PO Approval Process - Statuses Query
Hi All,
I am not able to figure out when will the following combination of statuses will occur in a PO Collaboration with Approval Process.
Distribution Status : Updated by Customer
Change Distribution Status : Published by Supplier
It will be great if anyone can illustrate this with example.

Thanks for the answer. But in my tests, when one / more of a PO line item is set to "Manual Approval Required" after the Approval Process, the statuses are as follows:
Status 1:
Distribution Status : Published by Supplier
Change Distribution Status : Updated by Customer
If the Buyer logs into SNC Web UI and approves the deviation, the statuses change to :
Status 2:
Distribution Status : Published by Supplier
Change Distribution Status : Published by Supplier
This triggers a PORDCH Idoc which goes and changes the ECC PO and sends a new PORDCR1 / RON to SNC. After this the status becomes:
Status 3:
Distribution Status : Updated by Customer
Change Distribution Status : Updated by Customer
So my query is when do we get the remaining combination of the statuses i.e.,
Status 4:
Distribution Status : Updated by Customer
Change Distribution Status : Published by Supplier
This is primarily to define the PO Chnage Profile. As per std. SAP Change Profile, for Status 1 & 3, the PO is editable by supplier but for status 2& 4 its display only.

have a look under System Administration - System Configuration -- Knowledge Management -- Configuration --Content Management -- User Interface -- Commands -- UI Command Groups -- StatemanagementGroup.
See Java class: com.sapportals.wcm.rendering.uicommand.cm.UIStatemanagementGroupCommand. Take the class and decompile this and everything needed around to understand how this class works.
Then you can choose to extend this CommandGroup to also have a command "Resubmit for Approval" or you can implement your own UI Command only for resubmitting (you will also have to activate your command (group) by settings within the configuration).
On the other hand, if all this is completely new to you, I'm a bit sceptical if the task isn't a bit too big as a first task on KM implementation topics...?

Approval process monitor status turn to "Initiated" instead of "Pending", so awe is not routed
When I submit a transaction, after successful submission in approval process monitor the status has turn "Initiated" instead of "Pending". That's why it's showing "Not Routed" for the next approving person. So that worklist is not populated.
Please suggest me to resolve this issue.

As far as setting the environment variables goes, you can go to control panel -> system -> advanced -> environment variables and set the ORACLE_HOME and ORACLE_SID

PO approval process remains in "In Process" status
hi ,
I am using oracle applications 11.5.10,whenever any requisition or PO is created and submitted for Approval
the status is in "In Prpcess" and its not getting approved.
The po approval workflow is getting errored out with the following error.
"wf_engine_util.function_call(po_approval_list_wfss.build_default_approval_list,reqapprv,56670-148783,560566,run)"
I have logged in with "operations/welcome"@vis and submitted the po for approval as stated above.
Please suggest me how to get the approvals done

The workflow activity shows "Build Default Approval List",I have checked few threads which says after doing approval hierarachy
needs to run Concurrent Program "Fill Employee Hierarchy",but when I ran this program without modifying the default hierarchy
what we get by default in VISION DB.The program completed with Error status '3'.
Can u provide me with the setps how to setup the hierarchy in Purchasing and later process to resolve this issue.

Approved requisition still in IN PROCESS status.

I have a requisition which is approved by last approver but still its in IN Process status and I am not able to get PO for that.I tried with Auto Create option but its giving requisition not yet approved.
Please suggest if any work around is there to get the PO generate.

you will not be able to find this information in reporting DB - the only database queries are supported.
If you really want to go for an unsupported solution, you should be able to find related tables and how to join them in stored proc "MSP_WEB_SP_QRY_Statusing_ReadStatus" in published database.

SP2013 Content Approval Process, restrict status change on updates after Approval
Hi ,
I had implemented the SharePoint content approval process for one internal requirement. Now, there is a need for modifying the content after Approval Status and by doing so SharePoint modifies the status as 'Pending' after edit. But, I have to retain the
approval status.
Please share any thoughts on how to achieve this ?

After you edit the list item, then the approve status will change to pnending. This is by design.
There is no OOTB feature to achieve your requirement.
As a workaround, you can create a custom Approve workflow with start Approval Progress action and set the workflow started when item created.

I have found some threads in this subject but non of them seem to work for me.
My need is :
when my employee tries to turn an order into an Invoice witch its card is set to groupname of 'over seas clients' the invoice will not be produced and the approval pop up will show.
this is what i tryed :

D.medI thin approval process work like in this manner.
when you add any SO for particular condition matches then approval pop up will come, and then that SO gone to Approval. After approval user can able to make Invoice.
Hence i think in your case you need to made a query in SO that when the particular groupname is added then aproval should pop up.
Else you can kept the approval process in AR Invoice that if particular groupname is added then pop up.
For Approval process you need to select this query in Approval Template. -
How to change 'Processing status' of Purchase Requisition
Hi Workflow Gurus,
I have query on Purchase Rquisition Item Release Workflow. My requirement is like,
Whenever a PR approver rejects the PR item then the processing status of the PR item should be changed from "In Process" to 'Release Refused' without any user intervention i.e. in background.
Please help me ASAP as I have my delivery deadline already coming in.

Mentioned BAPI is not for changing the processing status but for Release status i.e. Blocked or released etc...
I could get the solution by my own R&D. I am updating the database field EBAN-BANPR with required status and i am doing it in the Back ground.
Its working fine now.

Approval process appearance in the PLD of the documents
Hi Experts,
I am setting an approval process for the Purchase Order.
Under approval stage am giving 2 authorizer and No of approvals required is 1. because i want to take GRPO even if anyone of the authorizer has approved. But i want the Purchase order print out with the field print in the corner of PO has Unauthorised until both the authorizer is approved.
how to do this in the PLD and please give me the solution

My view is that,
Can't we create a UDF in the PO at title level and write a FMS query to capture the status as "Unauthorized" when anyone of the authoriser is approved. At same time the second person is also Approved means the status should turn as "Authorized".
is it feasible.

Post Write-off from Disputes with Approval Process

we want to post write-offs using the dispute escalation process. before the write-offs are posted they need to go for approval. is there any functionality within dispute mgmt which can be leveraged to post write-off from the dispute with approvalHi,
When you set up the escalation proces with reason code write off you can do it in two ways. Set up a Workflow for the approval process. Escalations are specifically meant for that. This is possible with the standard workflow.
If you want to work w/o workflow. Then you can have the responsible person go into UDM_disputes query all specific escalation reason and e.g. change status or maybe create a different escalation reason. (E.g. Write off request/ Write off granted)
You can check if you can change the roles that certain functions can only set certain reasons.

Approved invoices can not be edited - Approval process

I have recently raised an incident with SAP about Approval process - the complete message and support reply is as follows - but i believe we need a change in the approval process - if the approval required is only one but you have defined two people (Either or OR) in the approver list - the system should allow the document to be edited if one of the approvers reject it.
please let me know and i believe we need a change in design - unless otherwise a solid reason is given to justify the existing design

When the originator sends the document for manager's approval, note that the at that stage, the document is still in the 'Approval Process'. This is because the system is waiting for the 'Manager' to 'Approve or Reject' the document. Hence, looking at the Document, it is still in 'Draft - Pending' Status.
When the document is in 'Draft-Pending' Status, the document is not available for editing, because the system considers that it is still in the waiting process. In your case, the manager cannot edit t he document.
To amend the document, an action is required from the approver either to reject it first. Once rejected, it can be amended and re-sent for approval.
I have checked our knowledge base and noted that there is an article which describes the approval process. Please refer to the Expert on Phone Wiki Article (March 2009) with title: Why a draft documen t in an approval process cannot be modified by the originator?

document for approval, he wanted to edit and add it. Your reply (and
documentations) states that it needs to be rejected first before it is
available for editing. When it is gets rejected - the person who
orignated the document gets an alert and he can edit it. Here the
Manager must get an alert so that he can edit the Rejected document.
When the 'manager' rejects the document, and goes back to the alert
window to open the document - it is still greyed out !!
How does the 'manager' reject the document and edits it ?

If it is still in 'Pending' mode, please verify the number of 'Approvers' set in the 'Stages' tab of the 'Approval Template - Setup' window. If there is more than one user listed as 'Approver', and o nly 1 approval is required, the system provides an opportunity to other 'Approvers' to approve or reject the document. If in your case, the number of approvers is 2, and manager 'rejected' it, the sys tem still keeps the document in Pending status as it waits for another approver's decision to reject or approve it.
Also, verify the number of 'Approvals' required. If the number of 'Approvers' who have not rendered their decision is greater than or equal to the 'Approvals' required (e.g. approvers - 2, required ap provals - 2) the system keeps the document within the approval process. This is to allow the other 'Approvers' to decide on the document.
I hope this clarifies the behaviour. If you can provide us a step by step screenshot of the issue, this may help us to provide a more accurate response.

Thank you for the information. The behaviour is a current system definition documented as per Note 1321234. I have attached the said Note for your reference. When only 1 approval is required and there are 2 or more persons are allowed to approve the document, the document does not get automatically rejected when 1 person 'rejects' it. The system waits for other approvers to render their decision b ecause a person may still approve or reject the document.

Approval process (Release strategy of scheduling agreement)
Hi,
Recently we are trying to implement the approval process of scheduling agreements.
Client requirement is when ever there is a change in price irrespective of the following
1. Retrospective price change in any line item
2. Current price change in any line item
3. Future price updation in SA in any line item
4. New addition of line item
the system should trigger the release process (i.e. Approval process).
Our idea is to design the approval process based on document type and net value of SA. Based on which trigger should happened. But when we test it we find the following issues.
1. Trigger is not happening for future date price change or price for new period as the net value of SA is based on validity time.
Becuase the net value change will happen only on that onwards..
Also we are not using any cumulative pallned values in agreements.

you are inserting a value too large for REQUEST_APPROVALS.APPROVAL_STATUS column. It should contain values like COMPLETED, approved, rejected etc... Check your custom approval process again.
