PO Release WorkFlow Error

Hi Experts,
I have a scenario with purchase Order 5 level Release. I have activated Standard workflow, Now for first level it works fine and first level user is able to release and also a notification is also sen't to the initator after. this is for release code A1.
But work item is not going to second level release at all.if i go and check the Workflow after first level release.WorkFlow is in deactivated status.
Plz help me to resolve this issue.

Hi, Hari, I assumed that you have set the workflow administrator to yourself and any errors would be sent to you...
In my humble opinion...
Is the workflow not getting the release code at all (for second level onwards) or it is having problem with finding the agents for the second level approval?
Did you check the workflow log, to see the flow of the workflow? You are using a standard workflow or? I was using a standard workflow, but the multi-level approval is set in MM configuration. Using the standard workflow for PR Release, the workflow is run 5 times for 5-level-release, which means there would be a start event and and end event for each level of release. And in my problem, there is no ending event for the first level because the PR is created wrongly and the system didn't know where to flow the PR to.
My advise is, first check MM config and workflow agents are assigned properly for multi-level approval.
Second, check if the PR is created and released properly. I have faced errors similar to yours and it was due to the incorrect entries during PR creation.
Third, trace the events and workflow log in SWEL to understand the problem better. (Or maybe you should do this first, in case you haven't).
Basically, if the workflow gets deactivated everytime, it might be due to the Behavior Upon Error Feedback in SWE2, which means there is error occured.
Lastly, if there is an error in the workflow log, you could paste it here.

                  I am working on Payment release workflow WS00400012. When a document is posted I am getting an error in the task TS00407859 (Determine Subworkflow Release for Payment). Within this I found "SUBWFDETERMINE" is getting executed in this task I am getting an error. I did debug the method SUBWFDETERMINE from SWO1 there I am gettng an error "Error in workflow customizing" this is because the field SUBNR is initial. Can anybody tell me in the customizing where I am doing the mistake.

Error in Payment Release Workflow

Hi friends,
I am working on the Payment Release workflow.I am using the standard WF for this.But my workflow is throwing an error if i am not maintaining the SPRO setting "Assign Release Approval Paths for Release for Payment".
<b>The error is It is not able to determine the Subworkflow.</b>Is it mandatory to do this setting.If so then we have to maintain a release group for all the vendors but my client is saying that he dont want to do this. Kindly suggest how to proceed..

Please do not add new questions in an existing thread. Two good reasons for this are that it prevents us from upping the food program donation from SAP (since you can not award any "good reply" points), and that it is easier for people to find previously answered questions if we limit ourselves to one topic per thread.
Now, to your question: I believe this would be solved by only defining release approval paths for specific release approval groups. Then, for those vendors that don't have a release approval group there should be no blocking. I am however not sure about it, and if you have tried this and it failed (you don't say whether you have tried) - perhaps a workable alternative would be to use a particular release approval group for these vendors and define a release approval for these where the clerks can release any amount.

Error in PO release workflow

Hi all,
I'm having problem with linkages errors when I active PO release workflow WS20000075. The wf work without problem in develop system but in the system where I transport, a internal message is sent to me with text:
Error in event receiver
Error processing following event linkage:
BUS2012 RELEASESTEPCREATED WS20000075
Following error occurred:
SWF_RUN 594
Message text:
Import container contains errors (are any obligatory elements missing?)
Event container appended as attachment.
Event linkage with errors deactivated.
The customizing is the same in both system and I don't understand the problem.

I think you might have missed the binding between the event container adn workflow conatiner try to co like below.
1. OPen the workflow template WS20000075 open in change mode , click on the tab Triggering Events slect the entry which you are able to see on the screen .
2. Click on the binding button, and do the following entries.
&_EVT_OBJECT&          &PURCHASEORDER&
&RELEASECODE&          &RELEASECODE&
&_EVT_CREATOR&          &_WF_INITIATOR&

PO Release Workflow Problem

Hello,
This is regarding PO release workflow(WS20000075).
I fail to understand as to how I can trigger workflow on realising PO
from ME29N, though using SWUS (Test Workflow) I am receving message
in the sapoffice mail.I am not really able to link the application with the workflow.
Secondly I dont understand why the second task i.e., Release Purchase Order Effected' does not trigger when I test the workflow.The message i receive is 'Please release purchase order no ....' and not 'Purchase order Released' when I test the workflow using SWUS.

The deactivation is happening as there is some error in the instances. Please change the settings in SWE2 for WS20000075 entry and change the field of Feedback after error as Do Not Change Linkage. The error might be due to some authorization issue please check from SWEL and analyse accordingly.

Event Linkage Getting Disabled In PO release Workflows : Plz help

my problem is when I create PO and save it , the event linkage in SWETYPV gets disabled

Hi
If you have an error in the event linkage (could be a binding error, or an error in your business object), the event linkage will deactivated (the standard customizing).
You can change this behavior through transaction SWE2 -> double click on your event linkage -> change the "Behavior Upon Error Feedback". (I think you can change this globally but I'm not quite sure where)
In my book best practice here will be;
1. Use the event queue
2. Set the "Behavior Upon Error Feedback" flag to something like "Keep linkage but flag as having an error" - I'm not on the system so I'm not quite sure what it's called
By doing this you make sure that you will collect your event in the event queue, in case of an error.
or
In the detail screen of SWETYPV there's an option called Bahaviour upon error in receiver, if you change this to option 3 then the linkage won't be disabled in cases of errors.
Sometimes you want the event linkage to be disabled in cases of errors, espescially when the only reason that an error can occur is a very serious one.

The task TS20000166 in PO release workflow( WS20000075 ) is not terminating

Dear Experts ,
The task TS20000166 in PO release workflow( WS20000075 ) is not terminating after release the PO .
In the WS20000075 ,the event RELEASESTEPCREATED is triggeing and move to the next step.The next step is 'Release of purchase order' , the task TS20000166 is not terminating after release of PO .So Workflow is not move to next step i.e TS20000168.
I have noted TS20000166 is having three terminating event ( RELEASED,RESET,SIGNIFICANTLYCHANGED ) but still it is not terminating.
Is it Clear.If you want more details please let me know .Please help me.

Please check agent assignment. And also check graphical mode error and check how many events fire one after one. Because for rejecting there is one more workflow u have to activate but i dont think so u have to activate it after realease . In agent assign ment check workflow with normal agent assignment dont use release stretargy then check it again if it is working fine then it must be problem of agent assignment step.

PR overall release workflow

Hi All,
I am working on PR overall release workflow (WS20000077) and had activated workflow for PR rejection 'wf_pur_rejo' (WS65400029). When i create a PR using ME51N workitem gets created. When we reject the PR by executing the workitem i receive the workitem for rejection also. Everything is fine till here.
But when i try to execute the workitem (Purchase Requisition XXXXX Rejected) i get an <b>error 'No Administrator found for the task'</b> and i observed that in workitem log it is shown in READY STATE. This happens for some user ids and it works fine with some other user ids.
Can any please tell me where i am going wrong and if i am then eloborate on what should i be doing?

I have got it, ran the Transaction SWU_OBUF to synchronize the buffers and re-logged into SAP. Now the problem is solved.

Release Indicator error in the Log

Hi,
I'm in Workflow, while building the purchase req release workflow, the Released event is not triggered. I went into the SPRO and checked the release strategy, and read the following error msg in the log,
Define a release indicator for the status "released"
But under 'Setup procedure with classification', in Release Indicator, we've already assigned '2' to status 'PR Released', and in Release strategy, assigned the release status to all strategies in use.
Any ideas why the error msg is still there?

I do have faith in error messages and find it hard to understand why, given I'm not specialized in the MM field.
This is where I check,
in SPRO -> Purchase req -> Release procedure -> Procedure with Classification -> Setup Procedure with Classification -> Release Indicator
In our case, we have 3 indicators defined,
B - PR Blocked
S - PR Status (pre-released, ready for final release)
2 - PR Released
In '2', it is ticked at 'Released for issue of PO'.
Where else should I look for the flags?

Random Workflow Errors

I know nothing about workflow from a configuration standpoint. I am a functional person. I need to know what woud be some reasons that for Accounts Payable invoice workflow (where by there is 2 level approval process after being saved as complete) every so often a document will go through all the approvals and have the release indicator checked but the document does not post. It stays in a parked status.
In one document the last three enties in the work flow log are as follows..
Set release flag - Completed - Release set
Post parked docS - Completed - Posted
Doc# Posted - Error
And in another document the entries are as follows...
Set release flag - Completed - Release set
Post parked docS - Completed - Posted
Doc# Posted - In Process
This happens on rare occasions between many instances where the process has worked correctly. We cannot intentionaly duplicate it. Any Ideas anyone?

PO release workflow - regarding.

   I am into the development of PO release workflow.
   I use custom task for releasing the purchase order(BUS2012-SINGLE RELEASE).
   I have configured RELEASE STEP CREATED and CHANGED event to trigger the workflow
   When purchase order is created, workflow triggers via RELEASE STEP CREATED event and go to the first approver.When first approver has released, the work item goes to second approver via CHANGED event and not via RELEASE STEP CREATED.
   Following are terminated events , I have configured :
WIOBJECT_ID     BOR Object Type     BUS2012     RELEASED     Purchase Order Release PO
WIOBJECT_ID     BOR Object Type     BUS2012     RELEASESTEPCREATED     Purchase Order Release Step Created
   Please suggest how to make the workflow to re-trigger via RELEASE STEP CREATED instead of CHANGED event once the first approver have released it.

             I have already activated RELEASESTEPCREATED event at SWEC.
             The problem I face is that the work item of first agent does not completes though the PO is released.I have configured terminating event as RELEASED.Due to buffer problem or some other reason, the terminating event's binding properties looks so contradictory.I have posted the screen shot of the same at

             In the table , SWFDEVINST, RELEASED event and SIGNIFICANTLY CHANGED event is updated after the PO release by first agent.

Issue in PO Release Workflow WS20000075

Hi All,
We have activated Std. PO release Workflow WS20000075 for two step release levels. When New PO created with release strategy this workflow will trigger and send workflow items to Agents to release Purchase Order. Up to this it's working fine.
But the problem occurs to trigger Workflow again after PO price change. We have release change indicator with 5% variance of price. That means when some one changes the Price or Quantity and if the total values variance more than 5% of price variance then Release strategy will activate again in PO. But in this case Workflow WS20000075 not sending workflow items again to the agents.
Is there any workflow setting causing the issue?

As far I can understand in SWEL event trace for the second time the event is getting triggered but there is no appropriate receiver for that event. Can you please specify the event name. If it is any event other than RELEASE for eg lets say if it is CHANGE, in the workflow WS20000075 header you will have to bind the workflow with this event and activate linkage for this particular event as well(without changing the previous configuration for PO release event). So that the workflow is triggered for this event as well..

Workflow Error Message: System Account - The Workflow could not set Content Approval Status

This is the first time I try an approval workflow. I am using a template in MS Word and assigned an approval workflow to it. The approval workflow is only going to one person in this case.
When I start the work flow the following 3 error messages show up:
Workflow Error Message: System Account - The Workflow could not set Content Approval Status. Enable content moderation for this list and run the workflow again.
Workflow Error Message: System Account - The e-mail message cannot be sent. Make sure the e-mail has a valid recipient.
Workflow Error Message: System Account - The e-mail message cannot be sent. Make sure the outgoing e-mail settings for the server are configured correctly.

For the first error: Did you set Content Approval in the workflow? If so, see if you have it in the versioning settings of the list settings.
For the second error: double check your recipient is set up as being valid. Did you type in the email address or is it referring to a people picker field? also, make sure that in the workflow for the email that you actually populated it in the
To: field.
for the third error: I suspect that either your farm is not configured for email. Or, this error is a knock on from the second error. If you get the second error rectified it may clear this error. If not then double check the email settings

Workflow error when submitting Employment Verification Letter in ESS Portal

in ESS Portal, when trying to send the employment verification letter by mail I get a workflow error in ECC. Error occurs in workflow template WS01000045 (Employment and Salary Verification) task TS00408262 (PF: Find basic pay). The employee submitting the verification letter request is an active employee, has infotype 105 data in the system, and has basic pay data in the system.
workflow log (SWI1) shows the "Basic Pay" object available and when double clicking on the object, it brings me to PA20 where I can see the Basic Pay infotype with correct data.
Can someone help?
note: the employee is Canadian, in case this matters.

Have you created the resposibilities for the rule 60100010 becuase if you observe the rule it will determine the agents by using the category Agent Determination: Reponsibilities so i think you missed to create responsibilities
