Optimized pdf grayed out in Acrobat XI

I am creating a pdf portfolio of artwork and documents. I need to have the pdf smaller in size- and the Optimized pdf... option is grayed out.  What am I doing wrong?   Thanks!

  • "Recognize Text Using OCR" Option Grayed Out in Acrobat 9 Pro (9.5.1)

    Running Adobe Acrobat 9 Pro.  I'm working with electronically filed court documents.  I regularly use the OCR tool (Document -> OCR Text Recognition -> Recognize Text Using OCR...) on these court documents.
    Problem is, every once in awhile, I'll run into a document where the "Recognize Text Using OCR" option is inexplicably grayed out.  I have no idea what is causing this.  I have checked the Document Properties and confirmed there are no security restrictions for the document.  It happens inconsistently, in that OCR will work with a document filed by an attorney in one case, but it won't work in the same kind of document filed by the same attorney in a different case.
    Any help getting OCR to work on these few rogue documents is appreciated!

    I create PDF fact sheets and newsletters from Adobe InDesign CS 6. I am using Acrobat Professional XI. I am tasked with making these PDFs accessible to assistive reading technology.
    I carefully set up tags and reading order in InDesign, but in order to import that structure into the PDF, I need to access Page Properties in the Options menu of Page Thumbnails.  But Page Properties is grayed out. It is not accessible to me.
    I checked to be sure the Acrobat Accessibility plug-in is loaded. It is not loaded.

  • Preview PDF grayed out

    I am using Designer for the first time, and I wanted to preview the PDF after I had added a few fields to a new form.  But when I go to turn on the View > Preview PDF tab the selection is grayed out.  I can publish the PDF and tehn look at it, but that's a pain.  I have Adobe Acrobat Pro 9.0, and I selected that in the Properties - Default, but it is still grayed out.

    Try starting Acrobat first (and have it in the background) then start up LC Designer.
    Also have a look at the preferences in Acrobat. The display in browser affects whether LC designer previews the form in LC or pushes it out to Acrobat.

    Are there any security restrictions that would prevent it?
    Is there any digital signature field (signed or unsigned) already present on your PDF.

  • Encryption step in actions grayed out in Acrobat 11

    I like to password protect a dynamic PDF form (xfa) stored on a network drive with a Acrobat action. When I run the action, the action shows the encryption step grayed out (disabled). It works with flat PDF's but not with PDF Forms. (XFA)
    In Acrobat Pro 10 the same action works without any problem.
    Is there any help for this issue?

    I downloaded your test PDF, opened it in Acrobat XI Pro and had no problems to encrypt it. I encrypted it with a password and it all worked. I used both Tools->Protection->Encrypt and File->Properties->Security->Security Method. I do not know what else to say. Are you sure you have Acrobat XI Pro and not Standard? Can you encrypt regular (non-XFA) PDFs with the same copy of Acrobat XI?
    After I did all that I realized that you wanted to use the Actions feature to encrypt. So, I created an encryption action with Tools->Action Wizard->Create New Action, tried to use it and it did not work. Bingo! I guess this is a bug in Acrobat XI. I will try to get Adobe to open a bug on that.

    I built a form using Live Cycle in 9 Pro for Windows. I want to have the form open as a "two up", so I assumed I should change this in the Properties menu. When I go to the Initial View tab, it is grayed out, and won't let me change anything. How do I get this tab to allow me to change it? Help!

    User opens a PDF, goes to Properties --> Security tab to set a password on the PDF. That option is grayed out. Can't set a password. Same path on a Windows device works as it should and password can be set. Thank you!

    A common cause of this is that the user is running the free Adobe Reader instead of Acrobat. Often the user has both and inadvertently runs the wrong one.

  • File Save As Other Reader Extended PDF Enable Commenting & Measuring GRAYED OUT

    I have an PDF form created in Adobe LiveCycle Designer ES 10.0.
    When I open in Reader, All the "Sign" options are grayed out.
    Under "Properties" Signing is allowed but Commenting is not.
    From all I have seen, I hope that allowing Commenting will allow me to use the sign features.
    The only solution I'm finding on the internet is below:
    File > Save As Other > Reader Extended PDF > Enable Commenting & Measuring
    It is grayed out in my (latest version of) Acrobat pro.
    **Is there a way to make this option available?**
    **Will this even solve my problem?**
    **Is it possible that it is impossible to use these features on this document?**
    At this point, I've spent about two and a half hours on this issue and haven't been able to find a solution. Very frustrated.

    Thanks. I'm not an IT person and needed that lead.
    In the end, I just printed to Adobe PDF and then was able to use the commenting options (once I had flattened it). For those who might come across this - this is one of the only ways to flatten a XFA PDF.

  • Adobe Acrobat 8 Pro Save button grayed out

    I have a user with Windows 7 with a fresh install of Adobe acrobat 8 pro and everytime you open a pdf and type in it the Save button is grayed out. You can go to Save file as but why is the Save button grayed out? I have ran updates and even removed it again and reinstalled still the Save button is grayed out? I even created a new pdf with just test word in it and saved it to desktop the button was still grayed out when i reopened it.

    Only the fully updated Acrobat 9 and Acrobat X products support use under Windows 7.

  • Help Needed:  Acrobat Pro XI - Reduced Sized PDF vs. Optimized PDF

    Hopefully some of you folks can help me, as I cannot get in touch with Adobe customer service.  I recently upgraded to Acrobat Pro XI.  In my old version of Acrobat Pro, I used to be able to take a PDF file of large size (let's say 10 MB) and shrink it down considerably with relative ease (down to less than 1 MB).  The file could then be easily emailed, shared, read, and most importantly wouldn't take up tons of hard drive space.  With this new version of Acrobat Pro XI, that same 10 MB file barely reduces down to 7 or 8 MB.  I have played with the various settings in both the File -> Save As Other -> Reduced Sized PDF and File -> Save As Other -> Optimized PDF.  Regardless of what I try, I cannot achieve anywhere near the same compression results as what I used to be able to achieve with my old version of Pro.  I can get the file size reduced, but the reduced file quality is trash.
    Has anyone else encountered this problem as well?  Do any of you have any suggestions on what to do to fix??  I primarily scan a document as a PDF file with my HP OfficeJet Pro, and then reduce the PDF file size after the scan.  I could scan the document with lower DPI to begin with (currently scan 300 dpi typically grayscale), but then I don't have the scanned image quality that I need to reduce the file down so that it can be reprinted later at a good enough quality. 

    I had previously ran the audit, and 99% + of my bloat is in the image.  All of the other possibilities for bloat do not even add up to 1%.  For my purposes as a Financial Advisor, I print out blank applications & account forms, fill out the paperwork by hand, and then scan copies of the completed paperwork back into my computer for electronic filing.  Some of these completed client documents can be 50 to 75 pages long ... so the PDF scanned at 300 dpi obviously starts out as a substantially sized document that can take up 25, 35, or 45 MB per scan.  The crazy thing is that the old version of Acrobat Pro (I believe it was version 7 or 8) would take a 45 MB file and compress it down almost to 1/10th of the oiginal size.  As a result, a 45 MB file would end up as a 4.5 MB file.  This significant reduction was always accomplished using the one button selection "Reduce PDF" command ... had nothing to do with optimizing the PDF with the old version.  Once I ended up with the 4.5 MB file, I could open that file at a later date and print out a page that I needed and you couldn't hardly tell if it was the original or a scanned copy.  There was no loss of quality whatsoever!!  The Reduce PDF size in Acrobat XI just doesn't work well ... will take that 45 MB file and reduce it down to 42 MB which defeats the whole purpose of the Reduce PDF command in the first place.  If I play around with the inputs in the Optimze PDF, I can shrink the file size lower but lose way too much image quality.  The only variable that has changed from my old scanning results vs. my new scanning results is the upgrade from Acrobat Pro 7 to Acrobat Pro XI ... everything else that I'm doing is the exact same.  Same thing applies when I create a PDF portfolio from multiple PDF documents ... a 150 MB PDF Portfolio will barely reduce in file size. 

  • PDF Toolbar in IE7 Grayed Out. Why?

    We are using Acrobat Standard 8 and IE7.  We are experiencing an issue with the PDF toolbar in IE7.  Sometimes the toolbar is grayed out and at other times it is not.  This seems to happen randomly.
    During a recent training class, all participants visited the same site in order to convert the web pages to PDF.  Some users were able to use the PDF Toolbar to convert the web page, while others could not.  Those who could not convert the web pages had the PDF toolbar, but the icon was grayed out.
    If anyone could provide a reason this happens, I would be most appreciative.

    I was having the same issue with Internet Explorer 7 and finally solved it by going to Tools - Manage Add-ons - Enable or Disable Add-ons.  I then enabled all add-ons related to Adobe Acrobat.  It worked for me, give it a try!

    I am using Adobe Design Premium CS5 (specifically Adobe InDesign).  When setting up a new PDF preset, I have selected for compatabilty Acrobat 8/9.  The problem I am having is that the selection for "View PDF after Exporting" is grayed out.  What can I do to get it usable?

    Thank you for responding so quickly.  The tech team here at school moved all my files and programs to another drive, in the process they lost all my preferences, PDF presets, and more.  So I am trying from memory to reconstruct all the tweeking I have done in PHotoshop and InDesign over the last two years - and I am not doing so well.  In the past I have had the ability to select "Viewing PDF after Exporting". 
    As for restoring the preferences - that is out of my league and will have to suggest that to the tech team. 

  • Accessibility 508 issue in Acrobat; accessibility controls grayed out

    Hi - I have to check PDF's in two different versions of Acrobat.  On my one computer, the accessbility functions work great.  Then when I went over to my other office on my laptop, I tried checking the accessbility and all of the same controls on the other computer were grayed out.  I'm pretty puzzled by this so I'm not sure if the laptop computer has some kind of persmissions blockage (I do this work for a government agency) or what.

    Hi - thank you for your reply.  One strange thing about this situation is on both of these computers, the Abrobat icon says "Pro" for both of them.  That's why I was so puzzled about this because although they appear to be version X and XI, they both said Pro but only one allows me to do accessibility.  Strange.
