Opportunity Team Assignment Rule and Automated Task Owner

Hi,
We have a requirement that when an Opportunity is created, the Opportunity Team assigned will be based on the Owner of the record. We created a "test" assignment rule wherein the:
* Team Assignment: (Example) John Locke (Manager), Jack Shephard (Coordinator)
* Rule criteria: Opportunity Owner First Name = Sawyer, Opportunity Owner Last Name = Ford (Question 1: I can't find Owner id field from the list... that would have been better..)
This works when the Reassign Opportunity checkbox is ticked during record creation and I needed to refresh the record to see the added users in the Team. (Question 2: Is that how it really works? Also, the users added in the Team does not have an Opportunity Role assigned... This field is important to my requirement..)
We have 3 Opportunity Team Opportunity Roles: Manager, Coordinator, Sales Rep. We also have a Sales Process based on the Opportunity Type wherein each Sales Stage has automated tasks for it. We assigned the "Opportunity Team Role - Coordinator" as the Owner of the tasks.
This part does not work because when you create the opportunity record, the user in the Team is only the Owner (creator of the record = Sawyer Ford)m which is also assigned as the Owner of the Activities created based on Sales Stage. What should happen is that the Owner of the Activities should be "Jack Shephard" (Coordinator from the assignment rule).
Question 3: How can I assign Opportunity Team Role in the assignment rules?
Question 4: It seems like the Sales Stage fires first (which creates the automated tasks) before the assignment rule fires....

Hi Abhijit,
Indeed as you stated, the team assignment can only be self-assigned. Meaning that a manager cannot assign a team assignment to another member. Customizing this feature could be quite complex and time/money consuming. If you decide to go that way, then it
is out of my knowledge.
Using the "reassign task" feature will not help because once reassigned, the manager will not be able to change the assignment again for another resource.
I'd rather suggest to put in place a process together with the project manager who is actually managing assignments in the project with Project Pro. For example the manager can access the project plan and should only update his resources on assignments but
not the project itself.

    Sundar, since the On Demand offline only uploads changes (either new or modified records) the online version will treat these changes as new or modified records and workflow and assignment rules should act on these records as if the changes were made in the UI. The next download should reflect these changes.

  • Using team assignment pool with milestone tasks

    Hello,
    Can someone explain to me why the team assignment pool functionality is only available for tasks with non-zero durations?  In other words, any milestone task cannot be self-assigned using this feature.  When one attempts to do so, the "One
    or more of the specified tasks could not be re-assigned ..." error is observed and the self-assignment is not processed. 
    However adding a duration of 1 minute to the task solves the problem and the functionality works perfectly. 
    Is there any reason for this restriction?  In practice it is often useful to allow team members to update milestone dates.  In fact, the ability to do so is available without issue if the assignment is performed via MS Project Pro rather then as
    a team assignment in PWA.
    Is this a bug, or is there a grand design behind it?

    Hi Boris,
    We are just non-microsoft volunteers here on those Project forums thus have to clear asnwer for your question.
    That being said, a milestone should not represent an activity resources are working on. Moreover they have a 0 duration, thus they don't trigger any work. Reporting on itmes that don't work, neither progress does'nt make sense in my point of view. A milestone
    is a only the result of an activity, like a deliverable. 
    Finally, the project manager is accountable for updating milestones since he'll be reporting to his board on those milestones he owns (and not the team member). I'd said that team member will send the task progress to the project manager with eventually
    the remaining work, which will update the milestones dates in case the PM approves. In my opinion, this should be done that way.

  • Events and Jeopardies problems in manual and automated task

    Hi all,
    I have an automated task that has an event in receive state and an internal Xquery automator. The event takes information from de order and send it to a specific queue, then the automator updates the orders to indicate that the information was sent.
    I have noticed that sometimes the update automator is executed first that the event so when the event executes can not find information to send to the queue.
    If a the event is in receive state, why the automator is running first? what type of automator are accepted for each task state?
    Another problem is with Jeopardies in a manual task. In it i have an automator that complete the task to a specific state. The Jeopardy is executed but the task is not completed by the state defined?
    are there any restrictions to Jeopardies in manual tasks?

    I am not sure whether I understood completely. Lemme try to answer your 2 questions.
    *1) If a the event is in receive state, why the automator is running first? what type of automator are accepted for each task state? So you are saying you have* defined an event when the automated task goes to Receive state ?
    Ans : As you have defined the event on the "Receive" state of an automation task, it will be the event gets executed first. Basically during execution of any order, when you hit submit in the CreationTask, automatically next task will be loaded and its task state will be in Recieve state irrespective of Task type like Automated or Manual. That is why when loading the next task, the task will be in received state and the automator runs first.
    If you want fire the event on different task state like "Accepted" or "Completed" you might have to change the event type.
    *2) i have an automator that complete the task to a specific state. The Jeopardy is executed but the task is not completed by the state defined? Are there any restrictions to Jeopardies in manual tasks?*
    Ans: As you said, Jeopardy is getting executed in the manual task correctly. Also you are expecting that the task should be completed along with jeopardy. But as the task type itself is a Manual Task, one has to manually open the order in worklist and make it proceed to next task. No plugins will make a Manual task to complete. Automation Plugins can be completed using the plugins.

  • API to access payload of manual and automated tasks?

    Hello,
    Our client wants to get emails in a custom format that alerts them of errors/faults with activities in BPEL processes?
    We also need to generate reports to do this so the information can be accessed at any time - not just when the error occurs.
    Is there an API available for us to access the faults and the payloads of those activities?

    What are Task assignment adapter and Task Assignment Rule?

    Task assignment adapter lets you return a value to the type and assignee values in the adapter. You can use these to dynamically assigned to users or groups.
    Task assignment rules let you specific the priority in which the assignment rules are done. If you go to any process task adapter and open it. Go to the assignemnt tab. Here is where you can specifiy your rules to create an order of determination. You can have multiple entries with rules determining organization and then have them assigned to appropriate groups in each assignemt rule entry. Or you can dynamically assign by using the default and a task assignment adapter to figure that out.

    I was working on Data Rules and Assignment section and I can see that while creating the Rule there are three check boxes, however its not clear what exactly these checkboxes does.

    What determines the "Related Contacts" ? As I understand the rule assign the record to an owner, so does this checkbox also assign this record to others as owners ?
    *What determines the relationship between contacts, is it the role hierarchy, The user to whom it is reporting to will also be assigned the same record ?* This holds true for Opportunity records too ... that the relationship is determined by the reporting hierarchy ?

    I would like to assign a book when a user is added on the opportunity team. If the user is from another division as the owner, then the book of the division is added on the record.
    Is it possible to do it or is there another way to answer my need?

    When defining the Assignment Rule for Account f.e. the administrator can define the Team Members to be assigned to the account, and their access levels.
    My doubts refers to this level of access x the level of access defined thru the user role/access profile. In other words... if thru the Access Profile the user X has a Read-Only access to Account object... and if thru the Assignment Rule - Team Members I give the user X the access Full...
    Should I understand that for every other account (except the ones assigned thru assignment) the user X has a Read Only access...and for these accounts assigned thru Assignment the user X has the Full access ?

  • Opportunity Team - Owner

    Hi Folks,
    Using the Opportunity Team functionality:
    When a user creates an Opportunity against an account that they do not own, the account owner is added to the 'Opportunity Team' along with the user who created the opportunity in the first place. Is there any way to prevent this? We do not want the account owner to be added to the oppotunity team automatically.
    When the record is written to the warehouse the 'Account Owner' is listed as the record owner 'Owned By User - User Name' and not the user who created the opportunity (Opportunity Product History Subject Area). We need to use this field as it also drives 'Report To' and 'Supervisor'. When you look at the opportunity in the application and scroll to the 'Opportunity Team' tab the correct person is listed as having "Owner" for 'Opportunity Access' yet this is not reflected in the warehouse? Any Ideas?

    Have you defined an account team and have you provided access to opportunities in the account team location? If so they will automatically flow into all the opportunities you create. If you leave the opportunity access blank in the account level, they will not be added to the every opportunity that is created.

  • PRM and Opportunity Team

    Any PRM users out there? We use Opportunity Teams and need both internal and partner users on the team. The problem comes up when building the team. When the opportunity owner is NOT a partner user, they can see the list of all users when building the team. When the opportunity owner IS a partner user, the list of users is limited to just them self. Why? We need a collaborative team and most opportunities are owned by a partner. We often have multiple partner organizations working together on a deal (one is the reseller and another is the distributor).
    Any thoughts? I created an SR and I'm hoping this is a bug.

    Hi,
    In R16 you are not able to alter the functionality you mention below. Its on our roadmap to provide more collaborative functionality. You could decide not associate the user to their partner org on the user record (they would then see all users in the system - which might not work for you). But note the Partner Owner Sync Workflows wouldn't work. I would like to discuss your requirements if you could let me know how to contact you. Thank you.

    Our business have given 3000 Business rules for the routing purpose. To implement this we need to create 3000 assignement manager rules and 3000 workflows. I know that there is no limitation in SOD for creating Rules and workflows.
    What i need to know , has anyone created so many Rules and workflows? If Yes , then was it all done manually?

    What are the performance implications of Workflow Rules? ** Workflow Rules are evaluated in sequence and synchronously. Therefore, unless all the rules are evaluated, the overall update is not completed. This will add a certain amount of latency. For example, each task creation can add as much as 20% latency to an update and emails about 5%. Expressions take less time to evaluate. To minimize latency, add restrictive conditions and use workflows judiciously.
