Numbers - export to pdf

My spreadsheets have several sheets all of which get exported to a single PDF file using 'Open in another application'.
I want to export only one sheet as I can when printing.
What am I missing or how should I do this?

Hi Martyn,
I sympathize with your confusion about the distinction people make between Numbers on various platforms. That's rapidly becoming moot as the apps converge and more users are looking for ways to make them work together.
On the iPad it's all sheets or nothing. So the workaround is as follows. I realized after I wrote it that it is a step-by-step elaboration of Jerry's suggestion, and is almost identical to what one would do on the Mac. So Jerry doesn't even need an iPad to give sound advice.
In the Spreadsheets view where you see all your Numbers documents, tap Edit upper right, tap the document you want to export a sheet from, and tap the + icon upper left to create a duplicate of the document which will have the same name, with "copy" appended to the end.
Open the duplicate document, tap once on the tab of a sheet you don't want, tap Delete. Repeat for the other sheets you don't want to export.
Then Share>Open in Another App>PDF and you're good to go.
It sounds complicated, but it's less than 10 taps or so, surprisingly fast.
On the Mac File>Export to...>PDF does export all sheets in one pdf.  So in that respect the behavior is consistent across the platforms. On the Mac as Wayne describes you can print just one sheet, though, curiously on my machine it looks different from his screenshot (maybe it's a printer driver thing):

  • Numbers | Export to PDF | Cannot Print Exported PDF

I am having a heck of a time with being able to print PDFs exported out of Numbers. I have tried both the File>Export command and I have printed to PDF and printed to Adobe PDF. Once I open the exported / printed PDF files in Acrobat Reader and try to print them, Reader freezes after 30 seconds of ramping up its memory usage in excess of 300MB. The PDFs are less than a MB in size. I have been able to successfully print the exported / printed PDF files using Preview on a Mac, but the reason I need to be able to convert my spreadsheets to PDF is so that a colleague in another state can print them from a PC. Anyone run into this issue? Any help is greatly appreciated!!

Is there a way to automate it such that it doesn't repeat the last row or do I just need to manually delete the formula out of all of the cells in the rows after the last?
There sure is. I was in a rush and made a mistake in my formula. I've posted solutions to this problem at least a half a dozen times here in the past and for some reason I didn't recall the bit that you are having trouble with. It came to me overnight that I had led you astray.
Here's a solution for the expression in the reduced table that I've used before and I'm pretty sure you will have success with:
    =IF(ROW()<(MAX(Data :: E)+1), INDEX(Data, MATCH(ROW(), Data :: $E), COLUMN()), "")
    Here's how it works...
The auxiliary column in the table Data reports the count of important rows. The reduced table searches for the count number in the Data table matching the row number in the reduced table. The Index function then transfers the data for the matching row. The problem in my posted solution was with the condition that limits the copying of rows to the reduced table.
Rather than checking the total number of rows in the data table, with an offset, I should have just checked to see how many "'important" rows there are by looking at the max count. The "+1" offset in the test is to account for the Header Row.

  • Creating Invoices with Numbers exporting as PDF

I'm using numbers to create my invoices.
Using sheets/tables to create the Customer information section 2 columns and a few rows for their Name, Address, Email, Etc
Then I use the invoice table chart to put their products and a service charge on there as well.
It works out perfectly...however I just noticed that when I export as PDF to email my customers their invoice/receipt the PDF lines are completely editable.
Giving me a very uneasy feeling should a customer want to make adjustments and cause a concern over something that they changed on the invoice.
So it is possible to lock those fields when exporting as a PDF or is it just by default that way?
    Thanks!

Are you sure in basic PDF readers your customers can edit your content?  Actually I think you can modify most any document.  If your customers are really modifying the invoices you send to them I would say that makes your relationship with them very difficult.
Acrobat Pro X does allow editing.
    http://www.adobe.com/products/acrobatpro.html
You can embed and image which is still modifiable but more difficult to make it look good.
I don't think there is a better way to emit a pdf than what you are doing.   FYI you can also use the menu item "File > Print", then select "Save as PDF…":

  • Numbers export to PDF looks horrible

Was just editing a 1 page Mac OS X Numbers file on the iPad and wanted to share a PDF with a colleague. From the iPad, the page and graphs/charts now get split into many pages that look just horrible and are completely useless - simple graphs lit across multiple PDF pages. Is there anyway to have the PDF format export from iOS Numbers match the 1 page output from Mac OS X numbers? It would be a real shame if this would not be possible, as it renders Numbers on the iPad useless for sharing nice looking charts etc with colleagues.

Looks like you can control some of what it looks like in the Print area.
    Can change Portrait/Landscape.
    Change the scale.
Use "Auto Fit", which seems to work okay.
Doesn't seem to have the option to fit everything on one big page (like Mac version, which I think is what you are asking for), but you can scale the charts down to a regular size page(s) and at least see how it will be broken up across pages. Maybe I don't have the right kind of printer settings and it works for some people on iPad?
At any rate, then return to email spreadsheet as PDF. Maybe you already know this and it isn't exactly what you want, but just the same I hope it helps some.

    Hi again Raja!
I did as you recommended and installed HTTPWatch and below is the outcome of that program. It is the exact string with the only exception of obfuscated servernames and portnumbers. The last part that begins with "sap_ep_baseurl=" makes me suspicious, is that part really correct? It looks like it's lacking things.

  • Numbers won't export to pdf

Whenever I try to export to pdf from Numbers, I get this error message:
This is frustrating because of course the file does not exist. I want numbers to create the file. I like numbers as a program, but I can't just send people numbers files, they can't open them. I need to be able to easily pdf my work.
The method I'm using is File>export to>pdf... Then I once that window is open I select next, choose a name to save the pdf, and then I get the above error message.
    I'm using Numbers 3.5.2.
I successfully saved as pdf from the print screen, but I don't want to have to take 3 extras steps just because the export command has a bug.

Suggest in your menu Numbers > Provide Numbers Feedback that you report this problem to Apple... after, of course, you have tried closing Numbers, and restarting your Mac to see if the problem still persists. It might be a temporary glitch.

  • Pages/Numbers export pdf to (iBook)

Since my iPad is basicly my new computer I got Pages and Numbers for it.
Now everything works fine somfar, but I am missing one small thing.
I did not buy 3G model, just Info on that part.
When I work with different docs, I love to save them as .pdf, both from Numbers and Pages. What I am missing is an export option, directly from Pages and Numbers to such readers as iBooks. Instead I have tp export to iDisk, send mail to myself og to iTunes, (iTunes I have not figurer out yet where the pdf goes)
Now if I where at a wi-fi all the time, this would not be a problem, part from the long process.
So no matter if I where at wi-fi or not, had 3G or not, it would be so much easier to be able to, export as .pdf directly into iBooks, for say.

  • How to export of multi-sheet Numbers file to PDF in one go?

Attempts to export more than first sheet as a PDF fails. Export to Excel is sort of OK, but only with some loss of format.
PDF work-around involved saving the Numbers file with different file names for succeeding sheets, then eliminating earlier sheets before exporting as PDFs, and finally using Acrobat Pro to glue the whole boiling together. Very clumsy.
What am I doing wrong? And what should I do instead?

I would have thought that "Print Sheet(s)" would have done this but... Export to PDF does support multiple sheet "printing." Select the Sheets then Export > PDF...

  • Page numbering wrong when exporting to pdf

I have a 340-page book, broken into about 40 chapters.  The chapters are set as the start of a section, and there are no section changes inside the chapters.  Theoretically, the pages should number consecutively throughout the book -- and they do, in InDesign 5.5.  But when I export to pdf, they get all screwed up.
For instance, the page numbers in Chapter 6 start correctly at #27, but the following pages are numbered like this:  28, 29, 28, 29, 28, 29, 30.  The last page number should be 35, not 30.
This happens sporadically throughout the book.
I've checked to be sure each chapter has only one section, and that page numbering is set consecutively.  In ID, all the page numbers are in order.  But once they get exported to pdf, they go crazy.
    Thanks............

Peter:  My reply above to John kind of overlaps this reply, so it might be well for you to read that, too.  You'll find there a whole list of problems I had with CS4; going back is not the answer.
I agree that one problem is that I don't have extensive experience with ID.  But I'm living on an extremely limited income, and I hoped the Creative Suite would help alleviate that.  I has done that; it has also added a great deal of frustration.  I don't have a huge IT budget to draw from.  The original outlay for CS4 was an extreme reach for me, and I didn't really have the funds for an upgrade.   How I would love to spend a few thousand dollars to fly to Pittsburgh or New York and spend a week or so immersed in an Adobe workshop!  Unfortunately, I live on a small town without such resources.  I have watched as many videos as I could find, and I have gone through several step-by-step books.  But you're right:  hands-on experience is necessary, and I'm scrambling to learn as much as I can as quickly as I can.
I would imagine you're right, too, when you say that bugs are inevitable in a complex program.  What I have trouble understanding is why they aren't fixed, especially considering the price of the program.  The problem with internal hyperlinks not working in epubs has been a known issue for some time, and according to one Adobe expert's post, the developers' attitude has been more or less, "Yep, that's a problem, all right."  But it hasn't been fixed.
Not only am I working on a limited budget, but I have made promises to clients I haven't been able to keep.  It's frustrating when clients are screaming, "Where's my book?" and I'm fighting with "known ID issues."  One novel was supposed to have been published in early October.  I was all ready to finalize it when I noticed the page numbering problem.  I feel I have spent far too much time chasing ID program bugs -- and I don't get paid for posting requests for help in the forums.
In reference to the internal hyperlink problem, I have attempted to "crack open the epub and do some fixing."  If that would work, I would have no problem; I know HTML.  But after I "rezipped" the files,  I couldn't read the result in any epub reader. I'd like to know how Ms. Castro puts its back together after cracking it open.  Perhaps it can be done with a Mac; as far as I know, it can't be done on a PC without oXygen, yet another expensive program I can't afford.   (However, after going to her website, I have decided I need to buy her book.  Thanks for that tip!)
I do appreciate your help, and I apologize for getting so impatient.  I hope you and the other moderators will be patient with me.  I'm working hard to learn as fast and as much as I can and sometimes the frustration gets overwhelming.

  • Exporting to pdf with new numbers app

recently i upgraded from numbers 09 to numbers 3.0. i have a worksheet with 2 pages. with numbers 09 when i export to pdf it export as pdf with 2 pages works fine. but in numbers 3.0 when i wxport the same worksheet it combines both pages in one pdf page so i can't print it on 2 pages. any solution ?

    Vikas
The solution is to Print to PDF rather than Export to PDF.
You will see that there are two pages in the Print dialog preview, and when you choose PDF, Open in Preview, you will see that the PDF version of the file has two pages.

  • Automator Workflow to export Numbers documents in PDF format

Does anyone know of any automator workflow to export Numbers documents in PDF format? I tried this program: Convert to PDF 1.2
    http://www.apple.com/downloads/macosx/automator/converttopdf_mauriziominelli.htm l
    But it gives an error.

    Reading carefully is often useful.
The description of the tool which you tried clearly states :
    *About Convert to PDF*
*_Convert all of your text files to PDF_. This action uses the underlying cups printing system ability to convert files, it’s a simple front end to the command line tool cupsfilter.*
As far as I know, but maybe you don't, *_a Numbers document isn't a text file._*
I already posted a script exporting Numbers documents as PDF.
Here is an enhanced version which apply only to Numbers '09 (or maybe higher) :
    --[SCRIPT save2Numbers&PDF.app]
Enregistrer le script en tant que Script : save2Numbers&PDF.scpt
déplacer le fichier créé dans le dossier
    <VolumeDeDémarrage>:Users:<votreCompte>:Library:Scripts:Applications:Numbers:
    --=====
    L'aide du Finder explique:
L'Utilitaire AppleScript permet d'activer le Menu des scripts :
Ouvrez l'Utilitaire AppleScript situé dans le dossier Applications/AppleScript.
Cochez la case "Afficher le menu des scripts dans la barre de menus".
    +++++++
    Save the script
    as a Script: save2Numbers&PDF.scpt
Move the newly created file into the folder:
    <startup Volume>:Users:<yourAccount>:Library:Scripts:Applications:Numbers:
Maybe you would have to create the folder Numbers and even the folder Applications by yourself.
go to the Scripts Menu, choose Numbers, then choose save2Numbers&PDF
The script saves the document in the native Numbers format and saves it in a .pdf file
If such a .pdf already exists, it is renamed with a stamp matching its modification date.
    --=====
    The Finder's Help explains:
To make the Script menu appear:
Open the AppleScript utility located in Applications/AppleScript.
Select the "Show Script Menu in menu bar" checkbox

  • Exporting Numbers sheet to pdf but keeping formulas?

    Hi!
I want to know if it's possible to export a Numbers sheet to .pdf in a way that let's me keep the formulas? My goal is to create a pdf which let's the user answer a series of questions where the answers create a result and a couple of diagrams. I have it all drawn out in Numbers but can't figure out how to create a pdf out of this. If I export the sheet to pdf the formulas disappear....
    Please help me!
    Thanks!

    Hi Owen,
This seems to be a good candidate for the sharing function in Numbers 3 rather than a pdf. You simply send the person the link to the spreadsheet. They enter some data right through their browser and (since, unlike with a pdf, the formulas are there) they will see the results and the charts change on their end. They don't need to have a Mac or Numbers installed; just any computer with a modern browser.
That works well for one user at a time. If you have different users who will each be inputing different things you can set up multiple copies of your document and share each one to a different person.
If they have a modern Mac updated to Mavericks you can of course just send them your document and they can open it on their end, since Numbers is now free to all.
Obviously, none of this is advisable if data integrity is an issue, because once you share a document, both they and you (or anybody else who gets their hands on the link) can go in and change values and formulas until such time as you revoke the sharing.  There's no password protection for shared documents.  Hope that's coming.
    SG
Edit: Sharing works the same from Numbers for iOS, in case you're running it on an iPad.

  • Can the new numbers export PDF as more than one page?

I just upgraded to the new version of Numbers for OS X Mavericks and it seems I can not
see my document as different pages or even export a PDF as several pages.
    Thanks,
    Alex Neuman

    Hi Alex,
It took me a while to get my head around the difference between Export to PDF (everything on one page) and Print, where we can 'Print to PDF'.
    Do this:
    Menu > File > Print...
You will see Print Preview. At the bottom of the panel on the right,
click on Print. It won't print yet, but will take you here:
Now we see Page 1 of 4 .
Click on PDF to go here:
Choose Save as PDF to a folder of your choice (mine is called Desktop Temp). In Finder, open that folder then double click on the PDF to open in Preview.
    Then Print from Preview.
    Phew.
    Regards,
    Ian.

  • Missing page header when exporting a Numbers sheet to PDF??

    I am running OS X 10.8.5 and Numbers 09 Version 2.3, all on a 2009 MBP.
I created a simple table and have a page header (title, etc).
When I print this file directly from Numbers to the printer, everything is okay.
But when I export the file to PDF and print the PDF, the header is gone.
    Any thoughts?

I have done some addtional problem solving. I now have the issue isolated to the export function. It does not export the page header when exporting to PDF. It does do it when exporting to file type - post script.
    Interesting.
Anybody got something to add here?

  • Numbers exports entire document as a single page PDF

I'm trying to give numbers a shot on an iPad, but so far I'm running into what seems like a very critical bug.
I have a relatively simple numbers document that I'm working with. If I were to print it via os x, it would span 3 8.5x11 pages. It would stand to reason then, that if I exported it to a PDF, I would get a PDF with three 8.5x11 sized pages. But no matter what I do, when I export to PDF (On iOS or OS X) I get one long PDF that's a single page that doesn't fit any standardized page size. At least on OS X I can print and save a PDF from the print dialogue. That option doesn't exist on iOS. Does anyone habe a workaround for this bizarre behavior?

Can't answer your question, but I experience something a little different, I have a one page Numbers file that contains a chart, a 4x6 table and title. When I go to print to see if it fits on one page and I have the page set to Portrait, and the size set to US (I assume this means 8.5x11) it fits just fine. Then I exit Print and try to export to PDF to open in another app (ZoomNotes) but while it prepared the PDF, the preview doesn't look like an 8.5x11 representation, then when I open it in zoomnotes, it gets imported as a 9.5x11 and zoomnotes won't change it. There needs to be a way to force PDF exports to the correct page size.
Sorry for for jumping on your post, but maybe with some activity, we'll both get someone looking at this.
