PDF OPTIMISER

I am working off of an Adobe Acrobat 7.0 Standard and was wondering how to access the PDF Optimiser option, it does not appear to be under the advanced tools. What is the best way to minimise file sizes in order for fluid and easy e-mailing (5MB).

In any case, I believe that in v7 Standard there is a menu option File > Reduce File Size, but this may be limited functionality. In v7 Professional there is an additional PDF optimizer menu.

  • PDF optimiser - Embedded Fonts.

    Hi,
    I'm looking at optimising my PDF files to make them smaller but retain quality. I've looked at the embedded fonts and found 2 different fonts. If I remove or unemded one font, would it change the other text to the embedded font? The file I ave is a large map, and I've edited the text I will use but would like all text to be the same, would the embedded tool do this for me? If not what would happen if I unemded a font?

    If its a Font family not associate with the original document Go ahead and remove.
    Also you can remove all but one copy of a given style of font.
    say you have 5 copies of ITC Benguiat Book, 3 copies of ITC Benguiat Bold, 2 Copies of ITC Benguiat Italic
    remove all but one copy of each. Must have one of each style you have
    If you had the above fonts (example) and also had a copy of Helvetica , or New times Roman and it wasn't used in original Document  Remove them.
    To be on safe side I would save the optimized version with a slightly different name. That way if it doesn't look right you will have original to fallback on.

  • PDF OPTIMISER ISSUE?

    Every time I optimise a pdf that has transparency in it, it tags all the images with icc profiles? I have turned off colour management in Bridge, but it still happens. Can someone point me to a setting etc., that will create a optimised pdf that is not color managed.

    Dayle, I have attached a pitstop report indicating lots of different colorspaces. When you optimize, your colorspace preferences get applied or tagged. Is it actually changing the color when you print? If not, don't worry as printer workflows apply their own icc profile(s) for their processes. If it does, you will need to change the actual colorspace you are working in. I optimized a file with a cmyk colorspace and nothing was applied. Hope this helps...

  • Question re Create PDF from Word doc

    I am trying to create a pdf from a Word document (Word 2007, Acrobat 8 Professional), and am having lots of trouble with images,fonts and document overhead. With the fonts, i generate the PDF by saying Create Pdf from the plugin in Word. I specify in the Preferences that fonts are not to be embedded. I then open the PDF and access PDF Optimiser -> Audit Space Usage, and it says that fonts take up like 20% of the document, however there are only like 10 lines of text in Arial (9pt), and 6 titles also in Arial (Bold). I dont understand why Font is taking up so much space considering that i have elected not to embed fonts (if i go to the Fonts section in the Optimiser, it shows both embedded and unembedded panes blank).
    With the images, i have 2 jpegs in the footer, that are compressed (JPEG -> Low). The other thing i am struggling with is the headers and footers, if i generate the PDF from the Word doc with Headers/Footers, then images take up over 15% of the document. Not sure if there is a way to add headers and footers within minimum impact of filesize? I have tried checking everything in the 3 categories of Dicard Objects, Discard User data and Clean Up. but the Document Overhead remains at 35%.
    What else can i do to get these filesizes reduced?I have been researching this for days and have not come across anything that has helped.I have tried to PDF print, i have changed the font to like Courier, ensured no thumbnails or bookmarks, ensured JPEGs are not embedded in the doc, tried Save As, Save As under a different filename - basically anthing you can find on the net i have found and tried, but still cant fix this!!!! please, if anyone knows acrobate 8 better than me / or knows what the problem is, please advise????

    The colors and size in a graphic needs to be done in a graphics editor. What type of editor would depend on the use of vector graphics versus bitmap. Sometimes vector graphics are larger than bitmaps if you are using a lot of lines that would display better as just a splotch of color. Such are the variations between vector and bitmap graphics, but important if you are looking for size reduction. For a bitmap, I would do the sizing and color depth with IrfanView, but you should be able to do that with PhotoShop if you have it. Vector graphics can be adjusted in Illustrator. The size of vector graphics is not an issue since they are scalable, but the size of a bitmap is important since your are looking at individual pixels and that depends on size. The point is that if you can adjust the color depth and size for the desired pixel resolution, the bitmap is optimized for the conversion to PDF from WORD.
    As I mentioned, the smallest file size job options should minimize font storage in the PDF. Checking with the PDF Optimizer does not always give you all of the fonts. I am not sure why. It is better to check the font tab in the document properties to see what has been embedded. There is a preflight macro to embed fonts, you might check to see if there is one to delete fonts (I have not checked on that). Sometimes you can play with the reprint of a PDF, but that is not an option that is generally recommended, particularly if you have any tagging or such. Of course, tagging can really bloat a PDF, but is needed for a variety of reasons such as format for saving back to WORD (not a great workflow), accessability, and related issues. In another topic, there is some discussion of the purposes of tagging and bookmarks. However, the tags and bookmarks take space if that is really an issue for you. The latter are avoided if you use the print to the Adobe PDF printer and do not use PDF Maker in the PDF creation process. Again, there is a trade-off here in terms of size and functionality, particularly accessibility compliance.
    Not sure I am helping as I run on, but sort what might be useful for you.

    Can anyone tell me how to create from Indesign a PDF that certainly does not contain any fonts I don't want to include? But that would appear in the same layout in a substituted font, including italics and small caps?

    You can't, InDesign will embed the fonts for  you.
    To unembed fonts you need Acrobat Professional. Go to Tools>Print Production>Pdf Optimiser
    go to Fonts
    And select the fonts to unembed.
    You could select any text and change the Transparency to 99.9%.
    Then in Edit>Transparency Flattener make a new one using High as a base for the new
    Select Convert Text to Outlines.
    When you Export to pdf, choose Adobe PDF 1.3, and go to Flattening, choose the new Flattener Preset that you just made.
    And when you export it, any text forced through the Flattener will be converted to outlines. (this could violate the terms of the Font Licencing.)

    I have a few ai files that I converted to PDF files and I need to reduce the size of them without losing quality of image.....I selected document then selected reduce size. This gave me a smaller file but my images were low quality.

    That's what it does (secretly) ...
    Try the PDF optimiser under Advanced but remember to audit space use
    first - this ensures you can attacking the areas which are fat as such ...

  • Possible solution to PDFs looking washed out/colors faded

    I decided it would be easier to post this as a new thread in itself than to reply to each and every thread related to this problem.
    I searched the forums to try and find a solution to images looking washed out/colours looking faded after exporting from InDesign CS3 to PDF.
    After looking through the forums I came to the conclusion that the reason the images looked faded was because I have objects with less than 100% opacity in InDesign so if you also have similar settings this may work for you also.
    When exporting from InDesign, under the Output tab I changed the Colour Conversion setting to Convert to Destination.
    Other than that I left everything else as it was.
    This solved my blacks looking washed out, particularly my fonts which had become a sort of grey/brown colour.
    However I noticed that on the pages with images after the pages that had objects with varying transparencies, they still suffered from looking washed out.
    The next step I came across purely by chance: Opening the PDF using Acrobat, under the Advanced tab I chose PDF Optimiser and noticed that the Transparency option in the sidebar hadn't been checked like the Fonts and Image options had.
    So I checked the box and set the Preset to High Resolution and clicked OK.
    It took a minute or so to Save the new file and once I opened it, the richness and contrast of the images had returned, if anything slightly over saturated but a lot better than the washed out/faded appearance of the previous document.
    Hopefully this will work for a few people out there having the same problem.

    I've actually responded a few times to others on the forums regarding images looking washed out/faded in Acrobat 8. I thought I'd pass that information to you here just in case it helps. In those cases, the images that had that appearance either had transparency applied or interacted with it in some way. However, if the file was viewed with the Output Preview dialog open (under Print Production tools) the colors appeared correctly. They would also be correct if the transparency was flattened.  As it turns out, there was a bug in Acrobat 8 that affected the onscreen display of those images that interacted with transparency or had it directly applied and the transparency was still "live" (not flattened). This was fixed in the update to 8.1. If you are running 8.0 you might want to try updating to 8.1 and see if that helps?

  • Reducing PDF size (to put online)

    Can anyone advise how to make the smallest possible PDF file size, to be added to a website?
    I have a 40 page document, originally produced in Quark, then exported as a postscript file, then converted to PDF using Distiller. I have used the PDF optimiser in Acrobat 7.0.9, along with the 'Reduce File Size' option, but have only been able to compress the PDF down to 9.5MB. I'm sure I have seen other multi-page PDFs online at much smaller sizes - how do they do it??
    The PDF has to remain compatible with Acrobat 5, could this be the issue? Any ideas gratefully received!
    (I am using a 1.8ghz G5, with 1.5GB Ram, incase that helps!)

    Like Andrea, I too have a series of largish (about 30 pages each) documents to make into pdfs for putting on a website. I'm getting big file sizes (about 8-10mb), even when I save them as a 'screen' quality pdf. My images are jpgs (none very large) but there are quite a lot of roll-overs (at least 100 per document). I've used InDesign CS to create the files and am currently using Acrobat CS Professional 6. I have optimised them in every way I can think off.
    I have been thinking about upgrading to Creative Suite CS3. Does anyone have any idea if there are any features in the latest versions which will help me reduce my file sizes? It could well be the factor that decides it!

    Prior versions of Acorbat include a JavaScript attribute for menu items and Toolbar buttons that would let the coder determine if a menu item would be active. For example, the "Properties" option of the menu "File" option would not be active unless a PDF was open, because there are no document properties when no document is opened. So unless there is not a document open that can be processed by the menu option or a Toolbar button, there is no need to have that item active.
    Acrobat 8 has introduced "dynamic" menus, or menus that change based on already selected menu or Toolbar selections or actions. For example, AcroForms menu options will not appear until an AcroForm is opened or started in Acrobat.

  • Acrobat 7 editable form

    I'm trying to get the size of a pdf down, the person that needs to use it says they have acrobat 7.0.8 for the PC.
    I have produced the form in acrobat 9 pro on the mac adding editable boxes.
    I used PDF optimiser to downsample the images and unembeded arial and verdana and made it compatible with acrobat 5.0 and later (when I tried version 7 and under and 6 and under they had error messges) then went to 'extend features in adobe reader so it could be edited and saved.
    The file made was 430mb but I need it smaller, can anyone help?

    They have acrobat but its only reader 7. They can't upgrade at this moment in time.
    The form works fine here on a test pc with acrobat 7.
    But they had an error saying 'There was an error opening this document. The file is damaged and could not be repaired.' when I saved it for version 7 and above (this happened twice so it can't be the file corrupting).
    But when I saved it as version 5 they could read it, fill the form in and save it but the file size was getting too big.
    I noticed the further back the version you saved, the larger the pdf was.
    Is there another way of making it smaller?

  • App.openDoc unpredictable results

    I'm trying to create a simple button that opens a PDF attachment (one of several). I use the following code:
    app.openDoc("my.pdf");
    This worked for one PDF but not others, all of which I have created in the same way. I tried inserting this.disclosed = true in the attachment doc scripts, (and tried app.this.disclosed). But this makes no difference. Strangely, I found that opening the attached file from the Attachments panel, running the PDF optimiser on it as far as saving, and saving the file in a new location then cancelling the optimiser, caused the attached files to load once I returned to the main PDF. However, on saving and closing the main PDF and reopening it, I'm back to square one, but no files open now, not even the original attachment. And now I can't use the optimiser workaround to make the others work. I've tried creating new files from scratch and reading the Acrobat scripting resources, but can find nothing to help me.

    I think I've solved it.
    This works:
    this.exportDataObject({ cName: "Untitled Object 3", nLaunch: 2 });
    Attachments made via the UI are automatically given the names "Untitled Object"; "Untitled Object 1"; and so on. As long as the attachment list is not re-sorted, these names match the order in the attachment list, which is the order in which the files were attached.
    This script helped me see in the JS debugger what attachment names were in use:
    var d = this.dataObjects;
    for (var i = 0; i < d.length; i++)
    console.println("Data Object[" + i + "]=" + d[i].name);
    However, I'm not sure how to work out which is which if you have multiple attachments that have been re-sorted other than by trial and error.

  • Discard all comments, forms and multimedia with scripting

    Hi,
    In the PDF Optimiser under "Discard User Data" there is an option to "Discard all comments, forms and multimedia".
    This will remove multimedia from a pdf file.
    Can any one please advise if this can be done using javascript?
    I have looked in the javascript reference but cannot find anything in relation to this.

    I have found where to remove multimedia in preflight under the "Select Single Fix Ups" then "Interactive Elements and Properties" then "Remove 3D annotations"
    I was unable to find this in the "select profiles" section of preflight.
    Placed "Remove 3D Annotations" as the preflight name but the script is not working.
    Can you please advise how I can get the script to work?

    I have created a Newsletter and have made a pdf to communicate with. Trouble is the photo quality is not too great even when using export.
    What are the best methods to communicate pages files? I would also like to include the Newsletter into an easily read e mail so would appriciate comments on both of this issues

    I've attached my translations for the abracadabra website .pdf filters. The original French version may be more useful to you, but I edited the English translation to make it much clearer what it does and how to use it.
    Just follow the instructions. Basically what it does is add another option under the *Save as PDF* in your Print Dialog box.
    It is using ColorSync filters to then convert your file to a.pdf optimised for the particular application from as small as possible to as high a quality as possible.
    Whilst this will help create pdf files, these are not the ideal way to send Newsletters to a wide range of users.
    The reason is that you have no control over how the users open and view their email.
    In most cases they view only a small part of the email in a listed set of emails.
    Whilst Mac users happily see a pdf embedded in the body of an email, PC users typically will only see it as an attachment that they have to click on and open separately. So they have to make much more effort just to even see what it is all about.
    The solution is to use HTML newsletters which are much more widely viewable by users.
    This is not perfect because it requires users to check an option in their email client to use HTML and many clients block the images used in the email.
    So as per usual it is a bit of a mess and you will need to do considerably more work to try and cover all bases.

    I am trying to clean up some previously scanned images containing mainly text. The original file sizes are 80K. I use the optimise pdf tool to 'despeckle' with all the other option set to off. When I save and then check the new file size it has increased threefold. Any ideas as to what I am doing wrong?

  • What does 'Save as Reduced size PDF' do compared to 'Save as Optimised PDF'?

    So, both "Save as > Reduced size PDF" and "Save as > Optimised PDF" allow you to reduce the file size of a PDF. "Optimise" offers a variety of options, "Reduce" just gets on with it.
    What is the difference between what they actually do under the hood? Does "Reduce" essentially run the "Optimise" process with certain default settings? Or is it a wholly different process?
    What effect does "Reduce" have in terms of what elements of the PDF are compressed and removed?
    In my experience, "Reduce" seems to be less prone to crashing, and often does as good a job as "optimise". It preserves things like hyperlinks, which optimise may or may not do depending on settings. I'd like to know more about what is actually happening under the hood so I can better judge which is the best tool under what circumstances.

    Personally, I always recommend using Optimize over Reduce Size.
    There are no settings to choose from in Reduce Size. In Optimize you can choose Audit Space Usage so you can get some idea of where the size is coming from. In Optimize you can save settings so you can use them again.
    I have never had a crash from using Optimize on my Mac computers.
