One order-multiple invoices

Single order-how can we create multiple invoices based on items.
order contains 5 items.
invoice it appears 5 items(this is a order related billing process).
how can i first make an invoice of first two items and later with 3 items.
can this facility is there in sap standard.

Hi Sameer,
There must be reason for splitting of billing document.
If that reason is pertainig to different payer, billing date, or terms of payment then your invoice will be splitted automatically.
You just process your orders through transaction VF06.

    I'm currently looking at tolerance limit configurations, primarily the DQ (Quantity) and PP (Price) tolerance keys and had a couple of questions where you have the scenario of multiple invoices or multiple POs.

If I had multiple invoices for a single PO, collectively they match the quantity and price on the PO; When I enter the first invoice into SAP it will be well below the lower price and quantity limit of the PO as it is one of multiple invoices to be entered. My question is what happens to the invoices in SAP, do you still post them despite the error message and they are just blocked until collectively the invoices match the quantity/price of the PO?
    2. If I had an invoice that related to multiple POs, when entering the invoice can I link this to multiple POs?

    You don't use user exits or enhancements for this.  Use a data transfer routine and assign it to your item level copy control config.  Spilt keys are controlled by setting the value of VBRK-ZUKRI.  Otherwise, you can use multiple payers or addresses to control it.

    This can be definitely done. There can be multiple sales orders of a single customer and the shipping address is also the same, so it will be logical to create a single delivery and thus a single invoice for the same.
    For clubbing multiple sales orders into one delivery go through the following process:
    Using transaction code <b>VL10A</b> we can club multiple sales orders into a single delivery provided the following details are the same in case of all sales orders:
    1. Sales document type.
    2. Delivery document type.
    3. Division.
    4. Sold to party.
    5. Ship to party.
    6. Goods issue Date.
    <b>Process:</b>
    1. go to <b>VL10A</b> - enter the <b>shipping point</b>, <b>delivery creation date</b> (automatically proposed) & <b>"CalcRuleDefltDlvCrDt"</b> - this is the rule for determining default value for delivery creation date. The following are implemented:
    1. All documents due for delivery today
    2. All documents due for delivery today and tomorrow
    3. All documents due for delivery up until the end of next week (includingthose that were due before today)
    4. All documents due for delivery up until and including tomorrow(including those that were due before today)
    Below you have tabs for <b>"general data"</b>, <b>"sales orders"</b>, <b>"material"</b>, <b>"partners"</b>, <b>"user role"</b>. You can select accordingly. It is not necessary to select from these. Now click on <b>"execute"</b> or press <b>"F8"</b>.
    2. Here in this screen you will see the <b>sales order nos</b>., the <b>ship to party</b> , the <b>delivery priority</b>. Select the required sales orders by simultaneously pressing the <b>"shift key"</b> and now clcik on <b>"background"</b>. The system will now create a single delivery in the <b>background</b>.
    3. Go back to the original screen and click on <b>"collective processing logs"</b>. Just click on "<b>execute"</b> or press <b>"F8"</b>. You will face a screen for <b>"log of collective run"</b> Here you can see how many documents were created for those sales orders and if there had been any errors those also can be seen.
    <b>If you see error</b> then select that line and in the menu bar click on <b>"go to"</b> and in this click on <b>"notes"</b>. or you can directly click <b>"Shift + F8"</b>. You can see what exactly was the error.
    click on the line and click on <b>"documents"</b> Here you will see the delivery document number - <b>"copy this number/make a note of it"</b>. You will know the time when you clicked on <b>"background"</b>. Just go through it to ge the correct delivery document number.
    4. Go to <b>"VL02N"</b> - paste/enter the delivery document number and press enter. Now you can do the picking as per your requirement and do the PGI.
    This is the way how the process works for <b>VL10A</b> and completing the delivery with PGI.
    Now like this say you have<b> "5"</b> deliveries created by clubbing multiple sales orders for a single customer. Now you want to club all <b>"5"</b> deliveries to create a single invoice. The settings will have to be done in the copy controls from <b>"delivery document"</b> to "<b>billing document"</b>. Go to transaction code <b>"VTFL"</b> - select the export billling document type and the export delivery document type select the line and double click on the same - here you have 4 fields:
    Copying requirements - maintain <b>"003"</b> here
    Determ. export data - <b>"A"</b>
    Assignment number - <b>"E"</b>
    Reference number - <b>leave blank</b>
    Copy item number - <b>"tick on it"</b>
    <b>At the item level:</b>
    Select the item category and in
    Copying requirements - <b>"004"</b>
    Data VBRK/VBRP - <b>"001"</b>
    Save the settings.
    <b>Now when you you clucb multiple deliveries into one invoice the following must be same:</b>
    1. Sold to party should be same
    2. Ship to party should be same
    3. Delivery document types should be same
    4. Billing document type should be same
    5. Incoterms should be same
    6. Payment terms should be same
    7. Shipping type should be same
    <b>Clubbing multiple deliveries into 1 invoice:</b>
    Go to <b>VF01</b> - select the delivery document numbers - press enter - click on <b>"execute"</b> or press <b>"F8"</b>. Here if there is no split criterias then the system will show you all the line items - <b>save</b> the invoice. If the system finds any data <b>mismatch</b> then it will show a button for the <b>"split analysis"</b> - when you click on it the system will show you why the split has occured.

  • 3rd party billing - Invoice referenced to multiple invoices/ orders

    Hey there SD gurus,
    This is a sales process from Argentina, and SHOULD work as follows:
    My company should be able to sell to our customers on behalf of a 3rd party, which will create many invoices "on behalf of XXX company".
    Then, like once a month we need to do a "liquidation" of all invoices created. It is pretty much like an invoice, but should belong TO a time period, and should be referenced to, either multiple 3rd party invoices, or to the 3rd party orders which already have an invoice created.
    I found a way to reference an invoice to an invoice, but that will create one invoice for each one of  the referencing invoices, I need only ONE invoice (a liquidation, actually) from multiple invoices.
    OR... I need to know a way to create one single invoice (a liquidation actually), from multiple sales orders, and maybe add a Z validation so I make sure they are not still pending to be billed.
    The first option will be better, as the liquidation should contain the information of all invoices it was created from, like the invoice number, material information, individual price, etc. and shuold totalize it into the liquidation.
    JFYI liquidation is another legal invoice, not for charging our 3rd party partner, but for taxes and stuff.

    So document flow will be as follows:
    Day to day process:
    3rd party Sales order ---> 3rd party delivery (we own the material) ---> "on behalf of 3rd party" invoice.
    Once a month we create a "liquitation" of all current mont's 3rd party sales.
    This liquidation is an invoice referenced to all mont's invoices.

    Is this the only way to create one order for multiple contract? Why i am asking because in SAP we are creating contracts but the release order we are getting it uploaded from other software.I am in a service industry project where we do DP91(resource related billing) for all the contract.But in dp91 we can give only one contract at a time.
    But we want to create order where multiple contract can be used .
    And where in order we can see the contract number?
    In the table it is visible as ref doc but not in the order.

    Can anybody tell me if it is possible to produce multiple labels for one order. For example a customer orders 4 units. A standard package holds 3 units so an additional package is required for the fourth unit. As a result two packing labels are required. Does OM 11i support this?

    Thanks for your quick response. I was think on the same lines and you have confirmed that we will have to split the line into several lines on sales order.
    I am trying to do that now in our ECC box i.e item 10 with payer 1 and item 2 with payer 2. But as soon as I try to change the payer on item 2, i get the following error message which relates to credit management being active.
    I am assuming once we decativate CM, we should be good to go. PLease confirm. Also once its time for billing, will SAP automatically split the billing into different invoices per sales order line item based upon number of payers on the line items?

    I have requirement whereby I need to generate multiple invoices in one PDF file. I am using Oracle BI Publisher with Oracle APEX 4.0.2
    If there is only one invoice that needs to be generated in one PDF file then I already have the solution whereby I print the APEX page item session state values on Invoice Header and get the invoice line items from a SQL Query in my RTF template.
    However how to the do the same when multiple invoice needs to be generated in one single PDF file ?
    Any pointers will highly appreciated.

    Once you've got the query returning multiple rows, then just add a repeating group to your report (if an existing report, just select the section of the document that will repeat -> add-ins menu -> insert repeating group...; or right click selection -> BI Publisher -> Create group...), wherein the column values exist. You can even specify a page break at the end.
    By the way, this question is probably more suited for the {forum:id=245} forum.

  • Return order on the basis of multiple invoice

    The scenario is that the return order is to be created with reference to multiple invoice. When i am doing the same by taking the reference twice, i.e I goto Sales Document tab and click Create with Reference twice and in the second time i give different document no. which copies the line item of the 2nd invoice document. But the reference document remains the first invoice in the return process. Is it possible to do the return order with reference to multiple invoice and the reference document getting reflected in the return process.

    I think you need to look for the reference at the item level. I guess you are currently looking at it at the header level. I am not sure if i am right.Please check if this works.

  • Posting multiple invoices against single purchase order line item

    We receive invoices on completion of certain milestones and Goods receipt is done when the final lot of material is delivered.  For example the purchase order may be to deliver 1 quantity of Machine.  Material is supplied in bits like Gear Box, Engine and body.  Invoice is received when Gear Box, Engine is supplied. Final invoicing is received on completion of delivery (taking into account what has already been delivered)
    Goods Receipt in SAP needs to be posted only once when complete machinery is delivered (the tracking for different parts delivered is done outside SAP).  However, the multiple invoice needs to be posted in SAP referring to same PO item (Please note PO quantity for complete assembled material is only 1).
    This needs to be treated as material and not service in SAP.  Can you please suggest how to book multiple invoices for same purchase order line item?

    Thanks for your reply.  However, both the options are not feasible.  Invoices can be received in different periods, sometimes over different months or years, hence needs to be booked immediately.
    Also, i cannot create material master for each component as the quantity for the final material is only 1.
    Any other alternatives?

    We are requiring the functionality to enter multiple invoice numbers into the layout against one customer and one check payment to then allow these to be cleared as part of the batch processing.
    Currently it only appears to allow you to enter one invoice number per check payment or post on account to the customer and clear as a second manual step.
    Has anyone implemented the multiple invoice clearing from one check within FF68?

    Yes, You can create a Sales Order with reference to multiple quotes or Sales Orders.
    The Procedure is as follows
    1. Goto T. Code VA01 (CREATE SALES ORDER)
    2. Give Sales document type and Sales Area
    3. After entering into the Create Sales Order screen, click on top left menu which is "Sales Document"
    4. In that list, you have an option " Create With reference", in that again you have two options "To Sales Document" and "To Serial Number"
    5. Select "To sales Document", then a window will be opened which has all the tabs like "Inquiry, Quotation, Order, Contract, Shc. Agg, Billing doc"
    6. Select any one tab which you want to copy (say quotation), give the quotation number there and click on copy.
    7. Then all the line items and Header data will be copied from quotation to that sales order.
    8. Like this you can do for any number of times.
