Offline approval via Blackberry

Dear SRM Gurus,
We have an approval process set up where our users can approve shopping carts from their Outlook inbox without having to login to SRM. We also would like to be able to approve SC from Blackberries.
At first I thought we needed SAP Mobile Infrastructure installed in order to have offline approval via Blackberry. However, I've read some threads here that MI is not necessary and I'm wondering if anyone has tried this already. If so, could you please provide some info on what is needed to enable offline approval from Blackberry.

Hello,
as far as I know blackberries do not support HTML mails at present. This is announced by RIM for BlackBerry Enterprise Server v4.1.5 and BlackBerry device software v4.5 or above (see [http://www.rim.com/news/press/2008/pr-22_01_2008-01.shtml]).
So you need the new software version to use offline approval with blackberries.

    We are using SRM 5.0, PI-7.0. We don't have SAP MI (mobile infrastructure) configured in the landscape. Whenever user approves the Shopping cart from blackberry, it does not work. If user approves from MS-Outlook, it works. I heard that we can approve SC from  blackberry without configuring MI in the landscape.
    I also observed that when SC is approved via blackberry, it does not have subject line and workitem number information whereas when it is approved via Outlook it has. Any idea why subject line and workitem number information is missing via blackberry?

    I am assuming that you are using the standard out of the box offline approval process in SRM. What you are saying is that when someone clicks on the link using Blackberry, it does generate an encrypted response but does not populate subject text?
    If that is the case please check the version of Blackberry operating system. Try using the functionality from a latest Blackberry model with latest device software installed.
    Earlier versions of the BBerry devices/OS did not even support mailto: hyperlink inserted in the approval request mail.

    PS: I have tested this functionality using Blackberry Pearl and I did not come across any problem of subject line not getting populated. The encrypted approval response also gets populated correctly.

  • Shopping cart approval via Blackberry

    We're currently on SRM 4.0 with classic scenario.
    We're investigating SC approval via mobile device, such as a blackberry. I've read previously that we'd need Mobile Infrastructure installed in order to have this capability. However, I've also heard that other companies have enabled blackberry approval without MI. Has anyone tried this and can provide some pointers? Can we have this without MI? If so, do we need to be at a certain blackberry version in order to enable this capability?

    Hi,
    You need new Blackberry version which supports HTML mail. Old version does not support normal HTML mail. The scenario is offline approval by mail.

    Is there any other module that need to be installed in order to have the PO being approved through Blackberry?

  • Problem while receiving a mail in blackberry using offline approval

    Dear SRM Gurus,
    We are working with SRM Server 5.5, SP08.
    We are using offline approval functionality using <b>Blackberry</b> device. We
    have observed that in an approval mail sent to blackberry, the approver
    does not see hyperlink for "Approve by mail" or "Reject by mail" text.
    However, when the same approval mail is checked on any other mail

    we are trying to access Siebel ondemand offline (the macro-enabled excel file) access via PDA phone (not blackberry).
    However, there is a password embedded in the excel file that makes it impossible to open the file via PDA. Is there any way we can get the password? Or other ways to use Offline Access via PDA?

    sorry to bother you again. We have been contacting Antenna but they do not have presence in Asia. We found another vendor in India, but they were not very responsive.
    We need to use the PDA solution in greater China area, including Taiwan, China and Hong Kong. Do you know other vendor who may be interested?

    1. I see from SAP Note 1166763 there is a Consulting Solution for the Blackberry.  I see from various SAP Notes that other customers do approve Shopping Carts via the iPhone.*
    Does SAP also have a Consulting Solution for the iPhone?
    Are there any additional hardware/software requirements to approve Shopping Carts via the iPhone?*

    s the Offline Approval method configurable by user?  Can some users approve via MS Outlook, and some users by Blackberry or iPhone?

    The Blackberry Consulting solution can be used for iPhone too. The solution works this way, The email communication happens through SRM SErver and your mail server for these devices. When email comes back from these devices, the SRM programs for offline approval reads the emails for some particular action (may be YES NO or , APPROVED etc). If the return email has the information in it, then offline approval programs gets executed and approves the cart.
    So the solution is just to decode the incoming email and then process the work item

  • Workflow not updated in offline approval

    Hi All-
    I have an issue in offline approval in SRM 7.0 . Program- /SAPSRM/OFFLINEAPPROVALSEND has been scheduled to send email for offline approval and approver receives the mail. When the approver clicks on Approve By Email button, a new email opens with some Guid informations and approver clicks on send button to send the mail.
    I am seeing the inbound mail recived by SAP in SOIN -tcode or via In Utilities-Inbox Overview in SCOT. The problem is, the workitem is still in ready status and not changed to complete status.
    I havent scheduled the inbound program- /SAPSRM/OFFLINEAPPROVALGET as per SAP library and other SDN posts. I have maintained the following in SCOT (Under Settings-> Inbound processing)
    Internet mail     xxxx@ xxx.com ( Mail id)    ICS    /SAPSRM/CL_OFFLINEAPP_INBOUND   3.
    My doubt is, do we need to schedule the inbound program or any other program, so SAP will decode the data and update the workflow? or is it enough to maintain the above SCOT settings?
    Please clarify above things and help me on how to update the workflow

    Thank you Ricardo and Saravanan. I am working on this and waiting for roles to assign. In the mean time, i have scheduled the prog- /SAPSRM/OFFLINEAPPROVALGET and if i approve from outlook, it is updating the status to WF.
    Is there any issue, if i use this inbound program in SRM 7.0?
    Also, when i approve from outlook, the mail contents (GUID and other technical informations) is in editable mode. As per my client, it should be in disable mode, so the approver will not change the mail contents. I am not able to find the solution for this. Please provide your inputs.
    PS: I am using Application Controlled WF

    Basically if a SC approved via offline email, It should be proceed by WF-BATCH user ID (I mean the inbound email) and passed the decision to the workitem.. There should be some standard workflow table should be there to store this log..

    We have implemented the offline approval process in SRM server 5.5. But when there is substitution(both active & passive), the both users get the approval email. I am not sure whether it is correct or wrong.

    sorry for the missing clarity in the formulation.
    What i usually see in my system is, that when a work item is created (in general) than on one hand this work item gets sent via the workflow to the (universal) work list of the responsible. And on another hand, there is also an offline approval mail that is being sent via an email to the approver. In that offline approval mail, there is a description of the shopping cart content and also a link included. Via that link the approver can branch out into the shopping cart itself, out of the offline approval mail.
    So, the above described behaviour i see also, when the first of the substitution rules is used. The delegate receives both, the work item via the workflow into the work list. And also the offline approval e-mail.
    But when the second substitution rule is in use, than there is only the distribution of the workitem to the work list of the delegate there. But the delegate does not receive the offline approval e-mail.

  • SRM - Offline approval of shopping baskets (avoid automatic email)

    Dear colleagues,
    We are implementing SRM 5.0 and one of the key functionalities is the so-called "offline approval": the authorizer receives an email with the information of the basket he/she has to approve or reject. This email actually contains 3 links: one for approval, one for rejection, and another one to access the system (SRM).
    When accepting or rejecting the shopping basket (that is, when clicking on any of the links for approval or rejection) the system automatically generates an email with a default text in the Subject and in the Body of the email. The user can INSERT some comments in the middle of the proposed character chain. Example of email generated:
    Send to: [email protected]
    Subject: #EBP_GEN_REPLY#Reject of a work item
    Body:
    #WFTECHINFOS#444244093D34D87D43D6572D4#WFTECHINFOE#You can write a note#NOTM#Regards.
    That is, the user can write a text replacing the "You can write a note". If, for whatever reason, the user deletes any of the other characters, or any character in the Subject, or writes the comments in the wrong position, deleting a "#", etc, the process will not work.
    On the other hand, it is quite unlikely that the user needs to write a comment. Normally, he/she just approves or rejects, without comments.
    Therefore, this email is unnecessary and dangerous indeed, as it is quite likely that the proposed characters will be deleted or overwritten by mistake, and the process (either approval or rejection) will not work.
    We want to avoid this email, ideally making it work in the background, so that the user does not even see it, and does not even have the possibility to modify those characters or overwrite them. This is absolutely business-critical.
    This is of course a modification to standard SAP. Do you have any idea what we have to do to avoid the email?

    Thanks for your message, but this is not really what I meant.
    We need the authorizer to receive an email with the message: "You have a shopping cart pending for approval, with these items ...item 1, item 2, etc... Do you want to approve? Yes / No".
    We have managed to turn on this message, which is fine. The problem, however, comes when pressing Yes or No (which can be either a link or a button, depending on your email service, e.g. in Lotus Notes we get links, but I know that in Outlook you would get buttons). When you press 'yes' or 'no' we would expect that the system automatically approves or rejects the basket in SRM with no intermediate email which may be manipulated by the user. That is: you press 'yes' and the system approves the basket in SRM, no matter if the communication is via email behind, but the goal is to avoid that the user may see or manipulate the email.
    The same with the rejection: the user should press 'No' and no intermediate email should be visible to the user.
    I know for certain that this requires a modification to the standard, but the question is where and how.

    Experts,
    In SRM 5.0 we have given with new report "RBBP_NOTIFICATION_OFFAPP" and BADI "BBP_OFFLINE_APP_BADI" over the previously used "RSWUWFMLEC" for offline approval.
    But the old report also exist in the system. Can anybudy explain me if I can use this old report for the offline approval in SRM 5.0. If I can, then what are the more features provided by new report and BADI combination to use it instead of the old one?

    You can now use new checkboxes to select e-mail options (which replace the old radiobuttons). Remember that the indicator you set will override the default value.
    E-mail text:
    Can be made up of the work item text (short text) or the task description of the work flow task (full text).
    Creating attachments:
    You can attach a PDF (print version) of the document you want to have approved to the mail, and/or any attachments that exist for the document.
    The input fields for standard notification texts and logon URLs that belonged to the old transmission report (RSWUWFMLEC) are no longer available because the notification contents can be specified more flexibly with the help of BAdI BBP_OFFLINE_APP_BADI.
    Similarly, you no longer have to specify the return address because this can be replaced by the recipient's address in the transaction for SAPconnect inbound processing (transaction SO50). (If SAPconnect inbound processing has not been activated, the response mail [decision mail] is sent by default to the WF-BATCH user, as was also the case prior to SRM 5.0. The return address in method SMTP_INBOUND_ADDR_GET of BAdI BBP_OFFLINE_APP_BADI can also be overwritten.)
    Processing logic in transmission report RBBP_NOTIFICATION_OFFAPP in conjunction with BAdI BBP_OFFLINE_APP_BADI:
    a) Selection of work items
    On basis of selection parameters or BAdI method WORKITEMS_SELECT.
    b) Determination of recipient
    Work item processor (attribute "Forward work item" from the organizational model and e-mail address is checked) or on basis of BAdI method RECIPIENTS_GET.
    c) Collection of e-mail data
    E-mail data from work item or from BAdI method MAIL_DATA_GET.
    d) Generation of e-mail
    By BAdI method MAIL_CREATE (flexible generation of subject, mail text, URLs, and attachments) or by default by class CL_BBP_MESSAGE_CREATE_OFFAPP (this class can be inherited and its methods changed - with BAdI method DETERMINE_CLASS_NAME this class can override the default class).
    Standard Smart Form BBP_OUT_OFFAPP, which determines the e-mail layout, can be replaced in class method DETERMINE_FORM_AND_PARAMS (previously copied and varied).
    e) Sending of e-mail
    Class CL_BBP_DOC_SEND_BCS sends the e-mail by BCS.
    Add approval notes to response mail:
    After rejecting or approving, it is possible to enter notes in the response mail (only possible for e-mails in HTML format). These notes will be saved as document notes in SRM.
    Inbound processing:
    As of SRM 5.0, response mails can be processed in SAPconnect inbound processing. They are processed synchronously by classCL_BBP_SMTP_INBOUND_OFFAPP.
    (Inbound processing in SAPconnect is activated if a suitable entry with the recipient's address and the processing class [ exit name] exists in transaction SO50. If a mail is received at this address, the specified class is used for processing. The work item ID and the decision of the approver are evaluated.)
    If the document is locked at this point in time or if immediate processing fails for any other reason, the response mail is forwarded to the SAP inbox of the user who is assigned to the specified address. In this case, further processing is delayed until report RBBP_OFFLINE_EVAL is run (this report was the only report used prior to SRM 5.0, and it has to be scheduled periodically).
    The e-mail addresses of the sender of the response mail and the determined recipient are compared by default; this ensures that third parties cannot respond. If a discrepancy is detected, the response mail is not processed. However, the processing parameters in inbound processing can be overridden by BAdI method CHK_SENDER_IND_SET
    Effects on Customizing
    You will find BAdI Customer Enhancement of Offline Approval (BBP_OFFLINE_APP_BADI) in the IMG for SRM by choosing
    SRM Server -> Business Add-Ins (BAdIs)-> SAP Business Workflow

    I am implementing the BADI BBP_OFFLINE_APP_BADI to customize the offline approval mail. I was checking the import parameters in debug via the program /SAPSRM/OFFLINEAPPROVALSEND for the BADI implementation and found the item and account assignment details which appear in the approval mail are not held in any of the structures. Only the part till click here to approve appears in the mail. Now I need to implement the following
    - Change the logic as which line items of the shopping cart are displayed in the approval mail.
    - Modify the logo which appears in the approval mail.
    Any pointers regarding this is appreciated.

    For my requirement as per the existing standard offline approval the mail is going with all line item details. I have implemented cost center based approval and want to display only the line items for which the approver is responsible in the offline mail. Is this requirement feasible through the offline approval BADI?
    in FM SWW_WI_CONTAINER_READ_OBJECTS its returning the guid and object id of the shopping cart which means I can get all the line item details but again I need only the line items relevant for the approver.
    "To remove the SAP logo, the import paramer it_ct_mail_text will have the SAP logo details.. just clear the line and modify the internal table it_ct_mail_text.."
    I could not find any such import parameter, there is one parameter ct_mail_text but its not holding any value.
