Posting Period Authorization F_BKPF_BUP

Dear Expert,
I have scenario that every reporting following month (first week) we wanted to keep GL open for some GL accountant to post GL postings but block reporting period for all other users.
Example Reporting Period 04/2011 following month 05/2011

at the momement we have above setting which mean close reporting period. now how should set value which should be open reporting period GL only for selected uses?

Create the authorization object F_BKPF_BUP and and create the autorization group(ex 1000)assign to the required users with the help of BASIS
give yout tha variant
0011 + 04/2011 05/20111   05/2011 05/20111 1000(AuGr)
then posting period 04 and 05 is open for the spesified users and period 05 is open for all other users
remember only first set is for aut group, it wont work for second set

    Is there any chance to control the user to open and close another company code posting period variant in TCODE: S_ALR_87003642.
    In our system we are using the same client for different countries. So user can able to change the other country company code posting periods.
    We would like to control either on the country (or) organizational unit(company code) (or) posting period variant so that user can only open/close  their country / company code posting periods.
    Our present authorization role for open and close posting period contain the auth.Obj. : S_TABU_DIS.
    Please share your knowledge if you come across this problem..

  • Posting Period Authorization

    Hi All,
                On 1st of  every month we close the Previous moth Posting Period, so that No user can Add or Update any Documents which belongs to the previous month. But we had to give authorization to few managers to update.
                We tried to achieve this in this way:
                1. Previous month Posting period set to Closing Period
                2. Set Authorization to all users No Authorization for Period Status: Closing Period & Period Status: Unlocked Except Sales in Authorization window.
                3. And Set Posting Periods to NO Authorization in authorization window.
                       By Doing this should make all users who have got NO Authorization to Period Closing should not be allowed to  Update OR Add any Documents which belongs to Previous month.
                       But this is not happening. I am able to cancel the document and add the document in to previous month logging into the user who doesn't have authorizations to do so.
    Is there any other way to Achieve this.

    Check the solution as follows:
    dministration -> System Initialization -> Posting Periods
       1. The implications of different Posting Period Status.
    When Posting Period status is set as:
    Locked
    any data entry or journal entry will be disabled for all users.
    Unlocked
    data or journal entry can be done by any user in this period provided that General Authorization does not restrict the user from certain actions.The functionality is as the following combination of fields values 'Active'=Yes, 'Locked'=No from the previous versions.
    Unlocked Except Sales
    data and journal entry can be entered within all document types appplications and tools except any Sales document under (Sales - AR). The functionality is as the following combination of fields values 'Active = No, 'Locked'= No from the previous versions. Work under this period status is allowed only for those users who have assigned 'Full Authorization' in General Authorizations form -> General group -> Period Status: Unlocked Except Sales.
    Closing Period
    data and journal entry can be performed within all document types, applications and tools. Work under this period status is allowed only for those users who have assigned 'Full Authorization' in General Authorizations form -> General group -> Period Status: Period Closing.
    NOTE: The Period Indicator set for certain Posting Period does not influence on the possibility of entering data (marketing documents and journal entries).
    NOTE: When you log to a company after its upgrade from previous versions then SAP Business One checks for "Unlocked" and "Unlocked Except Sales" periods whether their 'To Date' are older than Actual System Date. If YES those period statuses are changed to "Period Closing".
    It is also possible to switch on / off this automatic update of periodstatus and also define a delay in days. For more details please refer to the 'Automatic change of period status' section.
       1. Automatic change of period status:
    Period status of just ended posting period (based on actual system date) should be automatically changed from "Unlocked" or "Unlocked Except Sales" to "Period Closing" after the very first log into the system in a new subsequent posting period (based on actual system date) when "Automatic Change of Period Status to 'Closing Period' " checkbox is checked and value in "Date When Automatic Change Is Applied" field equels 1 (what are actually their default settings after upgrade or when new company is created). However, if authorized user would change the period status back to "Unlocked" or "Unlocked Except Sales" from "Period Closing" and the system would be started again e.g. next day or simply in a few seconds later, automatic change would not be applied any more.
    User can decide to disable function of Automatic Change of Period Status by unchecking "Automatic Change of Period Status to 'Closing Period' " checkbox.
    User can also decide to execute automatic change on the second or later day in new period or even the period after by entering a new value in "Date When Automatic Change Is Applied" field on Posting Period. When the value = 1, the change is applied on the first or later day of new period depending on the first login into the system. When the value = 2, the change is applied on the second or later day depending on the first login into the system. Default value for new company and after upgrade is 1.
       1. "Posting Date To" field is disabled.
    When you try to add a new Posting Period, SAP Business One offers the next free year which has not been defined yet. For example, when you have already defined Posting Period for 2006 year and then you want to add a new one, SAP Business One proposes you the next 2007 year (in Administration -> System Initialization -> Posting Periods -> orange arrow callingparticular posting period form -> 'Dates From... To' fields) automatically. Moreover, when you want to add a not annual period (e.g. quarter, month, etc.) then even if the "Posting Date To" field is disabled and has wrong value in process of adding, after the period is created the value of the field "Posting Date To" is recalculated and changed to correct date (usually end of the year).
       1. When any data or journal entry is being created behind some system document (exactly when a user tries to add the document), SAP Business One checks whether the entered date value in 'Posting Date' field fits any defined posting period. If NOT i.e. there is no posting period defined coveringthe entered Posting Date, the following system error message will appear as a pop-up: 'Posting Date deviates from the defined range. To complete the action, define posting period matching the entered Posting Date.'
       2. When deleting Posting Periods (by sub-periods) SAP Business One checks whether there is no data entered within the particular period, additionally SAP Business One checks if at least one very last posting sub-period remains defined in the database. If not, the deletion will not be allowed under any circumstances. As part of this restriction, the following system error message will appear for the user: 'Cannot remove the last period'.
    it is from SAP note 1050246. if not resolve, log a message to SAP support or upgrade the PL version from 10 to 13.

    In our company we want to restrict normal users to present period only. (in FI).
    we are having now two user groups core and normal. for core group both periods should be open. for normal users only have access for current period.

    Hello,
    You need to create a single role with whatever transactions you would like the users to proceed.
    When you assign the users in the role, you assign for the period you would like. Once that period is over, no use is able to transact with those transaction codes.
    Whenever, you make the changes to users in role, you need to do the user comparison, then only the profile get generated in the user masters.
    Please discuss this with your security team with your requirement.

    If only a limited set of users is to be able to post in a particular
    posting period, proceed as follows:
    Add the posting period authorization (authorization object
    F_BKPF_BUP) to the authorizations of the selected users. Assign an
    authorization group (e.g. '0001').
    Enter the account type '+' for the posting period variant to which
    the restriction is to apply. Enter the period(s) whose use is to be restricted in the first period, those which are available to all
    users in the second period, and the authorization group (e.g.
    '0001') in the last column.
    For this you need to consult with Basis people authorization matrix.

  • Assign posting periods to authorization group in tcode S_ARL_87003642

    Hello,
    I want to restrict posting periods for some users. Therefore, I have created 2 functions associated to 2 authorization groups.
    In transaction S_ARL_87003642, when I try to assign different posting periods to each authorization group to the same company code (Posting Period Variant) it appears a message saying u2018Target key must be different from source keyu2019.
    What am I doing wrong? Do you know how can I restrict posting periods for some users?

    You simply have to define authorisation groups in OB52 and assign this group to F_bkpf_bup in SU01 against user proflie as desired. Take basis help.

  • Authorization for opening & Closing posting periods - OB52

    Hi,
    Is there any way to set authorization for opening & closing of posting periods in OB52?
    My scenario:
    I have 2 company codes - A & B assigned to 2 different posting period variant - say PPA & PPB.
    The user belonging to CoCd A should not be able to open/close posting period of CoCd B and vice versa.
    Is this possible through any authorization settings?

    Please go through the following:
    You can assign authorization groups for permitted posting periods. This means that, for example, some posting periods can only be opened for particular users within monthly or annual closing. You can only assign the authorization group at document header level and it only affects period 1. The authorization object is called F_BKPF_BUP (Accounting document: Authorizations for posting periods). Read the corresponding chapter on "User maintenance" in the "Assigning authorizations" topic.
    "User maintenance"
    Due to the modular authorization concept of the system, you can define authorization profiles which are tailored to the workplace of your employees. You can, for example, assign authorization to a workplace in the Accounts Receivable, Accounts Payable or General Ledger Accounting areas.
    By assigning authorizations you define which business-related objects your employees are allowed to process and which editing functions are allowed.
    In the following activities for authorization management, you must carry out the following for employees who are to work with the system:
    Assign authorizations
    The authorizations are assigned by specifying permitted values for the pre-defined objects.
    Define profiles
    In the SAP system, authorizations are grouped together in workplace profiles. Therefore one or more profiles must be allocated to the individual employee in the master record.

  • Posting period variant authorization

    We have a issue with posting period variant authorization. Say for example we have 4 company code and 4 posting period variants and we want to restrict one particular user should have authorization to open and close for one posting period variant only. Because mistake other company posting periods are getting opened. so as we have one posting period variant for one company, we want to restict one particular user responsible for one particular posting period variant not for all OB52 transaction code. Please advise how to achieve this.....

                 is it possible to give authorization to only one user for postings for the previous months. where as my requirement is I need to unlock previous months posting periods, so that one user will login into XXX userid and he will start postings in to previous months.     Do Authorization for Closing Period under General Authorization.
    Give full autho to that particular user who going to do postdated entry.

  • Profit Center-wise authorization for posting period

    I have two profit centers - 1000 and 2000 under company code A001. Now management requires that posting in different must be restricted separately. For ex: Profit center 1000 needs more time for closing. Hence Profit Center 2000 must be closed in OB52 even though Profit center 1000 is opened.
    Posting period variant assigned to company code: A001 is 1100.
    Now in OB52, i gave
    Variant:1100
    Account type: +
    GL Accounts: 1000000 (from account) 99999999 (to account)
    From period 1/2011 to 2/2011
    Authorization group: 1000
    But how to link (add / remove) user id to that authorization group. Please help

    I'm using new GL and i've activated the Profit Center cenarios. However, the profit centers filled at the GL items aren't transferred for the FAGLFLEXA / FAGLFLEXT tables.
    Do you know why isn't the FAGLFLEXA / FAGLFLEXT  filled?
    Additionally i'm using the transaction F.5D and 1KEK to transfer information at the GL items for the GLPCA / GLPCT tables. Why aren't this information transferred online?

  • OB52 close posting periods

    All,
    Our finance people use transaction OB52 to close posting periods. This transaction very well might not be the correct one for my users to use. But  there is no way to restrict this transaction by company code. I checked the available objects to switch in SU24. Basically our finance people have verbal instructions to not close periods for other comapny codes although they have authorization to do so.
    Does anyone know 1) if OB52 is the correct transaction to use and 2) how we can restrict this transaction by company code?

    It is "stuck" in the IMG and has an equally meaningless description. Useless for a "normal" menu.
    If you use the BUKRS field for S_TABU_LIN then it will have major consequences. Please be carefull of it.
    F_BKPF_BUP-BEGRU is the correct approach (giving you also the option of maintaining and posting to account types and individual accounts).
    From my experience a user with such access to OB52, can post anyway to the same KOART and then close it.

    Can any one suggest me the way to maintain authorization group in such a way that i can close the Financial period for all my sites accept the head office and certain users can post the entries but no one else can make the entry for that date from head office.

    The authorization object F_BKPF_BUP (accounting document: Authorization for posting periods) from posting in periods which are only open for time period 1.
    How this can be used is, usually you have Senior Accountants and Managers. If your manager needs to open the previous month book to post some rectification entries, in this case the Senior accountants also allowed to use the previous posting period if there is no authorization object is assigned particularly.
    But by assigning the above said authorization object to Senior Accountants, he is authorized only for the periods which is mentioned in that Period 1 coloumn and the Period 2 will be locked to him, any changes for the previous periods, special periods all will be available only to the persons who is not restricted.

    Open and Close Posting Periods
    In this activity, you can specify which periods are open for posting for each variant. You have two time intervals (time period 1 and time period 2). In each interval, specify a period lower limit, a period upper limit, and the fiscal year.
    You close a period by selecting the period specifications so that the period to be closed does not fall within them.
    You can also assign authorization groups for permitted posting periods. This means that in month-end or year-end closing for example, you can open some posting periods for specific users only. The authorization group only has an effect on time period 1. The authorization object is F_BKPF_BUP (Accounting document: Authorizations for posting periods). For more information about assigning authorizations, see the corresponding section for User Maintenance.
    Note
    Specify G/L account numbers for your specifications. You define the permitted posting periods for the subledger accounting accounts using the relevant reconciliation accounts. To do this, specify the account type for the subledger accounting, such as D or K, and the relevant reconciliation account.
    Caution
    There must be a minimum entry for each variant. This entry must have + in column K, and the columns From Account and To Account must not contain entries. In the columns for the posting periods, specify the periods you want to always be open in this variant. With further entries, you define more specifically which periods are to be open for which accounts.
    Activities
    1. Specify the periods permitted for posting.
    2. First enter the periods permitted for posting for all variants (minimum entry).
    3. Then add entries for account types or account areas if the periods are to be further restricted for specific accounts.
    4. In addition, enter an authorization group for each time period 1 in order to limit user access.

    Can someone help me in restricting posting period to only a limited number of users?
    Currently OB52 settings look like below:

    My requirement is:
    I want to only few users to post in the 7th period and all others to post in the 8th period.

    I have added F_BKPF_BUP object manually in the test role and assigned 0002 auth group in it.
    I have created auth group 0002 and assigned table T001B in SE54.
    Auth group 0002 is then assigned in the OB52 at the last column. This should restrict the posting for period 1 which i need to restrict for some users.
    Now as per the logic, if we dont assign any auth group, users should not be able to post for that period. But in my case user is able to post successfully via F-02.
    Please help me as we need to implement this before month end.
