account no buy providing PO No and material document no (MIGO No).
I want a database table from where I can get material document no (MIGO No)(MBLNR/BELNR) and accounting document(BELNR) no both.Currently I am using
BSEG for getting HKONT,EBELN,BELNR
MSEG for getting MBLNR by using EBELN (P.O. NO)
BKPF for getting BUDAT.
the problem came with EBELN (P.O. NO) as repeated entries are there.
I am unable to write query for getting MBLNR and BELNR for same EBELN (P.O. NO).
Is there any table where MBLNR and BELNR are related to each other??????

I've done this as well earlier to create a custom document flow for archived documents where from the EBELN i've found all the related documents. Hope this helps.

Physical Inventory documents mass delete and reference in material document

Dear Experts,
I have 3 questions,
1. Is there any option to mass delete physical Inv documents
2. How can i know if the physical inventory documents are posted (MI07) or not yet
3. If i see any material document of mov type 701 or 702, there is no reference of physical Inv Doc # in it. How can i know that this material document is created as a result of which physicl Inv document.

Yes You can delete the Physical Inv Documents with MIAD but for that you need to maintain one variant with it and copy all the Document no. in TEXT file paste in the in Archiving Selection's.

Please check ISEG table and provide the time Period as search menu so that you can see all the Doc's posted on today's date.

go to MB59 and check the Material documents with respect to Movement type and date. and the difference you will see in MMBE as per the movement used.

Automatic TO creation and confirmation for a Material document

Hi Dear All,
i am new to MM andWM.
I have to customization for auto transfer orders and confirmations for material documents what ever created with 101 movement type in Inventory Management. I have down configuration like below.
SPRO->Logistics Execution->Warehouse Management->Activities->Transfers-> Set Up Autom. TO Creation for TRs / Posting Change Notices
Double click on control data tab
Hear for my warehouse I given input like   Auto TO = 1,
                                                                         AddId = select check box.
And in Assign control tab for 101 movement type I have given input like below.
Automatic TO = 1.
TO item can be confirmed immed. = tick checkbox
Propose Confirmation = tick checkbox.
Foreground/Backgrnd = D.
After creating of Material document I am executing report RLAUTA10 in SE38.When I execute this report system showing message like TO processing finished: TR total:   17, TO created:    0, Errors:   17.
If I check header details of transfer requirements in LB03, i am not seeing Tick Mark in Auto TO Creation field.
Can any one tell me what the mistake i have down or if i need to do any further configuration. Please help me regarding this concern?
