Offline Approval in workflow - SRM 5.0

Hi Team,
I am new to SRM Workflow.
I have a task of Offline Approval.
I have one file for which we are developing offline approval process in SRM 5.0
for that we are developing workflow.
I know there is a report  in SRM which we can use for offline approval.
But I am not getting it, from where I need to start.
How can I cal that report in Workflow.
How should be my work-flow.
Please suggest your inputs.

    Hi,
    I wanted to know if there is any way in which we can enable offline approvals of work items in ECC 6.0.
    I know that in a SRM system it is possible with the use of RBBP* reports, but these reports are not present in the ECC system. I have tried making use of swnadmin and swnconfig transactions, but I have not been able to achieve what I am trying to, which is offline approval (approve/reject) of tasks/workitems (without having the user to interact with SAP GUI windows/html).
    An ideal scenario would be that a user recieves an email with Approve/Reject option, and on clicking any of these options, the necessary updates are registered by the SAP system.
    So is it possible to implement the above by making use of WebServices or something else?
    Any help or guidance will be very helpful and rewarded

    Notrix is third party software and used to link between Lotus Notes and SAP.
    A Job runs in Notrix and pulls all workflow work items and sent to approvers lotus notes inbox, also you gotta write down some FM into SAP as a plug-in to Lotus Notes.
    its a collective effort from Basis team, Notrix, ABAP developer and workflow consultant. Most important client has to be in consent for this all cost.

  • Offline approval setup for SRM 7

    Experts,
    I have feq uestions on OFFLINE APPROVAL set up in SRM 7.
    1. Do I need to scehdule the report /SAPSRM/OFFLINEAPPROVALGET for the inbound emails to be prcoessed and status for shopping carts/PO correctly updated?
    2.Do the backgorund jobs (for reports /SAPSRM/OFFLINEAPPROVALGET and /SAPSRM/OFFLINEAPPROVALSEND need to be schdueld with WF-BATCH user only??
    3. Also the user used to schedule the jobs should it be a DIALOG user?
    4. in S050,should i maintain the email address for the user which is used to schedule the backgorund jobs?
    5. In SICF,node configurationfor SMTP need to be maintained ?

    HI,
    1. it depends on your configuration, if you will use inbound processing or not. If you use inbound (at SO50 the class is set) then you should not schedule the /SAPSRM/OFFLINEAPPROVALGET as a job.
    2. it depends on  the customer. I have seen with the wf-batch and with other names but with the same rights and config of WF-batch.
    3. you can use the swu3 to create the wf-batch user. I have set as type system.
    4. yes you need the emaill of the user who is the processor
    5. this is a basis configuration, I am not sure. ( you will need to setup the sapconnet)

  • Changing the Offline approval email in SRM 7.0

    Hi all,
    Im working on SRM 7.0(SP1).Im workng on customising the email content for the offine approval email for Shopping cart.The SAP help says the badi BBP_OFFLINE_APP_BADI needs to be used  for this.
    Now I need to make some changes to the main body of the email.However when i tried debugging this badi,I found out that I cannot read the main body o fthe email in this BADI(Only subject line is available and the first 3 openig lines).I mainly need to change the Item details(dislayed in tabular format) and a/c assignment details(also displayed in tabular format).However I cannot read these details(Item n a/c assignment) in this BADI...
    Has anybody worked on similar requirement?I have used this BADI previously in SRM 5.0 successfully.However in SRM 7.0,I found this problem in modifying the email contents for offline approval.
    Any inputs will be highly appreciated.

    which reports are using to send workitem ? since 2 rbbp and rsm  reports sends workitem so i think you must drill into the report how workitems are generated and that workitem needs to be modified.
    In sost you might seen content of the mail which you are gonna sent.

  • SRM Offline Approval via Blackberries is not working

    SRM Experts,
    We are using SRM 5.0, PI-7.0. We don't have SAP MI (mobile infrastructure) configured in the landscape. Whenever user approves the Shopping cart from blackberry, it does not work. If user approves from MS-Outlook, it works. I heard that we can approve SC from  blackberry without configuring MI in the landscape.
    I also observed that when SC is approved via blackberry, it does not have subject line and workitem number information whereas when it is approved via Outlook it has. Any idea why subject line and workitem number information is missing via blackberry?
    Can someone please help!

    Hello,
    I am assuming that you are using the standard out of the box offline approval process in SRM. What you are saying is that when someone clicks on the link using Blackberry, it does generate an encrypted response but does not populate subject text?
    If that is the case please check the version of Blackberry operating system. Try using the functionality from a latest Blackberry model with latest device software installed.
    Earlier versions of the BBerry devices/OS did not even support mailto: hyperlink inserted in the approval request mail.

    PS: I have tested this functionality using Blackberry Pearl and I did not come across any problem of subject line not getting populated. The encrypted approval response also gets populated correctly.

  • Offline approval + Substitution

    Hi Experts.
    We have implemented the offline approval process in SRM server 5.5. But when there is substitution(both active & passive), the both users get the approval email. I am not sure whether it is correct or wrong.
    Could you please calrify me the Offline aproval + substitution with respective approval mail in detail?

    sorry for the missing clarity in the formulation.
    What i usually see in my system is, that when a work item is created (in general) than on one hand this work item gets sent via the workflow to the (universal) work list of the responsible. And on another hand, there is also an offline approval mail that is being sent via an email to the approver. In that offline approval mail, there is a description of the shopping cart content and also a link included. Via that link the approver can branch out into the shopping cart itself, out of the offline approval mail.
    So, the above described behaviour i see also, when the first of the substitution rules is used. The delegate receives both, the work item via the workflow into the work list. And also the offline approval e-mail.
    But when the second substitution rule is in use, than there is only the distribution of the workitem to the work list of the delegate there. But the delegate does not receive the offline approval e-mail.

  • Offline Approval Mail contains .mht data instead body text

    Hello experts,
    I'm using the offline approval function of SRM 7. I'm running the report /SAPSRM/OFFLINEAPPROVALSEND for creating and sending the email.
    The problem is, that the email contains no body text. Instead there is a data attachment with the same name as my the subject and ending with ".mht"
    When clicking this mht data the browser opens and it shows the approval body as html.
    changing the parameter to clear text format of report /SAPSRM/OFFLINEAPPROVALSEND makes the same. but the mht opened in browser shows the site in plane text.
    Hope someone can help to solve the problem.

    good question. I send the Approval Mail to MS Outlook, to IBM Lotus Notes and to my private web.de account.
    All E-Mails contains no body but this .mht data.

    The program RSWUWFMLEC was used to scehdule offline approval mails upto SRM 4.0(In SRM 5.0,report RBBP_NOTIFICATION_OFFAPP is used)..

    You need to check the settings mentioned in the link above before you scehdule the report for snding the approval mails to the external email ID's of the approvers.
    The job mentioned are only for sending the approval mails.To send the requester notification messages to external mail box (instead of SRM inbox),see the foll thread for more pointers:

  • Offline approval workflow not working - SRM 5.0

    Hi Team,
    Suddenly we have an issue in SRM production server with Offline approval workflow, inbound mails are not getting processed in SOIN and workitems are not getting cleared. So document status is not getting changed.
    There is no problem in receiving the mail, we have all configurations setup as per below link,
         Offline approval - general configuration - Supplier Relationship Management - SCN Wiki
    Incoming mails are received to system user and then auto-forwarded to dialog user. Dialog user is used to schedule the batch job - RBBP_OFFLINE_EVAL.

  • Workflow not updated in offline approval

    Hi All-
    I have an issue in offline approval in SRM 7.0 . Program- /SAPSRM/OFFLINEAPPROVALSEND has been scheduled to send email for offline approval and approver receives the mail. When the approver clicks on Approve By Email button, a new email opens with some Guid informations and approver clicks on send button to send the mail.
    I am seeing the inbound mail recived by SAP in SOIN -tcode or via In Utilities-Inbox Overview in SCOT. The problem is, the workitem is still in ready status and not changed to complete status.
    I havent scheduled the inbound program- /SAPSRM/OFFLINEAPPROVALGET as per SAP library and other SDN posts. I have maintained the following in SCOT (Under Settings-> Inbound processing)
    Internet mail     xxxx@ xxx.com ( Mail id)    ICS    /SAPSRM/CL_OFFLINEAPP_INBOUND   3.
    My doubt is, do we need to schedule the inbound program or any other program, so SAP will decode the data and update the workflow? or is it enough to maintain the above SCOT settings?
    Please clarify above things and help me on how to update the workflow

    Thank you Ricardo and Saravanan. I am working on this and waiting for roles to assign. In the mean time, i have scheduled the prog- /SAPSRM/OFFLINEAPPROVALGET and if i approve from outlook, it is updating the status to WF.
    Is there any issue, if i use this inbound program in SRM 7.0?
    Also, when i approve from outlook, the mail contents (GUID and other technical informations) is in editable mode. As per my client, it should be in disable mode, so the approver will not change the mail contents. I am not able to find the solution for this. Please provide your inputs.
    PS: I am using Application Controlled WF

    1. I see from SAP Note 1166763 there is a Consulting Solution for the Blackberry.  I see from various SAP Notes that other customers do approve Shopping Carts via the iPhone.*
    Does SAP also have a Consulting Solution for the iPhone?
    Are there any additional hardware/software requirements to approve Shopping Carts via the iPhone?*

    s the Offline Approval method configurable by user?  Can some users approve via MS Outlook, and some users by Blackberry or iPhone?

    The Blackberry Consulting solution can be used for iPhone too. The solution works this way, The email communication happens through SRM SErver and your mail server for these devices. When email comes back from these devices, the SRM programs for offline approval reads the emails for some particular action (may be YES NO or , APPROVED etc). If the return email has the information in it, then offline approval programs gets executed and approves the cart.
    So the solution is just to decode the incoming email and then process the work item

    Does the substitute function work true for OFFLINE APPROVAL emails also??
    E.g. User B is a substitute of User A.If user A gest the offline approval emai,then should usre B also get the offline approval email?

       I do not think the report might have the functionality to handle the substitution. May be what you can try is take a copy of the standard report and then try to customize as per your requirement .
    Try some thing like below.
    1. I assume that to identify a substitute for a user you might be storing these details in some Z table.
    2. Take a copy of the standard offline report and then from this custom report read the try to read this table after the original agents are determined.
    3. Finally schedule this report. with the same set of parameters that used to schedule the standard report.
    But I I think this report actually reads the agents of the workitems and then it tries to send the notification to the same user. So first you have to check out that how the workitem is forwarded to the substitute . If the substitute is also a agent then this report directly sends the notification.

  • SRM - Offline approval of shopping baskets (avoid automatic email)

    Dear colleagues,
    We are implementing SRM 5.0 and one of the key functionalities is the so-called "offline approval": the authorizer receives an email with the information of the basket he/she has to approve or reject. This email actually contains 3 links: one for approval, one for rejection, and another one to access the system (SRM).
    When accepting or rejecting the shopping basket (that is, when clicking on any of the links for approval or rejection) the system automatically generates an email with a default text in the Subject and in the Body of the email. The user can INSERT some comments in the middle of the proposed character chain. Example of email generated:
    Send to: [email protected]
    Subject: #EBP_GEN_REPLY#Reject of a work item
    Body:
    #WFTECHINFOS#444244093D34D87D43D6572D4#WFTECHINFOE#You can write a note#NOTM#Regards.
    That is, the user can write a text replacing the "You can write a note". If, for whatever reason, the user deletes any of the other characters, or any character in the Subject, or writes the comments in the wrong position, deleting a "#", etc, the process will not work.
    On the other hand, it is quite unlikely that the user needs to write a comment. Normally, he/she just approves or rejects, without comments.
    Therefore, this email is unnecessary and dangerous indeed, as it is quite likely that the proposed characters will be deleted or overwritten by mistake, and the process (either approval or rejection) will not work.
    We want to avoid this email, ideally making it work in the background, so that the user does not even see it, and does not even have the possibility to modify those characters or overwrite them. This is absolutely business-critical.
    This is of course a modification to standard SAP. Do you have any idea what we have to do to avoid the email?

    Thanks for your message, but this is not really what I meant.
    We need the authorizer to receive an email with the message: "You have a shopping cart pending for approval, with these items ...item 1, item 2, etc... Do you want to approve? Yes / No".
    We have managed to turn on this message, which is fine. The problem, however, comes when pressing Yes or No (which can be either a link or a button, depending on your email service, e.g. in Lotus Notes we get links, but I know that in Outlook you would get buttons). When you press 'yes' or 'no' we would expect that the system automatically approves or rejects the basket in SRM with no intermediate email which may be manipulated by the user. That is: you press 'yes' and the system approves the basket in SRM, no matter if the communication is via email behind, but the goal is to avoid that the user may see or manipulate the email.
    The same with the rejection: the user should press 'No' and no intermediate email should be visible to the user.
    I know for certain that this requires a modification to the standard, but the question is where and how.

    Yes, but for this you need have SAP MI (mobile infrastructure) configured in the landscape. MI is part of SAP NW. Integration of MI is possible with SRM2.0 and upwards.

  • Plant getting updated after offline approval of SC in SRM

    Hello Experts,
    Please guide me in finding out the reason of why the Plant Value gets updated after the Offline Approval is done by the user in SRM.
    when the user accepts the SC through mail we see that the SC gets approved status in Portal and in the backend PO we get that the Plant also gets changed.
    So please help me in identifying the issue.

    Hi Rajat,
    We have debugged and analysed this issue, In offline approval system is picking last plant maintained for the company code from the table: BBP_LOCMAP. You can add one more plant to the table and check after offline approval. It will pick new one. Still we have not reached solution point, will let you know once we will find something.
