PO Approval workflow change

Hi,
i`m new to EBS. Please tell me the steps for following changes in the PO Approval workflow
1.Any new PO that gets processed / approved in the system needs to auto run the PO Print program (to generate the PDF copy of the PO) with the email function switched on.
2.PO Print program needs to be modified to auto email docuclass ([email protected]) always ( even if email option is switched off) and email both buyer and PM ( if email option is on). Email subject should contain PO# and revision#.

We are using an extended classic workflow . The workflow which has been customized to have 8 step of approvers at the max.
The agents are being identified based on the cost center assignment, for which the approvers have been maintained in a seperate HRMS system.( The cost center is linked to an org unit in HRMS where we derive the approvers).
There are some approvers that come into play depending on special criterias like EB attribute of the user.
Now the problem comes where there is an ad-hoc approval workflow also added to it which enables the user to add approvers manually but there is some problem in the agent transfer there. The step identified by the systm during runtime is not defined in the ad - hoc workflow also and hence the step shows no agent and it returns to the user who added the approver.
Kindly help as to what is the reason for the same and what can be done to rectify this.

    In PFTC -> Redefine Work item text - > and i have defined the work item text as well called the attribute from the container.
    what  the problem over here is - when I am passing the attribute in the work item text in the task, I am unable to see the work item text with the Dynamic Attribute but I am able to see the work item alone (not with the Dynamic attribut)
    But when i debug the workflow from SWI1 then i can see the dynamic attribute in the Container of the workflow but nt in the approver's inbox in portal..
    Can you please tell me - that why is this a strange behaviour that i can see the Dynamic attributed created initially in the workflow container of the Business Object but nt in the Approvers inbox either in Backend nor in the front end...

  • Customizing PO approval workflow POAPPRV for email subject/body changes

    Hi,
    The requirement is to modify the email subject/body of the emails sent to the suppliers once PO is approved.
    They would also like to remove the
    'From/To/Sent/Id' which is displayed as first section in body currently.
    I am new to workflow, so could you please guide me in achieving this?
    Is workflow customization only option?
    Do we have any other way in which the requirement can be accomplished?

    Yes, we can change it. Steps are as follows: 1. Create the workflow in SharePoint Designer 2010 2. Use Start Approval Process action 3. Write your logic and all setting as per you requirement and then publish the workflow once. 4. After this, click on
    the workflow name and there you will see the sections as Workflow Information, Customization, Settings, Start Options, Forms. Here you will see a form under Forms section with a name of Approval_x00....... with a type "Task". Click on this form. This form
    is an Infopath form that opens up when a task is to be edited (Task Form). This form will open up in Infopath (provided you have Infopath installed on your system) It may ask you the crendentials for security. 5. The task form will open up in Infopath for
    editing. Click on the Reasign button and in the top left corner in the ribbon section is the field (Label) having text as "Reassign Task". Change this and then save and publish the form.Publish the workflow once again.

  • Confirmation - workflow approval agent change not reflected in BI Report

    Hi Experts,
    We have implemented SRM 5.0 and have enabled confirmations for POs and this is a classic scenario.
    When a original approver for the confirmation approval workflow was subsititued by an another user, this information is not part of the BI reports. when I checked the document, there was no change document initiated due to the agent change in the workflow. Due to this the delta upload process for BI, is not uploading this information to the BI system for reporting.
    If I run the full or regenerative mode, then the data is getting populated into the BI system. But I would like the delta process to pick it up.
    1. please let me know how to enable the change document for a confirmation, even when the agent is changed in the workflow.
    2. or if delta process to capture the agent changes within the workflow for confirmation.

    According to your description, my understanding is that you want to send email when the built-in approval workflow status was approved.
    For the default built-in approval workflow, per my knowledge, there is not a way to modify it. As a workaround, you can create a Reusable Workflow with SharePoint Designer 2010, and publish it to your SharePoint, then you can use it like the built-in approval
    workflow.
    You can do as the followings:
    Install SharePoint Designer 2010.
    Open your site with SharePoint Designer 2010.
    Click Workflow under Navigation.
    Click Reusable Workflow, and type a name.
    Add “Start Approval Process” action, in the ‘these user’ , type the approvers.
    Click ‘Approval’ field, and under Customization, click “Change the behavior of a single task”.
    On the “When a Task Completes”, add “Send an Email” action in the approved condition,like the screenshot below.
    Then save and publish the workflow, then you can use the workflow in your SharePoint site .

  • SP2013 Online - Approval Workflow "Request for Change" customization

    Hi,
    I am need for modifying the flow of request for change option in Approval workflow. 
    Whenever a user requests for change, I need to change the current task status as "Change Request" instead of completing the current task and creating a new task. Also, send an email notificaton to the requestor to make the changes. 
    Requestor will then make the changes and send a seperate email to the approver to review and approve the changes. After that reviewer will be appoving the workflow task.
    I am need of this process flow as my requestor group will not have access to workflow task to re-initiate the workflow after changes. 
    Please advice.

    According to your description, my understanding is that you want to change the current task status as "Change Request" instead of completing the current task and creating a new task whenever a user requests for change in your SharePoint Online.
    For your issue, you can Copy & Modify the Globally Reusable Publishing Approval Workflow using SharePoint Designer and create a new Task Outcome for "Change Request".

    Hi, You have to change the PR workflow creator ID through the below path,
    OLME -> Purchase requistion -> Release procedure -> Procedure with Classification -> Set Up Procedure with Classification -> Then double click on Workflow, do your changes for workflow creator ID over there.

    My client is using oracle 11i, we are in the process of configuring the oracle payable invoice approval workflow using AME.
    We have a requirement where in the person who receives the workflow notifications should be able to modify the distribution in the invoice.
    The approver may not have the Oracle Payable responsibility.

  • Trying to set up an out of the box SP 2010 approval workflow that doesn't generate warnings or errors

    I have a custom list for which I want an approval workflow.  There is only going to be one stop for the approval - creating an item is a request to a person for a new code to be created. 
    If I do not turn on content approval, then I get the message:
    The workflow could not set content approval status. Enable content moderation for this list and run the workflow again.
    When I turn on content approval, then when the users go to the custom list to create an item, they see this message:
    Items on this list require content approval. Your submission will not appear in public views until approved by someone with proper rights.
    Surely I am missing something obvious. I just want a standard SP 2010 form without warnings to gather info from the user, then to create a workflow task that sends a person an email that they need to approve or reject the request.
    The second message is going to cause questions from the users. The person who has to approve the tasks wants to be able to see what requests are awaiting approval vs approved vs rejected.
    Is this something that is not doable in SP 2010?

    the "Approval Process" step is designed for manipulating the "Moderation Status" (Content Approval status) of a list item... What you are seeing is DESIGNED behavior.
    When Content Approval is enabled, content changes are not made public until they have been approved. The Approval workflow sends the email to a manager, who is supposed to approve or reject the change.
    If Content Approval is DISABLED, there is no point to the workflow.

  • Out of the box approval workflow suddenly failed on start (retrying)

    SharePoint 2010. I've been using out of the box approval workflow for several month now. I did some minor changes to it, like to who and when emails should be send, but that's all.
    Then out of a sudden it stopped working. New request status is "Failed on start (retrying)". Sometimes (!) status is "In Progress", but no tasks are created. In both cases there is nothing on workflow history and error report is also empty
    (it even cause an error "Report contains no data").
    I'm sure that I didn't change anything in a workflow. The only think that I changed was an InfoPath form, but I only added there field "Created By", so I would see in calendar later who created this request. I couldn't see how this might affect workflow
    process.
    I'm confused as I don't even know where to start searching for the solution. Why this might happen? Any ideas are very welcome!

     In my list I have a multiple choice field which is not required. When it was
    blank my workflow was failing on start! This field was not involved in a workflow directly, I included it only in the email to approver. When I deleted it from an email everything was fine.

    Hi,
    According to your post, my understanding is that you wanted to start approval workflow when item deleted.
    You should first make some changes to trigger the workflow when you delete the item.
    You can use the Event Receiver to achieve it.
    In order to trigger workflow on item delete you need to create event receivers and from event receiver call the workflow already attached with list.

  • Approval workflow error when creating a new custom entity in FIM 2010 R2

    i'm hoping somebody here can help, me i've been struggling with this for some time now. On a fresh FIM installation i create a custom entity named "Role" and add a few custom attributes.
    I then create an approval workflow and MPR for normal users to create entities of type Role, but another user must approve this request. The other user has a working mailbox - i've tried firing an action workflow that sends a mail notification when someone
    creates a new role and it is working fine. But, when i enable my approval workflow (the only field i changed from default is the approver) on the MPR, the workflow always failes with the message:
    Error processing your request: The operation was rejected because of access control policies.
    Reason: The server workflow rejected the operation.

    Please make sure the path is correct. also why .zip, why : at the end why blank space? These could be a problem.

  • OIM 11.1.1.5 Approval Workflow Issue

    Hi,
    I have installed OIM 11.1.1.5. While self-registration of a user, the request is created and by default assigned to xelsysadm as the request level approver.
    However, when the approver logs in, assigns the organization to the user and approves the request, it is shown that the approval task is completed.
    But the request status doesn't change and remains "Obtaining Request Approval" and thus the user is not created in OIM.
    In SOA server, on checking the logs (soa_server1-diagnostic.log) we found the following error -

    Hi ,
    I actually faced the same issue some time back .., it took me almost a week to resolve it ..
    This is happening basically due to incompatible version of wsm-policy-core.jar on your server . Please check all the FMW s/f installed on your server . One of them is incompatible with OIM 11.1.1.5.0 .
    Are you using BIP 11.1.1.6 by any chance .
