Multiple Libraries & duplicates

I am sure that my problem is common so hopefully this post will help other people solve similar problems. It may have been answered in other posts although nothing has popped out as a clear and concise way to solve how to deal with multiple libraries and duplicate pictures.
I have over the years created, edited and merged various iPhoto libraries. I now have such a mess of pictures and libraries I don't know what to do to organize them all. The smallest library is about 10GB, the largest about 45GB. I purchased iPhoto Library Manager and Duplicate Annihilator. I have attempted to merge some of the libraries but that didn't work that well. It created yet another library and more duplicates. I then (foolishly) attempted to drag and drop a library file and that created extra pics like thumbnails of the all the faces.
So is there an easier way that sifting thru about 30,000 images?
Do I deal with the duplicates in each separate library first, then merge and do it again. Or attempt a total merge, then scan for duplicates?
Another approach I thought about is to work directly with the originals in the library contents.
I am lucky that I haven't spent too much time with albums, books etc. There is some metadata (comments, maps and faces), but nothing to serious.

Try using a free tool, ExifRenamer (http://www.qdev.de/?location=mac/exifrenamer)
Do not use this tool on files inside of iPhoto Library. You can use the tool only with originals, in simple file format. So you probably need to export the files from iPhoto first before using the tool.
It renames photo/video file names to date/time they were taken. You'd drop a folder containing the files onto ExifRenamer icon, and the files will be renamed. Pretty simple. You can specify the format of file name and other settings to your preference first. Once the files are renamed, you'd drop them into folders based on year/quarter/month.
Basically you'd reorganize the files in this folder structure
2009_01
2009_02
2010_03
Or you could work with
2009-q1 (for Jan - March)
2009-q2 (for Apr - June)
As you are dropping the renamed files into their directories, you may be asked to overwrite files, which you should do.
Once you've renamed the files, you can reimport them into iPhoto Library. I recommend one iPhoto Library for 1 year. Maybe you could keep more years in 1 iPhoto Library. My personal preference is 1 iPhoto Library for 1 year.
Lastly, please make a good backup and test before proceeding. I recommend this.
-Let Time Machine run with iPhoto closed.
-Export all photos from iPhoto into a separate folder. This is for backup and not to be touched.
-Export all photos from iPhoto or duplicate the folder you created in previous step. Work with this folder when using ExifRenamer. Start working with small sets of files initially until you are comfortable.

He had copies on his old laptop which he backed up onto a maxtor drive, he then moved the library onto his work desktop machine and when he updated at work he would copy the originals folder to a Lacie fw drive to take home with him. His laptop was stolen and he got a new iMac and has loaded everything from every source into the new iMac and at this point has up to 12/15 copies of the same files, some thumbnails, some data versions and some originals and some modified originals. IT IS A MESS!
    Is there a means of (perhaps Automator?) finding the largest version of a file and deleting duplicates so that he can import cleanly to a new library so that the new database is not full of multiple copies?
    We are talking of roughly 12,000 image files:(
    Any suggestions would be welcome.

    If these photos are not in iPhoto already, then, finding the largest version of each file is easy. Simply switch the folder to List view and sort on Size.
    If they are inside iPhoto have a look at Duplicate Annihilator:

  • Multiple Libraries on iTunes

    Is it possible to have multiple libraries on iTunes? How do I set them up.
    I have a library with about 26,000 songs and want to add out holiday music.
    I'd like to have a seperate library just for the holiday music and be able to switch between them.

    I must echo Matthew's recommendation of iTunes Library Manager. I am currently in the process of reencoding all of my CDs. I had ripped a substantial portion of them when iTunes first came out, and I did so without knowing what I was doing - some are ripped in low bitrate MP3, others were transcoded from AAC to MP3 and vice-versa. In some cases, there were problems with the rip and songs were truncated. I decided that rather than try to weed out the bad tracks, I'd just re-rip the entire physical library as Apple Lossless.
    By doing so in a separate library - I don't worry about duplicate tracks or the Lossless files getting mixed up with the MP3 data files, and then whenever I need a "clean" copy for my main library - I can just browse, import and convert to the desired codec. I also don't want the Lossless in my main library because that is the Library I use to sync with my iPod, and I don't have enough space to keep all my music in Lossless format on the iPod.
    The utility is very easy to use - when you first open it, you should save your current library under two different names, and then load the version you are going to edit. iTunes Library Manager will ask you if you want to quit and load, and then it will prompt you for relaunch. You can have as many libraries as you need. The current version doesn't have a way of creating an empty library - if you want to start from scratch for any reason, but all you'll need to do is delete the songs from the Library, but NOT - REPEAT NOT - FROM YOUR HARD DRIVE.
    Definitely worth the $5 shareware fee.

  • Lossless to ACC Automator Conversion/Multiple Libraries/External Hard drive

    I've been playing around with setting up a home media server, and have run into a few issues and have a few questions about this.
    Question 1: Best way to rip into lossless format?
    -apple lossless vs. other: has anyone had problems streaming lossless files to iTunes/Airport Extreme?
    Question 2: Best way to manage multiple libraries?
    -Library manager vs. option key during startup?

    Question 3:Any Automator scripts to convert Lossless to AAC, then save to desktop?
    Why this is important to me:
    -goal is to have large external HD as a media server with a mac mini/iTV as front end.
    -would like to have iMac hardwired to external HD via Firewire for data manipulation/editing, then upload into 'Master Source' file for photos, music, movies
    -would like mac mini/iTV (eventually) to act as always on front end client for external HD; would be hardwired/firewired to external HD to prevent lag time; thus could use front row for browsing photos, music, movies off TV monitor
    NOTE: no desire for cable/sattelite viewing - what I want to watch I would buy on DVD (backup reasons)
    -would like to have music stored in lossless format on external HD for home stereo use, etc, and have a duplicate library in AAC on desktop for syncing with ipod nano
    -look for my posts on Front Row issues/wish list for TS file viewing, problems with multiple iPhoto libraries
    BTW any external HD that have 2 firewire ports? Most that I see either have two USB 2.0 ports or 1 USB and 1 firewire port

  • Multiple libraries - View them simultaneously?

    I'm upgrading from iPhoto 2 on my old powerbook. I have about 4 libraries (not by choice) that have many duplicate photos between them. I would like to delete the duplicates and end up with one nice neat library of about 4000 photos.
    My preference would be to have all of the libraries open at the same time and then scroll through them and delete. Some of the duplicate photos have different dates/times so I'd like to delete the ones with the wrong information so I need to be careful as I go.
    After I've whittled it all down, I'd like to merge it together. I know that I can do the latter with iPhoto Library Manager. Can I also have multiple libraries open simultaneously with it?
    If I can't have them open simultaneously, I've considered borrowing another computer so I can do it that way. However, maybe I should just merge it all into one huge library and try to delete that way. My concern is that as I identify a photo as a duplicate, I'd like to see all the others on the same roll so that I can check easily to see if they too are duplicates. If I merge together photos from the same date but from different libraries, will they still be considered different rolls? Can rolls be sorted by date on iPhoto 5?
    Is there anything in iPhoto 6 that would make this easier? I've been putting it off for 2 years and want to bite the bullet in the least painful but most accurate way.

    Yes, it looks just like that. However, I don't always get the "choose library" option when pressing the option key when opening IPhoto. For some reason, I have to move the IPHOTOLibrary to the desktop (or another folder) to be able to choose the library that I want. After choosing my original library (IPhotoLibrary) it then loads all of the albums/folders that are located in the left of the window. It just doesn't load the photos in them. I haven't done anything to the original folders that were created in the IPhoto Library either. They have been left as they were originally created.

  • Running Multiple Libraries

    I realize that iPhoto can't have multiple libraries open at once, but here's my dilemma. I have a library with over 100,000 photos that I'd like to run Duplicate Annihilator on as I suspect there are many thousands of duplicates. This will take probably weeks of running (anyone have a suggestion of a more efficient duplicate finder?). This requires iPhoto to be running with that library open. So during that whole time I can't use iPhoto, even with another library. The only solution I've come up with so far is to load another copy of OS X in a Parallels virtual machine and have the duplicate finding taking place in there. Does anyone else have another solution?

    To add to Barbara's post, see Terence Devlin's excellent treatis on iPhoto's folder structure. It may help explain the duplicates you have but are really not duplicates. If this is not what you're referring to then Barbara's suggestion of iPhoto Diet or Duplicate Annihilator may be your only option.

    TIP: For insurance against the iPhoto database corruption that many users have experienced I recommend making a backup copy of the Library6.iPhoto database file and keep it current. If problems crop up where iPhoto suddenly can't see any photos or thinks there are no photos in the library, replacing the working Library6.iPhoto file with the backup will often get the library back. By keeping it current I mean backup after each import and/or any serious editing or work on books, slideshows, calendars, cards, etc. That insures that if a problem pops up and you do need to replace the database file, you'll retain all those efforts. It doesn't take long to make the backup and it's good insurance.
    I've written an Automator workflow application (requires Tiger), iPhoto dB File Backup, that will copy the selected Library6.iPhoto file from your iPhoto Library folder to the Pictures folder, replacing any previous version of it.   • Spotlight and multiple libraries

    I am using iphoto library manager to run several libaries. I would like to use spotlight to search all of them for keywords. It does this very well with the library that is currently in use, but it does not seem to search multiple libraries, which would be very useful for me. Does anyone know how to get around this problem?

    this is normal and there is no way around that. spotlight exclusion data for a drive is stored on that drive in .spotlight-V100 directory at the top level of the drive. so the exclusion data is shared across different systems because it reads the same exclusion file. as i said, no way around this. if you don't need 10.5 partition while booted into 10.6 you can set it not to mount automatically when you boot in snow leopard by modifying /etc/fstab. you can do the same when booting in 10.5 that's the only thing I can think of that could somewhat address the issue.
    What the $%(#& is going on, and can it be fixed without me disabling Spotlight on one of my boots? I guess OS X is saving its Spotlight "Privacy" settings in some location other than "local" to the boot volume?

  • Multiple Libraries on one computer

    I want to store more music in iTunes than my iPod has room for (original iPod). I want to use one library for music that I don't want on my iPod and the other for the music I want to sync. I also want to be able to move music back and forth between the them.
    How do I store music in multiple libraries on one computer without making separate computer user accounts or using the playlist work around?

    Yes, I am referring to the auto syncing of playlists. Not all of my music is assigned to playlists and I don't want to create them - too many songs.
    As I mentioned in my original post:

    I want to be able to store music in iTunes and play that music in iTunes without having them downloaded to my iPod. It would be nice to have a Library in iTunes that can be separate from the iPod stuff.
    I think I found a work around (#12). Until I get a better solution I am going to create a master folder to which I will move all my music that I do not want syncing to my iPod. Then, I will do a manual sync and exclude that folder.

  • How do I go from using a single Apple ID with multiple libraries to using home sharing?

    Until now my wife and I have opted to share our iTunes/Apple ID and use multiple libraries to manage our iPhones. This has become increasingly difficult...with issues such as having apps I've downloaded that she doesn't want automatically downloading to her library and even her phone. Now, add in the fact that I want to continue to manage my iTunes library from our PC and allow her to manage hers from her new MacBook Pro and we have good reason to move to home sharing with separate Apple IDs for each of us.
    My question is the logistics of doing so. Not only do we need to replicate her existing library on a new Apple ID, but then we need to migrate all the necessary files over to her MacBook Pro. Quite honestly, I don't even know where to begin. Is it possible to associate her existing library with her new Apple ID without having to create her library from scratch? Then is there anyway to migrate only the items in her library over to her MacBook Pro as opposed having to move all of our music & apps? Where do I begin?

    Okay...I misunderstood and thought we needed separate ID's...but I see we actually need to use the same ID which simplifies things in my mind a bit. But still some followups...
    1) What do you mean by restore the library on her computer? Simply open her library file in iTunes?
    2) On our current machine...media is actually split between a couple folders but all under the My Music folder. But there are multiple subfolders (iTunes, Her iPhone, and Amazon MP3). I presume as long as I copy over the entire My Music folder there shouldn't be any access issues when the library is opened on her machine?
    3) Is there any easy way to get rid of all the extra files that she doesn't have in her library? For instance, all my music and apps that she doesn't actually want, is there any easy way of separating those out from the files that are actually linked to in her library? Vice versa for me...once we've go her library set up on her machine, any easy way to purge all the extra files from my PC that aren't actually in my library?

  • ITunes match with multiple libraries

    I can't seem to find a satisfactory answer to this.  Namely, how does iTunes Match treat multiple libraries on the same Mac.  In my case, I spent a lot of time segregating my music.  Thus, I have a rock library, a classical library, an instrumental (Windham Hill and Narada) library, an ambient recording library.  It makes sense to me to do this rather that dump everything into one pot.  That way, I can load a Touch with a specific library and don't have to create a zillion playlists.  Using the same iTunes login, how will Match treat these different libraries?  Will it only concern itself with what it finds in the currently open library?  How will it treat different iPod Touches that are linked to a specific library?  Will it want to push the wrong music to a Touch? Would appreciate any thoughts.

    One person sets up Match on their computer using the iTunes account.  Uploads everything to match.
    I would recommend waiting until that person is done, and do computers one at a time.  No particular reason, just seems sensible.
    Next person sets up match using same iTunes account details.  Uploads their stuff.  They will then see everything the previous user put into the system, unless you select "Hide music not on this computer" in the view menu.  Previous user will now see their stuff too.
    Rinse and repeat.
    This is how it worked with my multiple machines anyway...  As long as every computer uses the same iTunes account for the store, you all get access to the same Match account.

    So I need to know which is better for my family's future : multiple libraries on one account or creating different users on my computer with different itunes accounts ?
    Also if I have different accounts, can I share music and apps ?

    I recommend you get her her own iTunes account for purchasing from the iTunes store.
    You/she can add gift cards instead of using your credit card so you won't have to worry about how much she purchases.
    should I just have one account and create a new library for her music and videos?
    Create her own iTunes account and create her own library by creating a new computer login for her.
    She will have her own iTunes library in her own computer account.

    iTunes must be running for home sharing to work.  There is no way to have home sharing running simultaniously for two users on the same computer.
    Simply add the media files using File > Add File/Folder option in iTunes.
