Multiple resources assigned to task, single resource complete it to 100%?

I would like to assign a task to multiple resources (say, for example, the computer services techs) and have whichever one completes the task mark it as complete. Any time this happens, it completes it only up to the fraction of the task they have. For example,
if I have assigned 5 of them to a task, one of them finishes it, and marks it as complete, the project only shows 20% complete, which is wrong. Is there another way to do this?

Hello Ian,
Are you working with MS Project Standalone (ie not connected to Project Server)? In case you are, you have to set the remaning work for the other resources (that didn't actually worked on the task) to 0. For that I'd advice to split your window in MS Project
and use the task form in order to edit the remaining work for each assignments.
In case you're using Project Server (which version?) with timesheet or/and task updates, you could use the team assignments. This feature allows you assigning tasks to a team, then members of this team will self-assign themselves to the appropriate tasks
and update those tasks.

    Hi,
    Are you using Project resource Management? If yes, then it is standard functionality. If no, then you will have to use the transactions control option on project header or wbs level.
    Once assigned time and expenses entered by assigned employees can be costed using the cost rate schedules.

    Your post has quite little details, but as far as I understand, you want to add 4 resources on a task, each resource costing 500$ a day. Since it is not mentionned if it is generic resources (skill or role) or named resources, I'll assume that it is generic
    resources. Based on this understanding, here is a proposal:
    Go to the resource sheet,
    Create a work generic resource ("type" field set to "work", "generic" field to "yes"), typing in the resource name field the skill name,
    In the max unit field, enter 400% for 4 resources (for just 4 if  your Project 2010 is configured to display units in decimals),
    Since the rate is an hourly rate, make the calculation : 500$ per day / 8 hours a day = 62,5$ per hour,
    Go back to the Gantt Chart, split the window (click "detail" in the view tab of the ribbon),
    Select your task and assign the newly created resource with a given % units.

  • Customizing for multiple account assignment in OME9

    Hello,
    We want to create a specific account category with different account assignment fields (cost center, WBS, order, etc).
    This account category will be used for PO items with single account assignment or multiple account assignment.
    One more information is this specific account category will be used only for PO replicated from Supplier Relationship Management. This means PO document type will not be created directly in R/3.
    We use ECC6 with EhP4 with business function LOG_MM_MAA_1 active, so we make MAA for GR valuated.
    According to those elements, iI would like to have confirmation regarding customizing we implemented, especially for fields:
    - "Indicator: Account assignment screen" populated with value '2' (Multiple account assignment)
    - "Distribution" empty (Single account assignment),
    - "Partial Invoice" populated with value '2' (Apportion IR quantities to GR quantities proportionately).
    While creating PO in SRM and after replication in R/3, cost distribution is done correctly for item with multiple account assignment (Account Assignment tab with Partial Inv. =  "Distribute Proportionately" and Distribution = 1, 2 or 3, depending on cost distribution type chosen) whereas for item with single account assignment, Partial Inv. is "Derive from Account Assignment Category" and Distribution is "Single Account Assignment Category").
    So, it seems OK. Nevertheless, i would like to have confirmation values i gave with above fields are correct in order to not have to change them later, i mean after PO were created, if problems occured.

    During PO replication from SRM to R/3, customizing from OME9 is not read and "Partial invoice indicator" is always defaulted to "1" when item has a multiple account assignment.
    This behaviour can be overwritten by implementing:
    - either BBP_PO_INBOUND_BADI for method BBP_MAP_BEFORE_BAPI,
    - or BBP_ECS_PO_OUT_BADI for method BBP_B46B_PO_OUTBOUND.
    So, no need to take care of OME9 customizing.

  • A resource assignment for new task during another task MS Project 2010

    I would like to assing a new task during another task.
    Resource A is assigned Task X from May 12th - May 16th. 5 hours per day.
    I would like to assing new Task Y for May 14th. It will take 7 hours. So I would like to set up in MS Project 2010 as:
    May 12th Task X: 5 hours
    May 13th Task X:7 hours
    May 14th Task Y:7 hours
    May 15th Task X:8 hours
    May 16th Task X:5 hours
    I set up Task X for Resource A as from May 12th - May 16th working hours as 25 hours in gant chart.
    Then I set up Task Y for Resource A as May 14th working hours as 7 hours in gant chart.
    I see Resource is as follows.
    May 12th Task X: 5 hours
    May 13th Task X:5 hours
    May 14th Task X:5 hours Task Y:7 hours  -> Total 12 hours
    May 15th Task X:5 hours
    May 16th Task X:5 hours
    Please let me know how I set up what I would like.

    2 X options:
    1) You may be tracking too granularly.  A task should create something and then hand off to another task.  in this case, you may as well just combine them into a single task for about a week or so.  Most companies don't track hours per day
    that granularly as well.  I'd look to schedule by the week.
    2) Split the tasks into multiple tasks and establish dependencies between them.  Assign the resource to each task at different amounts of work.

  • Multiple resources on one task

    Hi all
    I'm a little rusty.  I'm working in 2010.
    I have been given the durations (in days) that tasks will take.  I have multiple resources, all of whom will be working on the same tasks, all assigned units will differ, example, resource A will spend 60%, B will spend 20% and C will spend 20%. 
    Apparently each resource with have a different number of effective hours per day.
    How should I handle this in the schedule?

    Hi J Day,
    1- You can set the task type based on your business context. You can for example set your task to fixed unit. Doing this, if the work increases, the duration will increase accordingly and the %unit will be kept. Thus you'll see a duration variance.
    2- Be aware that setting the max unit of a resource in the resource sheet is NOT taken into account while assigning the resource on a task. It is only used to flag weither or not a resource is overallocated. For example, if  you set the resource A has
    a max unit of 50% (4hrs/day) and then you assign it at 100% on a task, it will be assign at 8hrs thus shown as overallocated. Project will not make the calculation that the 100% you set in the assignment is 100% of 50%, meaning 4hrs. You have to do this calculation
    by yourself while creating assignments. Note also that the max unit is used when you assign a resource without entering a %unit; Project will take by default the max unit. Hope this is clear.

  • Manage a resource work load when several resources are assigned to the same tasks

    I think I am confusing myself!
    Basically I have multiple resources assigned to the same tasks throughout my schedule. I have levelled the schedule and here lies the issue. There are often instances where a resource will not have any work loaded for them for a long period, because they are
    waiting for another/other resources to become available before they can move on to the next task.
    There are also lots of days where they are working but not being fully utilised too.
    Is this simply because we have too many resources assigned to the same tasks and there is no way around the issues we are finding? 
    Can you offer a solution that doesn't involve creating the same task 4 times (if 4 people are working on it at the same time) and assigning them all individually to the duplicated tasks? the schedule will be so long if I have to do this.
    Any help you can offer would be much appreciated

    Sir,
    I am trying to assigning single resource "resource name : XYZ" to multiple activities using the option right click, .
    After assigning using this option i had a problem with the resource.
    Problem is for some activities the resource "XYZ" is getting assigned multiple times.
    Any solution to this.

    I think the problem is that the resource was already assigned to some of the activities. Which, incidentally, is a nice feature of P6 that you can do that.

  • Task types without resources assigned

    Hi,
    I hope someone can help me figure this out. May sound dumb, but hey, no harm in asking.
    Since task types, resources and effort driven option all tie in together, does it matter if using Fixed Units or Fixed Duration for tasks don't have resources assigned and are
    not effort driven? What difference will it make since 2 entities are not being used?
    FYI - Project tasks are currently as Fixed Units.

    As you well defined that all these parameters (Work, Work type, Units & Durations) are tied and formula too works based on the values in these fields. Duration = Work/Units so the moment you take off units from the formula you are taking off the calculation
    functionality (related to these parameters) of the tool and everything gets dependent on your manual inputs.
    Even though based on the value you manually enter in work or % complete your actual work and remaining work plus remaining durations etc. do get calculated, yet I would say assign the resources to reach out to factual calculations.

  • Roles tasks and resources assignment

    I'm working in CProjet and I need to complete role definition; I can define staf (STAFFING TAB) and assign task (TASK TAB).
    In TASK TAB I can create also association between role, task and resource; now, I seem that STAFFING TAB considers TASK TAB assignment, but instead no automatic workload distribution happen.
    It looks like no resources link exist between TAB...
    Any suggestion about?

    Hi,
    In Staffing tab there is required capacity and available capacity.
    Required capacity is given to role and that can be distributed in general tab if distribution activated to that role type.
    Available capacity will be associated with the resource and that is given during staffing.
    You can not distribute required capacity in staffing tab as it is taken from Role.

  • CProjects-MS Project - import and export of task-role-resource assignment

    We are on PPM5.0
    We are currently working on cProjects-MSP client integration.
    What we have not been able to configure for import/export so far is:
    1. Task-Role-Resource assignment
    Whereas we are are able to import/export the "Person Responsible" and "Role Responsible" fields, we have not been able to align the task-role-resource assignments.
    We see a "Resource Name" column (Standard) in MSP. When we click on the drop down, we see all the roles from the cProjects project. But the alignment does not happen.
    Summary:
    On export and import, we need to automatically see the role-resource-task assignment. How is this possible?
    2. Code field to "VC_BUPA_GUID" gets a number which is not the BP ID.
    Is it possible to import the BP numbers in MSP. Also, how can we assign a number to the role in MSP such that on import into cProjects, the role is already staffed with the corresponding BP.
    3. Is it possible to export all the resources (BPs) into a drop down in MSP - like we see the Project Type, Role Type etc.

    Thanks for your inputs.
    When we export to MSP, we see the cProjects roles under the "Resource Name" drop down in MSP.
    However, they are only seen when we expand on the drop down.
    For e.g. RoleA, and RoleB are two roles in cProjects project, along with many other roles.
    Both of these roles are assigned to a task, say TASK1.
    When exported to MSP, we expect both of these roles to show against TASKI, as "RoleA, RoleB" under the "Resource Name" column. However, these roles are not seen. They only appear as elements of drop down, along with all other roles in the project, when we explicitly click on the drop down.
    Please let me know if I are missing out on something.

    Here I do an assignment of Role to a Task and assignment of Resource to a Task.
    Could you please tell me as to where does this information gets stored.(ie which tables).
    And could you pleae tell me as to how do we differentiate between the Task, Roles and Resources in the internal table created.
    Because the internal table consists of Task Guid, Participant Guid and Entity Guid.

      Tasks automatically get created based on Transfer orders with the help of this BADI and program:
    LTRM_RQST_GLOBL_SCAN. Look at example  implementation class inside BADI definition.
    After implementing this BADI.
    Call this Function Module to create tasks automatically:
    LTRQ_REQST_SCHDL or you can set up this program RLTRQSCHEDULER in background
      For you to assign a task , use the following FM:
    LTSK_TASK_ASSIGN
