PHD & Syncing Mail preferences

I am looking for the ideal syncing setup for Apple Mail where the students configure an account for and Exchange Server(2003). I've learned that I cannot exclude the Preferences/Mail folder but if i exclude the deleted items and drafts prefs it cuts the sync time down considerably.

First of all, a .Mac account would not allow you to synchronize your mail stored anywhere else, i.e. only mail stored on the server (be it a .Mac or an IMAP account) can be automatically synchronized between computers.
That said, Mail stores most preferences and all account settings in ~/Library/Preferences/com.apple.mail.plist. Everything else, including all your messages and mailboxes, is stored within the ~/Library/Mail folder. Copying these (the preferences file and the entire Mail folder itself, not just its contents) from one computer to the other is all you need to do in order to have an exact copy of all your messages, mailboxes and Mail settings on both computers.
In order to avoid potential permission issues, copy the files operating on the destination computer and while logged in as the user that's going to use those files. Also, be sure Mail isn't running on either computer while copying those files.
Alternatively, if what you really want to do is merge the mail stored on one computer with whatever mail is already stored on the other, then File > Import Mailboxes should be used instead.
Note: For those not familiarized with the ~/ notation, it refers to the user's home folder, i.e. ~/Library is the Library folder within the user's home folder.

  • Is it possible to NOT sync Mail preferences via iCloud?

    I use Mail on both my office Mac and home Mac and would like to have slightly different email Rules setup on each. It seems, however, that in Mountain Lion, Mail automatically syncs its preferences via iCloud. I have looked through both the application and System Peferences settings and can see no location that allows me to change this behavior. FWIW, in System Preferences, I have iCloud set to NOT sink Mail, but it is set-up to sync Documents and Data.
    Any ideas?

    I turned off the iCloud syncing of Mail between machines. Both machines communicate with the same IMAP server independently, so my email remains in sync that way.
    My problem is that even though iCloud is not syncing my mail, it seems to be syncing my Mail.app preferences, which means all my filtering rules end up being duplicated across the two machines. Where this is a problem for me is that I have a filter setup to send me notifications (via boxcar.io) when messages from particular people or groups arrive in my inbox. When the preferences get synced both machines process the message and push a notification, so I get double notified of everything.

  • PHD syncing and OmniGraffle package files

    I am having an issue where package files synced to the home directory are appearing empty at a later date.
    This issue seems to be directly related to OmniGraffle documents, affecting anything that is a .graffle (OmniGraffle Document) or .gstencil (OmniGraffle Stencil) that are stored as packages. We are using OmniGraffle 5.2.1. I have the ability to save the documents as a flat file type, I am unsure of the stencils.
    Our enviornment - clients are running on MacBook Pro's with OS 10.5.8. Servers are Mac OS Server 10.5.8. Home directories are stored in an xSAN enviornment (2.2). Users belong to a group (portable homes) in OD that manages the Mobility Preferences and PHD syncing.
    I performed a test where I logged the user in, added a .graffle doc to their desktop, logged them out, restarted and logged back in. Upon login, the "outer shell" of the package was still there, but had no contents.
    Below I have a few excerpts from the FileSyncAgent-verbose.log from the users system. The file I was monitoring was named "NetworkDiagramMaster-2010_vB.graffle"

    This time, when checking the file on the desktop of the users system, the file was there, but there were no contents in the package.
    The user has since logged out and left for the day, but I checked the server and for now, the file seems to be OK. It appears that when the person syncs later, the "blank" file is pushed from their system back up to the server. Then both files are blank.
    I am not sure, but the phrase "Found 'empty' package job. Ignoring." appears a few times in the log. I think this may have something to do with the issue, but I am not sure how to fix it. I have many users and it is beginning to worry me that there may be other files which are not getting copied properly.
    Has anyone out there run across this or have any ideas for a fix?

    You need to ask the Dropbox people about that, but I'm pretty sure that it's like having an external drive and it can't sync that precisely. It will act just like dragging and dropping a file on an external drive and back up the whole thing each time.
    For that kind of syncing you need an iDisk from Apple's MobileMe service. Certain note programs, like Yojimbo, are made with idisk syncing built in, but I don't think Devonthink supports that.

    iTunes could not sync mail accounts to the iPhone "..." because an error occurred remapping record identifiers.
    Try syncing your iPhone again.If the problem persists, replace the mail accounts on the iPhone from the info tab in the iPhone preferences.
    The message above is an error message received several times. I have tried to work out how to replace the mail accounts through iTunes. Have been clicking it on and off and re-syncing. Still gives the error message. Can anyone help me resolve this?? tks

    iTunes is running into a conflict between mail account information already on your iPhone and the accounts you are trying to sync.
    Connect your iPhone to your computer. In the Advanced section under the Info tab, check the box next to "Mail Accounts". This will replace the mail account info on your iPhone with the accounts you are trying to sync.
    If this does not work, then reset your sync history by opening the iSync application, going into the preferences, and clicking Reset Sync History.

  • Sync Mail to iPhone functionality hanging in iTunes

    I am running OS 10.4.10, iTunes 7.4.2 (4), and I was having this problem both before and after updating to 1.1.1 on my iPhone.
    Basically, I have several accounts configured in my mail client in the MacOS, but my .mac account is the only one I access and use on my iPhone. It was working great, and frankly, still does. However, if I have 'Sync selected mail accounts' checked in the Info tab when my iPhone is connected, the syncing process freezes during the 'syncing mail accounts'. I actually walked away, and found it sitting two hours later at the same prompt. When I uncheck it, everythin else syncs perfectly, no issues, and frankly, even when it's not syncing through iTunes, it works fine on wifi and edge, so I am using my phone.
    I don't know what functionality I'm losing when I don't sync this email account through iTunes, but whatever it is, I'm not seeing it.
    Any ideas as to what this sync does (I did have to type in my mail password on my phone after my last reset), and any ideas on how to fix it? The problem started a few weeks ago under 1.0.2 and I seem to be running good with the function disabled, but I have a feeling when I add more mail accounts (which I intend to do) it may be helpful to have it working.

    The option to sync selected Mail accounts transfers email account settings from the Mail application on your Mac (for the selected account or accounts) to the iPhone so you don't need to set up the account or accounts on the iPhone. This process is in one direction only - from your computer to the iPhone. Any changes made to an account's settings on the iPhone is not transferred to the Mail application during the next sync.
    So after this is successfully done, you can deselect the option unless you make a change to an account's settings with the Mail application that you want transferred to the account's settings on the iPhone.
    This doesn't resolve the problem which should work regardless.
    Try selecting "Mail Accounts" below "Replace information on this iPhone" under the Info tab for your iPhone sync preferences to see if this makes any difference with the next sync process after this is performed.

  • Help-syncing mail error message

    I got the following error message while syncing my iPhone 3G to my Mac-

    I sync my me.com through mobile me and I also have a gmail imap and a comcast pop 3 account. I deleted all the accounts from the iPhone. The error message still kept coming up. I restored my iPhone and it was fine for 4 days. Now I'm getting the error message again.

    Not sure how to resolve this, but after you have transferred the email account settings from your computer to your iPhone via the iTunes sync process which is selected under the Info tab for your iPhone sync preferences, you don't need to keep this option selected under the Info tab for your iPhone sync preferences. This only needs to be done once and is a one way transfer process only - from your computer to your iPhone.

  • Sync Mail between two computers

    After Leopard upgrade, I switched from Entourage to Mail.app, so I'm new to it.
    I use two Macs and POP accounts. How can I sync Mail.app between two computers in Leopard? The Sync Service of Smart Folders is not enough for me.
    May I use a sync app like Folders Synchrnonizer?

    Both my wife and I have multiple macs and work at home and on the road - we've tried all sorts, and there are 3 approaches that work:
    1) IMAP
    I know you think this isn't the ideal solution for you, but it is unbelievably simple and rock solid once you get it working.
    Set your POP mail addresses to forward all mail to your IMAP address (I use .mac which is brilliant, I don't know about Gmail).
    Your mail is server based, so your laptop, desktop, iPhone, webmail from a PC etc. are all always in sync.
    You will still get your mail from your old accounts.
    You can set rules on any of your machines to filter your mail into folders according to which address they were originally sent to.
    HOWEVER the mail you SEND will be FROM your IMAP address, so your clients / friends may get confused if you don't want them to use your IMAP address as your main address.
    2)
    Leave POP mail on the server.
    In Mail preferences, highlight your POP account and click on the "Advanced" tab.
    Select "Remove mail from server" to a 1 day if you come home each night.
    If you are away for longer, make it 1 week or Never.
    This way, if you download mail on your Laptop, when you get home that evening, your desktop will download the same mail again, as it has been left on the server.
    It's sort of fake IMAP.
    The downside is you can end up with a full mailbox at the server very quickly as you are now leaving messages on it, and you may have to empty the server yourself sometimes (in the same menu you just adjusted).
    Also, if you are away from your laptop too long, you may download and later delete-from-the-server messages on your desktop, leaving your laptop out of date.
    Use Mac Sync to keep your rules, mailboxes and preferences synced up.
    This is the way it's designed to work, so it should work fine.
    3)
    Drag the Mail folder.
    Assuming you're only using one Mac at any one time, you simply move the main mail folder to whichever machine is current.
    Quit Mail on both machines.
    On your target mac, go to youruserfolder/Library and rename the "Mail" folder to something else like "Mail Old". This is just so you have a backup.
    On your source mac, go to youruserfolder/Library and copy that entire folder (not just the mailboxes) either to a drive to transfer to your target mac, or straight to it if you have it networked.
    When you start up mail you will find the messages, folders, mailboxes etc. are the same as they were on your source mac.
    Now you use your target mac (say your laptop) for a while.
    When you are going back to your original source mac (e.g. your desktop), you now repeat the process in the other direction, replacing your desktop's mail folder with your newer laptop's version.
    It's really important you use one mac at a time and swap the folder each time you switch.
    If you rename the previous version before you overwrite it, you know you have a backup if things get out of sync.
    It works really well if you only take the laptop out occassionally, or if you use it exclusively for days at a time (i.e you go away) and you only need to do the transfer every so often.
    Also, it helps if you don't have thousands of emails - if your Mail folder is under half a gig, you can do this quickly using a USB keyring or similar. Any bigger and the transfer can get a bit slow.
    I use option 1, and felt it was worth changing my email address for.
    My wife uses option 2 when she is using her laptop in the day and she can run her desktop each evening the download the mail left on the server.
    But she sometimes gets trouble with her popmail server filling up (she gets lots of video and audio attachments) so if she's going away or not planning to use her desktop in the evenings, she reverts to option 3 and removes messages from the server "right away", updating her desktop's mail folder at the end of the week and just using her laptop until then.

  • Mail preferences won't open (incomprehensible archive)

    Hi there,
    I've been struggling with this issue for a while and I haven't found a solution that works.
    When I go to Preferences... in Mail, nothing happens. Mail is still working fine -- downloading and syncing mail from several accounts (one GMail IMAP, one Exchange and one POP), but I can't change the preferences.
    When this first started happening, it was just the General pane that wouldn't open. Mail Preferences would open onto the Accounts pane (the last opened), but switching to the General settings pane wouldn't have any effect. Then I made the mistake of trying to switch to the General pane and closing preferences -- of course, next time I tried to open preferences, nothing happened at all.
    I've tried trashing the com.apple.mail.plist and even the com.apple.mail.searchhistory.plist files, but this has no effect.
    I do have an interesting message in the Console, which indicates that a preference file somewhere is invalid, but I can't figure out which one! I've included the error log at the end of this post, in case it's helpful for someone (I guess someone at Apple can symbolicate the log and get a stack trace, which might help). This error occurs twice each time I try to show the preferences.
    I'm a reasonably experienced software developer, so please ask if you'd like any extra details to help debug this issue -- I'm happy to dig into bundles, logs and muck around in the terminal.

    I actually got this issue fixed at the Genius Bar in the London Apple Store last week -- thanks guys!
    It turns out that the application bundle for Mail.app was corrupted, and the fix was to replace the app and perform a 10.5.8 Combo Update.
    I do have GrowlMail installed, but it wasn't the issue in this case.

  • Error message when syncing mail

    when I went to sync my iphone today this message appeared.
    itunes could not sync mail accounts to iphone. because an error occurred remapping record identifiers
    I do not know how to fix this error or what could be wrong...
    the iphone will not continue to sync after that.

    This was addressed in a previous post:
    On the next sync, try going into the info tab in itunes and uncheck sync email accounts.
    Then click apply in the bottom right corner.
    Close itunes and disconnect the iphone.
    Now open isync in your applications folder.
    Open isync in your applications folder.
    Open the isync preferences.
    Reset sync history.
    Once sync history is reset, you can try opening itunes, connect the iphone and try syncing again.
    If the error still occurs, you can leave the option to sync accounts to the iphone unchecked since this does not mess with sending or receiving mail on the iphone.

  • Can't add new account in mail Preferences

    When I attempt to add a new account in Mail preferences the + sign does not function. Another strange symptom is that MAILl will not quit, and I must force quit from the Apple menu. AND, the account that does appear in the account window appears in broken type and although the information is correct, no In, out junk or drafts appear. Obviously there is major corruption. I've fixed the permissions and done the obvious things. It sounds like my program may be corrupt. What caused this, is that I had to reinstall Tiger on another drive in my G5 when my original version lost its users and I couldn't boot up. Mail still works fine on my newer Intel MAC. I know it has a different version of MAIL but is there a way to use its settings and/or caches,prefs and data? Unfortunately my copy of Tiger is on multiple CD's and I don't get the option of what to install..it's all or nothing.

    I tried your routine twice, but unfortunately the same situation. Interestingly, there was no no Mail in the Cache folder. What did happen, after the first Safe Boot is that MobileMe sync sent me a message that it wanted to change a couple of Mail accounts which I allowed(I have a MobileMe account and my wife has a mail only account). When I looked in the Mail preferences both accounts had the cracked type although the account info was correct. When I restarted both accounts were missing and a different titled (but with correct info) appeared. Any other ideas? Would installing Leopard help, do you think?

    Hi Everybody:
    I set up the app mail in a new Mac Book. Everything is gone right, until I find that my inbox is empty, when I sign in in the Hotmail Page.
    I found that all my mails are now in the Mac, but I need access to my mail sometimes, directly from the live page.
    Is there a procedure where I can sync my mail to upload my mails in the mac back to the page of hotmail?

    Set mail to leave a copy on the server, Hotmail (on a Mac) is POP, and POP does not sync.
    1. Select Mail>Preferences.
    2. Click the Accounts button, located at the top of the window.
    3. Click once on your account, as it appears in the Accounts list.
    4. Click the Advanced tab.
    5. Be sure that the Remove copy from the server after retrieving a message box is set to never.
    6 Close the Accounts window.
    7. When prompted to save your changes, click the Save button.

    May a trivial and stupid question but never found an answer!
    How easily sync mail account information (preferences of each mail account) between mac's (Mac Mini and Mac Book Pro) and iPhone?
    Sorry to say that but it's so easy in Windows!! Just check the option box in itunes!!
    For now, I use iCloud, define to sync mail and connected with same account on all my mac and iPhone ... nothing happened!
    Oh yes, sorry, I have three accounts out of 13 who appear!!! But WHY?
    I red somewhere that the account information (password) must be saved in keychain ... ok ... but how do I change that for all account?
    I tried to remove one and recreate ... no success ... doesn't appear.
    Why is it so complicated to have that working as the Mac is so user-friendly?
    I also try a search on Apple site ... no explanation!
    Some one with a clear and simple "How To" to share?

  • Syncing Mail from Macbook and G5 when back from travelling?

    At home I have a Mac G5. When I travel, I use my MacBook Pro.
    I have just exported all my mail and mailfolders from my G5 and put them on my MacBook. So now I have an exact copy.
    During my traveling I receive emails on my MacBook, delete some, answer some, save the ones I want to keep in my mail folders, etc.
    Then I get back home. And receive all emails again on my G5. I can delete all "new" mail so I have nothing double. But how do I sync my mail from my MacBook back to my G5?
    I hope my question is clear. I have a "home" computer and a "travelling" computer and I want to keep my mail organized between the two. Help!

    if you are using a POP account there is no easy way to do that. the best you can do is to set the option to leave downloaded messages on server after downloading. that's done in mail preferences->accounts->advanced. if you want effortless syncing then use an IMAP account. then it's automatic as IMAP keeps everything synced with the server at all times.
