Old mail has reappeared in grey?

Help!
On Saturday we had a clean inbox on Sunday 1,842 old emails from January 2006 to the present showed up in our inbox and drafts folder. They're all greyed out and can't be deleted. My IP says it's not their deal. In our Mail Preferences, our messages are set to be deleted once we remove them from the server. Don't know why they're here or how we can delete them permanently.
Out of ideas. Thanks for your help.
Mac PowerPC G4 Tower   Mac OS X (10.4.7)

Hi David -
Okay, that last email was very helpful. Sent me in the right direction.
The greyed out emails in my inbox were definitely old deleted emails that hadn't been permanently erased.
I went to preferences, under Trash > Mailbox Behaviors > "Move deleted messages to the trash". It was checked on. I toggled it off and on a couple of times. After that, any new messages that I sent to myself, and deleted, went straight to the Trash. Strange. Still don't know why all the old emails from January reappeared in my inbox last weekend, I had had the "permanently erase deleted messages" clicked on for "delete after one week"?
Next, I went to the menu command "Erase Deleted email" (since it wasn't automatically doing it) and a drop down menu asked which account to permanently erase the deleted emails from - I chose "all accounts" and all of the greyed out emails disappeared.
I'll keep an eye on the emails over the next few weeks to see if the deleted files are getting permanently deleted. Feels good to have a clean program again. Thanks for being out there!

  • After crash, how do stop apple mail (os 10.7.5, applemail 5.3) from pulling in old mail on reboot

I've got a frustrating problem and need your help.
My Mac pro (os 10.7.5) froze so I was forced to push the button to restart.
After reboot, apple mail 5.3 auto opened and pulled in thousands of old mail that were long ago deleted.
Now, is there a way to mass delete the new/old mail that reappeared without losing what mail I wanted to save?
More importantly, how can I avoid this the next time my mac freezes because it's not the first time it's happened and it's does not happen on every crash.
    Please advise
    Thanks

The mail that keeps coming back is what is still sitting on your mail server. If this is a POP mail account you can configure Mail to delete mail that has been downloaded.
Click Mail in the menu bar and select Preferences. In Preferences, click Accounts and select your mail account on the left, then click Advanced. There you can decide on the setting you want: "Remove copy from server after retrieving a message", to for example After one day.
If you have an IMAP account  - say gmail - the process is different. Post back if that is what you have.

  • New instant message has old message that reappears every time I select new message.  Cannot get rid of it.

Iphone 4 new instant message screen has old message that reappears every time I select new message.  Cannot get rid of it. Any known solution?

Try a reset: Simultaneously hold down the Home and On buttons until the device shuts down. Ignore the off slider if it appears. Once shut down is complete, if it doesn't restart on it own, turn the device back on using the On button. In some cases it also helps to double click the Home button and close all apps BEFORE doing the reset.

  • Cannot move junk email to Bulk Mail folder in Yahoo, greyed out

I've searched but so far no luck.  Ever since I added my two Yahoo email accounts on my iPhone 4, I cannot seem to send junk email from my inbox to my Bulk Mail folder, it is greyed out.  First off, I've confirmed that the Bulk Mail folder on my iPhone is the same as my Spam folder in Yahoo mail on the desktop.  I can see the same emails in both folders.  Anyone have the same experience and found a way to correct this, or is this just a Yahoo limitation?

I am having the same problem, but I'm not very clear on how to follow the steps.
    went to my yahoo account in IOS;
    hit edit, hit "new mailbox" at the bottom right corner of the screen;
    entered a name;
    below that, it has "Mailbox Location", I opened it;
it list all my personal folders, I am stuck here.
How do I "point the mailbox location to the Bulk Mail folder", as instructed? Am I missing a step?
This is for iPhone 4S, with the latest released version. Thank you!

  • Mail expunge error and old mail switching to new mail status

Everything started when I set to enabled in mail-general-when searching mail boxes: include encrypted pages.
I was looking for a way to seach in the content of the message for the mails.
Then the first error appeared: the mails when I read those mails returned by themselves to the state of unread.
Then I disabled again the optin: mail-general-when searching mail boxes: include encrypted pages,
but the error continued. and all my mails (more than 1200) were set automatically to the "new" mail status each time that I started the mail program.
Now I created a mailbox named "old" when I move the new messages that I have read to that file.
But now the mail program uses the memory constantly.
with out the mail, the computer memory is near 5%, but when I start the mail program and use it constantly, the memory goes to 100% until I receive the mail expunge error.
The machine has 4Ghz ram, and the mail program uses all until I got the error, I am using a G5, dual cpu, 2ghz, mac osx server. There are no other programs using the memory.
1)how can I configure the mail to avoid the expunge error?
2)how I can configure the mail to keep the mails that I just read to an old state (avoiding those to restart their state to "new")?
3)it is possible to do searchs in all the content of the messages?
    thanks
    Alberto

    You’re welcome.
Well, not knowing what the problem really is, and since it apparently started to happen after you changed some settings, I’d try setting up Mail again from scratch and import your mail back afterwards.
Verify/repair the startup disk (not just permissions), as described here:
The Repair functions of Disk Utility: what's it all about?
After having fixed all the filesystem issues, if any, and making sure that there’s enough space available on the startup disk, try this:
    1. If you have a .Mac account and .Mac synchronization of Mail data is enabled either in Mail > Preferences > General or in System Preferences > .Mac, disable it before proceeding.
    2. Quit Mail if it’s running.
    3. In the Finder, go to ~/Library/. Move (not copy) the entire Mail folder out of there, to the Desktop.
    4. In the Finder, go to ~/Library/Preferences/. Locate com.apple.mail.plist and move it to the Desktop.
    5. Open Mail and set it up again from scratch. If given the option to import existing mailboxes or something like that, don’t. Just enter the account information and check that everything works fine.
    6. You’ll have to re-configure all your settings in Mail > Preferences. For spam-related security reasons, the first thing you should do is go to Preferences > Viewing and disable Display remote images in HTML messages if it’s enabled.
    7. If Mail works fine now and you had any messages stored in local mailboxes, do File > Import Mailboxes, choose Mail for Mac OS X as the data format, and follow the instructions to import your mail from the old Mail folder that’s now on the Desktop. Import the Mailboxes folder first, then each of the POP-username@mailserver account folders, if any.
    8. If .Mac synchronization of Mail data was enabled at the beginning, enable it again, go to System Preferences > .Mac > Advanced, click Reset Sync Data, and choose the appropriate options to reset the Mail data stored on the .Mac server with the data locally stored on the computer, i.e. sync data must flow from the computer to the .Mac server.
As a result of doing the above, some messages may be duplicated. Andreas Amann’s Mail Scripts has a Remove Duplicates script that you may find useful.
If all is well and you don’t miss anything, the files on the Desktop can be deleted, although you may want to keep them for a while, just in case.
Note: For those not familiarized with the ~/ notation, it refers to the user’s home folder. You can easily locate any of the folders referred to in this post by copying the folder path here, doing Go > Go to Folder in the Finder, and pasting the folder path there.

  • Archiving and accessing old mail

As I have upgraded Macs over the years I have always taken my full Mail with me each time.    I just got a new MacBook Retina 15" and am about to go through the migration process, but my mail database goes back to 2004 (when I switched from Entourage) and has about 50,000 messages in it, so I think it might be time to start over with a clean slate.    I would still like occasional access to my old mail, however.
The only option I can think of to achive this dual acess would be to migrate my current mail to a new  "Old Mail" User account on my Macbok and login to that user account as needed to access the old mail.   I hate to take up the space for an entirely new user account just for a mail archive though.
So my question:   Is there any better method of archiving old mail than what I describe above?      Any other long term mail archive strategies I should be considering (aside from regular backups with Time Machine which I already do)?
Alternatively, if someone can tell me that 50k messages and close to 10 years of mail doesn't slow Mail down I suppose I can abandon the clean slate approach all together, but it just seems like it's time to start over.
Thanks in advance for any suggestions.
    -Lewis

The items that get placed into the Mail Downloads folder are redundant to what is stored with the message. In Mail Preferences/General there is an option about when to remove them, if unedited. The Mail Downloads folder is meant to be a temporary location for files that you might edit and send back to someone.
If attachments need to be Saved for long term, you should briefly hold while clicking on the Save button in the message headers, and then you will have the option to choose where to store them.
It is probably easiest to cause messages you want to Archive to get moved to a separate mailbox, and then use the command to Archive, and then remove either that mailbox, or all the messages in it collectively. The resultant of the Archive command is a file in a format that will import to older versions of Mail, and to other email apps, and not just into the current version of Mail.

  • Purging Old Mail Messages

I'm currently playing around with purging old mail messages after a certain time period. For test I've set inbox and sent at 7 days and trash at 1 day.
    I've read: http://docs.sun.com/app/docs/doc/819-4428/6n6j4267s?a=view
Quite useful. I've set a global purge with the following:
    Rule1.regexp: 1
    Rule1.folderpattern: user/.*/trash
    Rule1.messagedays: 1
    Rule2:regexp: 1
    Rule2.folderpattern: user/.*/inbox
    Rule2.messagedays: 7
    Rule3.regexp: 1
    Rule3.folderpattern: user/.*/sent
    Rule3.messagedays: 7
    Rule4.regexp: 1
    Rule4.folderpattern: user/.*/Trash
    Rule4.messagedays: 1
    Rule5:regexp: 1
    Rule5.folderpattern: user/.*/Inbox
    Rule5.messagedays: 7
    Rule6.regexp: 1
    Rule6.folderpattern: user/.*/Sent
    Rule6.messagedays: 7
    Rule7.regexp: 1
    Rule7.folderpattern: user/.*/Deleted Items
    Rule7.messagedays: 1
It seems to purge the trash ok but no action on the inbox or sent yet. Any ideas?
    My version is: libimta.so 6.2-7.05 (built 12:18:44, Sep 5 2006)
    Thanks

I'd created about three weeks of a messages on this server prior to turning on the purge so they should be all legitimate messages and dates.
    I ran a /imexpire -n -d -v 3
a snippet of the output. Seems to have deleted messages from the Sent and Trash but for some reason Inbox is left untouched. Sent has the exact same messagedays of 7 too.

  • Starting Lion Mail without importing old mails?

with the upgrade to Lion OSX, I lost access to my mails!
Starting Lion Mail it asks to import old mails. Only other choice is cancelling the process.
It then spends around 1hour loading (invisibly) old mails into new Lion mail (ca. 260,000 mails.)
Right before the end of the importing process, it breaks up and send error message that some index has been distroyed.... should restart mail... and it would then repair the index... THIS IS NOT THE CASE.
    I am stuck.
Can anyone please tell me, if it is possible to start Lion Mail from scratch preventing it from importing old mails automatically?
I have erased com.mail.plist as well as all folders related to my old emails, but it manages to find the old mails somewhere in the invisible parts of the computer (MacBook Pro).
    Thanks for helping out

Those Mail messages are in the Mail folder of your user's Library folder.  With Mail not running, in the Finder hold down an "option" key while you pull down the "Go" menu.  Select Library from the menu list.  In the resulting Finder window move the folder Mail to the Desktop.  You should now be able to launch Mail without that import problem.  This is a guess, but you may be able to import the contents of specific mailboxes from the saved Mail folder.

  • Archiving old mail messages

I am trying to archive old mail messages so they do not cram up my inbox. In the past I have successfully created a new mailbox for old messages, given it a month and year, and dragged messages across – but I can no longer do this.
When I try to drag a message across, I get the message 'Error: the message "xxx" could not be moved to the mailbox "xxx" - On My Mac". Can anyone help me out?
Not being able to archive old messages means that I have hundreds of already read messages in the inbox which causes, I think, another problem. Every time I open the mail program and click on an unread message, I am told that "The message has not been downloaded from the server. You need to take this account online in order to download it". When I quit the mail program and go back in, the problem sorts itself, but this happens every time I check the mail and it is becoming quite frustrating!
Happy New Year to you all!
    Regards, Mike
    iMac   Mac OS X (10.3.9)

Does the same occur when using the Move To or Copy To command instead of dragging messages manually?
Every time I open the mail program and click on an unread message,
I am told that "The message has not been downloaded from the server.
You need to take this account online in order to download it".
This indicates an "overstuffed" mailbox issue which means the mailbox has approached or exceeded 1 GB in size (which is the recommended mailbox size limit for Jaguar and Panther Mail) or has some corruption.
An "overstuffed" mailbox issue can occur at any mailbox size but is more likely to occur as a mailbox approaches or exceeds 1 GB in size for Jaguar or Panther Mail.
Although your OS detail provided indicates you are running 10.3.9, you posted in the Mail & Address Book - Tiger discussions so I'm assuming you are running 10.3.9 and not Tiger.
Quit the Mail.app first and using the Finder go to Home > Library > Mail > this POP account named folder (named by the user name and incoming mail server for the account) > INBOX.mbox.
Move the INBOX.mbox to the Desktop.
When relaunching Mail, a new INBOX.mbox will be created automatically by Mail within the account named folder. This will allow the Mail.app to function properly again and not risk losing any existing messages or new messages downloaded by the account while working on the old INBOX.mbox moved to the Desktop to recover the existing messages.
Control-click on the old INBOX.mbox moved to the Desktop and at the menu window that appears, select Show Package Contents.
Post back here listing the package content file names and size of each.

  • Apple mail junk folder old mail

My apple mail junk folder keeps filling up with old mail that i have deleted.  How can I stop it.

I agree with Satchmo.  Apple Mail's Junk Filter is a joke and has never worked.  I never had problems managing spam when using Eudora until I switch to Tiger Mail.  Since then, it moves good mail to junk, and even the most obvious junk stays in my inbox.  Every day for years now I have had to manually review all 1,000 emails of my daily emails to correctly ID spam.
And, it must be done each and every time email is retrieved because I tie delete from server to moving from in box.  If Mail has a false Junk, if I don't move it back to In Box right away, it is deleted from server on next check.
You can't train it.  I've been clicking "Junk" on the crap for years and still comes to my In Box.  I've reset training at least a dozen times, but it never works.
I predict Apple will never fix this.
