My Task List Portlet Question

Hi,
I want to use the tasks (ToDo) list portlet for tracking tasks in our project. How can I setup an administrator (supervisor) level role to view all the tasks the project members are working on? Also, is there a way to assign tasks to project members through the My Tasks portlet?
I am using WLP 8.1.

Thanks Ferd this explains what has happened. I have now fournd my tasks. Hwoever it is so inefficient to manage!!
Can anyone please explain why it is an improvement to separate the two functions - Calendar and Reminders?
It just adds to the number of windows we have to have on screen again! Incomprehensible I am afraid. I hope there is a calendar around that does both like Calendar used to?

Question about AXF Task List Web Tool

On the Task List Web Tool, i want to display the comments oan each task on this page as another column. I'm running the 10g version on the AXF application. I looked at the configuration guide for the 10g and i dont see any details on how to do this. However the Comments are display on the bottom of the TasViewer Web Tool page.
This is slowing down the processing of invoice for customers. So i reviewed the 11g it looks like a possiblilty to do this just by configurations in the AXF metdata table but in the 10g version that i;m running i dont have this table. Can you me in a display on how to configure the comments to show on the Task List Web Tool

External Services in Task List Question.

Hi,
I have defined PMSV control key (for external services) in the PM Task list. Now this task when invoked creates a Purchase requision automatically with Account Assignment "F" and Item Category "D" (Service). The Item category "D" is greyed out in the purchase requision. Is there a way to create a purchase req with item catogary "B" (Blanket order) automatically instead of "D" when the external services operation is invoked from the task Iist?

Thank you for your email so quickly. I do not want to change the document type and the account assignment. All i want to change is the Item category associated to the control key PMSV that creates a purchase requision with item category "D". I want the system to automatically create a pur req with item category "B".
In the PM path you mentioned....i can only change the account assignment and document type
In the MM path you mentioned i can just allow or disallow the item categories.

Task List Question...

how can an admin user find whether a tasks assigned to other users( who have Planner roles ) have been completed or not?? Any help?

Hi John,
I am again back to the task list. Actually my administrator user just wants to give other users access rights to task list. Others user simply view the task lists and complete them. Now in my case if I give the administrator Assign or Assign and Manage access the admin itself gets a copy of the tasks and is asked to complete them and can view the status report. When I give it just Manage access it can't see any taask list, neither can it see any status report. But that is the thing that I require to do. Administrator just gives others the tasks and sees the status report, it is not required that the administrator itslef does complete any task.
How to do this?? Any advice would be appreciated John.

Workflow task list is missing or damaged. SharePoint 2010

SharePOint 2010 Enterprise
Customer created workflows for the annual review of our QPC Emergency Plan.
The document library shows that there is a EP_Review workflow “In Progress” for each section.   However if you click into the “In Progress” link to see the actual progress of the workflow it shows no Visio diagram, it’s just a blank white
space (not even an error message) and under the Tasks section it gives the message:
"The workflow task list is missing or damaged. Please contact your administrator for more information"
I looked in the Task List and there are no tasks showing, which normally does show when we kick off a workflow.
I ran a report on the EP_Review workflow for Cancellations and Error messages and the system comes back with the following error message: "Report contains no Data"

it seems you may need to check if should the task able to create at your environement,
you may try this at your development environment first:
Saved a task list as a template from a working site collection and moved the template to the problem site collection. Used this template to create a new list, and associated this list to the Workflows task list.

Task list Report Generation

Hi ,
Please let me know if the following are feasible while generating the tasklist report.
1. Can we Generate the tasklist report from the system by scenario . Is there any workaround to get this reoport from backend tables ?
2. Task list report shows stats for every user who belong to the selected group. Can we limit this view so the report summarizes by the group instead of individual user.

To answer your question, I was trying to genarate Workflow reports from Backend. But I could not get the usernames from Backend tables as it is not saved for MSAD users. For MSAD users planning schema saves a URL instead of username.

Error while uploading the general maintenance task list with LSMW

Hi friends,
I am uploading the general maintenance task list with the help of Standard Batch/Direct input method in LSMW. I am using the internal number range for task list.
First task list is getting created properly, but while creating second task list, system is giving the error as "external number range is not assigned for task list and task list with this group ID is already created in the system."
This is because, on initial screen, system automatically takes the group ID of the task list that is created earlier.
My question is
1. How to get rid of the group number that is automatically gets populated in group field of initial screen, while creating the next task list?
2. Is it possible to assign a common identifier in all structure (Header, Operation etc) for single task list, so that system can differentiate between two task lists?
In Equipment task list, we can differentiate the task list with equipment id and group counter.
Please note the following point before replying to my question.
1. I don't want to upload the general maintenance task list with external number assignment.

Web Form in Task List and Security

Hi,
I have a couple of specific questions regarding Task List; below is a simplified example of my questions
1. Say, I have a 2 web forms (X,Y) that are part of a Task List 1. Group A has been given access to both web forms X and Y. Group A also has access to Task List 1. Group B has been given access to only web form X. Group B also has access to Task List 1. Now, everything is good for users belonging to Group A. However, users belonging Group B has a specific issue. They still see the "Web form Y" in the Task List Selection on the left. However they cant open the web form Y on the right side which is good.
My question is, is there a way to prevent users from even seeing this "Web Form Y" in the selection list? The problem is they shouldnt even see that particular web form as a choice and moreover this web form that they havent been given access to becomes part of the Task List completion status, forcing them to click on "Complete" for an empty web form.
Is there some setting that could prevent unassigned web forms based on security from showing up in the Task List for various groups (similar to security restricted members not showing up in web forms)? Or is creating several different Task List the only work around?
2. I have started a WorkFlow via FILE->WORKFLOW->MANAGE PROCESS and defined required Scenario and Version members. This seems to work just fine for my created Task Lists with Web Forms. Is there another intermitent process to connect the WORKFLOW with the created Task Lists? Or does Hyperion Planning automatically assume the Task List belong to available WorkFlow?
Another question I have is in the Task List creation menu, when creating an individual Task, there are several options for "Task Type", one of which is WorkFlow. What is the difference between this WorkFlow option and the WorkFlow under the File menu? Is is that the WorkFlow created as Task becomes part of a Task List? Is that the only difference, ie make WorkFlow creation part of Task List versus not part of a Task List?

1. Probably you may try "Manage Security filters", but im not sure. If it doesnt work then no way other than creating two tasklists.
2. FYI, workflow will not promote either tasklist nor the webform. it only promotes the "DATA". u shud be careful creating forms for different level users ex: A basic user entry form cant be created for Next level user say manager. he l want to see only his entity level data not the level 0 in our terms.
3. File->Workflow : will be used to start the workflow by the administerator.
Tasklist Type-> workflow : Will be used by the "users" to promote their subsequent data entered or loaded at their level

[QM] How to create an inspection lot with task list assigned?

Hello, everyone.
I know, the similar questions have been asked plenty of times, but I am still unable to find a suitable receipe of the inspection lot creation. My goal is to create an inspection lot programmatically and be able to record its results using, e.g., BAPI_INSPOPER_RECORDRESULTS.
Creating a lot does not appear to be a big problem. I just call the following FMs:
QPL1_INITIALIZE
QPL1_INSPECTION_LOT_CREATE
QPL1_UPDATE_MEMORY
QPL1_INSPECTION_LOTS_POSTING
BAPI_TRANSACTION_COMMIT
As a result, I have a new shiny inspectin lot, but it comes with statuses "CRTD" and "CHCR". I do specify PLNAL and PLNNR fields values for the QALS structure which is passed to QPL1_INSPECTION_LOT_CREATE, but that does not seem to have any effect. When I call BAPI_INSPOPER_RECORDRESULTS later (result values and inspection points come from another lot which is used as a template), it reports of beging unable to find characteristics for the inspection operations (error E026).
Does anyone know which of the QPL1_INSPECTION_LOT_CREATE parameters affect task list assignment besides PLNAL and PLNR? Or maybe there is a special FM which associates a task list with an inspection lot?

You can get create an Agent as a Task by using the following steps:
1. Go to Customizing --> EHS --> Industrial Hygiene & safety --> Risk Assessment --> Specify Agent Types
2. Click on "TASK' Agent type and click on Details icon (CtrlShiftF2)
3. In the "Only EHS-IHS" drop down, Select "No"
4. Save the entry
5. Now try creating an Agent [CBIH92] and you can create an Agent as a Task.

Copy General Task List from one service order to another one

Dear Guru,
I have the following questions:
1- From a service order in IW32, how can I see the link between the operations and components?
2- I want to be able to copy all the operations and all the components contained in a service order into another service order for a similar type of equipment. Can someone help me step by step on what needs doing?

Many thanks for your quick reply indeed on this.
Now this is the catch: I know that I could create a new service order based on a previously created one using IW31, however in my department they are creating sales orders for equipments in the normal SAP SD flow.
In one the material line they enter a service material which is converted into a ZC03 (Service order) when saving the normal sales order which creates automatically a Service Order number.
Because they create a lot of those service order in that way, they want to be able to populate them with the same list of operations and relevant components all the time.
If they would be using IW31 to make copies, they would have to cancel the previously generated service order deriving from the regular Sales Order in SD which we want to avoid simply because it alters the original sales document flow.
Question:
1- I tried to copy the description of the task lists present in my service order thinking that would also copy the list of relevant and subsequent components defined for each task. The system has only copied the description of the tasks but not the components.
Is there a way we could copy a list of general tasks to automatically have those coming with the relevant components?

Add JavaScript file to ALL existing Task List pages and to newly created list pages

We have several OOTB task lists that are in use on several subsites. We want to add JavaScript to the NewForm.aspx and EditForm.aspx for these task lists. These lists have not been customized, they are based on the standard Task Content Type.
Since there are several lists already created and in use, it would be far too much work to manually add a Content Editor web part to each page.
We put the JavaScript file in the top-level site style library.
Is there a way to programmatically attach a script reference to each existing page in all the subsites AND have the script reference placed on any NEW list pages created from the OOTB Task content type? Or, add a CEWP to all existing list pages using a feature?
I could not find any examples of this.

A solution would be like this: Add your script into a Content Editor Web Part in a page, then add this Content Editor Web Part into the NewForm page of these Task lists using
SharePoint Object Model.

Browser enabled InfoPath form not opening in browser from a link in a Task list

I have a browser enabled InfoPath deployed to SharePoint as a template in a Forms Library. The form opens in the browser when a user navigates to the Form library and clicks New.
There is an Approval workflow associated with this form which kicks in whenever a new Form is submitted. The workflow creates a task in a task list. The task list shows a Link column which provides the link to open the form. Now, when a user clicks on the
link (in the Task list), the form always open in InfoPath instead of opening in a browser.
I see that the URL for the form (http://<Server>/Training/Enrollment%20Forms/<FormName>.xml) is same in both the Forms Library and Task list link.
What am I doing wrong or what do I need to do to make the form open in browser from the Task list link.

This question is asked constantly - we just discussed this last week, I believe - so you can probably find a lot more discussion to help you out if yous earch within this form or browse through the topics. The reason for your issue is because of
what you just wrote - the URL is directly to the XML file, so it tries to invoke InfoPath. Browser forms are rendered by Forms Services, which has a much different URL. Go click on one of your existing forms, and notice how different the URL is.
To get forms to open in the browser when invoked from a different location, you must use this full Forms Services URL. Built-in workflows only generate a link to the XML file, and since the task in a different list than the form, then it has no idea
how to open the form in the browser. Only users who don't have InfoPath installed will see it in the browser automatically. This is why I generate my own URLs dynamically with custom workflows and don't use OOTB workflows.SharePoint Architect || Microsoft MVP ||

Problem in IP10 with the date of the task list

Hello all!!!!!
I have a problem when I'm duplicating a task list. I can duplicate the task list correctly, then i assign it to a generated maintance plan ( I'm only changing the plnal field because i'm changing the center of the task list). Then I go to IP10 to generate new scheduling entries for the new center, but i have a problem because all the dates ara calculated based on today (I'm making start in cycle for the first openening entry). I think taht the problem is some date of the task list because if I try to make the same operation with the old task list all it's ok (generate the new order).
Anyone has any idea?

Printing Standard Text in Task List via IA17

We currently use a lot of standard text in task list. However when I run IA17 to display and print a task list, the standard text does not display as the actual text, only the standard text include is displayed.
Is there a way to get the actual text from the standard text to display as well?

Okay, I know I keep answering my own questions, but every answer leads to a new question.
What I've discovered is that if the include statement for the standard text is not in all caps, then it does not print in IA17
For example, we had the include as: Include Z0000438 OBJECT TEXT ID IPRT
However it would appear that the statement needs to be like this: INCLUDE Z0000438 OBJECT TEXT ID IPRT
Has any one else experienced this?

Try using the Bapi.
BAPI_ALM_NOTIF_CREATE
Also use this BAPI_ALM_NOTIF_TASK_COMPLETE to complete the task.(if the task is not getting updated)
Then use BAPI_TRANSACTION_COMMIT.
