PO requisition workflow error.

Hi all,
I am getting an error while the approval for the PO requisition.
Error - "the user exceeds the limit" .
Is it because i have maintained the user as both technical and non-technical approver?.
I have checked in the function module for approvers also.
Please suggest if anybody come across this kind of error.

Hi Neslin,
are you using PO or PR,
PO its BUS2012,
PR (overall) its BUS2105
PR (item) its BUS2009,
now since u said, u are using a FM, where are u using it,
are u using any rule.
if u using a rule, and say u using BUS2105 in ur WF, just check the rule, it might have containers referring BUS2009, because of which the error might occur.
and in some std.rules there might be containers like ReleaseCode which is mandatory,
so while executing ur WF if it doesnt get a Release Code, it would fire an error.
Pls check all of them.

Edi workflow error - mail not been sent

Hi,
we have an EDI workflow that sends messages as documents to the users in our production system. It was working fine till we moved one more workflow to the production system which is for purchase requisition release. Since the transports for the new workflow are moved to production, we are having an issue with the EDI workflows.
The Idocs are getting triggered but they are hanging up in status 62 saying workitem <num> started.
In SWW_OUTBOX table we can see that the workitem is ending with ERROR status. Also we have observed that even though our new purchase requisition workflow is working fine, there are some entries in this table with ERROR status for the workitem intended for requisition rejection, even though the workitem is not supposed to be triggered.
I am not sure what the problem is but it seems there is some issue after the transports are moved. The issue may be with BASIS or other side.
Any help on this will be very much appreciable.

Hi Jayesh,
Look at the permissions set for the /etc/notifications folder. The "Everyone" group (or at least, the roles for your users) must have read access on this folder which contains the xml templates for the notification e-mails. This could explain why content_admin and super_admin roles receive e-mails and others do not.

Workflow Error Message: System Account - The Workflow could not set Content Approval Status

This is the first time I try an approval workflow. I am using a template in MS Word and assigned an approval workflow to it. The approval workflow is only going to one person in this case.
When I start the work flow the following 3 error messages show up:
Workflow Error Message: System Account - The Workflow could not set Content Approval Status. Enable content moderation for this list and run the workflow again.
Workflow Error Message: System Account - The e-mail message cannot be sent. Make sure the e-mail has a valid recipient.
Workflow Error Message: System Account - The e-mail message cannot be sent. Make sure the outgoing e-mail settings for the server are configured correctly.

Hi,
For the first error: Did you set Content Approval in the workflow? If so, see if you have it in the versioning settings of the list settings.
For the second error: double check your recipient is set up as being valid. Did you type in the email address or is it referring to a people picker field? also, make sure that in the workflow for the email that you actually populated it in the
To: field.
for the third error: I suspect that either your farm is not configured for email. Or, this error is a knock on from the second error. If you get the second error rectified it may clear this error. If not then double check the email settings
for your farm.

Workflow error when submitting Employment Verification Letter in ESS Portal

in ESS Portal, when trying to send the employment verification letter by mail I get a workflow error in ECC. Error occurs in workflow template WS01000045 (Employment and Salary Verification) task TS00408262 (PF: Find basic pay). The employee submitting the verification letter request is an active employee, has infotype 105 data in the system, and has basic pay data in the system.
workflow log (SWI1) shows the "Basic Pay" object available and when double clicking on the object, it brings me to PA20 where I can see the Basic Pay infotype with correct data.
Can someone help?
note: the employee is Canadian, in case this matters.

Have you created the resposibilities for the rule 60100010 becuase if you observe the rule it will determine the agents by using the category Agent Determination: Reponsibilities so i think you missed to create responsibilities

Purchase Requisition Workflow - Organizational Plan required?

Hi,
We are implementing purchase requisition workflow.
Based on what I have read, it says that the workflow table (table V_T16FW) and SAP HR-PA-OM (organizational plan) must be set up to support the solution.
Question: If we are routing the workflow to a UserID, i.e. Object Type = US (and not an HR data object like Position or Job), do we require an Organizational Plan to be also set up?

What about assigning tasks to users, etc. that is usually done in org plan, correct? If object type US is only used, I assume this is not required either?
Also, what is the benefit of using Object type = 'S', i.e. position? At my company, most of the time, when people leave, the position is deleted and a new one is created (there are a couple reasons for this), which means, even if we did use positions, the workflow table would still need to be maintained everytime a person leaves/joins the company (I understand if only the user to position mapping changes, then it makes sense to use positions, and therefore the workflow table stays constant, and only the user to position mapping changes). Are there any other benefits of using S instead of US?
Also, is it possible to NOT use a workflow table, and ONLY define an organizational plan? I was thinking to activate user exit M06B0001, and perhaps ONLY maintain an org plan, and use this to determine approver, rather than maintaining both MM workflow table and SAP Organizational Plan (HR-PA-OM). Bottom line, we want to maintain as little data as possible.

E-recruitment requisition workflow(WS 51800008)

We are facing issue in approval of requisition workflow(WS 51800008).The issue is as follows,
When we forward the requisition to recruiter for approval,the workflow WS51900008,WS51900005 are triggered corresponding to events CREATED,Status Change,but no agent is assigned for both of them.So i suppose the approval Workflow WS51800008 is not triggered
Could someone pls explain me in detail as i m relatively new to e-recruitment.We have done all the necessary settings for the workflow and implemented the note
Note 746709 but with no results.

Both the url are almost same,atleast the return url should contain decision parameter but its not the case here.
What can be the problem,have any one faced similar issue.
And what are the events/workflow steps that occur after clicking approve button.i guess it should trigger
status change workflow WS51900005 to change the status.
In my case if i check in swel it jus says WEBSERVICE completed event been triggered.
Pls do help stuck in this for very long now.

Thanks for your response. I understood your comments but, the system was running fine for about 3 months. No changes have been applied during this time and suddenly this error pops out.
I opened a case with MS Support, but they applied a WA which does not resolve our problem, because the error appears after a few days later after the WA procedure.
The WA is just a watermark reset using this SQL query:

The problem with this WA is that all Work Items affected by the problem - workflows not being applied - do not get the information we need to identify all the SLA's. The system just "forget" them and moves on.

Purchase Requisition workflow escalation

I need help with purchase requisition workflow escalation. The workflow for the requisition escalate to the next level if not approved within 24 hours.So i dont want the workflow to escalate on weekend.

For your Requirment :
"the requirement is that if an approver doesnt approve in 2 days time then the PR will automatically go to the next approver for release."
Please follow the below steps.in copy of WS20000077.
1.For taskTS20000159:Overall release of requisition , go to
Latest END tab: put ACtion as :Modeled , Refer.date/time:Workitem creation , below time : choses: DAY, and on left add 2.
Outcome :Deadline Montoring.
2.Then come to OUTcomes tab of the same task: see there are 3 lines 1.Step executed, 2.Latest end:Deadline Montoring, 3.Processing obsolete:Processing obsolete ,, all are ACTIVE or not , if not, Activate .then all should be Green.
4.next in the OUtcome :Deadline Montoring , use a process control step. to Set missed workitem to obsolete, in Function: chose : set Work item to Obsolute. and Workflow Step : chose then step no for the above task(TS20000159:Overall release of requisition).
5.In "Processing obsolete" path, again call the same task TS20000159. in different activity . and see to the agent assignment.
I think this will slove your problem.
How it works:
1st the PR is send in a WI to the perticular agent by the 1st activity . if the agent do not execute for 2 days. then that WI will set to obsolute . and process flow to" Processing obsolete" path, then agian PR is send to the next agent using the same task but activity created in step 5.

Sales Agreement workflow errored on 3205: is not a valid role or user name.

Hi experts,
We're currently on EBS R12.1.2 We're running into an issue that seems like a very general issue that other businesses would have encountered before. We have a business user who creates most of sales agreements. When this business user left the company, we set active end date on the particular userid. Now, when we go into these sales agreements originally created by this particular userid, and put in the expiration date to expire these sales agreement. We're seeing the sales agreement workflow erroring out in the pre-notification workflow email with error 3205: is not a valid role or user name.
It seems to be this is a very typical business scenario. If you have encountered this problem, please share how you resolved this issue within your oracle apps environment.

We have the same problem in 11.5.10.2. If we want use this blanket sales agreement I have to skipped this notification by sysadmin and after this I can extend end date and another user can use this BSA.

Our release strategy hasn't classification. When we I create a MRP purchase requesition, the release stratagy is already assigned to that. however the worklow is not started.

Workflow error in ChaRM using Group Approval

Hi,
I am using the Group Approval in ChaRM's requests for change transactions, as explained in detail in Michael Vollmer's blogpostNew ChaRM Feature with SP 10: Enhanced Approval Procedure Functions
I am also using the workflow crm_rfc_aprv (WS17100016), which sends out workflow tasks during the approval procedure.
Since I have assigned organizational units to my approval procedure, I always receive an e-mail from the Workflow User with title "Workflow 12345 set to status ERROR" for every ticket.
This is because somewhere in the code behind the workflow, a user is searched based on the business partner in the approval step. But an Organizational Unit is never linked to a user, you cannot assign the BP Role "employee" to an organizational unit.
It would be nice if the workflow could send workflow tasks to all the users assigned in the organizational model to the organizational unit. But currently, I am most concerned with getting rid of the workflow error e-mails. I really don't want to get an e-mail for each and every ticket.
Does anyone know if there is a way to solve this? Maybe some way to link an organizational unit to a (dummy) user anyway?

Yes, my organizational model is maintained.
There are three BP's + Users assigned to the organizational unit.
The SP10 Enhanced Approval Procedure completely works, those three users are able to set the approval for the "Center of Competence" organizational unit to "approved" in the RfC ticket.
However, the workflow behind it never goes looking in the organizational model. It just sees "business partner 632", and checks only the data of BP 632, and doesn't find a user on it. So the workflow goes into error, and sends a mail about it to me...
For approval step 1 everything goes as normal, there is a specific person assigned to the step, the workflow finds a user on the person's business partner, and sends a workflow task / mail to that user.
Below are screenshots of tx PPOMA_CRM, the approval block in the RfC ticket, and the correct and error mail as seen in the tx SOST list.

Workflow error when sending Verification Letter request by mail

in ESS Portal, when trying to send the employment verification letter by mail I get a workflow error in ECC. Error occurs in workflow template WS01000045 (Employment and Salary Verification) task TS00408262 (PF: Find basic pay). The employee submitting the verification letter request is an active employee, has infotype 105 data in the system, and has basic pay data in the system.
workflow log (SWI1) shows the "Basic Pay" object available and when double clicking on the object, it brings me to PA20 where I can see the Basic Pay infotype with correct data.
Can someone help?
note: the employee is Canadian, in case this matters.

Once you are satisfied that the origin is satisfactory it is best to select the option worded something like - always accept from this site.
In my experience it is always more reliable to use the SMTP server which matches your From name. The one exception is running your own SMTP server on a fixed IP.
Check that your Mail SMTP settings have the correct, name, password, security and port.

PO Auto creation through Requisition Workflow

Hi,
I am creating a Non-Catalog Request type of requistion in iProcurement. When I submit the requisition for approval and if the requisition is approved the PO is not getting created.
Some of the metalink notes said a Contract PO needs to be created for the Supplier but which is not part of our business requirement. However following this method PO is getting created.
The Document types setup for Purchase type requisition has the following setup
Approval Workflow : Requisition
Workflow Startup Process : Main Requisition Approval
Autocreate Workflow : PO Create Documents
Autocreate Startup Porcess: Overall Document Creation/Launch Approval
Can anybody please help me understand why the PO is not getting created.

That is standard functionality. You would have to modify how your workflow works in order to autocreate with a contract po been available. You would have to use the Autocreate form from within purchasing superuser to create the PO's manually. This allows for greater control.
