PR item Release with Workflow

Hi All,
If anybody has worked on PR item release with Work-flow please share the process ...i know how to set up the PR release strategy but not aware of Work-flow setting...If anybody has the document please share......
I searched a lot in the Forum...but not getting the correct information..

Hi John,
The standard workflow template provided by SAP for PR Release item level is WS00000038. You can view workflow in transaction SWDD. You need to activate this template in basic data from u201Cstart eventsu201D tab.
In order to send notification mails from SAP to other services, such as Outlook, Lotus Notes etc, you need to configure SCOT.

    Hello All,
    Users have created purchase order and then submitted for release using workflow. And later at they deleted the PO.  The Manager now has a notification in his Business Workplace Inbox asking him to release the purchase order but he can't release it since it is deleted and he can't delete the notification since he hasn't activated it.
    standard delete and resubmit options are greyed out and not available in the inbox.
    Now How to delete this notification in his inbox.
    Any help will be appreciated a lot.

    For mail facility, you need to activate workflow for PO release procedure;
    Go to SPRO > MM > Purchasing > Purchase Order > Release Procedure for Purchase Orders > Define Release Procedure for Purchase Orders > Release Codes > here assign Workflow indicator as "1" against each Release Code
    Now come to SPRO > MM > Purchasing > Purchase Order > Release Procedure for Purchase Orders > Define Release Procedure for Purchase Orders > Workflow > Here against each release code assign OT as US and respective User ID's for Release Codes.
    Now Go to OOCU > here under MM, go to MM-PUR,
    Now click on "activate event linking"
    Here open "WS 20000075" and for BUS2012 RELEASESTEPCREATED, click on Detailed view button
    Here activate "Event linkage activated" and also activate "Enable usage of event queue"
    and Save data.
    Same way and click on "Assign agents" and proceed all above steps.
    Now create a PO and check the SBWP for SAP Mail of respective Users

  • Workflow for Requisition item Release

    Hi All,
    I need to create a workflow for Requisition item Release but I wish to receive one  work item for the whole requisition and not for each item
    and the method of the task will be collective release (leads to me55) so that the user can choose which item to release. Is that possible?

    Hi All,
    I think i found the answer but i need help to do it.
    Every time a work item is created, the system needs to check if there is another work item with the same Requisition No. and same release code in status=ready.
    If not, it will send the work item.
    result:
    The first work item (first line in Requisition) will be sent, and as for the others (other lines in Requisition), as long as there is no work item with the same Requisition No. and same release code in status 'ready' the system will send it.
    Anybody can help me?

  • Purchase Order Release Strategy with Workflow

    Hello Experts
       In activity Release Codes workflow column has 3 options.
    (1) Blank  =  No workflow
    (2) 1  =  Role resolution with group, code and plant
    (3) 2  =  Role resolution via user exit
    Can any one explaing in detail what is difference between option (2) & (3)?

    The difference is obvious. In option 2 your workflow will decide the approver based on Release Group, Code and workflow object assignment. In case of option 3, your workflow will decided the approver based on the rules coded in User-exit.

  • Release Strategy with Workflow for PR & PO

    Hi Experts,
    I have configured the PR & PO Release strategy and it is working fine. My client wants the Workflow concept in Releases.
    So User should get the information about the releases for PR & PO.
    But I don't have much idea on Workflow, how it works for Release strategy. Can anybody give information on how to configure the Release strategy with Workflow in PR & PO.

    Hi Swamy,
    The release workflow is configured by MM functional consultant. As for the workflow determination (i.e. which level should approve first and so forth) depends solely/mainly on the Finance of the company. It differs from one company to another. And the level of approval also differ from one company to another. Hence, like you mentioned, this would be provided by the user, so it is okay. I have replied to someone on another thread asking about workflow, and this is how it works.
    How it works? For example, for a PR release strategy, once the PR is raised by a user for a certain value, the PR raised that matched the classification of the release strategy configured will be triggered. In this sense, once the release strategy is triggered, the releaser holding the release code to release this PR will receive a workflow in their SAP inbox (Not Outlook) for their execution, which is sent automatically by SAP system. These is accessible via the t-code SBWP. Each releaser have a unique login ID and password.
    Assuming the release strategy required 3 levels of release, for example A3, A2 and finally A1 (final release), A3 will first receive this workflow in his/her inbox. After A3 has released, A2 will subsequently receive workflow in his/her inbox for this same PR. In the PR, you will be able to see that A2 release is now possible. This flow will continue until the final releaser, A1 and then, the status of the PR will be unblocked for issuance of PO.
    How is it configured in SPRO? In the Workflow for PR release strategy, you are able to assign a unique ID (usually employee ID) to a particular release code, which these release codes are tied to one or more release strategies. The workflow determines who is to release for a release strategy with that particular release code via the assignment of the ID to that particular release code. Each assignment is only possible for one Plant, and you have to assign the same for many other Plants for the same ID in the workflow if you want him/her to have the authority to release purchasing docs in more than one Plant.
    How to configure?
    Before that, you need to obtain the following information - User ID of the releaser for the specified release code, Plant to be released by the user, and finally of course the Group and Release code (which you already have).
    For PR: IMG>MM>Purchasing>Purchase Requisition>Release Procedure>Procedure with Classification>Set Up Procedure with Classification-->Workflow
    For PO: IMG>MM>Purchasing>Purchase Order>Release Procedure for Purchase Orders>Define Release Procedure for Purchase Orders>Workflow.
    Maintain the details u already have in hand:
    For PR: Group (PR or PO), Code (release code), Plant (you have to maintain the same details for each of the Plant that the same release code releases) Object (US) and Agent ID (the user's ID used to login to SAP system and SBWP).
    For PO: Group (PR or PO), Code (release code), Object (US) and Agent ID (the user's ID used to login to SAP system and SBWP).
    Please note that PO is not Plant specific, and is usually one releaser to release the PO for GR. It is the PR that during the initial stage has the most level of release (up to max. 8 level) before a PR can be converted to PO.  After the PO is converted, it is usually deemed accepted, hence only one release code is usually required to release the PO.
    Hope this will give you an idea how the workflow works and how to configure it.

  • Oracle Files with Workflow in OCS release 2

    I am trying to configure email notification in the Workflow that comes with OCS release 2. Refering to Oracle Files Admin Guide, page 7-10, it says that I should conifgure sendmail to be used. I want to use OCS mail. Can this be done?
    In fact, I need this to be done this way cos SendMail is turned off. My mid tier, calendar, Files, Mail, is sitted on a single server.

    Files R2 integrates with Workflow 2.6.2. I believe Workflow 2.6.2 on UNIX requires Sendmail to be configured, but they support other mailers through UNIX gateways. Please refer to the Oracle Workflow Guide for more details.

  • Send Email with Contents of List Item (not from workflow)

    End users have requested the capability to email a single list item, with all its data (by which they mean the data they see in their view), to an address to be entered on the fly. In other words, they want an option in the ECB or ribbon where
    they would fill in a box with an email address (not necessarily a SharePoint user) and the contents of the selected list item would be sent out by the portals email, which is already configured.
    My searching has found similar solutions involving workflows, but nothing in the way of an 'on-demand' type of process. If this is something that needs to be developed, I am not afraid to jump in, but am hoping there might be something I can leverage already
    in place.
    I would appreciate any ideas on this.

    Hi Echo Train,
    I would still look at using a Workflow for this. Easiest option to setup and maintain, and
    you can still enter an email (or multiple emails) on demand.
    For the List Workflow click on Initiation Parameters and add one with
    Field name of Email for example.
    Description (something like): "Please enter the email(s) you wish to send the list item information. Separate each email with a semi colon ;"
    Information type: Single line of text
    Default value: leave it blank
    Next add a Send an Email action with the following settings:
    To: Select from existing Users and Groups > Workflow Lookup for a User...
    > Data source: Workflow Variables and Parameters
    > Field from source: Parameter: Email
    > Return field as: As String
    Then setup your Subject and Body using the Fields from the Current List Item
    Save the Workflow then go back into the Workflow settings and ensure that: Allow this workflow to be manually started is the only option selected.
    Publish the workflow and your users should now be able to click on the Workflow with the ability to enter one or more emails.
    There are other options apart from using a Workflow such as setting up an Action with some ECMA script, but much more difficult to create and maintain, which in this instance I would still opt for the Workflow solution.

  • Oracle UCM Release Date - Workflow

    In Oracle UCM the release date is shown at the date and time the content enters workflow. Is there an easy way to update the release date field with the date that the content is approved?. I am trying to report on the date that the content item was approved in the workflow, not when it entered the workflow.
    Does anyone know of an easy way to do this. Is there any way in workflow to write out to a custom metadata field the date and time the content was approved?

    What you're probably seeing is actually "dInDate" rather than "dReleaseDate".
    On the content info page the revisions table at the bottom has an (intentionally) mislabled column called "release date" that actually displays dInDate
    dInDate is when the content item was submitted.
    dReleaseDate is when the content item is released from all the workflow processing and indexing into the general collection.
    It is possible to have dReleaseDate set during workflow but only if you set wfReleaseDocument=1 in the workflow script(s).
    So report on dReleaseDate and ignore what's in the revisions table.
    Out of the box, UCM keeps dInDate as the date that you checked in the file. However, we have a product, "Workflow Solution Set" that updates the dInDate to the date that the item is released from workflow and thereby shows up in the revisions table and any other reports as the time the doc was actually approved for consumption.     FYI: you can see what is getting loaded in that table by appending "&IsJava=1" to the URL and taking a look at the REVISION_HISTORY result set.

  • Purchase rquisition release strategy workflow

    Hi,
           I am very new to workflow. My requirement is that after creating purchase requisition when i click on the save button it should go for approval. This is for item release. if purchase requisition has three items. each item has diferent amount. If the amount is less than or equal to 100 it should go to P1's( ie, Manager1) inbox for approval. if the amount is greater than 100 and less than 10000 it should go to P2's( ie, Manager2) inbox for approval and if the amount is >10000 then should go to P3's(ie,  Manager3) inbox for approval. Can anyone please explain me how to do, where do i start please.. its an urgent requirement. please help me. i will reward u.

    please follow the below steps.
    1. Go to swo1 and create new custom BOR based on BUS2105 and create one event name as "Create" then delegate the custom BOR to super type.
    2. Goto SWEC and link your BOR and change document.
    3. Then use the BOR2105 in your basic data of WF with create event.
    4. Then create a Function module rule in PFAC transaction based on your condition.
    5. In your work fow create a "User decision" step type and then give the rule number here.
    So at runtime based on your condition the work item will goes to respective agents.
    Im not explian elobrate here. Any way if you have any douts let me know.

    My requirement is to configure \ use existing Workflow template to fulfill following requirments.
    As soon as PR is being created , it should be email ( outlook) to the first release authorty. when first release authority relase it , If approved then email(outlook) to next release authority  and if fail then email to requisitioner back.
    is there  any standard workflow that meet such arequirment.
    what steps need to done for Outlook email integration with SAP.

    there are couple of things.
    i am using  WS00000389 ( standard workflow PR - item level release ( with classification ) .  Business Object BUS2009.  I copied this workflow and worked on it. At first it was not running because element  Release Code ( Workflow containter )  > display . it is linked \ taken from ABAP Dic. Reference  Structure  RM06B   Filed FRGAB .  further  this is linked with table    T16IE.  finally i conclude this is the table of Relase codes  but  for Release Procedure withOut Classification  , whether i am thinking this release code should be linked with  Release code with classifcation. Table name V_T16FC .  
    what is the scene behind.
    to run this  in  Se11 , table  T161E, i put the required relase codes .  then it started working.
    but  i think is incorrect . May be i should link it with correctly. but i dont know the correct structre\table. or there is something else.
    Secondly . there are three Relase codes in my PR. as soon as workflow triggers ( Workflow > Basic data > Start Events>  rlease step created ) .  workflow sends the Pr information to the three release codes. whether i think , at first it should send the information to first PR Approver ( first relae code ), if he\she approved it , then it should be forwarded to next PR Approver Inbox. and so on.
    How we can achieve this.

    We have a Purchase Release strategy with workflow. We have an Issue with workflow lying with a approver. Sice the approver is on vacation, is there any way to forward the work item to another user or to automate such scenatio in SAP?

    The concern here is we have the release strategies already defined & in the normal cases we don't want either User1 or User2 to approve the workitem. We want User1 to approve all the requests. Only in case of exemption, we want to have alternate user to action the request.

  • Adding item positions with reference to contract in sales order

    Hi all,
    I would be very grateful if some of you could help on this:
    I have a requirement to add lines with reference to a contract while the user is creating or modificating it via VA01 or VA02. The logic flow will be as follows:
    if the user enters a new item position with reference to a contract, and the qty entered exceeds the qty in the position selected of the contract, we have to skip the standard error message and try to spli the quantities in several positions with the same material in the contract.
    As an example:
    the contract 000000000001 has 5 lines:
    line     material       qty
    01       mat1           100
    02       mat1           50
    03       mat1           50
    04       mat2           n/a
    05       mat2           n/a
    if the user picks up the line 02 of the contract to create a new line in the sales order, and enters 180 as qty, the sap standard will raise an error, saying the qty has exceeded the contract qty. Ok, we have to skip that error (maybe could we set it as a warning??) and 'split' the qty as follows:
    in the sales orders, 3 lines will be created automatically
    line    material     qty
         mat1         100
         mat1         50
         mat1         30
    and of course, the released quantities in the contract must be updated: i.e the contract should be as follows:
    line     material       available qty
    01       mat1           0
    02       mat1           0
    03       mat1           20
    Any ideas? : )
    What i've done by the moment is to check is that 'split' is possible, in userexit_save_document. If not (e.g. if the user enters 220 for mat1 in the previous example), a custom error will appear. If it is possible, then the sales order will be created (only with the line the uswer entered) and I will trigger somehow a FM processed in background to modify the sales order.
    my question now is: how can i add lines to the created sales order, making reference to some contract lines?
    I've seen BAPI BAPI_SALESORDER_CREATEFROMDAT2 is used to create a document with reference, but can i use it to MODIFY an existing sales order?
    any help would be greatly appreciated.

    Hello,
    there's a function module called 'BAPI_SALESORDER_CHANGE', which could change a sales order. The problem could be,that these BAPI's enque the salesorder. So if you start them in background via an userexit, you have to be sure that the salesorder is updated and dequeued by posting.
    An other way could be to use the exit 'userexit_check_vbap' in MV45AFZB. It's called after creating a new position or changing a position. All existing positions at that time in a internal table 'XVBAP', which you could change. (But be carefull, that you don't create an endless loop !).  
    The check about the contract quantity is in a form routine called 'vbep-wmeng_pruefen_folgebeleg(sapfv45e)'.
    Have a look into the form 'vbap_pruefen_ende' in FV45PFAP_VBAP_PRUEFEN_ENDE. There's the whole thing done including the call of the userexit.

    I have to setup a workflow using Oracle Databse Server 8.1.7, Oracle 9i Application Server 1.0.2.2.1 and Workflow 2.6 on Windows 2000 Advanced Server.

    When I push the button "Send Document" to attach a document, the new browser window shows :
    "The page cannot be found". The url is like this: http://orc9:7778/jbc/aol/Oasjbc?template=dm_create.htm ...
    Does anyone know what is missing or wrong configured here?
    Which Document Management software can be used together with Workflow in order to be able to attach documents to items?
    Can Internet File System be used here?

    The existing document management feature in Workflow is reserved for future use. If you want to use iFS and Oracle Workflow together, there is a technical whitepaper available on OTN. Navigate OTN:Products:Oracle Internet File System->Technical Information.

  • Can't use "Copy Finder Items" after "Run Workflow"

    Create a simple Automator workflow:
    Set just 1 action "Create Thumbnail Images" and save it. I called it "wf1.workflow".
    Now create the second workflow with 3 actions:
    "Get Specified Finder Items" action (choose an image file here).
    ->
    "Run Workflow" action (specify "wf1.workflow" as a workflow, select "Return workflow results", check "Wait for workflow to finish").
    ->
    "Copy Finder Items" (specify any location)
    Now run the workflow. Everytime I get an error.
    The log:
    Get Specified Finder Items completed;
    Run Workflow (wf1) completed;
    Copy Finder Items failed
    * -[NSAppleEventDescriptor count]: unrecognized selector sent to instance 0x113185d0
    The same workflow works fine in Tiger, so I think there is a bug in Leopard Automator.
    Am I right? Is there any workaround?

    I can confirm I got the same results for the workflow, just don't know why as of yet. And then I somehow got it to work.
    I checked the results for each action and they didn't seem unusual. The results of "Get Specified Finder Items" is a single parenthesized text string representing the file's path. The results of "Copy Finder Items" is an alias, but that should be okay.
    So, deleted the thumbnail from the first run, and then ran the workflow again. It got stuck on "Run Workflow" and hung for a while. So I stopped it and removed "Run Workflow", and then added it in again. Presto! It worked, sort of. It didn't copy the thumbnail, instead it copied the original file. I'd forgotten to reset it to "Return workflow results". So, it seems to be something to do with returning the workflow results instead of the action input.
    I'm going to do some more testing.

  • Restrict editing/deleting item when approval workflow is in progress

    I have a list for contributors to submit documents and activate an approval workflow. The requirement is to restrict all users from editing and deleting the document once the workflow is activated. After the workflow is completed, if the document
    is approved, all users also should not be able to edit/delete the item; if the document is rejected, users should regain the permission to edit/delete the item.
    I had no problem with restricting edit/delete permission after the document is approved by adding a Declare Record action after the content approval status is set to approved in SPD.
    However, the workflow was not able to complete when I added a Declare Record action in the "When the Task Process Starts" step and an Undeclare Record action in the very beginning of the "When the task process completes" step to restrict users from editing/deleting
    the item when the workflow is in progress.
    After I activated the workflow and approved the item, the Workflow status shows Approved but the Approval status still shows Pending. In addition, the "Approval Workflow Task is complete" (shown in the following image) is missing in the workflow history,
    which seems to me that the workflow task is never completed.
    Please advise me the proper way to restrict users from editing/deleting the document while the workflow is in progress. Thank you.
