Member Validation in Work Status settings

Hello,
Within the workstatus set up on application level (work status settings) one can define an owner dimension in the work state column and also define which dimensions are relevant for work state by indicating 'yes'. How this works is clear. But for the other dimensions indicated as 'no' one can define member validation, the meaning and function of this is not clear to me.
Has somebody any idea what this is about?

You can change the work status settings for each application. Changing the work status settings involves identifying three to five 'work status dimensions,' and then defining specific members for the remaining non-work status dimensions used for validation purposes. You must determine which account you will use for validation of the data at the time the work status is changed. The validation account must be &rdquor;0u201D at the intersection of the 3-5 variable members and the members designated for the non-work status dimensions. If the account is not &rdquor;0u201D then the owner/manager cannot set the work status. This is an option feature.
The dimensions you select as the work status dimensions are the variables in your business process. For example, the entity, category, and time might change based on who is submitting data, but the account, data source, reporting currency, etc., remains static. (Typically, Time is a work status dimension since data is usually segregated based on time.)
For example, lets say that you set Entity, Category, and Time as your work status dimensions for a given application. You then set your other current view members to the following: Account: Validation; DataSrc: TotalAdj; Intco: All_Intco; and RptCurrency: LC. In addition to assigning work status dimensions, you also specify which dimension is the 'owner dimension.' The owner dimension includes the Owner property. The owner property determines who can edit a work status setting. The following figure shows this setup, where Entity is the Owner dimension.
A user attempts to post data to the current view shown in the following table. The system checks the 'validation' account to make sure the intersection equals zero (0). If so, the data is posted, and a success message is displayed. The user can now set the work state to 'submitted' on that intersection. Subsequent submissions to that exact intersection will be rejected. Users can only send data to the same intersection if the Entity, Category, or Time member changes.

As per the document mentioned by Dzmitry Lebedzeu, page 13 and page 39, there is no parity between Microsoft and Netweaver version regarding Member validation.
We are going live with SP05 (or SP06 if it launches soon) and, so far, this functionality has not been implemented - we posted a message in OSS but the answer referred to the same document and the acknowledgement of the differences in the two versions.

BPC: Work Status and Work Status Settings

Hi experts,
We have a little mess with the concepts: work status, work status settings and owner-manager in a dimension member of the dimension library.
In which case de we have to use each of them? Are these concepts related? Do we have to configure all of them in order to block the data before they are revised in a BPF?

The thread was really good and almost solved all my duties, but there is still something that I don't understand. When we fix the work status, it can be controlled by the Owner and the Manager. Who is the manager and where do we configure its value.
I think the manager is the reviewer in the properties of the dimension but I am not sure. Could you confirm me this subject?

Multiple hierarchies in Work Status settings

Hi,
I have datasouce dimension with more than one hierarchy and I need to set work status using multiple hierarchies but Work Status Settings in Admin console allow to specify only one hierarchy in Base Hierarchy.
A possible solution could be to create a new hierarchy that includes the others but I don't like.
Do you have any other idea?

as per note 1339135 - How to set dimension hierarchy on work status settings
<If you set "Base Hierarchy" to 2 for a dimension has 3 hierarchies, you cannot set work status for members included in hierarchy 1 and 3 on BPC for Web. Only you can set work status for members of hierarchy 2.>
so I think the only solution is yours.

Import with work status settings

I've recently set up work status settings for an application where we import data using a xls file and the standard Import package.
Even though I haven't locked any dimension members before, I get the following error message when importing data:
Logic Error of LOAD AND PROCESSError
Failed to commit transaction
1 errors writing data
Send through SendGovernor failed
I've tried restarting SendGoverner - did not solve the problem.
Any ideas on what might cause the error message?
We are on BPC 7.0 MS SP7.

Yes, I do use a transformation file and a conversion file.
Results of my latest testing:
1) Import file with 1 line, replace&clear and work status check selected - failed with this error message:
ISLOCKED::System error.;
The current members are locked::(ACTUAL, 2011.NOV, 1000)
However checked the table and it is clear
2) Import file with 1 line, merge and work status check selected - failed with the same error message as above.
3) Import file with1 line, replace&clear selected - work status check off: success
In which table would BPC maintain which dimension members are locked from a work status perspective? I haven't locked anything to date, perhaps it needs to be "initialized"?

Work Status Settings "Controlled By"

Hello,
I have a problem in workStatus Settings because I cannot change the parameter ControlledBy in the first state of Work Status.
I want to change the ContolledBy to "Mgr" but when I change and save the parameters assumes again the value "Both".
Do you have any idea. It's not possible to chage the ControlledBy of the first state?

Hi Rodrigo,
This is system defined that for 'In Progress' state you will have only both as the status 'Controlled By' so that both can start with the process. But for the rest of them you can design according to you requirement.

i am using bpc 5.1 and i am trying to simulate a simple validation and work status update exercise, my settings are as followed:
work status setting:
account - no - validation
category - yes
datasrc - no - totaladj
entity - owner
intco - no - all_interco
rptcurrency - no - lc
time - yes
validation rules:
validation account - remark - validation operand - other - other - applicable periods - validation tolerance
validation - testing validation - = - blank - blank - 0
validation rules details:
validation account - account1 - flow1 - sign1 - account2 - flow2 - sign2 - remark
validation - sales - blank - 1 - cost - blank - 1 - testing validation
work status:
work state - dm ...docs - controlled by
unlocked - all ... all - both
submitted - all ... all - both
approved - all ... all - both
i am just trying to validate that my "sales" and "cost" entries are the same, i tried validating before and after submitting my data using evsen(10,"finance","sales) and evsen(10,"finance","cost") respectively with the other cv values being budget, input, worldwide1, non_interco, subtotal, lc - 2007.total1 - periodic.
i received the message "submitted data did not pass validation. you may need to resubmit data" on both ocassions.
any pointers?

I have 2 entities (companies) - C1111 and C1113.
I have the script logic for calculation keyfigures for this entities (it is automatic chain).
C1113 has entered the data and has locked it. When the C1113 will enter the data, the script logic will not been executed.
I have tested it and I have received that:
the script logic has broke when system has tried to write data into database after "Error Work Status check".
If I change the line of script logic as
*XDIM_MEMBERSET ENTITY = C1111,C1113
calculation for C1111 is executed.

Work status setting

Dear Experts,
Basically, I am from 5.1.
In 5.1, For Application work status settings we have, "AppSet Dim Names" , "WorkState", "Member Validation" Columns.
But in 7.0NW i can see only "AppSet Dim Names" , "WorkState" columns.
Without "Member Validation" column how can we configure work status?
Please help me...

Suppose, I have two users Owner and a normal user.
My entity Dimension is the secure dimension. so, Owner property is configured.
Now, Owner logged in to Admin and Set "Locked" for "Started","Submitted" and "Aproved".
And Normal user logged in ...and access input templates...and submitting data...
Now My question is.....When Owner "locked" the workstatus....How can a normal user can submitting the data..
It should be locked ..right?
Could you please put some light on this....?

Unlocking work status

Hi,
We are implementing BPC 7.5 NW version and having SP04.
we have an Entity A (parent entity) and unerneath that we have two entities B and C.
In the Entity Dimension we have an owner peroperty in which for Entity A we gave a user (say Administrator as the owner) and for both Entity B and C we gave another user (say-BPcuser as the owner)
So the user Administrator of Enitity A is the owner of Entity A and he is also now the Manager for Enitity B and C.
After making these settings, when we try to modify work status through BPC for Excel it takes to BPC for WEB and in BPC for WEB we make the following selection.
Category-Actual
Entity- A
Time -2010.April
And in the next screen we are changing the satus from sUBMITTED to APPROVED ( TO lock the Data region) and save it.
Now when we input any data for this data we are getting Check work status settings.( which is our desired output)
However when we try to change the work status setting From Approved to Submitted (to unlock the data region) with the ID Administrator (i.e Owner of Parent Entity A) it is getting saved.However when we try to input the data it is still showing check the Work status settings.
So can you please suggest me how to unlock the work status settings now so that we can post the data for that data region.

Hi,
If you are in a development system and if you want to delete all the locks on the data at one go......you could try reordering your work states (rearrange your last work state for example by moving it one step further up). You get a message on the screen that this will delete all the locks on the data....just confirm the message. You could change the order again back to the original order.
Above is only if you are working on a development system and for test if you want to delete all the existing locks at one go.
If your system wants only to unlock a specifc dataset, select the required members of the work state dimensions (refer to your appliation and work staus to know what the work status dimensions are for your application). Note, if your selection includes any parent member for a dimension current work status is not displayed.(This is again as per the work status set up in BPC that work status is stored at non-parent members).
Please let me know if you still have any issues in deleting the locks

Work status in data package

Hi,
Assuming category, entity, time are my work status dimension, and i have decided to give a work status of 'approved' to category=budget, entity=sales, time=2015.total, hence category and entity are both base members while time is a parent member. However i DID NOT click on "include children in the data region". But later when i checked the work status of 'category=budget, entity=sales, time=2015.aug", it has turned into "approved". Don't i have to click on "include children in the data region" in order to flow this down to the children?
Regarding the work status checking in data packages, what does the following mean:
- Select whether to check work status settings when deleting comments?
- Select whether to check work status settings when importing data?
- Select whether to check work status settings when running logic?

You are absolutely right. Ideally, if "Should children of this data region be included?" is not selected, the children should not be included. However, I am not sure why this has happened in your case. Will definitely check on this and get back to you.
For your second query regarding the DM packages.
If you select Yes, work status settings will be copied with the data. If you select No, work status settings are not copied with the data.

BPC Work Status

Hi guys out there, where the truth is...
got a problem with the SAP BPC 70 netweaver work status and I don't know whether that is a bug, something I am overlooking or simply a non supported feature:
When launching the Work Status (MNU_SUBMIT_MODIFY) from an active input schedule with an active Current View I will end up in the WEB where the work status settings can be done. So far so good.
Then, two options are available:
Either set the Work Status for the active Current View or for a different Current View, which would then have to be specified.
And here is the issue:
What's beeing considered (and displayed) in the WEB as active current view, is completely different to the active current view in BPC Excel. In fact, it consists of the members that show up as first in the selection list of a dimension.
Question: is that the way it is supposed to be? Or is that behaviour subject to some settings in limbo or is that a bug?

Hi,
We had encountered this issue earlier. There is a fix for this in SP05 release. Please upgrade to BPC 7.5 NW SP05 for this. It is how it works in BPC 7.5 NW SP05.
When you move from BPC Excel to BPC Web interface - The CV in Web interface is updated with the CV inherited from BPC Excel.
The active CV option of the work status dimensions is also updated dynamically. It shows the values of the 'Active CV.
If you want to set the work staus for a different or another CV, choose the option 'Another CV' then change the values for the work status dimension accordingly.

BPC7.5NW - Work Status SAP Best Practices

Hello Experts,
I would like to get your expert opinion on the Work Status settings.
Usually, we configure work status settings at the Application Set and Application levels. At the application level, we do the configuration to lock down the data region based on the dimensions present in the Application Set. SAP help website says that between 3 and 5 dimensions are enough to define a data region and lock it.
I would like to know if there is an SAP best practice, that guides the user about what dimension types to use? For example, 'C' type, 'E' type and 'T' type, etc.

Hi,
It would mainly driven by your user requirements. Generally you would have entity, time and category in the work status. Entity is used if you want users to set the status to 'submitted' for example, for their entities. Apart from these three if you beleive there is a reason for you to include your datasource for example, you can specify. You cannot use the account dimension though.
Generally Entity,Cat & time are the common ones. Please let me know if you need any further details.

Blank work status setting page

Hi,
I did a backup of an appset from bpc 5.1 and restored it in bpc 7.0 MS.
i have done all the security changes, changed the database name in the "owner" category in the "entity" dimension accordingly but i still can't bring up the work status changing page.
after i clicked on "set workflow (approval status)", i was brought to a web page, but it just shows a blank action pane. back in 5.1, this would be where you use "active cv" or "another cv"
i noticed a new column in work status settings, i.e. base hierarchy. and there's a default of "1" to all my work status dimensions. Does this have anything to do with my missing work status action pane?
any idea? thanks in advance.

thanks for your reply, sorry that i can dedicate points to you. i thought by unmarking my question as a question, i can delete my question, but unfortunately it stayed in the sdn forum.
it turned out to be a rookie mistake of not assigning the right users to the application set, after i did an appset restoration in a new server. i also should have assigned the task profile of "change work status" to the relevant users.
