Parking invoice -- Workflow  -- BUS2081

Hi,
I have created a custom workflow that will be triggered as and when a document is parked. I have created a sub type for the business object 2081 to incorporate some custom logic. The name of the std. triggering event is "PARKED".
When I tested the workflow in SWDD, it is working fine. However, when I try the scenario through MIR7 (Tcode for parking invoices), I'm not getting the workflow triggered.
I looked into the SWETYPV and found an entry for this workflow. I checked the "Enable event queue" check box and saved the entry.
I believe, I have to make an entry in BSVW (Customer settings) as well. Am I right? If yes, what should be the value for the column "StatusOT" (Object category).
Is there anything else that I have missed? Please help.

Hi Bhavin,
WAIT for 8 hours is a bad idea to start with. There are couple of other alternatives:
1) Configure an Event for GR Completion and have your workflow react to the event. You can use Modeled Deadline to send the email when the GR is not completed in 5 days. This would probably mean considerable change to your WF.
2) Use Requested Start for the GR completion check Step and Modeled Deadline to send the email when the GR is not completed in 5 days. You need to compute the Date & Time for the Requested End before the loop start and use the Expression Option.
For both the options, you need to have the Deadline monitoring job running.
If you want to continue with your WAIT UP TO 28800 SECONDS, you will have to ask you Basis folks to investigate your problem as this is not a Workflow issue.

    Hi All,
    We have an issue with posting of parked invoices. A particular invoice has been released from workflow. Even in the workflow control of parked inovices, all the 3 check boxes are marked. However, the invoice still appears as a Parked invoice in the Vendor account.
    Is there any way to release this in the system? Or to reverse the invoice from the system?

    Yeah you are looking at the right sql. First value is item type and second is item ke.
    For e.g. for a PO if you have to debug the issue you can get these values from PO_HEADERS_ALL table. There are two columns wf_item_type and wf_item_key in PO_HEADERS_ALL.
    Or you can look at the Workflow Administrator Responsibility also. There you can search the instance of your workflow and see what path the Work flow took and where it got stuck.

  • Park invoice, workflow and booking matched invoices

    Hi there,
    I have a question, a customer wants to register all invoices as parked invoices. All parked invoices will be transferred to workflow. In the workflow there should be a check for two-way and three-way check. If the parked invoice matches then the parked invoice will be booked (FI) without interference of employees to check the invoices. If not Ok the parked invoices will be checked by clerks and approve or reject it. The process is more complicated but in principle this is the process.
    Reason for parking is that the invoice should be checked first before it will be booked since cancelling invoices is not very practical.
    The question is, is it wise to do it that way or are there other alternatives?
    Is checking parked documents (two-way three-way) within the workflow possible or is checking only carried out for booked invoices (MIRO)?

  • Wait statement stuck in Invoice workflow BUS2081

    Hi,
    I have a problem in invoice workflow where it sends a mail and waits for 8 Hours for GR to be created.
    These steps are called in loop. After 8 hours it compares PO quantity with GR quantity and when GR is complete, it exits the loop. If GR is not complete till 120 hours (i.e. 5days) it sends mail to Superiors.
    In order to wait for 8 hours I have a step with one line code.
    WAIT UP TO 28800 SECONDS.
    On some given dates, for all the workflows this step gets stuck and for more than a month it shows status “In process” in workflow log. On other days it runs fine.
    Please help me find what could be the reason for this .

    Scenario: I have to send a parked invoice document to the enduser to complete the document. I don't want him/her to post the document. I just want them to fill in the required information and repark the document. How can I restrict the user by not posting the document?

    Hi Renu,
    If you want to not to give possibility to the user to change anything in header (but then also in line item) you should assign transaction for display parked document only to his role. It means that after you send the invoice he can review the data in the display mode and then he can attach info by using 'create attachment' button in Business Workplace. because it is not possible to give him a part of the screen in edit mode and part in display mode this is the best way to get the info about posting from him and limit the access for changes in the document.

    I parked document using Tcode MIRO, when WF has been executed and goods receipt document has been created.At the time that we tried to link this goods receipt to parked invoice document in the workflow,The problem happens with work item saying the status as Error. See the below error.

  • Std workflow for Parked Invoices?

    hi guys
    are there any std workflows for parked invoices? Our requirement is that once the Finance clerk creates a customer or vendor invoice he should only be able to park it and not post the invoice. Once the invoice is parked then the system should trigger a workflow and a notification neeeds to be sent to the approver to approve the invoice. Once it is done the finance clerk will post the invoice.
    I switched on the event trace and did a trace on while creating a parked invoice. No event is triggered when the document is parked. If i post the document the event POSTED of object FIPP is triggerd. So since we dont have any std events raised when a document is parked is it possible to have a workflow?

    The event FIPP.CREATED is raise via the customizing (SPRO)
    Financial Accounting -> Financial Accounting global setting -> document -> document parking -> create workflow variant for parking documents.
                                      Assign co.code to a workflow variant for parking documents.

  • Non PO Invoice Workflow - Error while Posting Document

    Hi Experts
    Hope I am posting this in the right forum as I am new to SDN!
    We have customized a multi-level non PO invoice workflow which triggers at the time of clicking 'Save as Completed' in tcode FV60.
    It has been configured to automatically post the document once it is approved at all the required levels. However, the document cannot be posted even after it receives all levels of approval. The status shows as 'Complete' but the error message shown is 'No Amount Authorization for Customer/Vendor in Company Code' in the workflow screen (MSGID F5, MSGNO 155).
    Now as I understand, this is the error for maintenance of user ID in tolerance groups. However, all user IDs have already been maintained and no matter who parks the document, the same error appears in the workflow screen.
    We have no idea whether this is happening due to some missing config from FI side or WF side.

    Go to Tcode: OBA3 Assign tolerance group under your company code and give all limits for each group. If you done this one your properly your problem should solve.

  • WF for parked invoices

    I need to create a workflow for parked invoices and I have a couple of questions.
    (1) I am copying template WS20001003, but at the end of the WF I want someone to post the invoice, however this WF doent allow you to do that, is there a SAP standard way of doing this or do I need to create my own subtype and method?
    (2) another requirement I have is for the AP clerk to choose who to send the WF too, and that perosn can then reject the WF and send it back to the AP clerk, who then will resend it to someone else.  I can figure out how to let the AP clerk choose who to send the WF to but how do I allow it to get passed back?

    I think your first requirement can be achieved thru authorization. Give only the concerned person the authorization to post the document.

  • Error in parked invoice document - Error in routine MRM-DRSEG_CR_CREATE

    Hi...
    I have parked a invoice document against a Service entry sheet. The invoice document has been parked but when going to MIR4 in change mode system is throwing an error message pop as Error in routine MRM-DRSEG_CR_CREATE.
    The SES which has been created is of some quantities and values but the material document which is posted against this SES is different from SES received quantities.
    Received Quantity in SES is 210 but the received quantity in material document it is not showing anything.
    For the same when invoice has been done, invoice has been parked but when gone through workflow in other level this error is coming
    Please give your suggestions why is this issue coming...

    Hi,
       Please check whether the SES has been deleted or any subsequent changes has been done in the SES or PO. If so system may throw the mentioned error.
       Also refer the note:  501905 - MIR4: M8 008 for documents that are on hold or parked
       If you are in ECC 5 or lower, you may refer the notes:   750455 - MIR4/MR8M: M8 008 routine MRM_DRSEG_CR_CREATE  and 763293 - Service entry sheet + parked invoice

  • How to distinguish what GR line item has been parked invoice document by MIR7

    Hi Experts,
    I use work flow to release MM invoice parked by MIR7. But I get trouble with PO with many GR line items (example: PO shipment cost, PO stationery ...) where we need to match consecutive many invoices from one PO. Normally, when matching invoice by MIRO, amount an quanlity will be minused, we can continue to match invoice by exist line items. But now, when we parked first invoice  to one line item (invoice not be released), amount and quanlity also display old value in second invoice  for this line item, user cannot distinguish what line item has been mached invoice and waiting released, this is difficult to working. Please give me solution to distinguish what line item has been parked invoice in t-code MIR7?

    I think what you describe is standar system behaviour. You nee to re-think how you use Invoice Parking  workflow - it is meant to manage incomplete documents, not for invoice release. You need to first post invoice doucument, only than open invoice qunatities will be updated and depending on tollerance limits and other setting release invoice for payment.

  • Mass change of posting date/fiscal year in LIV parked invoices

    Hi,
    We have OSS note 99775 (program ZFSAP2_B) for mass changing posting date and fiscal year for FI parked documents but I can not use this to change posting date for LIV parked invoices.
    Did anyone have any idea how to mass change the posting date of LIV invoices? any NOTE or PROGRAM?
    I tried to create a BDC using FBV4, which in turn calls MIR4, but system is over writing  initial line item amount and qty from PO. 
    I can read initial invoice line item values and over write again but I dont think this is how I should do.
    Please advice.

    Thank you very much for your input.I modified the program ZFSAP2_B given by sap and it worked fine for LIV invoices also.
    When I used this program  in 2007 for FV60 documents the document key was changed without raising the event FIPP.CHANGED. But this year when we changed the posting date the system triggered the CHANGED event and as a result of this event the workflow came to the starting point. We did not make any chages to workflow template during 2007. Any idea what could have casued this event to trigger?

  • Accrual/Reversing Document and Parked Invoices

    Hi,
    Our company does not use PO, and probably never will for practical reasons. However, what we do do is park invoices. Invoices come in to our head office, and before the invoices are sent out for signing/authorisation we park the invoices. Come month end, there may be a number of invoices in transit that have been parked (I understand that parked invoices don't need to balance, but our one does, as we require everything to be entered).
    My question is, is there a fast way to post these parked invoices in SAP as reversing/accrual documents? I have tried FBS1 -> Post with reference, but it does not allow me to use it to accrue parked invoices.
    The only other alternative I see is to post the invoices and subsequently block the invoices for payment, however, this option is not favourable, hence I am asking the latter question.

    First of all PO and parking document both are totally different. Parking is usually used for authorisation purpose. Also from your text it is not clear what problem you are facing whether it is related to accrual booking of parked invoices in transit or authorisation.
    1) Authorisation : Yes I you have said you can put the block on each vendor invoice, but if the higher authority rejects the invoice, or approves less amount in invoice in that case you need to reverse the entry or pass credit memo. There is concept of note sheet in SAP. Once the document is parked, a note sheet is send  to the approving authority. Note sheet is nothing but a workflow item. he will receive the mail in his inbox that you have a pending item / invoice for approval. Once he approves the same then only accounting entry will be posted for vendor liability.
    2) Accrual : If you want to post accrual entry for the documents which are not approved, I would prefer rather than posting each and every invoice to accrual, post a single entry for the pending approval invoices of the month and reverse the same in next month. List of all parked documents you can get from FBL1N.

  • Migrating parked invoices

    We have a large number of parked invoices to migrate into SAP from an external system.
    Note 381593 states that transaction MIR7 cannot be used via batch processing and to use BAPI BUS2081 instead.  However this is not available via the LSMW.
    Are there any other transactions that can be used to load the data into SAP?

    Abdul - As I have already mentioned, the BAPI listed in note 381593 which is recommended to use (BUS2081) is NOT AVAILABLE to use via the LSMW.  If you go to "Maintain Object Attributes" and enter that value (BUS2081) you get the error message "please enter valid value".  It is not available to select via the drop-down menu either.
    I am looking for an answer on how to ...
    (a) Incorporate BUS2081 into the LSMW
    or
    (b) Record an alternative (batch supported) transaction via the LSMW to migrate the data into SAP
    or
    (c) Another recommended solution

    I have one requirement regarding parking document workflow:
    We're using FIDCC2 Inbound IDoc to post the vendor invoices. As per our requirement, the incoming document should not be posted. Instead it should park. Upto this point we are successful.
    But, after parking, a workflow should start and create an workitem in the user's inbox saying that parking document is ready for approval.
    In FBV3, if we select the radio button Release necessary then it should create the workflow. But, even after checked that button it doesn't create the workflow.
