Notes: Projects - Albums - Folders

Is there a notes taking or description feature that allows descriptive notes to be attached to individual Projects, Albums or Folders?
With a large number of Projects, and in working with multiple drives, I indicate data I want to retain by very briefly stated changes in the Project/Album/Folder name, but this is really a compromise as it doesn't allow much clarity of info.
A great feature would be the ability to open the space for a few lines of text on a filename in order to be a future reference for info like content details, where used, date of sales, where transferred, etc.
If not a feature of Aperture 3, there a means for linking elsewhere to capture notes? At worst, I could start a file for notes where the reference would be the Aperture filename, but a link inside Aperture or even to an outside file would be very convenient tool.
How do others record relevant data for future reference on Aperture Projects/Albums/Folders?

As you suggested, I've created my own "status codes" so as to be standardized in checking off what I've done with individual projects.
Next recommendation (picked up from a helpful forum member): right-click in one of the text fields and select "Substitutions→Text Replacement". What I've ended up with (still subject to change) is a long initial string coded as a series of "Not!Status" identifiers, where "Status" is each of the status parameters I track. This way it is easy to search either the Projects view or the Library tab for Projects which are not yet at a certain status. Then when the Project has reached a status, I simply double-click the "Not" and replace it with a space (which then lets me search for those Projects which have the selected status).
Project text searching is rudimentary. There are no operations allowed. The search is literal. Space characters are included.
I added a custom data field, "Comments" to the Metadata General section, it appears at the bottomof the fields group. I would like to rearrange this to be up near the top. A3 Help states that you can rearrange fields, but, I couldn't find any specifics on rearranging fields.
Easy. When you hover the mouse cursor over a field name on the Metadata tab of the Inspector, the name should show in reverse video. Click and drag the field name and put it where you want. (I smiled when I discovered this.)
For my Metadata Comments, I'm making up standardized tags for consistent status on certain actions, similar to the Projects Comments.
I use the built-in color labels to mark where along a standard progression of image development each Version is. The color labels are queer in that they are an "only one of" set of eight markers. Almost every other use of them I tried ended up failing because there were images I needed to mark with more than one color at the same time. I suggest using them for something image-specific and important to track -- tagging versions with colors is much more readily available than adding/changing status codes in a custom metadata field.
So this is very helpful for creating a track record of Projects process and Image processes for future reference. Thanks,

  • Best way to move projects & albums into just folders & projects?

    Hello,
    Could anyone recommend the best method for moving lots of files through albums, projects,
    and folders without  confusing Aperture about the location of adjustments or masters?  I am
    sure it's not that hard but I have three major concerns before I even try to touch things the
    way I have them set up.
    My goal is to go from bloated, oversized projects and albums (I should not have been importing
    to albums to begin with) and separate them into more varied and numerous folders and projects. 
    I will try to focus on one topic of my confusion at a time, so that this thread will not go everywhere,
    in a random directions:
    1) The biggest mistake I THINK I've made was randomly importing files from my camera
        into whatever I felt like importing them into, so my library has now become a random grab-bag
         of folders, projects, and albums.  I did not know their relationship to each other at the time, so
         i used them as generic "containers" for each other. LOL  Anyway, what is going to happen when
         I start moving all this stuff around, and some images (like the ones in albums) are virtual,
         while others are not?
    2) I want to move but not copy from one project to the other. Can I do so by means of drag
         and drop? Or is there a smarter way?
    3) For anyone who has done this before, what method(s) did you use? 
    4) I know I can delete albums without any problem of losing a file, but what if I made
        some of albums from files in the Library, which do not have projects containing them?
         Also, why does the formatting on my paragraph make it look like look like complete crap?

    So that leaves me with the question, if I want to move files from an overweight project, say 1000 photos to 3 projects, each containing 333 photos, it is as simple as shift clicking the 333 at a time, and drag dropping them from the larger project to three pre-made smaller projects?  The concern I have is that, if I accidentally copy something I will have no confidence that what I am deleting is the proper thing to delete. 
    Yes, it is that easy.  Select and drag-and-drop to a different project.  The destination of your DND should be a project in the library inspector (left side pane).  This actually performs a move.  I.e., you have nothing to worry about with respect to deleting the wrong thing, since the move happens, rather than a copy.
    One last thing, how do you see just the number of masters in a project?
    Open Aperture while holding down the alt/option key.  This is the way to switch to a different library.  When you select any library (if you have only one, that will be already selected), Aperture will give you a count of masters and versions.
    P.S. what happens to files when you delete a project?  The files stay behind in the library?
    Nope.  Well, maybe sort of... When you delete a project, you are indicating that you don't want Aperture to handle the photos in that project any more.  Masters will go to the Aperture trash, and you can retrieve them from there until you empty the trash.  When emptying the trash with Managed masters, Aperture will put them in the system trash.  If they are referenced, Aperture queries you to find out if you want to keep them where they are or move them to the system trash.
    A project containing 4 albums contains a total of "535" files.
    The total number of images in all four albums equals "546".
    How are you counting these?  You may be comparing apples to oranges.
    Another album, that resides inside of a folder, but not inside of a  project, contains 133 images.  They should be inside a labeled project (they appear not to be, since they have been physically dragged and dropped away from the original project, which is apparently unlabled)
    Not sure what you mean by labeled and unlabeled.  However all photos are part of a project.  You cannot "drag away" from a project into an album, even if that album is part of a different project.  No matter what, your master is still housed inside a project.
    You can have Aperture show you the "Project path" of a photo.  Check the "General" metadata view.  Project path is in mine (although I do not remember if I did that on purpose).
    C: Is there a right click or menu option which simplifies some of this stuff?
    I guess I'm not entirely sure what you're trying to accomplish.  Maybe with your definition of labeled and unlabeled your question will be clearer.

    Replying to my own post - heh. I downloaded iExplorer (http://www.macroplant.com/iexplorer/) which allowed me access to the files on the phone and there was the phantom movie in the DCIM folder. Deleted it, and all is well - although I still have 0.65gb of Other in iTunes.....

  • Adust feature not working follow up Question/ lost album folders!

    I tried trashing my iphoto plist from preferences and now have lost all my album folders which have very important projects sets I'm working on. I didn't empty the trash so I still have the folder but putting it back didn't seem to work. Is there a way to get my albums back. Help please! It's kind of important for me.

    TIP: For insurance against the iPhoto database corruption that many users have experienced I recommend making a backup copy of the Library6.iPhoto database file and keep it current. If problems crop up where iPhoto suddenly can't see any photos or thinks there are no photos in the library, replacing the working Library6.iPhoto file with the backup will often get the library back. By keeping it current I mean backup after each import and/or any serious editing or work on books, slideshows, calendars, cards, etc. That insures that if a problem pops up and you do need to replace the database file, you'll retain all those efforts. It doesn't take long to make the backup and it's good insurance.
    I've written an Automator workflow application (requires Tiger), iPhoto dB File Backup, that will copy the selected Library6.iPhoto file from your iPhoto Library folder to the Pictures folder, replacing any previous version of it.   • Can I force iTunes NOT to create artist/album folders when importing?

    I've unchecked the "Let iTunes organize your music" box. All I want is to have iTunes rip the song, and place the song (unburdened by artist and album folders) in an external hard drive.
    I can't seem to make that happen - can iTunes do it? If not, any Mac-based program you can recommend?

  • Two Instances or Two Projects & Albums Trees?

    I've just migrated 30K photos from iPhoto to Aperture. The number of projects is insane and I have a taxonomy in mind to clean it up; Aperture will make it simple to categorize my photos for visual scanning. What's a challenge, however, is the endless vertical scrolling and dragging multiple project selections up and down the Projects & Albums tree in order to move or consolidate projects into folders.
    What I want is to either open two instances of Aperture (ok, I know I'm using a Mac and this shouldn't be necessary) or to open two Projects & Albums trees so I can drag and drop one or more projects from instance 1/tree 1 to instance 2/tree 2.
    Any ideas?

    If Frank's good idea works, use it. I tried it that way and could not get it to work, but that might have been an update or two previous.
    What I ended up doing was using a combination of
    - newly created top-level Folders as holding bins
    - labeling Projects with unique tags for searching (e.g: "{space}XXX")
    - judicious use of the Library search feature (search for " XXX"
    - using "Mark as Favorite" and then filtering to Favorites (then select and move, then select whole Library and "Remove from Favorites" to clear this grouping)
    With a little bit of planning, these tools will let you organize your Library systematically and without too much senseless effort.
    What I would love to see is an interaction between Projects View and the Library Inspector. One should be able to move Projects between Folders in the Projects view, and also by dragging to the Inspector.
    Important: moving thousands of Projects is one of the most processor-intensive things you can dump on the database. Expect Aperture to take hours or even a day to finish updating all the information. +Do not force-quit Aperture+. Let it run, unmolested, until it finishes.
    IME, the effort is well worth it. Good Luck.

  • How Can I sync iTunes album artwork with album folders on my Mac

    Small Issue,
    I just got a new macbook pro and uploaded copied the iTunes music folder from my PC, to an external hard drive then to the "music" folder in the Finder on my Mac.  I then went into iTunes and added my library via the "add music" link (or something like that)
    All the music upload and most of the album artwork was missing.  I clicked "Get Album Artwork" and it replaced most of the album artwork
    Here is the issue I need help with...
    Some of the albums, which have album artwork inside iTunes, do not have album artwork if I go to the album folder in the finder.  Is there anyway to get this artwork to sync up with the folder?
    I ask because, I am kinda anal and like the artwork to show up if I play a song from the spotlight (I like playing music that way)
    Am I going to have to manually add the album artwork into the finder folders?

  • Nokia N95 8GB Album Art and Album Folders Issue

    I have been hunting for for a resolution for two issues with the N95 8GB Media Player all over the web.
    1. Adding artwork (CD Covers) to audio tracks (or albums) seems to be at best hit and miss. Most of the time it just does not work.
    2. Deleting an album delete all the tracks but deleting the album folder seems almost impossible.
    Well this weekend I decided to try to solve this and I think I may have hit upon a solution.
    Since so may people have the same problem I thought it worth repeating. I would stress this has not been exhaustively tested but it does work reliably so far.
    I am using Nokia Music Manager 2.0. The fix is simply to convert the files to AAC rather than to M4A (which is the default). After this simple change everythig worked find for me. I can add and delete albums from Nokia Music Manager 2.0 (don't forget to refresh on the phone afterwards) AND reliably add Album Artwork.
    So here is how I have been working.
    1. Set the conversion format to AAC. I have been using 'Ultra high' quality setting. Options Menu >> Setting >> Conversion Tab.
    2. Next put in a CD, select all the tracks and choose copy to my collection.
    3. While this is going on I find the artwork on the Web. A simple Google Image search with the album title and artists last name / band name seems pretty 100% to get the on the first page. Download image to My Documents / My Pictures.
    4. Once the CD Rip is complete they will all appear in My Collection. I select all the tracks in my collection for the album in question, and then right click on one of them and select Edit.
    5. I then attach the Album Artwork by clicking on the blue folder and choosing it from my, MY Pictures folder.
    6. Finally select Copy to Phone from the File Menu.
    This has worked for me so far 100% and I have done 20 or so albums.
    NOTES:
    To get Nokia Music Manager 2.0 I uninstalled the version of Nokia Phone Suite that came with my phone and went to

    I chose the N95 8GB downloaded and installed. At some point shortly after install Phone Suite informed me that there were updates available and Nokia Music Manager 2.0 was one of these.
    I was originaly using this and suffered all the problems you guys have. After searching the web and finding no solution I decided to do some experimenting.

    PS If you need to delete all your legacy album folders, this is the fix I found on this same site. You can do this at any time.
    1. Enable the option to be able to see Hidden Files and Folders in your Windows Explorer.
    2. Connect your n95 8gb to your computer and choose data transfer mode.
    3. Go to My COmputer >> Nokia Phone Browser >> Nokia N95 8GB >> Memory Card E:
    3. If you have selected Show Hidden Files and Folders (see 1) you should see a folder called Private.
    4. In the Private folder you need to delete the contednts of three folders
    \private\101FFC31 (mpxv1.mpd and pcv5.mpd)
    \private\101f8857\Cache
    \private\101ffca9
    In all the 3 folders delete all the files Not the FOLDER
    Next time you restart the music player it will rebuild the indexes without the deleted albums folders.
    Hope this helps someone. It restored my sanity.

    Album Art
    Basically there are two methods
    Method 1.
    You do it on the phone. Load the album art pictures to the memory card. (Must be JPEG NOT BMP)
    Load also the music files.
    Open Music application in the phone. Open an album then select Options->Album art then Options-> Add, browse for the picture and select Ok.
    Repeat for each ALBUM
    Method 2.
    You do it on the PC.
    Get a Tag editing software like Tag&Rename, WINAMP, etc.
    Edit the files Metadata to include Album Art picutres (again they should be jpeg and also they should be set as Cover Front).
    Transfer the files that have Album Art using File transfer (usb mass storage) don't use MTP or PC Suite as these methods may convert the files and Album Art will be lost.
    Or you can continue using your Method

    I safely remove my ZEN player from my computer,.
    The ZEN rebuilds his data.
    I go and view albums, and what do i see each time! over and over again!
    Albums fused together, albums scattered true each other, MOST albums got different names then in windows XP!
    I get really frustrated from this! how can i make this right!
    I want the ZEN to show the albums like in WINDOWS XP! how hard can this be!!!

    Hi,
    The Creative ZEN organizes songs according to the ID3tag of the music file, not by folders. If you want to arrange the music files in the order you want, please check and make sure that the music files are tagged properly. You may need a third-party tag editor to do this.

  • I am no longer able to sync multiple photo albums/folders on my iphone. I use to be able to sync many folders and now itunes only gives the option of 1 folder. How do I get back to the multiple folder option?

    first time to the discussion forum. Like I stated in the title, I use to be able to have all my photo albums sync to my iphone. I did something and now it only allows me to "sync photos from..." and it only allows me to chose from 1 of my folders and not pick multiple folders from my photo library. does anyone know how to get back to the multiple folder option? I'm sure its simple since I changed this so easily when trying to add a single folder to my library.

  • "Library" Projects vs "Projects & Albums" Projects

    Hello all,
    I have been using Aperture for about three years. I have Aperture 3 on three different Macs.
    Prevously I have been using Windows XP and have been storing photos in directories on the hard drive the old fashioned way.
    I have some questions about the storage structure of Aperture and I cannot find the answer in the Manual nor online.
    Here we go.
    1. When I import photo's into Aperture, it creates a "Project" both under "Library" Projects and under "Projects & Albums."
    Q: If I delete a project under "Library" do the photo's contained in that project get deleted from Aperture's Library?
    Q: If I delete a project under "Projects & Albums" do the photo's contained in that project get deleted from Aperture's Library?
    2. I have been a user of Mobile Me gallery since it came out, even before I bought Aperture.  I have synced the Mobile Me galleries with my copy of Aperture 3 on each of the mac's so I have redundant copies.  I understand that Aperture will automatically sync changed photos so I am pretty sure all the image files for each mobile me gallery now exists on my hard drives.
    Q: As Mobile Me Gallery will not longer be supported in June, if I delete a Moble Me Gallery via Aperture, will the images in my Aperture Library still be there?
    I know this question seems odd, but the manual is not really clear on this issue.
    3. While I am here asking the pro's this is a question I think I have figured out.
    Q: The Vault list shows a Bar for each vault.  It has a caption that says something like
    The Bar has hashes on the right side and solid color on the left. I assume this shows The total Drive side, and the total amount of free space availble at that moment, yet it does not show the size of the actual vault. And Green means plenty of room left, red means getting close to full.  Dum quesiton but I need varification.

    Hello Mike,
    All images (and all versions of an image) are stored in one and only one project. All versions of the same image are always part of the same project.
    The "Photos" view shows you all versions of all of your images for quick access and filtering and searching, but it does not store the images - it is not a container like the projects, it's more like a smart album.
    Then that new "Project" would contain "Versions" of the orginal files in the "Photos" section??
    If you drag an image by accessing it from the Photos View, you will not drag it from the Photos View but move it from its original project to a the new project - this does not create new versions in the new project. The Photos View is just a neat feature to select all your images in one place, independent of the project they are stored in, like having a file of index cards to all your images.
    If so, then if I delete that new "Project" under "Projects and Albums" it should just delete the "Versions" in that project??? and not the originals under "Library?"
    Oh yes, deleting any project will certainly delete your original images. The only originals you see under "library" are projects in the "Projects" view, and that are exactly the same projects as under "Projects and  Albums" - just different ways to access the same content.
    What I was trying to find out is that if I delete a project, then that grouping created under that project would disappear but the original images would still be in the libary, just no longer assigned to that deleted project.
    If you delete a project, from whatever view you use, the images stored in that project are gone. And since each image - and all its versions - belongs to only one project, that image will be removed from the library for good, if its project is deleted!
    You really need to get a better understanding of the basic organizational structure of Aperture:

  • Sync project, album or smart album with MobileMe gallery?

    Is there any way to sync a project, album or smart album with MobileMe gallery? It would be nice to have changes in one, reflect changes in the other. Thanks

    make sure your inspector is visible on the left hand side press i to toggle on and off. You will see folders and projects that you have made in there. You can simply right click on a folder or project and select New from selection > MobileMe Album this will send all pictures in that album up to your mobileme Cloud for viewing. You can also select just some of the pictures in your main View screen again right click on them and the same as above. If you put more pictures into that folder etc on the mac you will see again in the inspector a icon and the text MobileMe gallery, to the right hand side of the text you will see a icon that looks like a wireless symbol just click on it to re-sync. You can also re-sync by going to prefs in aperture clicking on Mobileme and then click on the tab Check for new photos this works both ways.

  • Organization - Project, Album and Folder

    I am looking for suggestions or recommendations on how to organize my photos in Aperture.  I am photo hobbyist taking pictures of family and events.
    I currently create a new project for each shoot.  As a result, I have a lot of projects.
    Does anyone have suggestions on a good way to organize the photos in Aperture for somebody who takes occasional pictures?

    A very short version of one method.  Adapt to suit:
    Read this first.
    Stick to "One Project = One shoot".
    Organize your Projects using Folders.
      - Don't organize them by date.  Use Projects View to see your Projects by date (as well as by whatever Folders you set up).
    Set up a top-level Folder called something like "Output".
    Create Albums for every output set (I'd like to call these "projects" but that gets confusing) you need to make.
    Drag Images into those Albums (or create them populated by selected Images).  Remove the Images you don't want to publish (removing from an Album does nothing to the Image in other Albums and its Project).  Publish ("output") the Images you select.  Save your Output Albums for re-use.
    Organize your Output Folder using sub-folders.
    Think ahead about naming conventions for Masters, Projects, and Albums.  Use names that will always let you find what you look for.  Stick to them.
    Keyword your Images.  Keywords are to help _you_ find things.  Apply Keywords _you_ will use when you want to find the Image.
    Use Faces for family members and friends. It works well and can be a fantastic aid. 
    Use Places as needed, or if you have a camera that stamps the GPS coordinates.
    You end up with three top-level Folders:
    - Smart Albums (customized to help you find things and make Albums)
    - Input & Storage (your Shoots)
    - Output
    Aperture is (brilliantly) mode-less.  You can adjust any Image from any container.  Adjust them whenever you want.  Use a color label to indicate "Adjusted & ready to publish".
    That should get your started  .

  • Why won't my purchased music transfer into my songs/albums folders?

    I'm using the new format for ITunes for the first time, and have run into an issue. When I purchase songs, they go to my "Playlists" Folder, but when I click on my "songs/albums" folders I just see the picture of the laptop with the options to "Scan for Music" which does nothing, or go to ITunes Store, which does as it says.
    The new layout is a bit confusing to me, but I have tried manually adding a file to my library which doesnt add them, and also going from my Purchased Playlist then clicking "Add To" it will bring up my Songs Folder and I can either select the songs and click Done, or not and click done...the songs folder slides away and nothing at all is transferred.
    I'm a bit confused, why doesnt it simply add them to your normal library as before in addition to "purchased"? Beyond that, what am I missing in getting them into my library?

    And if none of those work, you may want to try this test:
    1. Deauthorize the computer.
    2. Create a new user in the system.
    3. Download the free song of the week from the iTMS in the new user account.
    4. Play the song in that user account to authorize again.
    5. Restore the iPod (using the iPod updater) in the new user account.
    6. Sync just the free song of the week and see if it plays on the iPod.
    If it does, you appear to have a corrupted iTunes library file, and you should recreate the iTunes library file in your normal user account, and then sync your music back to the iPod and all should be well.

  • Problems dragging albums & folders in iPhoto

    I've recently been having sporadic trouble moving albums & folders within iPhoto: when I drag the folder, it "sticks" -- it won't "let go" at the new location. Right-clicking the mouse doesn't have any effect. Sometimes I just have to shut down the computer or it stays "stuck" to my cursor.
    I used the Disk Utility and got some "missing thread record" and "missing directory record" errors, which were reported to be repaired, but this didn't help the problem.
    I have OS 10.6.3 and iPhoto 9, running on a Macbook Pro. Plenty of available disk space.
    Suggestions?

    Try trash the com.apple.iPhoto.plist file from the HD/Users/ Your Name / library / preferences folder. (Remember you'll need to reset your User options afterwards. These include minor settings like the window colour and so on. Note: If you've moved your library you'll need to point iPhoto at it again.)
    *What's the plist file?*
    For new users: Every application on your Mac has an accompanying plist file. It records certain User choices. For instance, in your favourite Word Processor it remembers your choice of Default Font, on your Web Browser is remembers things like your choice of Home Page. It even recalls what windows you had open last if your app allows you to pick up from where you left off last. The iPhoto plist file remembers things like the location of the Library, your choice of background colour, whether you are running a Referenced or Managed Library, what preferences you have for autosplitting events and so on. Trashing the plist file forces the app to generate a new one on the next launch, and this restores things to the Factory Defaults. Hence, if you've changed any of these things you'll need to reset them. If you haven't, then no bother. Trashing the plist file is Mac troubleshooting 101.
