OS 10.5.4 and Appleworks Database

I just purchased a new iMac 24 inch. I also have a bunch of old databases from Appleworks 6. Can I install Appleworks on the new iMac so I can use the older databases? I didn't realize iWorks wouldn't have a database application. If I can't install Appleworks, is there another program (Filemaker?) which might be able to do the job?

A quick search in this forum will find multiple posts, a lot by me, that verify that AppleWorks 6.2.4 or 6.2.9 work very well on the newest Macs with the newest OS.
AppleWorks 6.2.4 or 6.2.9 run very well on an Intel Mac, even better than on a PPC Mac. AppleWorks 6.2.7 will, too, but it was very buggy & not recommended. You can use the migration assistant to transfer programs & settings from your old Mac to the new one. If you do this, or if you manually transfer the whole AppleWorks 6 folder from one to the other, do not transfer any AppleWorks preferences other than the Button Bar preferences (if you have customized the Button Bars). Let AppleWorks build new, clean preferences.
To remain within the Apple software license, you should remove the copy from the old Mac as the license states the software can only exist on one machine at a time.
AppleWorks 6.2.9 (the current version) can't open all ClarisWorks 4 or earlier files. It gives an I/O error. There doesn't appear to be a way to predict which files will cause problems. I've had it happen & not happen with all AppleWorks file types. These files can be opened by any other version of AppleWorks 6, so a good choice would be AppleWorks 6.2.4. AppleWorks 6.2.4 is the earliest version stable in OS X. Avoid 6.2.7 - very, very, very buggy! Hardcore Mac is selling AppleWorks 6.2.4 the last time I looked. You also can sometimes find AppleWorks 6 on eBay, but it might be difficult to be sure it's no newer than 6.2.4 and has an OS X-aware installer.

    As Yvan says, Spotlight doesn't search these files directly.
    I have many AppleWorks Database files, some of which are regularly updated. My preferred workaround method to take advantage of Spotlight is to make pdf files as I find them better for searching than text files. (You can retain the layout of your database, and also list all the occurrences of the search item in the file.)
    For each AppleWorks Database I do the following:
    • Make a new layout and name it "For pdf".
    • Put all the data fields I might want to search in that layout
    • Make the layout black & white only (i.e. black text on a white background) to keep the file size small.
    • Save that layout as a pdf file using Print => Save as pdf
    Of course when I add a significant amount of data to a particular database file, I need to make a new pdf to replace the present one.

    There is no replacement program that will directly read Appleworks database files.
    You have two options:
    1.  Continue to use Appleworks 6.2.9, which requires Rosetta installed in Snow Leopard, or the access to Rosetta by installing Snow Leopard Server in virtualization for use in Lion, Mt. Lion or Mavericks:

    2.  Export your database information into a common export function (such as delimited ASCII text file) and build a new database file in an alternate database program (such as Filemaker Pro) and import your information into it.  More information here:

    When using Appleworks database for printing labels can I have a column of different width?
    Case in point, the supplied avery labels in Appleworks does not have 8195. When I build one using custom design  I need a small column between column 2 and 3 to line up the info in columns 3 and 4. All the labels are 1.3/4 inch wide but I need to insert a column 1/4 wide to match up with the avery page....
    Any ideas???

    Well, the issue is that when you creat a custom width of 1.3/4 from the edge of the first label to the edge of label 2 all is good. The right and left margins were also set correct in AW. The Avery page, for some reason, has a small 1/4 inch column between the columns of label 2 and 3 therefore making the distance between the left edge of the label in column 2 and the right edge of the label in column 3 - a width of 2 inches and not 1.3/4.
    I guess Avery wanted the page to look even.
    I did this work around.....
    I created a custom lay out of 2 columns (not 4) with the correct width of 1.3/4 from label edge to label edge and the correct left side margin. After printing the first page I just turned the sheet 180 degress and printed the 2nd page to use all the labels on the Avery sheet. Since the upper and lower margin were the same it worked great....

I am currently using a database to keep track of the students in a small school, and I would like to be able to print up a page that shows each classroom number with teacher name, followed by a number of students in that class. The database records are the students, and each record includes a class number and teacher name. I feel like I have a decent understanding of how AppleWorks databases work, but while this seems like a reasonable thing that I would like to do, I can't think of how to go about doing it. I'm starting to think that maybe I have to have a second, separate database for the teachers and track the number of students per class that way. But AppleWorks doesn't have a way of sharing information across two databases, does it?

    As you say "A" class number and (A) teacher name, I'm assuming that there is only one teacher's name associated with each student, and only one class number associated with each student (and I suspect that all students with the same Teacher have the same class number).

    Given the above assumptions, here's a plan:
    Existing fields (ALL Text type fiends):
    'Name' (containing student's name)
    'Room' (containing class number)
    'Teacher' (containing teacher's name)
    New fields (ALL Summary type fields. Formula given after field name):
    'Namesum' COUNT('Name')
    'Roomsum' 'Room'
    'Teachsum' 'Teacher'
    Make a new Blank Layout.
    Insert Part... Subsummary when sorted by 'Teacher'
    Insert Part... Header
    Insert the three new Summary type fields onto the new layout and place them in a horizontal line in the Subsummary part.
    Edit the labels, then place place them in the Header part and directly above the field to which each applies. Add any other information you want in the header using a text frame.
    Adjust the part boundary to give some white space below the three fields.
    Drag the Body boundary up to the boundary above it to delete the body part from the layout.
    Return to Browse mode.
    To see the results:
    Sort the database by Teacher.
    Check Page View in the Window menu.

    I currently manage my database on a PC with Microsoft Access. I would like to switch the data to my new iMac (1.83 GHz Intel Core Duo, OS 10.4). Can anyone tell me more about the database program in Appleworks? Can you customize the fields (to include more than just the basic name, address, etc fields) or are they pre-set? Also, can you create searches within the program (ie to find a record based on a last name)? I am trying to avoid buying FileMaker Pro because of it's higher cost. Any information and details about the program's capabilities would be greatly appreciated!

    Yes, you can do all of those things: define fields including name, type..., and you can create/save searches on the database. To see examples of people doing these things do a search in Google using a phrase like:
    appleworks +database +tutorial
    You're probably aware of this, but I'll mention it just in case: AppleWorks is no longer bundled with any Macs, and must be purchased separately.
    Also, AppleWorks has a flat-file database. This is basically a single table of records. However, Access is a relational database and creates multiple tables of records which can be linked together using key fields. If your Access database is a relational database then you will have to redesign it work in AppleWorks. That is, collapse it all into one big table. If you're reasonably serious about databases, then you'll find FileMaker is a better choice. It is a relational database very similar to Access, and will create smaller more efficient databases than AppleWorks. NB There are other relational databases available on the Mac too. So search VersionTracker.com for the alternative products.
    Lastly, AppleWorks will not open your Access database. You will have to save the data from the Access database into a tab-separated value text format so it can be imported into AppleWorks. Because you're saving the data into a text format you will not be able to use the screens you've created in Access, and will have to recreate them in AppleWorks.

  • Any ideas for an alternative to AppleWorks Database?

    I've always used the AppleWorks Database to keep a record of my self-employed income.  To be specific I use the 'Cheque Register' template which simply has four fields, one of which is the amount (paid to me, although I suppose the template's really for money spent - doesn't make any effective difference).  Can anyone suggest a similarly simple solution for me to use when I upgrade to Lion?  I don't need an all-singing all-dancing accounts package.  I am only interested in recording and totalling my income, noting who it's from, and adding any additional info I want to remember.  No expenses, no budgeting, just income.  I could (just about, I think) cope with creating a database, but have no idea how to make it user friendly.  I've got Office for Mac, but that doesn't have a database, does it?

    Unless you're making use of the very flexible layout options provided by AppleWorks's database, I'd move it into a spreadsheet application, such a Numbers.
    I don't see a "Checkbook Register" template or assistant in AppleWorks 6. AppleWorks 5 did include a "Checkbook and Ledger" database template, which included the check register layout shown below.
    As far as I know, the only application that can open AppleWorks database files is AppleWorks. If, as Csound1 suggests, Bento is able to open AW database files, that ability will quite likely apply only to files saved as AppleWorks 6 files.
    To transfer the data to a new application, it will first be necessary to Save or Export the file as Text (or ASCII Text). This will produce a file containing the data (entered or calculated), but not the formulas that produced the data. You may also be able to transfer the data using Copy/Paste, with the same results. Use List view (in the Layout menu) to do this.
    Once it's in the new spreadsheet, you'll need to reconstruct the formulas.

    I do this occasionally to notify people about updates for my software. I just copy and paste the email addresses.
    That is, I change the layout of the database to List, select and highlight the entire column containing the email addresses, copy it, then go to email program, and paste into the To: field of an email. All the email addresses are pasted nicely into the field, separated by commas.

    Others have asked this question, but I’m not seeing any definitive answers. I see that some people are having no problem with their Appleworks docs after converting to Leopard, others are having big problems. I don’t want to take any chances, seeing that Appleworks is on its way out anyway, and I’ll have to face this sooner or later. What can I do with my Appleworks database? Is there any way to convert it over to iWork, Office, or something else? If not, I’ll just have to take a few days “off” to do it all by hand and create an entirely new database...but what would be the best program to do that, and be able to do all that the Appleworks database can do?

    There just isn't a replacement for AppleWorks' database that can do even half of what AppleWorks does. I've been moving most of my databases to Numbers. I can sort & filter the data but there is no way to merge anything with Pages. I've left feedback for both Pages & Numbers asking for this functionality.
    To move the data to Numbers, I view my AppleWorks database as a list, select all, copy & then paste into a Numbers table. This retains any formatting I've applied.

    I need to use a rather sizable AppleWorks database file and corresponding mail merged documents on a work machine running Vista. It's been suggested that I try Access, which is on my machine. Any suggestions on the least paniful way to transfer the AppleWorks database over to something Access can use?

    I have no idea what kinds of files Access can open/import, but I'd start with saving as ASCII text. This is a tab-delimited file & you should add the .txt or .tsv extension to the saved file name. Of course, you will lose any layouts & other formatting.
    If you have AppleWorks/ClarisWorks 5, you might try saving as a .dbf file (again, add the extension to the file name). That's a format that might retain some formatting.

    My non-profit business database has been on Appleworks forever! Mainly that means names and addresses and record of monthly contributions, from which I send a mail merge letter of acknowledgement to contributors each month. Now I have read that Appleworks will not work on Lion. If I understand correctly, Bento can’t do mail merge with auto fill-in of addresses and other personalized info. So what can I transfer all this info to? And HOW will I transfer years of records on my Appleworks database?

    The only program with anything like the functionality of the AppleWorks database is FileMaker Pro. It's expensive, and has a steep learning curve, but can do almost anything the AW database can plus a good deal more. It's also pretty well the industry standard so it's not likely to go away.
    However it can't import AW dateabases; you have to export them as ASCII text and import that, which means you will have to recreate layouts and calculation fields.

    Word Processing documents can be opened directly in Pages 4 (AppleWorks 6 only) but this is no longer available - the newPages 5 (Mavericks required) does not open AppleWorks documents. Panergy Software's docXConverter v3.2 ($19.95) can convert Appleworks 5 and 6 Word Processing documents to RTF (though it has been reported that it can only handle documents which contain only text, not those which include images or frames). The latest version of the free LibreOffice has announced that it can open AppleWorks 6 Word Processing documents: it does appear to be able to handle at least some embedded images.
    Draw Documents can be opened directly only in EazyDraw (the more expensive version from their website, not the cheaper one from the Mac App Store, and you will need v4.0 'Retro' not the most recent version) or Intaglio (though this appears not to be able to handle very complex drawings).
    Spreadsheets can be opened directly only in the older versions of  Numbers - the new version for Mavericks will not do this. The old version is no longer available.
    Presentations can be opened directly only in the older versions Keynote again the new version for Mavericks will not do this. The old version is no longer available.
    To use other programs, or open Painting or Database documents at all, you must export from AppleWorks first. Nothing will open AW database documents.
    If you have upgraded to Lion/Mountain Lion/Mavericks and have AppleWorks documents you cannot open, then you should be able to install Snow Leopard on an external hard disk and start from that (provided that the Mac did not come with anything higher than Snow Leopard originally installed); and success has been reported in running Snow Leopard under emulation in Parallels - the method is described here: it seems complex; however Snow Leopard Server may still be available in the Apple Store (by telephone) at a reduced price and this makes the process a lot easier. I haven't tried either method: use at your own discretion. You can then run AppleWorks as an emergency measure.

    I could have sworn that I had success last week opening an AppleWorks database file, choosing "Save As..." and then saving my database as a text file. However, I am trying to do this right now, and "text" is not available as an option when I choose "Save As..." I'm starting to wonder if maybe I am mistaken and that I was never able to do this. I have read several forum posts where folks have made reference to "save your database as text," but I'm starting to doubt that this can be done. If an AppleWorks database CANNOT be saved as text, then I am stunned. I recently bought FileMaker Pro 8.5, and I would be absolutely bewildered if there was no way to move an AppleWorks database over to FileMaker. Converting to text isn't pretty, but at least that would work. But is it true that I am not able to save an AppleWorks database as text? Is there any other way to move data from an AppleWorks database file to FileMaker?

    Saving as text is the only way to transfert AW6 data to FileMaker.
    As you are unable to do that, I assumes that you moved AppleWorks out of its standard folder where it must stay with its companions folders:
    Starting Points
    AppleWorks Essentials
    The translators are stored in "AppleWorks Essentials:Translators" folder.
    If you moved the app, it would be unable to find (and use) these translators.
    I wish to add that I don't like this formulae.
    When I need to save a database as a text file, I activate a layout containing all the fields (at least all those which are not calculated ones.
    I select Options > Show all records then, I copy all ans paste into a new WP documentwhich I save as an ASCII file.
    Doing that,
    -- I keep the contents of longtext fields (1004 characters)
    -- I keep the comma which is used in france as decimal separator (it is replaced by a period when I save directly as a text file).

    Actually, it's quite different from a mail merge, and quite a bit more complicated.
    A mail merge inserts data from a specific field into a specific location a word processor document, and produces a separate document for each visible record in the database.
    Using the AppleWorks database, you could get separate lists of anniversaries and birthdays for a single month, then use cut and paste to transfer those into a (spreadsheet) calendar either one at a time or collectively as a list below the calendar grid.
    I see a few issues that may arise with long names and multiple b'days/annivs on the same date.
