In the procurement cycle of a service or material, what occurs in the phase of purchase orders management?

ORDER MANAGEMENT & SALES
1.Briefly describe the types and structure of the sales document and give examples of data
that you find on the different levels.
Sales*related business transactions are recorded in the system as sales documents. There are, broadly
speaking, four different groupings of sales documents:
Sales queries, such as inquiries and quotations
Sales orders
Outline agreements, such as contracts and scheduling agreements
Customer problems and complaints, such as free of charge deliveries and credit memo requests.
Header Data
The general data that is valid for the entire document is recorded in the document header. This data
includes the:
number of the sold*to party
number of the ship*to party and the payer
document currency and exchange rate
pricing elements for the entire document
delivery date and shipping point
Item Data
Whereas data in the document header applies to all items in the document, some data applies only to
specific items. This data is stored at item level and includes the:
material number
target quantity for outline agreements
number of the shipto party and the payer (an alternative shipto party or payer can be defined for a
particular item)
plant and storage location specifications
pricing elements for the individual items
Schedule Line Data
An item consists of one or more schedule lines. The schedule line contains all the data that is needed
for a delivery. For example, a customer orders 20 pieces of a material and you enter this as an item in
the sales order. However, you can only deliver 10 pieces now and the remaining 10 pieces next month.
In other words, you need to schedule two deliveries. The data for these deliveries (dates, confirmed
quantities) are stored in two separate schedule lines. In sales documents where delivery data is not
relevant *for example: contracts, credit and debit memo requests * the system does not create any
schedule lines.
Data recorded in the schedule lines includes the:
schedule line quantity
delivery date
confirmed quantity
2.What is the difference between an inquiry and quotation ?
. Inquiry: Request made to a vendor for a quotation for required materials or services.
No availability check is done for inquiry.
. Quotation: Offer from a vendor to a purchasing organization regarding the supply of materials
or performance of services subject to predefined terms and conditions.
A quotation consists of a number of items, in which the total quantity and delivery date of an
offered material or service are specified.
The total quantity can be subdivided into several partial quantities with different delivery dates in the
lines of a delivery schedule.
3.Do you always have to have a material master record number when you enter an item on a
sales document (inquiry and quote)? If not what would you have to use to be able to enter
information at item level?

stock was regarded as part of inventory even while it was at the customer's premises.This transaction
is not relevant for billing.
In consignment return, customer wishes to claim on consignment goods which have already been
issued. When goods issue is posted, the relevant quantity is added to the customer's special stock at
the plant where the goods are returned. Since the ownership of the goods is passed from the customer
back to the company, the transaction is relevant for billing. In this case, the customer receives a credit
memo for the returned goods.

specified time period. The agreement contains conditions which apply over a particular time period and
which are settled together at the same points in time. An agreement can be settled once or

Unlike a contract * which only contains an overall target quantity or value * a scheduling agreement
also contains specific order quantities and delivery dates.

Sales Order Pricing User Exit Problem
Hi,
I am facing a problem related to coding in Sales Order pricing user exits. Scenario is as mentioned below:
Based on Material Entered and Sold To in Sales Order, auto determination of a manual pricing condition happens. For doing this, coding has been done in USEREXIT_PRICING_PREPARE_TKOMP by changing XKOMV table. Auto determination of the manual price is happening properly.
From Sales Overview Screen when user goes to the Conditions tab, Net Value is not getting calculated. When we navigate away to Schedule line tab and then come back to COnditions tab, Net Value is automatically getting calculated.
AM i missing something in the coding part? As the data is getting populated automatically I guess some piece of code needs to be triggered. Can anyone shed some light into this.

thunderans.Prabhu: After filling in XKOMV structure, I am calling FM PRICING. On doing this, the Sales Pricing is getting calculated but even then net value of order at header i.e VBAK-NETWR is not getting populated when we are in Sales Overview screen. When, I am getting into Conditions tab and coming back to Sales Overview screen, Net value is getting populated correctly. This portion of everything not getting populated at the same time is bothering me. The pricing conditon that I am filling is a manual pricing condition.
I put a breakpoint after FM PRICING which correctly populates XKOMV structure. How do I properly update Order Net Value in Sales Overview screen wihtout having to navigate to any other tab?
Nicklas: I am looping at Order line within the user exit USEREXIT_PRICING_PREPARE_TKOMP and determining price. Once all line items are processed, I am using the FM PRICING for calculating Sales Prices.

Automatic Conversion of PR to PO.. Need User Manual for ME59 T code
Hai Sap Gurus,
I Got the following content from net. but kindly help me by sending me user manual for ME59.
You created purchase requisition for various material. During creation of purchase order you used the following path:
Purchase Requisition
.......Follow on function
.........Create Purchase Order
............automatic via purReq.
When you mentioned required purchase requisition number and execute, system give error that purchase requisition does not contain any suitable item.
Is there any setting in customization where you can monitor and use that function.
In an effort for you to successfully use the Transaction Code ME59 to automatically convert the current PR into PO, then the following criteria should be met:
1) In the Purchasing View of the material master data, the "Autom. PO" field must be clicked;
2) In the Purchasing View of the Vendor Master Data, the "Automatic Purchase Order" field must be clicked;
3) The Outline Agreement or Purchasing Info Record shall be maintained which will allow the automatic copying of unit price and other conditions into PO;
4) The Source List shall be maintained for the nominated vendor which was shown in either the Outline Agreement or Purchasing Info Record.

or
If you're not using a source list or automatic creation of PO, you may need to assign the requisition to a purchase information record using transaction ME56. Then it should appear in ME58

Step by step process for automatic PO creation from PR
1. Tick check box in purchasing view of Material Master(MM01/MM02)
2. Tick check box for auto PO in purchaisng data of Vendor Master record (MK02)
3. Maintain Source list for Material,plant and Vendor combination in ME01
4. In ME51N create PR and assign source of supply in "Source of supply" tab
5. In ME59N key in Purchaisng Org., Vendor and Plant - execute
You will get POs created with reference to PR automatically.

Unable to view the WF status diagrams in Order management

Navigation path: ACT US Order Management Super User > Orders, Returns > Order Organizer > Enter order number in Sales Order Number field and
click Find > on the Order Organizer form go to Tools > Workflow Status >Click on the Status Diagram hyperlink at the left hand side. That is when
you see the error page.---
You have encountered an unexpected error. Please contact the System Administrator for assistance.
The interesting is that we have one production system, which is cloned from the production.
Basically they are identical systems.
This function is working fine in the production support system.
Does anyone have any idea about this?
