Photos using mass amounts of hard drive and duplicates

I am helping my friend organizing her iPhoto Library. I do not use iPhoto for myself so I am not familiar with it too much. I organize my photos using Bridge and keep them on my external drive.
My friend takes a lot of photos and organizes them on iPhoto on her Macbook. I noticed that iPhoto saves the images in 3 separate folders. I think one is for the original and then the other one is saved for editing and then it saves a lower res file. Is there a way to have it only save it once? She uses a back up system for her computer to save everything on it so we are more concerned about space. I have been telling her to get a separate external drive to save her photos on because she takes so many. That is how I archive them for my photography business.
on another note, I have also noticed that she has several duplicates of videos from her camera on her computer as well. I think it could be because she refuses to format her memory card on her camera after every use. and so the video downloads again every time she downloads the card. does that seem plausible?
or does all of this have to do with an import setting that I just cant figure out on iPhoto or on her computer?
All I have been helping her do is delete the duplicates to help her with space issues. I have tried to fix this for her like 3 times. Please help!

The lower res file is tiny and is what you see in the iPhoto Window.

No. The difference between iPhoto and Bridge is +version control+. All operations are carried out on a copy of the photo. iPhoto will always preserve the original file.

HD space is cheap. You can run an iPhoto Library from an external disk formatted Mac OS Extended (Journaled).

My photos are stored on ext. hard drive, and now I can't see them
I recently moved all of my photos over to an external hard drive, and have been quite happy with the freed up space on my ibook. I have been able to view them flawlessly until a few nights ago. Our power went out, and then came back on (yes, I know I should have a battery back up), so of course the ext. harddrive turned off with unmounting, and since then, I cannot view my photos in iphoto. There is still the correct picture count registering, however in place of all of my photo thumbnails in IPhoto, now I am only seeing grey boxes in the same shapes as the thumbnails. I have tried everything, including unmounting the ext. hard drive. I am at my wits end and have been working too much to go into the genius bar.
Anyone have any suggestions?

A couple of things for you to try:
-Launch iPhoto with the Option key depressed and choose to open another library. Navigate to the one on the external and choose it.
-Delete your iPhoto Preference file

-rebuild your library
Try this:
Before doing a rebuild make sure iPhoto's trash bin is emptied. You can do this by control clicking on the trash bin, or from the menu bar under iPhoto.
Close iPhoto
Duplicate the iPhoto Library folder
Drag the duplicate to the desktop (hopefully you have enough room on your hard drive for the duplicate.)
Launch iPhoto holding down the Command and Option keys until you see the rebuild options screen.
Choose the first three options. If you were missing photos in your library, also choose the last option. Be advised that you will get a roll of orphaned photos and it might be quite huge. Most of them will already be in your iPhoto library, but use caution when deleting anything from this roll until you are sure the photos are still in your library in another place. It might be a good idea to share/export this roll of photos just in case you need to import them again.
Back to the rebuild, depending on the size of your library it might take some time. When it is done, hopefully your photos will be there.
You might see some unexpected results as I did when I did a rebuild. Photos had been moved to wrong dates, video clips had lost their duration info and some were even orphaned from the jpg pointer file. It took me some time to straighten it out again.
This is the reason to make a duplicate before you rebuild, in case you do not like the result. If you don't like the result, close iPhoto, then delete the rebuilt library and drag the duplicate back into the Pictures folder making sure the name is iPhoto Library. Launch iPhoto and it should open the library in the Pictures folder.
iPhoto 4 or later: Rebuilding the iPhoto Library
-Navigate through the iPhoto Library folder and make sure your images are still there and open when double clicked.
This is a view of how the iPhoto Library looks in the Finder.
It is organized by Year folders. Inside the Year folders are Month folders. Inside the Month folders are the days of the Month. Inside the day folders are the photos you took on that day. If you imported video clips and RAW files on that day they will be in an Originals folder. If you have edited any photo imported on that day, the original will be in that folder also.
Please get back with the steps you tried and the results.
If none of these suggestions work, you can create a new library and import from the old.
Close iPhoto
Rename your messed up iPhoto Library to "iPhoto Library_old"
Drag this library to your desktop
Hold down the Option key and launch iPhoto
This is the window you will get
Create a new library or choose a library to open
Choose to create a new library
Once this new empty library is open it is time to import the images from your old library
Go to File>add to library
Navigate to the old library on your desktop and choose it.
iPhoto will start importing the images from your old library
This is what to expect:
Your images will be imported in nice dated rolls. (make sure your view is set to sort by rolls to see it) There are a couple of caveats to this. You will get rolls named "Originals" These rolls will contain your video clips and your original images that you had edited. If you had RAW files they would be in those rolls too (I don't do RAW, so I don't know for sure) Delete what you don't want from those rolls. You will also get the jpeg pointer files to your video clips imported. They will just be jpegs and will not point to the video clips anymore as iPhoto made new ones when the clips were imported again. You can delete those. they should be in a roll right next to the newly imported video clips so they are not hard to find. The thumbnail files don't get imported as iPhoto makes new ones when the images are imported.
Once all you images have been imported, check through the library and make sure everything looks ok.
You can now start making your Albums, and do your keywords or any other organizational steps.
You can also delete the old library on the desktop.
It is also a good time to backup this new library to CD/DVD by burning the iPhoto LIbrary folder in the Finder, or copying the iPhoto Library folder to an external drive formatted for Macs, or copying the iPhoto LIbrary folder to an iPod.

How do I have itunes use/detect my external hard drive and place music on the external drive from the itunes store? There are no music files on my pc yet. How can I archive photos in iPhoto to a hard drive and retain the Album folders and the Events? I tried to Export the Albums but just transferred the files individually.
If you want to maintain the iPhoto organisation then back up the iPhoto Library.
If you want to export to the Finder, well you need to create a folder for the contents of an Album and expot to that.
If you have an older version of iPhoto: Apps like iPhoto2Disk or PhotoShare will help you export to a Folder tree matching your Events. This feature is built in to iPhoto 11.

How can I move one years worth of raw photo files to a different hard drive (to manage space) and preserve the develope module edits and still see them in the Library module?
The easiest situation, is where this year's worth of images is grouped physically inside one parent folder (something many people build in from the start, in any case).
If there is a parent folder on disk, but you are not currently seeing that inside LR's Folders panel, you can make this visible to LR by right-clicking on one of the folders which live immediately inside that, and selecting "show parent folder". This gives you a single "handle" by which to manipulate the whole grouping.
Then it is just a matter of moving this parent folder. It's usually as simple as dragging it from one place to another inside LR's Folders panel, however this is a little more difficult when it's a question of another drive which does not yet appear there.
So an alternative method will likely prove more straightforward: physically move the whole year folder into the other drive using your operating system's Explorer/Finder. The folder (and subfolders, and all the contained images) will change with ? icons inside LR, and it all goes "offline". This is because LR's records of where everything is, are known not to currently work (the former location is now not available). But all the edits, thumbnails, keywords, collections etc are still in place because these things are still remembered in the Catalog - and the fullsize previews are still cached also.
Then right-click on the parent folder in LR's Folders (the top folder which shows a "?") and select Update Folder Location. Then browse to the other disk and identify where this folder is now to be found. LR updates all its records and the whole grouping carries on just as before, only using a new storage location for each image concerned. -
Can I use my old internal hard drive and copy everything into the new one?
My internal hard drive is running out of space, and I want to buy a new one. But to do that, I'll have to buy a external hard drive to back up everything and then copy it back onto the new internal hard drive , right? I don't have that much budget. Tks!You will have to buy a new HDD and an enclosure to make the transfer. You can use Disk Utility to make the transfer.
INSTALLING A NEW HDD IN A MBP
1. Make certain that you have backed up all of your important data.
2. You will need a HDD enclosure. One with a USB connection will do. A 9 pin Firewire is better.
3. Install your new drive in the enclosure and connect it to your MBP.
4. Open DISK UTILITY>ERASE. From the left hand column drag the new drive into the 'Name' field. Make sure that the format is 'Mac OS Extended (Journaled)'. Click on the 'Erase' button.
5. Click on the 'Restore' button (on top). Drag the old drive into the 'Source' field and the new drive into the 'Destination' field. Click on the 'Restore' button on the bottom right hand corner.
Depending upon the amount of data you are transferring, this may take a couple hours or more. A Firewire will speed up the transfer. This will result in both drives having identical information on them. INSTALLING
6. After the data transfer has completed, you may swap the drives. Start the MBP and you have finished the installation. The initial boot may take a bit longer than you are accustomed to, but that is normal.
7. When you are satisfied that the new hard drive if functioning properly, you can erase the old drive and use it for any needs that you may have. -
How to use time capsule as hard drive and connect with existing net gear router
I have a netgear D6300 router, which i use to connect to internet - which is excellent so far for my downloads and games etc for my PS4 and hence am keen to continue using it. I bought the Airport time capsule for wireless storage, and when i set it up, I was advised on setup to connect the TC to my router, and it did what it needed to do.
Now, in order to connect to internet, i need to connect wifi to net gear router, but to access time capsule, i need to change wifi connection to my newly created wifi network with TC.
I want to use TC as a backup storage for my mac (its a 3TB TC), but also, my laptop has only 500gb hard drive which is now half full from downloads, so i want to transfer all my downloads to my TC and use it as an external hard drive, and future downloads to TC - but when i connect to wifi of TC, i can copy my folder on my mac, but not paste it to TC in finder. (the only thing in TC is an image of tmg of my macbook from first backup.).
How do i use TC as an external HD - there wasn't much difference in price of external wifi/wireless HD between non-TC and TC at 3gb, so i just thought i'd go for the airport TC option.
And is it possible to keep connected to wifi internet via net gear router, AND wifi TC - the whole point i bought it (from US shipped to australia on eBay, therefore not able to send back) was to use TC as external large HD via wifi, but keep my net gear router going.
Surely there is a way to not having to flick between wifi connections of TC and net gear internet.
When i'm connected to TC, i can't access internet, only TC.
And I don't really want to connect TC to my router via ethernet cable, as too many cables.
This can't be a difficult situation to manage, but i'm not sure how to do it.

Sorry but you have very little choice.
The TC can join to a wireless network.. but it is flakey, poor, slow and highly NOT recommended way to do things.
Nevertheless if you want to give it a try .. here is the method.
How do I setup my time capsule with wireless internet?
You SHOULD, plug the TC into the Netgear and run it in bridge mode.. you set the wireless to create a wireless network.. then when you connect to the TC it will be also connected to the internet and fast.
(if you don't do that you may as well have used a USB drive plugged into the Netgear, as it would be just as good).
TC is not actually designed for mixing Time Machine backups and files.. but if you are just storing downloads that is ok.. but I strongly recommend you use a DMG or sparsebundle to prevent the TM and the data from messing each other.

I have Final Cut Express 2 and use it with a firewire external hard drive and a NTSC television monitor.
I have started to use iMovie with this same set up. I save my iMovie projects to an external hard drive and also have my miniDV deck connected via firewire with the composite outputs going into a 27 inch television so that I can get a better idea of what my colors and title safe framing, etc. look like.
I have had some minor problems with this set up. Like stuttering video, audio tracks playing back when thay are "unchecked" and the "unexpectedly quit" deal.

FrankiM uses a lot of harddrive space on the "start up"/internal disk, even when the project itself is located on some external drive.. make sure, you have at last 10 - 15GB free...

My photo library is full. I bought an external hard drive and am using it as time machine. I copied my photo library to the external hard drive and burned all of my pictures onto DVD's. If I delete my photos from my computer, will the photos still be on the external hard drive and saved in time machine? I am parinoid about losing my photos (memories).
I think you mean Your Hard Disc is Full as opposed to iPhoto.

USB external hard drive and thumb drive don't work any more...
I have a dual 2GHz PowerPC G5...and i've been using my USB external hard drive and thumb drives for a year with no problems....but now when i plug them in, my mac does not see them...the lights on the external hard drive and thumb drives come on as normal but nothing else...it does this on all the USB ports(front and back) BUT my iPod, keyboard and mouse, and HP printer (that use the same USB ports) works fine....(also i'm running Mac OS X 10.5.2)....help....
You can't transfer songs from iPod to computer using iTunes, except for songs that you purchased from the iTunes Store (you can also re-download them using the iTunes Store Purchased screen). However, there are third-party methods and utilities that can transfer song files from iPod to computer. If you do a Google search on something like "ipod transfer," you should get some links.
Once the song files are on your computer, drag the files (or the folder containing the files) to the iTunes window, to add them to the iTunes library. -

Setting up and using TM is very simple to do, connect any external HD (format as Mac OS Extended (Journaled) using Disk Utility ) and your computer shoudl ask if you want to use that EHD for a Time Machine backup. If you have any questions visit your local Apple Store or reseller and they can answer how to setup and use TM and also should be able to offer suggestions on EHDs. My personal preference is OWC (www.macsales.com) Mercury Elite Pro due to the build quality and OWC's level of support. -

Yes you can make multiple backups on one hard drive, for example if you’ve 1TB hard drive installed in your PC and you’ve two Mac Machines with 500GB drive each then you just make two backup images with size of 500GB each.

Formatting will erase the drive.
You need to copy the photo's to either your old computer, the Mac Mini or to a new external drive and then decide what to do with your existing external drive.
For example: You could use one External drive for Photo's and one external drive for Time Machine to backup both your Mac Mini and the Photo drive. -
Can I keep photos on external hard drive and still use iPhoto?
I have virtually no space left on my eMac's 80GB hard drive. For a long time, I have kept my sizable iTunes library on an external hard drive connected to the eMac. It takes a bit of extra time to open up the iTunes library and to upload music from newly purchased CDs, but generally the external hard drive and eMac perform well together. My question is: Can I do the same with my photos (put them on the external hard drive) and still use iPhoto to access them and edit them? I have checked some of the Apple knowledge base documents, and there seem to be warnings against this. I am currently using iPhoto 6.0.6. I have purchased iPhoto 7.0 (with iLife '08) but haven't put the new software on the computer because there is not enough space. I would like to straighten out this space problem and get the benefits of the new software. (I have backed up quite a few of the photos onto CDs, but I like to have them handy--therefore on the eMac or on a hard drive connected to the eMac.) Yes it is, but you cannot access the at the same time as iPhoto can only open one library at a time.
So, a solution might be to have the entire library on the external, and to carry the smaller subset on the laptop.
To do this, follow the instructions above to move the library, but instead of deleting the library on the laptop (in the final step), put the pics from the earlier years into the iPhoto trash and empty it. (iPhoto Menu -> Empty Trash. Hint: Don't so them all at one go! Better a few a a time.)
Now you have the full library on the external (and if you want to access the full library, use that) and the 07 & 08 years on your laptop.
To switch between libraries, simply hold down the option (or alt) key when launching.
As you add photos to the Library you can use iPhoto Library Manager to move pics and albums /events between libraries, and so keep them up-to-date with each other.
Please note this is the only way to sync the libraries, there is no app that can do this automatically.

I keep my photo files on a separate external hard drive, separate from my laptop hard drive. And I want to be able to use time machine as the back-up system to back up BOTH the computer's hard drive AND the external hard drive.... and i want all of the "back-up" information contained on a separate standalone external HD. So in the end, I have a 250GB computer hardrive, a 1TB external hardrive, and I want to have a 2nd external hard drive that will be the location to store the "back-ups" (using time machine) which will be either a 2TB or 3TB harddrive.
I am in dire need of help....Yes, just make sure that they are not excluded in Time Machine.
