Optimize/Reduce File Size

I'm working with a PDF that I did not create but have been asked to try to reduce the size of. It was created in InDesign CS4 (don't know if it was Mac or Windows). It is a large book (600 pages) but entirely text, other than one graphic on the cover. A similar book that I had worked on produced a PDF of about 2.8 MB. The one in question is over 6MB. Using the Reduce File Size command and using the Optimizer both increase the file size.
Auditing the space usage shows that 86% of the space is "Structure Info." I believe the InDesign file was done by someone not very versed in the ways of InDesign, and that there were many places where text was threaded in strange ways, with lots of overlapping text boxes. I don't know if that would have anything to do with the "structure info" in the PDF. "Structure Info" isn't even listed in the audit results of the normal PDFs I'm comparing this one to. The InDesign file was actually several InDesign files, and I don't know how the PDFs of the individual files were combined, but that's another piece of information.
Given the above facts and the little I know about how the PDF was really exported and assembled, does anyone have any ideas about actually making the file smaller? Based on the other PDFs we've done of simlilar books, it should be somewhere around 2.5 to 3MB in size, not the 6 to 8 it currently is.

It would appear that the PDF is a Tagged output PDF.
As discussed in ISO 32000-1, Tagged PDF facilitates content use/consumption by:
--| users of AT for Accessibility
--| users of mobile devices (reflow)
--| content export with format/layout information
--| simple copy/paste
If the PDF is, in fact, a well-formed Tagged PDF then the author actually has commendable competency with InDesign.
Oh yes, using Acrobat Pro you can use either Optimizer or a Preflight to remove all structure. This would help reduce the PDF's size.

The optimizer can reduce space, but some things can't get smaller. Text for example. Play with the settings, examine the results of Audit Space Usage.
Or give up. Even 5 MB is too large for a bulk mailing, by far. Instead put it on your web site and mail a link - done!

Reducing file size #2...Preview, Quartz Filter vs Adobe Pro Optimize

Questions on reducing a pages to pdf file…I will post each question seperatly.
2) I read that you can reduce file size of a pdf in preview with a quartz filter. I created my own filer and it worked as expected. But, I also have Adobe Acrobat Pro, with save as PDF Optimized. The pro seems to have much more capability than the quartz filters.
Is one better that the other to use? The adobe optimize (standard settings) took it from 20 to 6 megs.

The Adobe Acrobat settings you chose are probably using .jpeg to reduce the file size.
.jpegs are lossy. ie You lose detail and sharpness the more you compress the image.
The Quartz filters are usually of very high quality, but they are a black box and you need to understand what the settings are in each one. Quartz filters are extremely powerful, fast and as I said usually high quality but I suggest you experiment and see if they meet your needs.

Are you facing the issue with any pdf file?
Please try updating Acrobat to 11.0.7 and check.
You might also want to repair Acrobat and see.

Reduce File Size/Optimize ruins JPG quality

I create a lot of PDF maps with aerial imagery background. These files are often large in file size and I usually run the Reduce File Size to reduce size by 80-90%. I also include my company's logo (JPG) on these maps. However, after running the Reduce File Size, the JPG looks blotchy and watercolored, and the crisp quality has been completely lost. The aerial image, however, does not lose any quality. I've gone through the Optimize PDF tools and it appears the only thing I can do is to not downsample the JPG, but then my file size is only reduced maybe 25%. Is there a way to designate what images in the PDF you want to be resampled?

Assuming your logo is colored, no. Optimize runs globally on all images, so the only way to limit it's effect is if the image you want to omit is grayscale or mono, and the images to compress are all color.
The logical solution is not to add the logo beforehand. Optimize your PDF with just the map in, then add your logo as a new layer, and (optionally) flatten it.

How to set option in Scanning for Reduced File Size

I am scanning from a Fujitsu 6230 scanner in Adobe Acrobat Standard 9.4.1. My scanning options are Color, 300DPI,Letter, High Quality, with Optimization options of Custom Settings of JPEG for Color/Grayscale. The scanned files are very large...1852KB per page. After using the Reduce File Size option and selecting Acrobat 8 and later, the file size is reduced to 187K. Is there a way to preset the Acrobat 8 or later setting....rather than having to do the two-step?
Also, if I use Fujitsu's scanning interface I get far higher quality pdf's, with small file sizes, and lower scanning resolution......but without the option to append to a pdf, an option I use frequently. Apparently their program for converting the scanned image to a pdf is more robust than Adobe's. Is there a way to use their image->pdf engine within Acrobat?

Issues in Reducing file size on Acrobat 9.3.1

The text has been merged or split on Acrobat 9.3.1 Pro by using the option "Reduce File Size" or "PDF Optimizer". There is no issue in the earlier version of Acrobat (7.0 & 8.0). We are using the Mac OS between 10.4.11 to 10.6.2. I have attached screenshots for your reference; please look at the Word "Issues" has been split after reducing file size on Acrobat 9.3.1. Is there any other way to do Hi-Res PDF to Low-Res PDF without any issue? Kindly help me out to sustain the best process in future.

I found a similar problem with text styled for small caps. It was fine in the original PDF, but became lowercase in the reduced file. The reduction process probably throws away characters from fonts that Acrobat decides are unnecessary.
I was able to partially solve the problem by combining multiple PDFs (book chapters) and selecting the smallest file size icon at the bottom of the page. Alternately, I chose a web-quality preset, which also worked. The file size might not be quite as small, but the files were good.

OCR and Reducing file size

I have a large document (a book) that I am trying to scan. I will be scanning it chapter by chapter. The book was printed in grayscale, so I don't have a pure BLACK AND WHITE document. I would like to optimize the file size, but I have a few questions about that.
Currently running:
Windows 7
Acrobat Pro X
Epson GT-S80 High-speed scanner
1. What is a good typical workflow? I have tried scanning the documents to PDF using the scanner's software then opening them up in Acrobat to OCR them. I have tried using Acrobat's Scan feature with OCR being one of the steps in the scanning process. I have tried letting both softwares do their own color mode detection, where they will mix black and white and grayscale to reduce the file size, but have typically told it to stick with grayscale because that gives me the cleanest and clearest document. Does anyone have any recommendations on getting a good quality image and using a mix of black and white, as well as grayscale, or should I keep using just grayscale?
2. I am having some trouble, I think, with the file size. I have a 12 page document I believe was either scanned at 300 dpi or was scanned at full resolution because I used CLEARSCAN, and downsampled everything to 300 dpi. I don't remember exactly, but that file is about 2.20 MB in size, and I think that runs about 185K per page. I would think there could be a way to get a smaller file.
3. For text recognition purposes, this document is not ideal because it is a collection of powerpoint slide sheets (2 - 3 slides per page), and in some cases there is text on top of image in the slides, and it seems very hard to discern.
4. Once a document has been scanned, and OCR has been run on it, I was under the impression that the OCR is in a separate layer, and that (if Searchable Text is chosen), you basically have a scanned image with another layer of searchable text. Because the OCR'd text is "there somewhere", is it possible to remove the scanned image text, and have just the raw recognized text, similar to if I created the document in Word, and created a PDF?
5. Sort of back to number 1, suppose I am stuck with leaving the scanned image behind, and just running OCR, what is the optimal way to reduce the file size of the PDF? I had read that running your scan at 600 dpi may help with the text recognition. The same article suggested doing the higher resolution scan and using the ClearScan because it would a) recognize the text better and b) convert the text image to actual text and reduce the file size. From there, should I then just run the PDF optimizer to downsample the images to a certain DPI to further reduce the size?
Hopefully you all can understand what I am saying and help fill in some gaps.

Reducing File Size

I have a 39 page document scanned from an HP color printer that is 13MB. I'd like to reduce the file size by eliminating the color but not by reducing the resolution of the black text. There are no images. It is not clear to me how to use PDF Optimizer to reduce the size. "Reduce File Size" does nothing. I'm using Acrobat 9 Pro 9.1.0.

That's good to know. Could you make a suggestion on how to use Preflight for this purpose? There are many options available.

Reducing file size produces a larger file (?)

I have a 3.8mb pdf (created in Acrobat 9) that I'd like to reduce in size. It's text only (about 450 pages) and when I select "Reduce file size" Acrobat X goes through steps to optimize it for the web, and it comes out 5.1 mb. Not really much of a reduction in size if it's now a meg and a half larger than the original. Is there a better way to do this that I'm missing here?

There are many things that could cause the issues. Under the Optimize option (or wherever it went in AAX) there is an audit function that allows you to see where the storage is going. You could compare before and after optimization to see what was happening. You say 450 pages is not much, but that all depends on what is there. If it is a lot of graphics, it could be huge. If you use a lot of different fonts, that can cause extra storage of all those fonts. So there are many variables and sometimes they do get bigger -- happened to me too. Unfortunately, when you are trying to make things smaller, you are often under the gun and don't have time to diddle around. Good luck.

Use the Optimize PDF command in Acrobat, it gives you more control. I think it's under the Advanced menu in Acrobat 9 Pro and File > Save As > Optimized PDF in Acrobat X Pro.
You might try playing around with different settings. You can also click the Audit Space button at the upper right to see if its from images or other things causing the file size problem.
Unfortunately, InDesign doesn't write interactivity in a very optimized way. You get better results with buttons, for example, creating them in Acrobat Pro and using the Duplicate command to duplicate them across multiple pages.

How do I reduce file size in Adobe 9.4.5?

I'm using Adobe 9.4.5. I can't figure out how to reduce file size. My 'save as' options don't offer this because they only offer 'save a copy' or 'save as text'. And I don't have the 'Document/reduce file size' option. It's simply not there.

You can also try Document>Reduce File Size. The PDF Optimizer has more features, but Reduce File Size my meet your need. I find different results with both methods, making me sometimes wonder which is the best approach.

Reduce File Size - Other Options

I have a very large PDF file (521 mb) with about 6,500 b/w pages that I am trying to get to much smaller (under 350 mb). I am using Acrobat Pro v9.2 and I have tried most of the typical file size reduction methods (Reduce File Size and different settings on Optimization). I have even tried to take the PDF and then "Save As a TIFF" file and then merge it back into a single PDF.
I have also to "Print to PDF" in an attempt to use the printer driver to recreate the PDF file but in a smaller size. Not much luck here either.
Now I was able to take a single page (2 mb) and "place" it into Photoshop and then "Print to PDF". This did create a nice resolution PDF file that was much much smaller (about 350 kb). This works, but it would take too long to do this with 6000+ pages so it really isn't a practical solution for a file with thousands of pages.
Does anybody have a technique or method to reduce a PDF with thousands of pages into a smaller overall size??? Or, d0 you know of optimization settings that I should use???

1) in the share dialog, you see some presets, mail, web, cd.rom.. choose one of these and your file size will shrink dramatically...
I personal prefer a "manual" setting, choose Quicktime, hit the button, and you get confronted with a second window, with zillions of options...

Images load really slow after using Reduce File Size...

After using the "Reduce File Size..." feature in Acrobat 9 on Windows Vista, some of the images load really slow as I page through the document. Is there some kind of compression setting that I should look for to prevent the images from be affected by this?
For some of my documents it will take 30 to 60 seconds to load an image. Sometimes I can't do anything with the document until the graphic loads entirely.

Can you post an example of a file that has this issue? Personally, I recommend using the PDF optimizer, it gives better control of the final pdf file.

What do I loose with "Reduce File Size" to Acrobat 8.0 compatability?

When scanning documents using the Acrobat interface in 9.0, I find that the file sizes are very large...about 1.5MB per page. If I then select the "reduce File Size" option from the Document tab, and select Acrobat 8.0 and later compatibility, the file size is reduced by 10 fold....to something approaching 150 KB per page. I don't see degradation of the scanned image on my screen....but am I loosing image quality?

I tried it at home & I used the optimize pdf thing. It went from 17MB to 12MB so I re-optimized it & got it down to 3MB. It's as good as it is going to get. The big problem is that the .pdf that I have was scanned on a copier machine.
I printed the 3MB pdf on the color printer & it came out okay, but then I printed it on the black & white printer & it barely had any ink on the page....
I am just going to not bother with it anymore. Not much I can do with a scanned document & it's not even my job to begin with!
