Opening Bank Reconciliation

In order to ensure that your client is able to perform their first bank reconciliation correctly, you need to perform the following steps:
First we'll create an example:
Opening Cashbook (General Ledger) balance           = $100 Dr (Favorable)
Oustanding unpresented Cheques                           = $50
Opening Bank Statement balance                           = $150
Step 1:
Firstly enter the Cashbook balance via Incoming Payments as:
Dr         Bank Account        $100.00
Cr         Cashbook Opening Balance Suspense account   $100.00
Step 2:
Secondly enter each oustanding cheque via Outgoing Payments against the bank Account
Dr         Bank Account (Contra)    $100.00
Cr         Bank Account (with Chq No)        $100.00
Step 3:
Open you Bank Reconciliation via Banking - Bank Statement + External Reconciliation - Manual Reconciliation.
Enter:
Opening Statement Balance  =  $  0.00
Closing Statement Balance   = $150.00
Statement Date = Date before Go Live
Tick / Select Opening $100 + All Dr Balance Cheque Entries.
Once Reconciled you will be left with the Oustanding Cheqs, which will clear once the User starts on their Post Go Live entries.

    we are using SAP B1 version 8.81(8.81.313) PL 05
    We have a cyrstal report for Bank Reconciliation which is missing all transactions with transtype=57 (Checks for Payment).
    1. Is this a standard report for SAP B1 or has this been developed for us?  I have not been here long and while some reports were developed by the reseller, I am not sure which ones they were.
    2. The Show SQL Query code includes the following which I have not been able to find anywhere in the report.I have looked in all the reports both main and sub-reports under report->selection formula->record selection as well as in all formula fields and section experts.

    I implemented the EBS in my company 4 month ago and here are some advises on the problems i experienced in the setup process. As for the setup process it is straightforward just read the manual at help.sap.com.
    We used the MT940 format for importing bank statements from our bank.
    The first thing i would advice you to do is make a list of all the possible transactions that are to be handled by the EBS application.
    Then make estimation of how many payments that are recieved in constant structured way which the EBS can handle. (invoice number in the text)
    The people in our accounting department complained alot about the output format in the EBS not being userfreindly compared to the advises they recieved in e-mail form from the bank so if not the bulk of your payments can be processed automatically it might not be worth the trouble to implement it. (i still think they uses the the email to postprocess the transactions that was not automatically cleraed)
    Make sure you havent got any other applications handling some of the transactions that are contained in the bank statement because this wont work. eg. we had a program automatically placing fx trades on customer and bank account which meant that when we recieved the fx trade on the statement it was already placed and therefore had to be placed on a interims account for later reversal.
    We get alot of bankcharges on our payments and we set up the EBS to place them automatically on a bankcharge account if the difference between the recieved amount on the invoice was less that 30 dollars.(we just assume that a difference is a bank charge) This means that a customer if he wants to always can pay x dollars under the invoice amount because it will be automatically processed and therefore go unnoticed.
    Establish a contact in your bank who knows how their MT940 format has been structured. 
    Then contact your bank and get them to provide some test statements of old bank statements.
    Make sure that you are not the first customer for using the MT940 format or else you will end up being ginny pig for the banks possible mistakes.
    As i learned the way banks interpret the MT940 format guidelines can varry quite alot eg. the ocmt field our bank interpreted as the original payed amount in its original currency. SAP inprets this field as the recieved amount in its original currency and therefore it always try to clear the OCMT amount if availleble which meant it always tried to clear the original amount even though there had been taken som bankcharges underways.
    I also found out that our bank didnt really bother to specify the type of transaction (interest, fx contract, bank charges, check and so on) which meant we only had two external transaction codes availleble s103 for incomming payments and ntrf for outgoing payments. This gave alot of trouble as i had to identify the type of transaction through seach algorithms.
    Our bank also had trouble creating the MT940 file because it has a limited number of characters availleble which meant in the initial file that it only gave the first x characters of each line and then left out the rest. This meant that the text was broken into alot of pieces and you hardly ever had a complete invoice number to clear on. We had the bank altering their format so they now leave out text at the end of the transaction instead.
    In the implementation process we experienced that the EBS application created a payment advice each time the amount of the payment didnt match the invoice in the system. We implemented a note from service.sap which disabled this and just assigned the difference to a bankcharge account.
    I dont know if you can use these advices but just felt i would try to warn you about the potential problems that i experienced in the process. .

    In my client site I am configuring Manual bank reconciliation statement where I found the bank main account was cofigured as a clearing account(open item management activated) and manually data are posted .
    My question If I upload a bank statement in transaction code FF67 and post it, will the system throw an error because the main bank account was configured as a clearing account?

    In this Posting Rules need to be changed to 1-Post to G/L account from u20185-Clear credit G/L actu2019 and u20184-Clear debit G/L acctu2019.
    2. Maintain Variants for Bank Statements :
    In this we define variants for Manual Bank Statements as required and then this variant is attached in FF67.

  • Need to clear openitems for Bank Reconciliation without useing Algorithms

    Dear All,
    As per configuration of Manual Bank Reconciliation, for clearing cheque deposit & cheque issue we are useing Algorithms 15 & 13 respectively. while uploading Bank statement we used to give SIX digit cheque number as a reference to clear the open items (i.e the same cheque Number is used to enter by the user in Allocation field of GL Account)
    But as a special case the user has entered more than SIX digit cheque Number in Gl Account. Now am unable to clear those open items, since bank statement is having six digit cheque Numbers only.
    My question is if i want to clear the open items of cheque deposit, cheque issue, others without useing Algorithms... let me know the configuration with various specification parameters.

  • Manual Bank Reconciliation

    Dear All,
    I have configured all the necessary steps of manual bank reconciliation but the batch input session is not generated.
    Further m preparing the statement for first time so i have entered the opening balance in the Main Bank G/l. I have entered the opening & closing balance in manual bank stat.But while posting the statement m getting an warning mesg " Amt entered does not correspond to the account statement account" & still the statement gets posted but the batch input session is not generated. Kindly reply asap.

    There is no error log...as batch input session is not generated..When i go to FF67 - Overview ...it shows Manually Entered in statement.
    Amount entered does not correspond to the account statement amount
    Message no. FV072
    Diagnosis
    The account statement can only be saved if the total of the entered amounts       3,000.00 matches the difference       3,000.00- between the closing balance       3,000.00- and the opening balance           0.00.

    Bank Reconcilliation Statement
    The following are the steps for BRS:
    Create Bank Master Data - This can be created through T.Code FI01 or you can also create the house bank through IMG/FA/Bank accounting/Bank account

    3. Set up Bank selection payment programe-  IMG/FA/ARAP/BT/AUTOIP/PM/Bank selection for payment prg.
       a. setup all co codes for payment transaction - Customer and vendors
       b.setup paying co codes for payment transactions
       c.setup payment method per country
       d.setup payment method per co code for payment transaction
       e.setup bank determination for payment transaction
    Please go for Cheque mangement using T code FCHI     (IMG/FA/ARAP/BT/OP/AutoOp/PaymentMedia/CheckManagement) and for void reasons FCHV. You can create Bank Reconcilliation statement by TC FF67 (SAP/AC/Treasury/CashManagement/Incomings/ManualBankStatement) . Don't forget to keep the opening Balance as zero. Use FBEA for post process.
    All the steps together will lead to (FF67) Bank reconciliation statement.

  • Initial Bank Reconciliation Implementation - Outstanding checks

    During the very first bank reconciliation the begining balance that the system enters as the beginning balance is $0. But of course in reality we have checks that have been written, but the suppliers have not cashed them prior to "go live" (so the AP Invoices are closed in the legacy system and so there is not an invoice in SAP B1).
    How should these outstanding checks be entered / accounted for so that when the first bank reconciation is completed and the checks clear so that the balance will reconcile to the bank statement?

    If you put your cheque number in the journal entry as Reference 1 it will appear in your bank reconciliation, this can be done at line or at header level, depending on how many cheques you post in each journal.
    It is usual practice when setting up a new system to create journal entries when setting up the opening balances - stock, debtors & creditors will all offset into an "Opening Balances" suspense account. When you post an entry to create the opening balance sheet, this account should become 0, as the balance sheet will always balance. These open items from your bank reconciliation are simply part of the opening balances.

    To enable the bank statement to find the item to be cleared in the vendor direct debit transaction, the bank details must be maintained in the vendor master record. The bank statement finds the vendor using the bank details and the item using the value (if unique).
    For algorithm 012, the number interval of the document numbers must be entered in the import report. For algorithm 026, the number interval of the reference document numbers must be entered (SD number assignment = XBLNR in the FI document). For further information on searching for the reference document number, refer to SAP Note 0107592.
    The UNALLOCATED transaction results in the bank statement being imported, even if the external transaction code has not been created in Customizing. The transaction is posted to the interim account +++++5 (bank subaccount, depending on bank). Take a look at this interim account after the bank statement has been imported and post the items to the correct accounts where necessary. To ensure that the transaction is contained in the system the next time the statement is imported, define the new external transaction code in Customizing and assign an appropriate posting rule.

    The posting keys and rules have already been set up for the electronic bank statement. The posting keys and rules for the manual bank statement are the same as those used for the electronic bank statement.
    5.5.4 Cheque Management

    In this step, you define transaction codes for cheque deposits and assign them to a posting rule. You have to specify these transaction codes in the Tran (Transaction) field on the initial screen for cheque deposits.

    Define Posting Rules and Posting Keys for Cheque Deposit
    Two posting rules have been created: Direct cheque deposit and Cheque deposit via interim account. These rules represent two ways of posting cheques in the system. If you only want to post the bank accounting item in the first step and then clear the open customer items, use the Cheque deposit via interim account transaction. This is of particular importance when you have a lot of cheques and you have to ensure that all the cheques in Bank Accounting are posted by 10:30 a.m., for example. Otherwise, you use the Direct cheque deposit transaction in which the customers are cleared immediately provided that clearing information is available.

    Using the SAP Business One Manual External Bank Reconciliation - how do you get the form to sort by the reference number field?

    Brian,
    You open Manual Reconciliation window and enter the details and click ok.
    You should be able to able to see the list of transactions , If you don't see the Reference Number next to Trans No column open Form Settings and activate the reference fields. You can now sort by double clicking on the columns

    If you have a system with Microsoft Office Document Imaging loaded, you can Print the PDF to this application. Then once the document opens, Print it to Adobe PDF. This will avoid the distilling errors.
    It is part of Office XP, 2003 & 2007 I believe.
    Otherwise you may be left with Print & Scan.

  • External Bank Reconciliation Report in 8.81 PL04

    Hi There.
    When clickin on the new Bank Reconciliation Report, the Selection Criteria window opens up. Show Acc code, and Reconciliation nr. Its 2 drop down lists. However, the problem is that there is no accounts I can choose from in acc code, and no reconciliation nr in reconciliation nr.
    I did do a manual recon, and it still does not give you any options in the selection criteria.
    One of the other databases I have, I did a manual recon, and in the report it does give me option to choose from one acc code, and one reconciliation nr.
    What do I need to do for the selection criteria to appear in my bank reconciliation report?

    Hi,
    Please update the path which report you are trying to fetch.
    If a manual reconciliation is performed, it would not be displayed as reconciled in the External Reconciliation.
    Kindly let us know the exact window you are checking so that we can further check.

  • Bank Reconciliation based on assignement field

    Hi,
    During execution of bank reconciliation, system is clearing opoen items based on amount(WRBTR). The requirements is to clear the open items based on assignment field.
    I have not maintained any algorithm for transaction types.
    Let me know the setting thru which the open items will be cleared based on assignemnt.

    Thanks for the reply. I am entering Transaction code / Value date / Amount / Profit center / Allocation Number / Cost center.
    What you have rightly mentioned is right. System picks up WRBTR for clearing, if it finds the amount it clears the same. My requirement is to clear the transaction firstly based on ZOUNR & then based on WRBTR.
    If not so, can I have the setting done where in system will first look for WRBTR. If more than one entry is found, it will shift to next criteria of ZOUNR & clear the document. I have already maintained OB74.

  • Manual Bank Reconciliation: FF67 and FB05 issue

    Here in our business we have configured manual bank reconciliation.
    When i post entries in FF67 with processing type=4 , i get errors in posting.
    Then i go to FEBAN to check the log and post one by one in foreground.
    This calls the transaction code FB05  the first line item is correctly accepted. then it goes for process open items but it gives error in second line item and it asks for cost center in a pop-up screen ( where in business area field is greyed out cost center is optional, profit center is optional). after giving cost center it automatically populates business area and profit center and successfully accepts the entry and successfully posts the entry.
    But it i do same transation directly using FB05. I only give business area,  profit center in first line item only and only account code in second line item it successfully posts the entry.
    I do not want to give cost center while posting thru FF67. Any one who can help in this will be highly appreciable.

    You can analyse your GL accounts in order to have Cost Center populated by OKB9 assignment.
    You can also check your GL Account field status group and define another for no Cost Center entry required.

    Hi experts,
    Bank reconciliation process is carried out through Manual reconciliation screen.
    Every time users will enter the ending balance and date.
    System will enlist the transactions remaining open for Reconciliation and user will clear the realized transactions.
    Now my requirement is i want to know the transactions remained open for reconciliation for any given date.
    For example,Even though the transactions has been reconciled on January, i need a report to show it as open while running a report for December date.

    Hi,
    There is no standard query or a report where in you can find out a transaction which is unreconciled in earlier month but was reconciled now.
    It is very difficult to determine such thing.
    You can may be check the OBNK and OMTH table and see whether you get any field where you can customize such query if possible.
