PDF File Management

At work we were recently told we had to submit all our documents to another department in PDF format. We have Acrobat Pro 8 to create and combine the PDF documents as needed. However, we manage about 20,000 case files per year, and several different people will be creating the PDF documents which will be assembled into multiple page case files by me. Each of these case files will have a number, defendant name, court date, and other criteria that I would like to be able to search by at a later time to locate, combine, and distribute the documents. The DMS (Document Management Systems) I've found look a little too expensive. Would anyone have a more reasonably priced solution?
The organizer included with Acrobat doesn't have the functionality I'm looking for - it won't let me batch process files to assign metadata.
Any suggestions would be greatly appreciated.

Hi,
in addition to that, there is also the SAP conversion server as a part of SAP PLM. This is a generic platform, that provides capabilities to start batch programs for conversion on a dedicated server in the background for example after a status change or a check-in.
These batch programs are usully delivered ready to use by the CAD Integration partners like Cideon (for Autodesk) or Cenit (for Dassault), but you could also write an own MS-DOS batch or VB Script.
So via the CAD Direct integration the CAD original files are then saved in SAP via the KPRO and the DMS, and the viewables (JT or PDF) are then generated automatically after check-in.
For Markup of PDF files via the built in Viewer please have a look at note 610837. Other formats, which are supported by the viewer, can be redlined directly.

    Hi Gaurav,
    In order to load PDF files Adobe Acrobat® Standard or Professional Version is required and it needs to be installed on the machine that is loading the PDF and not on the Server machine.
    That's why it is giving you error to Install Adobe Acrobat. It is also required to generate Thumbnails.

    Thank you for your detailed question. It sounds like the real issue is pdf files. Are there any antivirus/firewalls that might be blocking this specific file type? or are there any preferences in your control panel that might be blocking this?
    Do you have any stored preferences for PDF files in Firefox?

  • Can't open PDF files until I end Acrobat.exe process in task manager

    I have Acrobat 9 Standard with all updates applied. Occiasonally when I try to open a PDF nothing will happen, turns out that I open the task manager and find that Acrobat.exe is still running. I end the process and then I am able to open the PDF file, the file is local on my machine, (not in outlook, not on the network) and yes it happens to many of my files. What is the fix so I don't have to do this exta step every time? Is it a problem with Acrobat, or maybe it is conflicting with something on Microsoft's End? By the way I am running Windows XP Pro SP3 with all updates applied. Please help me figure this out!

    You could try downloading the Windows Sysinternals program Handle http://technet.microsoft.com/en-us/sysinternals/bb795533.aspx
    Run this from the command line passing either PDF or Acrobat as a parameter. This may help you diagnose what is holding Acrobat open.
    i.e. At a command prompt type: Handle pdf (or Handle acrobat)

    It is a high order probability that your SQL's report generator is creating the PDF, not Acrobat (which by design and EULA cannot be used in as/with server).
    That the report generator outputs to an old-old version of PDF bears this out.
    Wiki articles on PDF are very nice for those high level intro summaries.
    To know / understand PDF you purchase and study the ISO Standard for PDF (ISO 32000-1:2008).
    Rather than "PDF validation" you may want to consider addressing the appearent root cause of the problem(s).
    You can change the email2fax application to one that can deal with older PDF versions.
    You can change the report generator to one that can output to the ISO Standard.
    (Perhaps the in-use application can be configured to output to the current version of PDF (i.e., the ISO Standard).

    I want to save the password for a pdf file in the Password Manager of the HP Client Security Manager Software but the symbol for the entry of the password is not appearing on the top right of the screen. If I use the registered fingerprint a dialog opens where the Client Security Manager asks which account it should use to login. But i can't add a password for the file. The login for websites is perfectly fine. 
    Do you have any idea how to fix that?
    Is there a way to manually enter password for files?

  • Manage multiple InDesign and pdf files

    I'm looking for help managing multiple pdf files created from InDesign. I make several catalogs from multiple InDesign files. Each InDesign file could be used in multiple catalogs. These catalogs are output as pdf files. The pdf files are sent to print and also live on our website. I could update one InDesign file for a particular catalog. That same file could also be in another catalog that should be updated as well. The online version would need to be updated also. This doesn't always happen. There are so many things that have to be updated manually.
    I know this is confusing and vague. I'm guessing there has to be a way to not have to do everything manually. There has to be a smarter way to do this.
    I would appreciate any suggestions or even a push in the right direction for research.

    You know you can place InDesign files directly into another InDesign file.
    Then when you update the master indesign file you will be prompted to update your links in any other document that this appears in.

    I think that product has nothing to do with it. You would use LiveCycle Reader Extensions.

    When I close a .pdf file in Adobe Reader the program continues to run on the CPU until I go into the Task Manager and End Task.
    I am running Windows 8 with Adobe Reader Ver 11.0.07, I have uninstalled the reader and reinstalled also checked for updates and ask the program to check the installation, which it did with no change I still have the problem ?.

    Please check the performance by disabling the 'Protected mode' in Reader.
    Edit > Preferences > Security (Enhanced) > Enable Protected Mode at startup
    Uncheck this option. Click on Ok.
    Close and launch Reader and check.

  • Not able to index pdf files (Knowledge Management)

    Please your help to resolve the next issue. I have configured a KM repository and almost everything is working fine except for the document search. At this moment I'm able to upload and search text files without any problem. But the problem starts when I try to find a pdf file previously uploaded. It seems that KM is not indexing those files.
    This is our TREX version 7.00.25.00 Build: 700.25.103353
    I have found some references in internet about how this issue could might be  resolved  but neither of them have worked for me.

    According to this link the problem could be resolved with a correct Repository Configuration but unfortunately their solution is too general and it is not clear enough for a begginer as myself.

    According to the SAP Documentation It is possible to control which file formats are to be processed by TREX through the TREXValidMimeTypes.ini file. I checked the file and the pdf files are included in the list of files to be processed.
