Moving Mail to Folders

when Inbox Mail is moved to a Mail folder, it will not stay in the folder. It reverts back to the inbox. My mail inbox has over 17,000 messages; could it be malfunctioning because of this number? I've recently performed a (Disc Utility-repair permissions) to no avail. Are there any suggestions to what might fix this problem so mail messages can be moved from inbox to a Mail Folder? Thank you.

    I hope I can keep this simple, I'll go by the steps leading to my propblem:
    1.
    I've been using POP3 mail for a long time, mainly with Outlook on PC's and now that I have made the godly switch to Apple I've been using Mail.app for a couple months. I host my domains at GoDaddy.com and they offer decent mail servers including webmail, etc. Since I'm checking mail on multiple platforms (iPhone, iPad, MacBook and webmail) I decided to start using IMAP instead of POP3. GoDaddy set that up form me in seconds and I got IMAP working on Mail.app in no time (yes, I deleted the old POP accounts and started from zero creating new IMAP accounts).
    2.
    I've learned to keep mail filing easy so I have just two folders: "Inbox" and "archive". My inbox is... well... my inbox. If a mail is in my inbox it's because it's either a brand new unread mail or it is read and I'm keeping it there because action needs to be take upon it. Once action has been taken and I want to save the mail for future reference I just archive it.  If I want to retreive mail I just make a search across all folders. Of course I also have the trash folder, sent items, junk, etc.
    3. THE PROBLEM
    As seen on the subject line, Mail.app is COPYING instead of MOVING mail to the IMAP server based folders. So when I click on archive, or manualy drag a mail to the "archive" folder it places a copy there but the email is still visible in the inbox on all my devices. I have tried creating other IMAP folders and giving them different names such as "saved mail" or "old mail" and still I get the same problem. To prove the problem is on the Mail.app side I loged into my webmail and moved messages to the "archive" folder from there, and guess what... it worked. The messages did not show up in the inbox of any of my devices any more.
    PLEASE PLEASE HELP.... I'm talking about three email addresses which receive tons of business related mail every day... I'm flooded in mail.

    I had already tried that. I even created a keyboard shortcut to do so. It doesn't work! As soon as I close down Mail.app and start it up again, the messages are back in the inbox.

  • Moving mail to folders using the IPhone?

    I notice that when I move mail to folders using my IPhone that it works as expected on the IPhone, but within the Mobile Me web client all it does is copy the mail from the inbox to the folder, which results in me having the mail both in my inbox and in the folder. Is this a known bug? or do I have some setting wrong?

  • Moving mail to folders - is it possible to type the name of the folder, vs scrolling?

    Apologies in advance if there is already an answer to this question in the forums; I searched with every combination of the subject I could think of...
    Context: my iPhone 4 syncs with an IMAP mail server.  I have lots of folders on the server, and I can see all of them on the iPhone.  I know how to use the "file" button at the bottom of an email, to move the message to a folder.
    Question: is there a way to "open" the keyboard during the filing process, so that I can type the name of the folder, rather than scrolling through the folders?

    For someone looking for help you sure have a funny way about you. Trying to narrow down where and under what circumstances a problem occurs is called troubleshooting. Showing that mail's imap works with gmail and google should al least give you pause to reconsider your out and out assertion that the problem has to be solely with mail and perhaps lead you to look at the possibility of an issue with the interaction between mail and godaddy. Just because someone who answers the phone at godaddy says the problem has to be in mail don't make it so.
    You know were all just users here, no one is getting paid. Those of us who try and help users like yourself are doing it to give something back to the community. You don't like my help, fine don't take it but check the attitude at the door.
    Hope you get your problem fixed.

  • Mail slow down and can't moving mail to folders

    OSX 10.6 +, all software upto date. Mail suddenly had difficulty downloading, spinning beachball forever, difficulty getting mail to open and when downloaded could not move to other mail boxes with out error message. Single file may move at times but can reappear in original mailbox. In boxes have been rebuilt, permissions run, etc. have spent 4 hrs looking at various forums for fixes, have found a few but not exact fit. Suggestions??

  • Apple Mail 6.0 In Box now includes messages moved to other folders

    All Mail converstions with the same subject appear with a new message in my In Box eventhough many of those emails with the same subject have been moved to another Mail Box.  For example, I use Salesforce.  Thoughout the day I will receive emails with the subject "A lead has been assigned to you".  After I have delt with these leads I click on the trash can and delete these messages.  Now after installing Mountain Lion with Apple Mail 6.0, in the Preview screen I see the emails that are in my In Box plus all other email with the same subject.  In this case there are sever hundred.
    How do I get my In Box preview to just show the current messages and not messages in other folders with the same subject line?

    You are correct that this changed with Mountain Lion.  I have one Mac still running Lion and when I checked it the "Include Related Messages" box is not checked.  So I assume that the upgrade to Mountain Lion checked this box during th upgrade process.
    I have experimented by unchecking and checking this this option to Include Related Messages.  One feature I like is if I have replied to a message the sent reply appears shaded above the message I have replied to in my In Box or any folder/mail box where I move the message.
    Bottom line, now that I am getting use to the change, I like it and will leave the Include Related Messages box checked.  The only drawback I see is that unrelated messages that have been moved to other folders and are not really part of the thread appear in the threaded message.

    Further notes (different user, same problem):
    * This is a problem that started in Thunderbird 32
    * This involves both automatic (filter) moves and manual moves
    * This includes use of keys and hotkeys (the delete key, for example)
    * Restarting Thunderbird does seem to "reset" the problem... for a while. I notice the problem most when either I've been away from the computer/program for a while or when waking a laptop computer from a sleep or hibernation state.

  • Mail loses messages moved into IMAP folders

    I use IMAP from a linux server with local synchronisation and "retain local copy" and regularly read email from at least 2 different macs and also using WebMail.
    For an IMAP folder to contain subfolders, it cannot also contain mail.
    When trying to drag and drop to a folder (rather than a mailbox) Mac Mail correctly disallows the action. Also, when cntrl-clicking and selecting "Move To", if the folder is open (ie already expanded) then the folder is not selectable as a target.
    However, if the folder is closed (collapsed) in the drop-down menu, it is possible to move the message into the folder. This is easy to do by accident!
    Looking in the local copy of the IMAP folder, I can see that there is now a Messages folder in the folder. For a while, I can find the moved message using a search, but "show in mailbox" gives an empty mailbox. However, this Messages folder is not synchronised onto the IMAP account (as the mailbox format is different on the IMAP server and the local IMAP copy on the mac) and so at some point it is deleted during synchronising with the server and the moved mail message is lost with no warning.
    If droppping onto a closed folder were correctly disallowed in the "Move To" contextual menu, this would not happen. I think this must be a bug - is anyone else experiencing this, or is it just me? and is there a way or retrieving messages lost in this way?

    Whether it's a bug or not, I'm not sure. It certainly looks like it is, but the way Mail handles mailboxes within mailboxes is more complicate than it seems.

    If the cached copy Mail keeps locally is still on your disk, yes. In the Finder, go to HOME/Library/Mail/IMAP-username@mailserver/. How many folders named after the IMAP folder where the messages where dropped do you see there? Is there one with an .imapmbox suffix and another without the suffix, or only one of these?

  • Lost mails while moving mail folders

    I was reorganising my mails into mail folders and suddenly I lost all mails (many folders are empty).
    In the specific I created a new folder called "projects new" in which I tried to put in all the folders and subfolders contained in an old "projects" folder. Something went worng as the programme was not able to copy the mails and their folders and subfolders. The result is that all folders I tried to move into the new folders are still there but empty.
    Any advice?

    First duplicate the entire Mail folder for backup purposes (~/Library/Mail)
    Now choose each mailbox one by one and do a Rebuild from the Mailbox menu

  • Problem moving Mail from old to new iMac

    I followed instructions about moving Mail--with all mail folders and old emails intact--from my old PowerPC iMac to my new Intel 3.20 MHz iMac. I copied the folder "Mail" inside my user library and the "plist" file from Preferences onto my thumb drive from the old computer, then uploaded these files onto the new one. I was able to easily replace the "plist" file with the onscreen prompt (Do you want to replace?), but the Mail folder went into the Library folder as a duplicate only. So, I tried to delete the original and unused Mail folder, but everytime I sent to the trash and empty the trash, it magically reappears, so that my old emails don't show up when I open the Mail program. I know the files are there--but how do I make my new iMac recognize them and how do I delete the empty Mail folder that was on the new computer originally to avoid confusion? Thanks for any advice you can give.

    You may need to rename the copy to be simply Mail. This is best done having first removed any Mail folder on the new Mac, but this should work as well.

  • Moved mail appears as "read"

    I have a rule which moves the tons of spam I get in the default pop account on website to a folder where I can regularly scan through it and trash it. I've just started using Mail (used Entourage and Outlook for many years) and I've noticed that a large portion of this moved mail appears in the list as "read," that is not in bold-face type.
    Is there a chance that Mail is opening these messages as they are being moved? I certainly don't want hundreds of spams being opened.
    The rule is
    If any account is "webmaster"
    then move to webmaster mailbox
    That's it. Any ideas?

    It could be that there is something wrong with the index. Try rebuilding the mailbox (i.e. select it and do Mailbox > Rebuild) and emptying the Trash. You can also re-create the entire index and the Trash mailboxes as follows.
    Verify/repair the startup disk (not just permissions), as described here:

    After having fixed all filesystem issues, if any, and making sure that there’s enough space available on the startup disk (a few GB, plus the space needed to make a backup copy of the Mail folder), try this:
    1. Quit Mail if it’s running.
    2. In the Finder, go to ~/Library/Mail/. Make a backup copy of this folder, just in case something goes wrong, e.g. by dragging it to the Desktop while holding the Option (Alt) key down. This is where all your mail is stored.
    3. Locate Envelope Index and move it to the Trash. If you see an Envelope Index-journal file there, delete it as well.
    4. Delete any Deleted Messages.mbox folders in ~/Library/Mail/Mailboxes/ and ~/Library/Mail/POP-username@mailserver/.
    5. Open Mail. It will tell you that your mail needs to be “imported”. Click Continue and Mail will proceed to re-create Envelope Index -- Mail says it’s “importing”, but it just re-creates the index if the mailboxes are already in Mail 2.x format.
    Note: For those not familiarized with the ~/ notation, it refers to the user’s home folder, i.e. ~/Library is the Library folder within the user’s home folder.

  • Moving Mail Users from a Local Directory to Open Directory

    Hi,
    We have been running a standalone mail server for a few years. We have recently upgraded to 10.5 for all of our servers. We have also been running an Open Directory server for the last year or so. Now I am trying to move my email users from the Local Directory on the Mail server to the LDAP server. Obviously we do not want to change account names, so I find I need to delete the local user and then enable the user through the LDAP. This works fine, but I need to bring the original IMAP files/folders forward.
    My question is what is the best practice? I thought backing up the Mail folder in each user's Library and reimporting it would work, but it won't take the IMAP mbox (I can see all the .emlx files in the backup of the user's Mail folder).
    So again, I had a user called user1 in my mail server Local directory say server1. I also have an Open Directory server2 with the same username on it. I have bound server1 to server2. I can see the server2 (OD) accounts on the server1 (mail). I then need to delete user1 from Local server1 directory in order to enable mail to user1 from the OD. This does work, but again, I need bring the mail files/folders to the new OD account on server1.

    I really thought this was going to easier than this. The current accounts are IMAP, and therefore when I "hook up" the new OD account, which doesn't really need anything done on the client side because it is the same username and password and server as the current Local account. When it syncs, the old emails on the IMAP account in the user's Mail program clear since the new OD account is empty on the server.
    I just really thought duplicating the Mail folder in the client's home Library would allow me to import the emails back in. I have tried highlighting the mailboxes (Inbox, and personal folders), archiving them, and then reimporting seemed to work, but I need to beat it up before I start working on live accounts. One account I did try lets me read the emails from the user, but when I try dragging them to the IMAP folders from the import folder, I get a NULL character problem on IMAP append error. NOT to chase that, but it was something else that tripped me up.
    You do bring up a good point, I think the accounts were originally setup as POP and IMAP. I'll chase some ideas about that.
    Let me play around, you've been great considering my awful explanation of this different situation.

  • Mail Smart Folders across accounts / between Macs

    OS X Mail Smart Folders are very useful, but I have one problem:
    My "Unread" folder between accounts and Macs has two criteria: Unread, plus on one account, not in a certain Inbox. Now, the mail account that I use for that 2nd criteria is only set up for use on one account. I have 2 accounts on my Mac Pro and 1 account on my MBP. When I check my Mail Unread folder on the other account and other Mac, the Unread folder syncs across iCloud, but since that email account I use for the 2nd criteria is not set up (active) on the other account / Mac, the Unread folder essentially breaks. If I edit it, then it breaks on the other user account where that 2nd criteria is effective.
    Does that make sense? Anyone else having iCloud Mail Smart Folder sync issues across accounts / Macs?

    iCloud does not support or sync Smart Mailboxes or local folders. You can create mailboxes at the iCloud.com site that will be IMAP and show in the Mail sidebar under the iCloud folder. Those will show up on all devices.
    Other than that, iCloud will only sync Mail's main mailboxes (default mailboxes).
    In Addition to better explain:
    Local folders under On My Mac are folders only located on the computer. They are not part of any IMAP or Exchange account.
    Smart Mailboxes are for the most part just search engines. Messages are not stored in those, but they merely point to messages which actually reside in the original mailbox where they are stored.

  • Mac Mail Smart Folders triplicate messages (Gmail-based mail server)

    I can't get Mail Smart Folders to work well with my Virginmedia mail server, which seems to use a Gmail type of system. (I'm using IMAP).
    It is easy to set up an instruction to select mail e.g. from defined individuals only, or any other qualifier.
    However, I get all mail in triplicate: from the normal Inbox, but also from Gmail-type "All Mail" and "Important" inboxes. I know these mailboxes exist on the Virginmedia server, and also, virtually, in Mail, but I don't ever look at them or need to.  There might be a way of not having all mails defined as "Important" on the server, but "All Mail" exists by default and can't be removed, for obvious reasons.
    I have tried various additional instructions in the Smart Folder such as include if "Message is in Inbox", but that selects all messages. Also, if "Message is not in Inbox", so that I get only two sets of messages, but that has produced strange results such as messages marked as in Spam folder, which seem to have nothing to do with the defined instructions.
    Is there anything "smart" I can do about this, or is it just a matter of Mail not being up to speed with Gmail-based servers. It's just an annoyance, more than anything.

    I went to my second mac. Opened Mail, it refreshed its previous state, with 1100 messages in the Inbox, I was relieved and while thinking about my backup options, Mail started its new activity cycle and POOF....Gone. One test message in the Inbox.
