On iPhoto 08 - File Directories, Events and Gallery Support

For sometime now, I have been meaning to better organize my digital photos and share them with my friends and family on the web. I have finally done so, and now I am having a bit of a problem implementing my organization into the new iPhoto, but I am willing to learn about the newest version of iPhoto and figure out ways to make things work. So I have a couple of questions.
One problem I have always had with digital photos is that it is not easy to see when the photo was taken when you are just looking at the photo as a file. I guess my major concern is that the "Date Modified" in the Finder is a little bit misleading on first glance. I want to be able to look at a file and tell when the photo was taken and not when it was uploaded to my computer. So I found an Automator Action that will allow to go back and rename your photos according to the date they were taken. I used the %Y%m%d_%H%M%S date syntax to rename all of my pictures. My thinking was that I would be able to quickly know the date/time the picture was taken in Finder or iPhoto. Someone in the Applescript Discussion gave me a simple script that would further organize the directories my pictures lived in. So now, a photo I have taken today would look something like this on my computer /2008/200809/20080909/20080909_083029.jpg. Now that I have imported my photos in the newest version of iPhoto, I see that Apple has changed the iPhoto directory so that it is not easily viewable.
My first question is what does this mean for me going forward. It looks like my file/directory syntax remained intact inside the iPhoto directory, but how will I continue to add pictures using my current syntax in the future? There are programs/scripts to download pictures from your camera using the same naming conventions I already used for folders and files. Will iPhoto allow me to directly create directories in subdirectories in the iPhoto directory without using iPhoto to download the photos from my computer?
Also, I started using the .Mac galleries right before I started in on my photo reorganizing adventure. Initially I thought it might be a neat idea to have the Albums in the Gallery tied to the syntax of the directories syntax so that my friends and family would have a visual timeline of my kid's growing up. So maybe there would be an album called 200908 where friends and families could see last months pictures, and also see albums of previous months. And when I started using the newest version of iPhoto I realized there is a new element I needed to learn about called "events". I guess because of the syntax of my directories, it has created a new event for every day I have pictures. Is this how iPhoto determines events? I really cannot find much information on this. This is pretty neat, but it does not really follow the exact syntax of my directory system. In other words, there is no way to have events (months) and sub-events (days). Furthermore, I believe there is a limit on the number of Albums you can have in your .Mac gallery, and I am assuming that I would go over this if I created an Album for everyday that I had pictures. I realize that I could probably create Smart Albums in my iPhoto so that I had pictures from a YYYYMM folder, but it seems like a lot of extra work. Should I change my directory syntax to %Y/%Y%m/%Y%m%d_%H%M%S.jpg (i.e. 2008/200809/20080909_083029.jpg) so that events are represented as months and not days? Or is there another way to achieve limiting the number of events and still keep the same organization?
Sorry for the long-winded question, hopefully someone can get me started. Thank you in advance.

If you want to organise your files, use the Finder - it's exactly what it's for. And all your questions relate to organising Files.
If you want to organise your Photos use iPhoto.
The point of iPhoto is that you organise the pics and let iPhoto look after the files. After you import them to iPhoto, forget about them.
With iPhoto 7 (iLife 08) the old iPhoto Library Folder is now a Unix Style Package File. The change was made to the format of the iPhoto library because many users were inadvertently corrupting their library by browsing through it with other software or making changes in it themselves. These changes include renaming files.
Will iPhoto allow me to directly create directories in subdirectories in the iPhoto directory without using iPhoto to download the photos from my computer?
No. Don't change anything in the iPhoto Library Folder via the Finder or any other application. iPhoto depends on the structure as well as the contents of this folder. Moving things, renaming things or otherwise making changes will prevent iPhoto from working and could even cause you to damage or lose your photos.
The only way to bring photos into the iPhoto Library Folder is via importing them through iPhoto.
Here's the thing: Want to find the photos from a specific date? Use the calendar tool. (Click on the wee magnifying glass in the search window. You can find the pics from a specific day, month, year effortlessly. With Date base Smart Albums you can find all the pics from just about any combination of dates that you might want.
Want to then get to +that pic from 6/5/2003+ Need to email that file? Or want to open it in Photoshop to edit? Or want to upload it to a website?
There are many, many ways to access your files in iPhoto:
For 10.5 users: You can use any Open / Attach / Browse dialogue. On the left there's a Media heading, your pics can be accessed there. Apple-Click for selecting multiple pics.

To upload to a site that does not have an iPhoto Export Plug-in the recommended way is to Select the Pic in the iPhoto Window and go File -> Export and export the pic to the desktop, then upload from there. After the upload you can trash the pic on the desktop. It's only a copy and your original is safe in iPhoto.
This is also true for emailing with Web-based services. If you're using Gmail you can use iPhoto2GMail
If you use Apple's Mail, Entourage, AOL or Eudora you can email from within iPhoto. With 10.5 you can access the Library from the New Message Window in Mail:

If you use a Cocoa-based Browser such as Safari, you can drag the pics from the iPhoto Window to the Attach window in the browser.
Or, if you want to access the files with iPhoto not running, then create a Media Browser using Automator (takes about 10 seconds) or use THIS
Other options include:
1. *Drag and Drop*: Drag a photo from the iPhoto Window to the desktop, there iPhoto will make a full-sized copy of the pic.
2. *File -> Export*: Select the files in the iPhoto Window and go File -> Export. The dialogue will give you various options, including altering the format, naming the files and changing the size. Again, producing a copy.
3. *Show File*: Right- (or Control-) Click on a pic and in the resulting dialogue choose 'Show File'. A Finder window will pop open with the file already selected.
So, in a nutshell, you need to decide which your are organising... files or photos.
Events are a Download filtered by date. You can set the paramaters in the iPhoto Preferences -> Events.
Events in the iPhoto Window correspond exactly with the Folders in the Originals Folder in the iPhoto Library package file (Right click on it in the Pictures Folder -> Show Package Contents).
You can move photos between Events, you can rename Events, edit them, create them, as long as you do it via the iPhoto Window. Check out the Info Pane (wee 'i', lower left) the name and date fields are editable. Edit a Event Name using the Info Pane, the Event Folder in iPhoto Library/Originals will also have the new name.

  • If i move my iphoto & iMovie source library / Events and Projects to an external hard disk, due to size, will my existing slideshows work ?

    I need to move my photo library and Movies (Events and Projects) to an external hard disk as my 700gb drive on my iMac is now full (*see note below)
    I have brought 2 Samsung External drives (3TB each) which I plan to partition each for Photos and Movies i.e 2 partitions on each drive, and will use one for use with iPhoto and iMovie, and the other drive for a dedicated backup. I will backup the remainder of my iMac hardisk to a seperate disk.
    What has just occured to me is that after I have moved the libraries I cannot see how existing iMovie projects and iPhoto Slideshows will work, as each Application will be looking for the source files on the original iMac hardisc (I assume).
    I am running Snow Leopard v10.6.8 ( I did not want to upgrade to Mountain Lion as I was told the iPhoto and iMovie changes were a 'backward' step. However I now want to upgrade to Mountain Lion, for security updates reasons mainly, and so need to free up my hard drive.
    Can anyone advise on the best way to proceed ?
    * - the iMac hard disk become full very suddenly, possibly due to duplicates, as I have noticed duplicate events and clips in my iMovies event library. I have noticed that some events are also now not showing, with message 'No video clips match the current selection' (I have not search criteria set).

    I was planning on manually backing up my external to the time capsule - but is there a way to set it up to back up automatically instead?
    Time Machine will backup up automatically - you can not have your iPhoto library on the same volume as the TM backup (it will not work and it would not be a backup)
    Dragging the iPhoto library to any external drive will backup it us also
    I was also thinking about having the library copied to another external (I mean we're talking about irreplaceable photos here) - would i just drag a copy of the library to that drive as well?
    Yes - that is a good idea - I run TM giving me hourly backups and a daily clone of my entire system giving me a bootable backup - plus do an occasional TM backup at our second home so I have one off site
    is it possible to deal with my imovie library in the same way? so all my movies and photos are on my external?
    Probably - but I use iMovie very little - better question for the iMovie forum

  • IPhoto 09 Problem with Events and Dates

    In iPhoto 08, when adding pics and videos to an event (irrespective of date) they were all grouped together in a folder named by the Event.
    Now in iPhoto 09 when I add pics and videos they do not go into the event folder but a new folder named with a the date. In iPhoto everything is grouped together correctly but the underlying file structure is different.
    This is especially troublesome because when iMovie reads videos from the iPhoto library it labels the videos with the Date instead of the Event. I recently converted a bunch of my old videos (which now have the same creation date) and they are all mixed up now even though the are appropriately grouped in events in iPhoto.
    Does anybody know a workaround for this?

    Yes, I can access the movies in iMovie but they all are grouped by the same date. My old videos are grouped by the event name from iPhoto. It seems like iMovie 09 is reading from the iPhoto 09 library file structure which in the past had folders for each event but now only adds folders with the date name.

  • Iphoto 11 reordered my events and pictures is there a fix?

    When I upgraded to iphoto 11 it seemed to redefine the chronological order making it very difficult to find events and photos. Is there a setting that would have caused this or does iphoto11 treat time stamps differently than previous versions

  • EXPORT FEATURE IPHOTO-Video Files in "Event" are exported as an empty file!!!

    Ok...this is devastating! Lets say you have selected an event containing 10 photos and 2 videos...you then choose to export the entire event via FILE>Export...
    When you are prompt to choose the file types, location, and quality you make your desired choices and off you go...at first glance in the newly created folder that you have designated on another drive or folder 10 photos and 2 videos show up....PLAY the videos and they are 1 second long instead of their original length...
    If you hand't played the video you would assume that everything worked perfectly and you could then then delete the event and master files from your computer to acquire more space, but this would essentially cause you to loose the true video in its entirety and could be devastating!
    I think this feature needs revision!

    Download and use  Find Any File  to search for the file name and extension of the video.  FAF can search areas that Spotlight can't like invisible folders and packages.
    You may find several items with the same name so check their size.  Note where the larger file resides.

    i erase all my computer data, and make a backup with time machine.
    and i restore all data again ..
    all works perfect and great.
    but iPhoto is not working good.
    here is a picture of my iphoto how looks like ...
    iPhoto is not updating all my events and pictures...
    it show the same picture .... and
    if i make a picture key frame to show on events ... is not working again ...
    please help ... what can I do. ?

    Back Up and try rebuild the library: hold down the command and option (or alt) keys while launching iPhoto. Use the resulting dialogue to rebuild. Include the option to rebuild the thumbnails. It can take 3 or 4 goes for this to work

  • Iphoto 09 losing whole events and taking pics from other events

    I have just encountered a very very annoying problem with iphoto09.
    i added a ton of new pics yesterday and put them in to 2 events.
    i then made a few smart albums so that i could sync them to my iphone.
    after doing this. one event dissapeared completely and on my iphone put random pics from other events in its place and the other only kept one pic and also put random pics in.
    i managed to locate one of the events which says it has 72 pics in but actually only has 1. i did a batch change of date and the event reappeared but with only the 1 pic plus 71 random pics from other events, which have now dissapeared.
    This is really annoying. does anyone have any idea what happened?

    Download iPhoto Library Manager and use its rebuild function. This will create a new library based on data in the albumdata.xml file. Not everything will be brought over - no slideshows, books or calendars, for instance - but it should get all your albums and keywords back.
    Because this process creates an entirely new library and leaves your old one untouched, it is non-destructive, and if you're not happy with the results you can simply return to your old one.

  • Iphoto 11-File import RAW and JPEG

    iPhoto 11, Snow Leopard 10.6.7 RAW supported and Sony DSLR A300 supported...
    My question is simple: I understand (i think) that when I import pictures into iPhoto that they will be converted to JPEG. I have a number of JPEG files. But if I shoot something in RAW (.arw) and import it, does iPhoto 11 import the RAW image AND make a JPEG or does it just take the RAW photo and NOT convert to JPEG?

    iPhoto imports RAW files from compatible cameras and stores the RAW files in it's library.
    It creates JPEG refrence files for viewing on screen to speed up performance which is also stored in the library.
    If you edit an image, the edits are made on a JPEG copy that iPhoto creates (you can also have it save them as .tiff which is mentioned in the link above) and stores it in it's library.

  • Imovie, i can't see my project files and events, and won't make new ones!?

    When opening imovie (11) i cant see eny off my events or project files and i cant make new ones or import files. But i still se my events and project if i go to User-Film-Imovie Projects/Events...!?

    I've been having problems along the lines of most of these people as I have been trying to move iMovie files from one computer to another. I then put them on a USB drive, only to find out that it wouldn't work, according to the documentation. We then bought another Firewire drive, and formatted it as forum notes indicated, HDF. It didn't work correctly for file transfer in FAT32. Then when the files were put on the new drive via command line file copying program called rsync.
    I still couldn't get it to sync up on the new drive, but they were there. The answer turned out to be a few things found in much older posts, so I thought I'd post them here in case it is helpful to others.
    I'm now using iMovie11, but some of these were written for 08.
    *1. The files have to be in the two directories, Events and Projects. These have to be at the *top level of the hard drive*. If they are at a lower level, iMovie won't find them*. I had put them in another folder called Movies, but it can't find them there.
    2. Throw out the preference file, if necessary, as noted in several of the online posts. I'm not sure if that mattered or not, but did it, as well as restarted iMovie and the newly added projects and events finally showed up.
    3. Copy files to the events or project folder while holding down the command key.
    It now looks like there is a little bit of an issue with the syncing of the project data and the movie, but so far, it seems to be o.k., other than that.

  • MyBook shows only iPhoto Library File

    I tried to import an iPhoto Library on USB MyBook drive into Aperture. The iPhoto library version was old and not supported by Aperture. Now everytime I try to import a file off the MyBook, import shows only the iPhoto library. Finder shows all of the files and folders on the MyBook ok.

    1. make a back up. No matter how long it takes.
    Most Simple Back Up:
    Drag the iPhoto Library from your Pictures Folder to another Disk. This will make a copy on that disk.
    Slightly more complex: Use an app that will do incremental back ups. This is a very good way to work. The first time you run the back up the app will make a complete copy of the Library. Thereafter it will update the back up with the changes you have made. That makes subsequent back ups much faster. Many of these apps also have scheduling capabilities: So set it up and it will do the back up automatically.
    Example of such apps: Chronosync - but there are many others. Search on MacUpdate or the App Store
    2.
    Option 1
    Back Up and try rebuild the library: hold down the command and option (or alt) keys while launching iPhoto. Use the resulting dialogue to rebuild. Choose to Repair Database. If that doesn't help, then try again, this time using Rebuild Database.
    If that fails:
    Option 2
    Download iPhoto Library Manager and use its rebuild function. (In early versions of Library Manager it's the File -> Rebuild command. In later versions it's under the Library menu.)
    This will create an entirely new library. It will then copy (or try to) your photos and all the associated metadata and versions to this new Library, and arrange it as close as it can to what you had in the damaged Library. It does this based on information it finds in the iPhoto sharing mechanism - but that means that things not shared won't be there, so no slideshows, books or calendars, for instance - but it should get all your events, albums and keywords, faces and places back.
    Because this process creates an entirely new library and leaves your old one untouched, it is non-destructive, and if you're not happy with the results you can simply return to your old one.

  • I moved my iPhoto Library file, now it wont work !

    Hi, i was trying to tidy up my Hard Drives folder structure and moved my iPhoto Library file, which was and still is 72mb, but now when i open it, it hasnt got any photos in it ANYWHERE the file size is the same,.
    I might be correct in thinking that i havent actually lost the photos that were being displayed in iPhoto, because these are still on my hard drive !.
    But what can i do to get iPhoto back to where it was please.
    I have even restored the file back to its original location from a backup but that doesnt work either. it is simply saying, i have to upgrade and loose all my photos ????

    went to finder, selected 6 photos and put them in a folder in my Pictures folder.
    opened up iPhoto again, the beach ball spun round a bit, but the new folder wasnt to be seen anywhere in iPhoto ?

    there is no automatic import - on photos you specifically import either from disk or from a camera are imported to iPhoto
    Import them to iPhoto - drag to the iPhoto window or to the iPhoto icon in the dock or in iPhoto file menu ==> import
    And
    i have now ticked the box "copy imported items" i then closed down iPhoto
    That is good but does not solve the problem for the photos that were imported while this was not checked  --  at this time it is probably best to start over with a new managed library and import all photos again
    which brings me nicely to my next query, it looks to me as if ALL the pictures that got initially imported into iPhoto were all in folders. so am i correct in thinking that the pictures in my pictures folder which are NOT in a folder, will or should only be seen in iPhoto if they were in a folder when they were/are imported.

    But when you import a photo it is iPhoto no matter where it came from - until you import it it is not in iPhoto - finder folders make no difference and have no bearing on iPhoto  --  folders in iPhoto do not hold photos, just other folders or albums

  • Completely confused by Final Cut x Libraries, Events and Projects???

    Hi,
    I realise there are lots of different explanations about this topic but still, none of them make sense to me in that, no-one seems to eb able to properly explain the differences between these things and when I follow the guidelines I can never seem to find the video I was working on.
    First of all, I have absolutely no idea what 'Libraries' are in Final Cut X
    I have used FC7 but forgot everything because X is so different, so I am basically a complete beginner.
    When I start a completely new video from scratch I go file>new event> and title it 'whatever footage' for example. I then import all of my footage from that day.
    Within that 'Event' I go file>new>project and called it 'whatever' music video, for example.
    That way, my 'event' is the whole collection of footage. My 1st project is a music video using that footage and then I have the freedom to create new 'projects' like 'behind the scenes' etc. from said footage.
    Yet, whenever Ive done this and come back to FCX  I can never ever find my original video timeline with all my editing. Events seem to be a mixture of everything ive ever imported and projects are nowhere to be seen.
    Due to the lack of being able to just simply save a project, there doesn't seem to be a concise list of past projects anywhere to choose from?
    Can someone please tell me what Im doing wrong or their standard order of workflow? And what the difference between each of the above items are?

    I can show you an example of a standard workflow.
    Lets say I am booked to edit 3 Movies for a client. A Music Clip, an Interview, a behind the scenes clip.
    Lets say worst case you get everything  in a single folder.
    First thing I do is creating a library in FCPX where all the footage (also future generated media, Logos, Photos) will go in.
    Now you can create three different events in the browser for each video you are going to edit.
    Start ingesting your footage to the different events. (You will see the option in the second window after you’ve selected the clips to import.)
    Now you have your library where everything has been imported to but also three events with assigned material.
    Selections from the library.
    If you want to start with the interview click on the appropriate event, create a project (which will be your timeline) and start editing.
    Duplicate your project to keep backups and alternative edits.
    Same thing for the Music Clip. Import your Audio, Animations, Graphics to the event. Create projects and save versions.
    The next thing you should do is creating keywordcollections in your events to keep your material in order. These are like bins in FCP7
    but much more powerful. For example you can add the same clip to several keywordcollections.
    The internet should be full of examples by now. I won’t go further.
    Now you start with the behind the scenes and at one point you want add Footage from the other events to your behind the scenes event.
    Choose the clips you want to use and drag them (holding alt) to your event. You may have created a keywordcollection named footage for behind the scenes e.g. while keywording for the other two videos. This keywordcollection will be imported to the third event.
    The clips will not be duplicated on your harddrive since they are in the same library. Events are selections from the library just the same as keywordcollections are selections from an event and a project (the timeline) has selections from keywordcollections.
    Its up to you and your “job” how fine you want to organize your material. I would always suggest to create a library for every new job coming in.
    Or at least for every new client. For bigger projects you want to create events for each day or even libraries for each day.
    There is much, much more to say about libraries e.g. that you can leave your files where there are, letting the library refer to them.
    Its a great concept and you are able to manage your material in FCPX like in no other NLE.
    Watch tutorials on youtube or buy some from licensed trainers like ripple training for constant quality.

  • IPhoto Originals File now by Date and not Event - why?

    Ever since I upgraded to iPhoto 09, I realized the original file structure in the iPhoto Library has changed back to Dates, rather than by Events, even though all my photos belong in a non-date event. This is the same as Iphoto 06. I got used to the Event structure in iPhoto 08.
    All my previous events are still intact, but I have this problem for my new pics where if I put them in an event, the original file structure would be sorted by date. This is very annoying if I want to send an event to someone or if I'm using Front Row/Boxee to view a particular event. Does anyone have the same issue? I thought if I put a photo into an event, it would automatically update in the file structure immediately as well.
    As you can see below, some files are sorted by Events and some files are sorted by Dates:

    No.
    The strict link between the Events in the iPhoto Window and the folders in the Finder was broken with iPhoto 09 and no one outside of Apple knows why.
    However, it shouldn't matter, because you ahould not be accessing the files inside the iPhoto Package File anyway - bluntly it's not a supported way of accessing the files.
    Make Albums of the photos to view in other apps.

  • Many events and photos are missing from my iphoto.  I have time machine and would like to restore without creating duplicates. The issue is although my photos are presently blank time machine/iphoto does see the file so importing them will create duplicat

    For some unknown reason, events and photos in my Iphoto are appearing blank. The photos have a title / placeholder but no picture. I use time machine and have back ups, my goal is to restore the photos without creating duplicates. Unfortunately iphoto sees the blank photos as if the picture exists?  Help

    If you want to use your back up you need to restore then entire Library from Time Machine, and then replace the damaged Library with it.

    As the title says I need help on how to take a photo from one event and put it in another, without dragging to desktop and dragging back into iPhoto and moving it to the event folder I want it in. Right now when I want to move a picture from one event to another I drag it to my desktop then delete it from iPhoto then I drag it back into iPhoto and put where I want it.An example would be taking a photo from the Christmas event and add it to a specific person event.  Can I do that within the events section without all the dragging. Also is there anyway I can remove duplicates from iPhoto without going through each and every file. Any help would be greatly appreciated.

    Apple doesn't make it easy to do what you want.  However, here's how I do it. 
    Select the photo you want to move and create a new Event for it via the Event ➙ Create Event menu option.
    In the Event mode select the new Event with the one picture and drag it onto the Event you want to move the photo to.
