Populating Fields from one PDF to another in Acrobat 9 Portfolio

I have several PDFs in a portfolio but I would like the Name, Address etc fields to populate into the next PDF after they are entered into the first PDF in the portfolio. I know this would be simple if all the PDFs were merged into a single file with the field name the same, but I need the PDFs within the portfolio to stay separate as each is a distinct form.
Any suggestions? Is there a better way to link these PDFs together instead of using a Portfolio? I would like them all to open at the same time which is why I initial chose to use a portfolio.

It's possible, but not necessarily easy to set up. Below are links to a two-part article that explains an approach:

Note that he describes an approach that is extremely security conscious, and is therefore more complicated as a result. I'm not saying this is bad, but the threat it seeks to avoid is pretty darn rare for most folks. That is, rougue PDFs that you have loaded that are attempting to grab data from other documents you may have opened.
The article focuses on XFA forms that are created with LiveCycle Designer, but the same type of thing could be used for forms created in Acrobat. You'll just have to modify the XFA-specific stuff to use with acroforms.

  • Duplicating form fields from one PDF document to another

    Hi,
    Does anyone know of a way to select and duplicate all acrobat form fields from one PDF document into a new PDF document. I know I can do so one field at a time but would like to know if there is a way to do so in a wholesale fashion.
    Our PDF documents are created in-house each year and are nearly the same as the previous year's document containing 99% of the same form fields in the same locations. These forms contain a lot of form fields, anywhere from 50 to 100 fields.
    Rather than start from scratch each year defining the same fields that were present in the previous year's document, I am looking for a way to copy the form fields from an existing PDF document (last year's PDF in our case) and copy the form fields into a new PDF document (that does not yet have any form fields defined) and hopefully maintain all the field attributes and positions from the previous years document.

    The PDF template we need to copy the form fields "to" doesn't start out having any form fields. It is the fields that we need copied from a previous year's PDF template.

    The "new" PDF template is a complete "paper" form with updated legal text and calendar year referrences but NO form fields. In our IS group, we then take these forms, add form fields to them and are then able to populate them with database-resident user data. We serve them up to the user in their browser pre-populated with their application data.
    So again, our need is to find a way to copy form fields from "last year's" PDF template and copy just the form fields to an fresh "new year's" PDF template that contains no form fields to begin with. What we begin with is just a PDF representation of a paper student loan application.

  • How to copy form data from one pdf to another?

    Hi,
    I have created a pdf, added form data to it. Saved the form data as a fdf file - all good.
    I've updated the document and saved as a new pdf and would like to load the fdf data into it.
    So I select tools - forms - more forms options, and press the "import" function  - it goes grey and nothing happens.
    If I re-open the document the import function remains greyed out.
    I can find no way to import this data.... any ideas?
    I've tried going into form edit mode - adding a new field.  The import option is no longer greyed out so I click it and can select the fdf file hit open and ... the dialogue disappears and nothing happens.
    Is my Acrobat XI 11.0.07 badly installed - or what?

    You need to learn about the different types of PDFs. PDF/ A is an archive format that does not allow changes. PDF/X is used for graphics exchange
    For forms I would use only the PDF with a target version. Do not use the Optimizer feature.
    Forms always become larger due to the need to include the font for the various form fields. You might have to review the type fonts used by the form fields and one standard font as much a possible.
    It is possible to use the FDF file to move field values from one PDF to another.
    If you are trying to replace the underlying content and keep the form fields, use the replace pages.

    If you could drag and drop pages before, it wasn't in Reader. You no doubt had Adobe Acrobat (Pro or Standard) which shouldn't be confused with Adobe Acrobat Reader. They recently added Acrobat to the name of Adobe Reader so the confusion about which product you had and/or have is understandable.

  • Linking from one PDF to another: Is there a more efficient way?

    Some background first:
    We make a large catalog (400pages) in Indesign and it's updated every year. We are a wholesale distributor and our pricing changes so we also make a price list with price ref # that corresponded with #s printed in the main catalogue.  Last year we also made this catalog interactive so that a pdf of it could be browsed using links and bookmarks. This is not too difficult using Indesign and making any adjustments in the exported PDF. Here is the part that becomes tedious and is especially so this year:
    We also set up links in the main catalog that go to the price list pdf - opening the page with the item's price ref # and prices... Here's my biggest issue - I have not found any way to do this except making links one at a time in Acrobat Pro (and setting various specifications like focus and action and which page (in the price list) to open) Last year this wasn't too bad because we used only one price list. It still took some time to go through and set up 400-500 links individually.
    This year we've simplified our linking a little by putting only one link per page but that is still 400 links. And this year I have 6 different price lists (price tiers...) to link to the main catalogue pdf. (That's in the neighborhood of 1200-1500 double clicking the link(button) to open Button Properties, click Actions tab, click Add..."Go to page view" , set link to other pdf page, click edit, change Open in to "New Window" and set Zoom.  This isn't a big deal if you only have a few Next, Previous, Home kind of buttons....but it's huge when you have hundreds of links. Surely there's a better way?
    Is there anyway in Acrobat or Indesign to more efficiently create and edit hundreds of links from one pdf to another?

    George, I looked at the article talking about the fdf files and it sounds interesting. I've gathered that I could manipulate the pdf links by making an fdf file and importing that into the PDF, correct?
    Now, I wondered - can I export an fdf from the current pdf and then change what is in there and import it back into the pdf.  I've tried this (Forms>More Form Options>Manage Form Data>Export Data) and then opened the fdf in a text editor but I see nothing related to the documents links... I assume this is because the links are 'form' data to begin with - but is there away to export something with link data like that described in the article link you provided?

  • HOW to copy Form field from one RTF to another RTF

    I have developed 20 reports in BI Publisher which is using xml as data source. So to access the data i have done the xml coding for each form field.
    Now i want to copy the form field from one rtf to another, while doing the copy paste of the form field from one rtf to another it is not copying the xml coding. It is appearing in the new rtf as below

    Can you guys suggest me how to achieve the same. Is there any setting need to be changed so that while do the copy paste the form field it will copy the backend code also.

    make your template set as backward compatabile before you do anything on template. load the xml and then copy the form field. it should work. dont try to open the field without loading xml.

  • How to cut and paste from one PDF to another

    Acrobat Pro - 2 weeks ago I could cut and paste text from one PDF to another doc or PDF but now the cursor has disappeared and I only get a hand.  I can no longer highlight text. Is there something in the settings I can change?

    Is this one one pdf or all pdfs? Do you have the correct tool selected?

  • When moving a page from one pdf to another I see a message "consolidating fonts" and the added page does not view properly

    I am working with multiple PDF files in Acrobat Pro XI.  Sometimes when I move a page from one PDF to another it does not view properly.  It was fine in the source PDF, but not when moved to the desired PDF.  I also see a message momentarily across the bottom of my screen that says "consolidating fonts".  What must I do to fix this?

    Follow these steps for Acrobat 11 .
    Launch Acrobat>Tools>Print Production>Acrobat Distiller
    Now in Acrobat Distiller follow these.
    Select Standard in Default settings. 
    Go to Settings and select Edit Adobe PDF Settings. 
    Select Fonts and in the font source window select the fonts you want to Add. 
    Click Save As and then OK.

  • Copying Fields from one PDF to an Updated PDF - can't move fields on destination pdf

    I'm using Word as the authoring software for a PDF.  In version 9, I never had problem copying fields from one to another.  But in Version 11 I copy them to the new revised form and the fields won't move.  I can't move them with the mouse or the keyboard arrows.  I do see a bunch activity in the right pane called fields (tab order) but the fields don't move.
    Any help understanding why and how to solve is greatly appreciated.

    Highlight all the fields with CTRL +A, click on properties, and uncheck "Locked"  in the bottom left.

    I hv developed my_form, having couple of subforms, fields.
    They decided to change the layout drastically, pls. let me know How I can MOVE fields as a BUNCH from one location to another location on a DIFFERENT page?
    Say, earlier i hv 5 fields together, side by side on a same line/row wrapped in my_sub_form on 2nd page. Now, after they revising they want to see these 5 fields of the my_sub_form on 3rd page, pls. let me,
    1) How can i move these 5 fields ALL TOGETHER as a bunch to another location, so that it meakes my life easy? instaed of moving a single single field.
    2) or i should move my_sub_form AS A WHOLE? i tried it not giving me a chance of moving as a my_sub_form?
    3) Pls. let me know what is Object Tool? where can i see on the form, i did RIGHT CLICK, but, did not see any such Object Tool on the displayed sontext menu?

    Hi,
    Best option would be to select the objects in the hierarchy and then drag them in the hierarchy to the new location. For example if you drag them over a page and release, Designer will place the objects at the end of that page's content.

    Who knows how I can copy a selection from one pdf (including pictures and text) into another pdf?

    can you post the pdf you're copying from and copying into?
    It sounds like they're not well formed PDF files.
    As the copied image on the clipboard is pasted as a comment you can also
    drag the handles of the image once it's copied into the pdf. It tends to
    paste the image at full size making the quality appear less.
    failing that, you could try pasting into Word first, then make a new
    copy of the image in Word and paste that as a comment instead.
    Also you can set the resolution of the image captured by the snapshot
    tool in Acrobat's  preferences:
    edit>preferences>general> 'Used fixed resolution for snapshot tool'
    As mentioned before you can also place an existing image (like a jpeg)
    into a PDF using the touchup Object tool. (Acrobat Pro or higher)
    Select the touchup object tool from tools>advanced editing
    then right-click in the pdf and select 'Place image' then select the
    image to be inserted.
    Some resizing will be required when doing this.

    move-corresponding syntax seems only to work with structures. How do you accomplish this for internal tables? Do I have to use for loops?

    Yes you have to use loops and move-correspoding statements unless you have all the common fields in the same order on both internal table and no different fields to the left most.
    eg:
    data: begin of itab1 occurs 0,
             field1 type i,
          end of itab1.
    data: begin of itab2 occurs 0,
             field1 type i,
             field2(1),
          end of itab2.
    do 5 times.
    itab1-field1 = sy-index.
    append itab1.
    enddo.
    itab2[] = itab1[].
    loop at itab2.
    write:/ itab2-field1.
    endloop.
    The above code would give you some idea.

  • HELP!  JOB ON THE LINE-  Need to import fields from one document to another document

    In a nutshell I have a set of documents and we now have a new structure for those documents. Either I have to cut and paste all the data from one to another or figure out how to import fields to another document.
    I have two documents. Both are different but require the same information. Basically I need to have one file with fields import specified fields from another document. Ex., Name on document 1, I need the file to know to get the Name field on document 2 and import it into the specified field on document 1. I will have multiple fields that need to do this importing. I REALLY NEED TO FIGURE THIS OUT B/C I HAVE A TON OF DOCUMENTS THAT NEED TO BE COMPLETED.

    If you are talking about the field structure, not the content that Bernd commented on, make a copy of the document with the fields. Open the file and use replace pages to replace the pages with the new document layout. After you have replaced the pages, you will have to select the field tools and move the fields to the proper location. If the form was made in Designer, I am not sure of the process. There is likely a similar process in Designer, but I don't use Designer and can't comment. You may have to go to the Designer forum in such a case, unless other Acrobat users here can help.

  • Copying fields from one screen to another

    Hi All,
    I want to move data from one field of a program to another field of a different program.  I mean, I have a date field (this field i will fill with the current date or any other date value) in my program.  This field is a parameter on my screen.  Now in my program I am calling a transaction, which opens up a new program with new screen.  I want to pass my date value to this new screen.  Is it possible to do that? Pls explain with an example.  Greatly appreciate that!
