Offline approval - weird characters in Outlook

Hi all,
We're on SRM 5.0, Server 550, SP12.
Scenario: offline approval of Shopping Carts
After running report RBBP_NOTIFICATION_OFFAPP, approver is getting an e-mail in Outlook 2003 with some weird characters:

When I look at the same message in , these characters are not visible; but there seem to be spaces/blanks in those spots. Looks like Outlook is substituting spaces for some other character.
Also, there're some extra blank lines, which we would like removed.
Any ideas how to get rid of the unwanted characters and unnecessary lines, besides BAdI implementation?

Please check the foll note:
Note 1100912 - E-mail messages for work items with incorrect line break
Also,sometimes some junk characters are inserted into the offline mail if the required services(for the generation of mail ) are not active in transaction SICF.
Please see whether the following path is active in SICF:
SAP/BC/BSP/SAP/SMART_FORMS/DEFAULT.CSS
If the above service is not activated,then activate that and re-test.
Last option would be to implement the BADI BBP_OFFLINE_APP_BADI (method ~MAIL_DATA_GET) to remove the unwanted characters.

    We have of requirement for offline approval of SES through Outlook .
    We are in ECC 6.0 and when a User creates a SES a mail has to be triggereed to the aprrover Inbox.
    The manager should be able to approve or reject directly from his outlook. the manager is not a SAP User.
    Please let us know the possible alternatives to achieve this functionality,

    you need to develop SAP Workflow (Extended notification) to be able to approve/reject in Outlook. There is a separate SAP Workflow forum in SDN, you might want to have a look that forum.

  • Special characters added in offline approval email

    Hi all,
    We are on SRM 5.0 SP13 ,ECS
    We are facing an issue with the outbound emails sent out from SRM system for offline approval for both shopping carts and PO.
    In the main body of the  email,some some special characters like ^A are being added at the start of each line.
    We have been observing this issue lately after the upgrade of our mail server.
    Has anbody come across such an issue in SRM 5.0??Please advise /share your solution/provid some insights.

    The program RSWUWFMLEC was used to scehdule offline approval mails upto SRM 4.0(In SRM 5.0,report RBBP_NOTIFICATION_OFFAPP is used)..

    You need to check the settings mentioned in the link above before you scehdule the report for snding the approval mails to the external email ID's of the approvers.
    The job mentioned are only for sending the approval mails.To send the requester notification messages to external mail box (instead of SRM inbox),see the foll thread for more pointers:

  • SRM - Offline approval of shopping baskets (avoid automatic email)

    Dear colleagues,
    We are implementing SRM 5.0 and one of the key functionalities is the so-called "offline approval": the authorizer receives an email with the information of the basket he/she has to approve or reject. This email actually contains 3 links: one for approval, one for rejection, and another one to access the system (SRM).
    When accepting or rejecting the shopping basket (that is, when clicking on any of the links for approval or rejection) the system automatically generates an email with a default text in the Subject and in the Body of the email. The user can INSERT some comments in the middle of the proposed character chain. Example of email generated:
    Send to: [email protected]
    Subject: #EBP_GEN_REPLY#Reject of a work item
    Body:
    #WFTECHINFOS#444244093D34D87D43D6572D4#WFTECHINFOE#You can write a note#NOTM#Regards.
    That is, the user can write a text replacing the "You can write a note". If, for whatever reason, the user deletes any of the other characters, or any character in the Subject, or writes the comments in the wrong position, deleting a "#", etc, the process will not work.
    On the other hand, it is quite unlikely that the user needs to write a comment. Normally, he/she just approves or rejects, without comments.
    Therefore, this email is unnecessary and dangerous indeed, as it is quite likely that the proposed characters will be deleted or overwritten by mistake, and the process (either approval or rejection) will not work.
    We want to avoid this email, ideally making it work in the background, so that the user does not even see it, and does not even have the possibility to modify those characters or overwrite them. This is absolutely business-critical.
    This is of course a modification to standard SAP. Do you have any idea what we have to do to avoid the email?

    Thanks for your message, but this is not really what I meant.
    We need the authorizer to receive an email with the message: "You have a shopping cart pending for approval, with these items ...item 1, item 2, etc... Do you want to approve? Yes / No".
    We have managed to turn on this message, which is fine. The problem, however, comes when pressing Yes or No (which can be either a link or a button, depending on your email service, e.g. in Lotus Notes we get links, but I know that in Outlook you would get buttons). When you press 'yes' or 'no' we would expect that the system automatically approves or rejects the basket in SRM with no intermediate email which may be manipulated by the user. That is: you press 'yes' and the system approves the basket in SRM, no matter if the communication is via email behind, but the goal is to avoid that the user may see or manipulate the email.
    The same with the rejection: the user should press 'No' and no intermediate email should be visible to the user.
    I know for certain that this requires a modification to the standard, but the question is where and how.

  • SRM Offline Approval via Blackberries is not working

    SRM Experts,
    We are using SRM 5.0, PI-7.0. We don't have SAP MI (mobile infrastructure) configured in the landscape. Whenever user approves the Shopping cart from blackberry, it does not work. If user approves from MS-Outlook, it works. I heard that we can approve SC from  blackberry without configuring MI in the landscape.
    I also observed that when SC is approved via blackberry, it does not have subject line and workitem number information whereas when it is approved via Outlook it has. Any idea why subject line and workitem number information is missing via blackberry?
    Can someone please help!

    Hello,
    I am assuming that you are using the standard out of the box offline approval process in SRM. What you are saying is that when someone clicks on the link using Blackberry, it does generate an encrypted response but does not populate subject text?
    If that is the case please check the version of Blackberry operating system. Try using the functionality from a latest Blackberry model with latest device software installed.
    Earlier versions of the BBerry devices/OS did not even support mailto: hyperlink inserted in the approval request mail.

    PS: I have tested this functionality using Blackberry Pearl and I did not come across any problem of subject line not getting populated. The encrypted approval response also gets populated correctly.

    1. I see from SAP Note 1166763 there is a Consulting Solution for the Blackberry.  I see from various SAP Notes that other customers do approve Shopping Carts via the iPhone.*
    Does SAP also have a Consulting Solution for the iPhone?
    Are there any additional hardware/software requirements to approve Shopping Carts via the iPhone?*

    s the Offline Approval method configurable by user?  Can some users approve via MS Outlook, and some users by Blackberry or iPhone?

    The Blackberry Consulting solution can be used for iPhone too. The solution works this way, The email communication happens through SRM SErver and your mail server for these devices. When email comes back from these devices, the SRM programs for offline approval reads the emails for some particular action (may be YES NO or , APPROVED etc). If the return email has the information in it, then offline approval programs gets executed and approves the cart.
    So the solution is just to decode the incoming email and then process the work item

    This note proposes as solution
    "Users with Outlook 2007 should open the mail in a window (double click)
    and use the option "other actions" -> "view in browser" to see and use
    all functionalities of the mail."
    This is because Outlook 2007 does not support HTML forms.
    Please, generate the mail in browser and check how the system works.
    In order to use such functionality, you have to follow steps available
    in note 1247911.

    We have a case in which we need to send a Adobe interactive form as an attachment to approver's email address(outlook) and perform offline approval.
    Could you pls help me guiding how to achieve this?
    System is mySAP ECC 6.0.
    (I have heard that offline approval is available in SRM, but do not know about ECC6.0)

    Hi Akshay,
    SRM uses a program to simulate an offline approval.  It's not form based.
    Adobe forms are better.
    But at the end of the day any form is just a UI to enter and display data.  It's up to the programmer to decide what happens after the form is uploaded.
    There are tutorials on SDN in the Adobe section on how to upload the forms.  In the logic behind the upload you need to code in what happens next anyway - i.e. where the form data is to be stored in the system, whether a workflow event should be raised or whatever. 
    In ECC 6.0 you might want to try using the ISR/PCR technique with Adobe.  Where at least the WebDynpro application for viewing the forms are already created, and you put your logic for raising the workflow event in the QISR BADI. 
    You will probably still need to create a WebDynpro app to allow either mail upload or email receipt of Adobe forms.  Both of which are described in the SDN tutorials.
    By the way there is a Interactive forms with Adobe forum on SDN where you can put questions if you have any troubles with using the forms or developing a WebDynpro application around it.... but of course please work your way through tht tutorials first.

  • Workflow not updated in offline approval

    Hi All-
    I have an issue in offline approval in SRM 7.0 . Program- /SAPSRM/OFFLINEAPPROVALSEND has been scheduled to send email for offline approval and approver receives the mail. When the approver clicks on Approve By Email button, a new email opens with some Guid informations and approver clicks on send button to send the mail.
    I am seeing the inbound mail recived by SAP in SOIN -tcode or via In Utilities-Inbox Overview in SCOT. The problem is, the workitem is still in ready status and not changed to complete status.
    I havent scheduled the inbound program- /SAPSRM/OFFLINEAPPROVALGET as per SAP library and other SDN posts. I have maintained the following in SCOT (Under Settings-> Inbound processing)
    Internet mail     xxxx@ xxx.com ( Mail id)    ICS    /SAPSRM/CL_OFFLINEAPP_INBOUND   3.
    My doubt is, do we need to schedule the inbound program or any other program, so SAP will decode the data and update the workflow? or is it enough to maintain the above SCOT settings?
    Please clarify above things and help me on how to update the workflow

    Thank you Ricardo and Saravanan. I am working on this and waiting for roles to assign. In the mean time, i have scheduled the prog- /SAPSRM/OFFLINEAPPROVALGET and if i approve from outlook, it is updating the status to WF.
    Is there any issue, if i use this inbound program in SRM 7.0?
    Also, when i approve from outlook, the mail contents (GUID and other technical informations) is in editable mode. As per my client, it should be in disable mode, so the approver will not change the mail contents. I am not able to find the solution for this. Please provide your inputs.
    PS: I am using Application Controlled WF

  • Offline approval via Blackberry

    Dear SRM Gurus,
    We have an approval process set up where our users can approve shopping carts from their Outlook inbox without having to login to SRM. We also would like to be able to approve SC from Blackberries.
    At first I thought we needed SAP Mobile Infrastructure installed in order to have offline approval via Blackberry. However, I've read some threads here that MI is not necessary and I'm wondering if anyone has tried this already. If so, could you please provide some info on what is needed to enable offline approval from Blackberry.

    Hello,
    as far as I know blackberries do not support HTML mails at present. This is announced by RIM for BlackBerry Enterprise Server v4.1.5 and BlackBerry device software v4.5 or above (see [http://www.rim.com/news/press/2008/pr-22_01_2008-01.shtml]).
    So you need the new software version to use offline approval with blackberries.

  • Offline Approval Mail contains .mht data instead body text

    Hello experts,
    I'm using the offline approval function of SRM 7. I'm running the report /SAPSRM/OFFLINEAPPROVALSEND for creating and sending the email.
    The problem is, that the email contains no body text. Instead there is a data attachment with the same name as my the subject and ending with ".mht"
    When clicking this mht data the browser opens and it shows the approval body as html.
    changing the parameter to clear text format of report /SAPSRM/OFFLINEAPPROVALSEND makes the same. but the mht opened in browser shows the site in plane text.
    Hope someone can help to solve the problem.

    good question. I send the Approval Mail to MS Outlook, to IBM Lotus Notes and to my private web.de account.
    All E-Mails contains no body but this .mht data.

    If Employee level sent to the next approver here you can do the offline process & again the 1st approver has to approve it with necessary things. till then your WF should be in waiting process.

    We are on SRM 5.0 ,SP: SAPKIBKT06. We want to use the offline approval process.We have done the following
    1. Config SMTP as per  note 455140.
    2. Setup the user email id's ,Attribute "forward work item" to "X".
    3. Scheduled pgm RBBP_NOTIFICATION_OFFAPP .
    When shopping cart is created ,an email is sent to the approver to his outlook email id.This part is working fine.
    But when the email is opened for viewing it is blank with just the subject filled.For example the email subject would say,
    "Approve shopping cart of with value 109.000,00 USD". But nothing in the body of the email.Its blank.
    Any feedback would be appreciated.
