Portfolio Forms

I create fill in forms using Acrobat X and extend the rights for Reader users to be able to save in the typed data.  However, now when I combine them into a portfolio, those rights disappear.  Previously it worked without any problem. 

Im assuming that this can't be done as they are all seen as seperate documents and the 'submit' button would not be able to gather information from any document outside of where it is placed.

    It looks like I can automate all of this BY UPGRADING AND using AAPro 9 by both creating electronic versions of the paper forms using the new Forms Designer, storing the resulting electronic forms in a Portfolio thus enabling users to fill out forms electronically "inside" each portfolio. I can then distribute portfolios TO USERS as though they were binders.
    Is this how it works? Be obliged for any advice.
    Also, can I password protect portfolios (even better, documents inside portfolios)?

  • Dynamic Forms in a PDF Portfolio

    Hi,
    I want to group 15 XFA forms in a single PDF portfolio. All of the forms have four common fields; section (dropdown), staff (dropdown), project (textfield), date (date/time).
    When the user opens the portfolio I want them to select options for these four fields. Note that the staff dropdown list is populated from the choice in the section dropdown.
    Then which ever form the user opens the four fields reflect the original choice of the user in step one. Effectively having a global binding for the four fields across all forms in the portfolio.
    Is this possible?
    I was thinking of a 1-page form with the four fields, which the user would select and then save. Which ever form is then opened, the four fields would have the same selections.
    Or would I need to have some XML schema in the portfolio???
    Preferably the solution would be self contained within the portfolio, so that the user does not need to undertake a further step or that JS script has to be installed in the users PC.
    I am using LC Designer ES and Acrobat 9 Pro Extended.

  • Large form set: Deliver in portfolio, or build one big PDF?

    Greetings, all--
    I am using LiveCycle to recreate a set of 24 or so forms that were originally built in Word. My users download the forms, complete them on their desktops, then print and submit the forms in hard copy. Most users are not tech savvy. The forms must be very easy for them to access, open, navigate, and print. Most also function within severe hardware limitations (slow Internet connections, old machines, etc.). On my end, I have a rusty at best command of scripting and am new to LiveCycle. I know what I want my forms to do but am very slow at figuring out how to make those things happen.
    I am working first to decide on how to deliver these forms. It looks like I will have to build one big PDF to get the form behavior I want (autopopulation of like fields, field calculation, etc.). Does that sound right? Or is it possible to set up each file as a separate PDF and package them in a portfolio and still get cross-file behavior like auto field population, sequential page numbering, etc.?
    Any feedback on setting up big set of files would be much appreciated.

    For what it is worth...
    First of all consider what version of Acrobat/Reader the user population will have. Improved functionality comes with each new version. So you might end up including features in your form that won't work on the users' PC. In LC Designer 8.2 you are able to define the target version (in File/Form Properties/Defaults) and then check in the Warnings tab to make sure that the form will run OK in that version (eg no warnings);
    If people don't have to save the form (or the data that they have typed in) then you don't have to worry about Reader Enabling the form. This gives the ability to users with Reader to save that (Reader Enabled) form. Useful if they are filling in the same form regurarly.
    The implementation of Portfolios in version 9 is very good. However if users have older versions of Acrobat/Reader then it will revert to the previous implementation of Packages (less graphical) and users will get warning messages.
    Keeping the forms separate will help performance; but may make it more difficult for users to locate the correct form. Creating one large form in LC is possible (and will make it very easy to share values across the 24 forms becuase they will be in the one XFA PDF); however if each form has multiple pages and there is dynamic hide/visible script then performance may be a problem. If the form is static (eg does not grow) then performance will not be as badly affected with the single form approach.
    There is a work around to get forms to talk to each other (whether in a portfolio or not), but it requires a good bit of scripting and a cool head.
    In summary, if you are working with static forms that will not grow (fields not extending to accomodate overflowing text) then I would go with one form.
    You can always develop the single form for the time being and then at a later stage break it out into 24 separate forms.

  • Can't edit a LC Designer form in a portfolio

    I created forms in LC Designer and I'm now trying to add a header and footer to the forms which have been added to a portfolio I created in Acrobat 9 Pro.  I get an error message that states "You do not have sufficient permissions to perform this task."  I have removed all security from the document and the portfolio, but I notice that the restriction for changing the document in the form document security properties is still present no matter what I do.  I presume this is why I can't add the header/footer.  Is there anything I can do to remove this restriction so I can?  

    The problem is that XFA based PDF Form (a form created with Adobe LiveCycle Designer) cannot be edited using Acrobat.  There is no way around this.

  • Making a pdf form standalone from portfolio

    I have a portfolio of forms - about 100 total - and most of them are all combined into 3 largers documents, each having a directory and links that people can click on to get to the requisite form they need.
    What I need to be able to do is to make some of the pages more stand-alone than the others.  For instance, 2 of the forms (consisting of 2-3 pages each) are for new customers.  If we are typing in the forms name and contact info for Customer 1, we have to go back in and re-type and save the whole thing for Customer 2.  But the portfolio itself runs 100 pages so it's a major waste of hd space doing it this way.
    Does anyone know of a way to do this more elegantly?  Can I add a folder named Z-docs (so that alphabetically it shows up last in my list and that maybe people won't bother with it) and put the stand-alone docs in the folder and then link outside of the form1 to go to z docs and only open up "new customer form" rather than a whole pile of docs in the folder with it?
    I'm at my wits end on this.  Many tacos of thanks in advance.

    Yes, we could do that, to an extent.  But there are a bunch of forms - employee forms and various new customers, and not all will suit as one document.  New customers with children, new customers who drive, new customers who speak spanish, these all have to stand alone from say a New Customer bulk pdf. 
    We had combined the forms into singular but larger forms so that the user would not get overwhelmed with seeing 35 forms in the portfolio.  But from these larger files we need the business to be able to pull out the ones that will be used countless times, rather than just 2-3 times a year (which is the case for most of the forms).
    I didn't see a way to add in a folder to the Portfolio to hold these stand alone pdfs.  Is there a way to add them in and hiding them so that the only way to find them is to actively look for them - or - using our linking system via directories?
    Yes, this is clear as mud, I realize.

  • Hiding columns/fields in the response portfolio after you distribute your form

    I have a 10 page from that has about 100 radio buttons (yes/no) in it.  After someone submits the form and I open my response portfolio the only columns/fields I want to see is the name, date, age and exclude all the radio buttons. Can you set an option LC ES before you distribute the form?
    I have found I can do this within the portfolio pdf, but only going to modify---view-then unchecking what I do not want to see…………BUT it is ONLY one at a time.  If there is another way of doing it LET ME KNOW!!

    The response file is a collection. But unfortunately it can't be edited, at least not easily.  You can remove a column with a script run in the console window.

  • Interactive Forms within an Acrobat Portfolio--- why not??

    Hi,
    I have a student asking why she isn't able to save a group of interactive forms within an Acrobat Portfolio, and have the Tracker recognize the responses to the form. Sounds as if this shouldn't be a problem. But...
    I've tried it myself, and it appears that when working from within a Portfolio, I have no access to the "Distribute Form" command. Is this correct or is it a bug?
    If I skip the Distribute Form option and instead upload the Portfolio to Acrobat.com, I *am* able to fill out the form and hit "submit". It *does* submit a reply to my email address, in the typical .fdf format. When I go to my email address I can download the .fdf file to my local machine, but after that the system seems to break down.
    TheTracker has no clue that any response has occurred.And when I try to "compile returned forms", the .fdf  files are not recognized: I cannot import the response.
    Is it because there was no "Distribute Form", that the Tracker doesn't recognize responses?
    It would seem like the most useful thing to be able to send a variety of forms to new employees in the Portfolio format. Can it be done? And how?

    Hi "critter_monster" It is by design that the distribute options is not available for files that are in a Portfolio. You can only distribute forms that are not attached to a portfolio. Since tracker only tracks forms distributed the the distribution workflow, it is expected that it would not recognize the .fdf from the submit button.

  • Fillable forms in Portfolio using Mobile Reader App

    I have created a Portfolio that includes fillable forms. When opening the portfolio on the desktop I'm able to double click and open the form as it's own document and use it as designed... BUT when I open the portfolio on my tablet, it doesn't allow me to open the form outside of the portfolio which in turn won't let me complete it.
    We wouldl ike to distribute out to our sales force a compiled portfolio of all their marketing pieces and well as any forms they may need in one portfolio, which works great for everything but the forms.
    It there a step in the design process that I'm missing or a setting that I have to turn on to allow the Mobile Reader the ability to use the form or possibly a work around?
    Any help would be greatly appreciated!

    I'm not really looking for the Flash Player support, but a way to distribute 1 file instead of 25. I also want to have the ability to jump from one document to another without having to go through page by page. At least with the portfolio, all of the docs are organized nicely in one place.
    Do you have any suggestions on another way to do this?

  • DPF portfolio with fillable dependable pdf forms.

    Hi all!
    I have pdf portfolio with some fillable pdf forms in it. This portfolio is generated via LiveCycle services.
    All of these pdf forms have equivalent fields. For example: portfolio consists of pdfX, pdfY, pfdZ. And every pdf have fillable field "userName".
    And it is not convenient for a user to put the same data to every pdf form.
    User wants to put data only to the first one pdf. So, other pdf forms must be filled with data automatically.
    And, there is one restriction: user can't send portfilio back to the server, so all automated changes must be done on the client side.
    So, is there any way to solve such task?
    If there is, please describe some algorithm\strategy of how this can be done.

    Im a graphic designer turned web designer student. I dont know A LOT of flash, but im learning more as time goes by in and out of school. I currently redid my portfolio website, before it was more of a design taken into dreamweaver and uploaded. Now everything is not completely done, but im doing the site in flash.

    If your contact page is just 1 of the many pages in your site, I'll recommend you write it in HTML/PHP/JSP.
    There are many cases when Flash/AS is the efficient tool to get jobs done. But just my humble opinion, I think in this case you'll be more efficient to construct the contacts page with mark-up languages.
    Of course, it is possible to do it in Flash/AS and not difficult. I just have 1 question before I go off and try:
    When an user submits the form, how do you wish to receive it? As an email in your inbox? Store it in a database? Or elsewhere?

  • Combining forms while keeping values and not using portfolio

    I tried to combine three copies of the same form with unique information into one file in Acrobat XI. I was able to do so in previous versions. In XI, when I tried to do this, it would give all three forms the same information. It told me I had to make a portfolio. The portfolio method made a file that was too trippy to look at, one of my clients even sent it back and requested the individual files. Is there a way to combine copies of the same form and keep the unique values of each form such as turning off something or another tool or do I have to go back to n older version of Acrobat?

    How do i change autosave on pdf's. When fill out a pdf it autosaves it. I tryed writeprotecting the pdf but dident help.

    Looks like you would have to play around with the permissions to resolve this.
    1.In the PCD, where you find the Project Management and Portfolio Management folder, right click and open permissions, ensure you add the everyone group there and have the enduser checked.
    2. In the system administration-system configuration-system folder, check if you have any system created for the Project Management and Portfolio Management, right click and open the permissions, ensure you add the everyone group there and have the enduser checked.
    This should help resolve the issue with out the super admin role

  • 3D file not shown in PDF portfolio

    I created a 3D pdf, and the model shows up fine in this file. But when I insert this pdf into a PDF portfolio (using Acrobat X), it resuls in a blank file with nothing visible?! How can I fix this problem?

    In Acrobat X there is only one way to create a 3D PDF file, so without know your workflow it's difficult to comment.
    The cards in Acrobat X PDF Portfolios never show activated Rich Media content, only the poster image for the annotation. If there's no poster image, you will just see a blank space - the thing you see on the card isn't the PDF at all, it's an image snapshot rendered from the PDF, as is used to display the page thumbnails on the left sidebar.
    In Acrobat X, double-clicking on a card in layout mode will open the preview mode of the same card (bigger card against a black background, but still showing just the snapshot image). Double-clicking on that preview will finally open the file, or you can right-click on the card in layout mode to get there a bit faster. With the standard Acrobat X Portfolio layouts, interactive content, forms, etc. will only activate when the PDF is running in its own window, and not when it's being displayed as part of the Portfolio. In Acrobat 9, we didn't have preview mode, so double-clicking on a card in layout mode did actually open the file and activate the content straight away, in the same window (with the black Portfolio toolbar along the top to take you back to layout mode). In Acrobat X it doesn't.

  • Dynamic Header help in PDF Portfolio

    Need some help please, to create and load a Dynamic Header when creating a PDF Portfolio in LiveCycle ES2.  Have input parameter of a [name] and an [image file] to place in the Header.  Process flowing out of Assembler (PDF Generator).  Currently other PDFs being inserted within the Portfolio, and Navigation parameter being received ok, and setting up custom navigation.  Any help w/ creating Dynamic Header is very much appreciated.

    By "Dynamic Header" do you mean the PDF cover page, or the interactive portfolio navigator?
    If its the cover page then it should be a fairly easy thing to do.  You can create a form (XDP or PDF template) with a field for the name and one for the image.  Then you would use something like LC Forms or Form Data Integration to merge the data (image and name) with the template.
    The one thing you would have to do is to put the image and data into an XML format before you merge it with the form. That means you will need to convert the image to a base64 encoded format.  Fortunately there is a built in function for doing the conversion in a SetValue operation (its under Document Object Functions).
    If you are talking about the Navigator (portfolio shell) then it gets a bit more tricky.  The navigator is actually a Flex application and not a PDF.  You'll have to code a new one using Flash Builder, then import the resulting .nav file into your LiveCycle application. Merging the data with it is not something I've done before, but it should be possible (the LiveCycle Interactive Statement Solution Accelerator does something similar).
