PO Accruals and closing Purchasing periods

Hi, can anybody confirm how many purchasing periods should be open at any one time. We are having a problem with the accruals and I am trying to understand the correct procedure for re-setting the purchasing accruals. I am aware that by closing the purchasing period you re-set the previously accrued receipts. Does it matter if I have periods 8,9,10 open and then close period 8 before opening period 11 to re-set the accruals.

If you are asking the best practice, then here it is.
Ideally Inventory & Purchasing periods should be closed very month.
So only one "should" be open.

    Go to mseg table, pass the purchase order number and purchase order item. if the mseg-menge = ekpo-menge for the corresponding purchase order then consider the purchase order is close, else it is still open. even check if the entries are not there for corresponding purchase order in mseg table then also it is open.
    select mblnr zeile matnr menge from mseg into it_mseg where ebeln = it_ekko-ebeln
    and    ebelp = it_ekpo-ebeln.
    if sy-subrc <> 0.
    then consider the purchase order is open.
    This is the first case.

  • Purchasing Accruals on Closed Purchase Orders

    I am having an issue with Purchasing accruals being performed on a closed purchase order. The accrual does not appear in the Uninvoiced Transactions Register, but is accrued in the Purchasing journal entry nonetheless. The purchase order is "closed". I am trying to figure out why the amount is being accrued and how to stop the accrual. Anyone have any ideas? Is this a bug or should I try to "Finally Close" the PO?
    I also noticed that when this PO accrued in the first month, there were two accrual lines for the purchase order. One had a correct accrual of $67.20 and then there was a second line of $14.70 that was accrued for the PO. The $14.70 is the amount that has been continuing to accrue even though the PO has been "closed".
    This is in version 11.5.

    Qty Cancelled = 1
    Cancelled (flag) = No flag

    interesting case ! Please note above. You have mentioned "Qty Cancelled = 1", is it a typo?
    Assuming that it is a typo error, I don't think finally closing it will solve the problem.
    Apart from quantity difference in received vs. billing there may be other cases like incorrect PO or invoice unit price, supplier billing discrepancies (since you have mentioned billing was in installments).
    I'll suggest the following checks first before taking any action. Please test in a cloned instance first
    - Run "Accrual Reconciliation Report" / "Accrual Rebuild Reconciliation Report" and check what is coming ... do you see the problematic entry
    - Check whether there are any other reasons apart from quantity received vs. invoiced mismatch
    - Try Accrual Write-Off option in Purchasing to clear that entry (refer PO
    - Pass a manual journal entry in GL
    For the last 2 steps consult with finance guys.
    You can use Accrual Write Off Report as reference for manual journal entry in GL.
    Once you are satisfied with the results, apply the solution in production with approval from finance.
    Another option could be to use a "dummy" invoice to match the remaining amount.
    Please let me know the results.

    Most likely you don't have an authorization - check SU53 transaction.

    Open and close periods is specific to A+ / Asset / Customers / Vendors / Material / General ledger accounts only.
    Non-leading ledgers can have different fiscal year variants and different posting period variants per company code to the leading ledger of this company code
    I am not sure on leading ledgers

  • Distinguishing Open and Closed Purchase Orders

    We have a BI query which shows all Purchase Orders split by line item.
    We would like to be able to determine which of those Purchase Order line items is closed within the core SRM system and which are still open.
    Is anybody aware of an InfoObject that would allow us to do that?

    You need to ask your functional team or business how they close Purchase Orders.  Most companies I have been at never close the orders or line items.
    At one company, I had an Open Order report requirement and it was messy.  I had to identify which line items still had an open quantity and then load those line items only into a cube.
    I wrote a ton of code to do this and had a few ODS objects to help out.  This wasn't an easy task.
    Hopefully for your sake, your company uses the 0COMPL_DEL (Delivery Completion) characteristic or 0FINAL_INV (Final Invoice Recieved indicator) characteristic and you can base your decision on the values in those fields. 
    I am assuming you are looking at the 2LIS_02_SCL extractor for Purchasing Schedule Lines....

  • Open and Close Posting Period (OB52)

    Dear Experts,
    My client wants to close the posting period of the previous month. 
    First I went to transaction OB52 to define an entry From Per. 1 2008 To Per. 12 2009 to open all the posting period for the year.  But when the time passes, do I have to manually change the From Per. back to the current month (e.g From Per.1 2008 changed to From Per. 2 2008 and so on)
    If this is the case, is there any way to make this a automatic function to do this.

    You define posting periods in your fiscal year variants. You can open and close these posting periods for posting. As many periods as you require can be open for posting simultaneously. Special periods can be open for closing postings during the period-end closing.
    You have the following options for opening and closing posting periods:
    - Posting Period Variants: You can specify which company codes are open for posting in a posting period variant. Posting period variants are cross-company code and you have to assign them to your company codes.
    - Account Type: You can differentiate the opening and closing of posting periods by account type. This means that for a specific posting period, postings can be permitted to customer accounts, but not to vendor accounts.
    - Account Interval: You can differentiate the opening and closing of posting periods by account intervals. This means that you only open a posting period for posting to a specific account.

    Dear FI experts,
    For FISL, can I say that a closed period can be modified and closed again?
    For example, periods 1-6 have been closed.
    Correction or adjustment need to be done in period 2. Period 3-6 balances are affected. So, how is the adjustment applied to the 6 periods? In this case, a closed period becomes opened again? Is such a scenario possible?

    The Posting Period Variant is just defined once and is not year dependent.
    The second option that you maintained is the way how the Posting Periods are maintained.
    Against the Same Posting period variant, you can have your open and closed periods and years maintained year after year.
    Generally, you keep only 1 period in a year open, the current period, and at the most 2-3 periods in some cases, and that you can easily maintain in Range.

    I was at a customer who had multiple company codes and they had the business requirement of closing differenet types of accounts on different dates. For this I had got a program developed wherein the users had to mention the closing date and the account number. This program would run every day and if the current date is eqaul to the closing date in the program, system would execute transaction OB52 and close the corresponding account.

    You can't directly close 2008/01 and open 2009/07 .
    You have to do it month wise .
    For example your current period is 2008/01 ...so next you have to open 2008/02 then 2008/03 ....2009/07 .
    So go to MMPV and close- open period as per my suggestion .
