Prevent Windows Search from indexing PST contents in Outlook

Running Windows 8.1 with Windows Search, and Office 2013 with more that 20GB in more than 10 PSTs and OSTs, searching becomes very slow after indexing everything. Reindexing has no change. If I exclude Outlook it's very fast.
There is an option in Outlook search ribbon -> Search Tools -> Locations to search. I removed most of the PSTs (accounting for 75% of the contents), but still ALL PSTs and OSTs get indexed (although they won't be searched).
This makes using Windows Search nearly impossible (e.g. searching using the charm thing takes 30 seconds).
How can I have Windows Search index ONLY the PSTs and OSTs that I specifically want?
Is there any configuration, registry stuff or programatic workaround to exclude from indexing (not searching)?
Thank you.

Hi,
Still, as mentioned above, I don't have such a method to choose which to be included in Indexing and which to be excluded.
The only thing that I find which is close to your request is this:
If the method above isn't helpful in your scenario(as you mentioned), you can try some 3rd-party tools/add-ins to realize a new search function which may meet your request.

Is it possible to use windows search as a regular search tool; so without the indexing part? I tried some non microsoft tools, i read this article

So my question; how can i find my files when they are not yet indexed(just like the old search companion did)

Rob.Ford's response (currently marked as an answer) is not the answer.
The answer is, Windows Explorer and the Search service will never find things you are looking for unless you know in advance that you want them to be found. There is however a few commands that you can use to find things in a Windows file system. The answer

  • Preventing windows XP from logging into Load Balancer

With Windows XP support essentially ended earlier this year, I was wondering if there was a way to prevent a computer running XP from logging into my hosted environment via RDP (Terminal Services 2008R2) protocol. Let's say for example that someone has a
windows XP machine compromised with a key logger...I would need a way to prevent that computer from logging into my environment.
I've looked at trying to get a GPO to block RDP Client settings based on protocol however XP and Vista share the same V7 RDP protocol.
    Any Suggestions?

    Hi,
Thank you for posting in Windows Server Forum.
From your description it seems that you want to block particular windows XP computer to access the RDS Server. If this is the case, then you can do following different steps.
You can configure RD Gateway with RD CAP and RD RAP policy to control the access from computers and users and force the computer to use the RD Gateway setting.
The other one, you can filter traffic in your router or firewall to deny traffic to the terminal server from certain ports or IP addresses. (Quoted form below thread).
    More information.

when I am reading a site I have Googled, Yahoo replaces the page with its own and gives me a search page much like Google's. • Preventing Windows 7 From Automatically Shutting Down

    Hi there,
I am transferring a large amount of data and need to leave the PC on overnight. I believe I have configured Windows so that automatic restarts for updates are disabled, yet the PC still sometimes shuts down when left on for long periods.
Any advice on how to prevent automatic shutdowns is hugely appreciated.
    Many thanks...

If your computer is actually shutting down and not going into sleep mode then you probably need to look in task scheduler and see if there is a task that launches "C:\Windows\System32\shutdown.exe" at some scheduled time.
If the PC is actually just going into sleep mode then use Control Panel to alter your power plan in System and Security, power options.
It may even be possible that the BIOS has a setting for your PC to turn off at some point. Although I doubt that but would check the BIOS settings.

  • SG 300 seems to be preventing Windows systems from get an IP via Windows server DHCP

All the basics from the server are working and have been for years. I would appreciate not being asked to check the basics as "is the DHCP server registered".
There seems to be an issue where the VLAN is preventing DHCP from working. I have also read that MAC addresses don't get registered until there is a write. The issue also seems to roam. It affects different PC's at different times. I had this issue with this switch approximately a year ago.
Can I at least get some direction until I can post the firmware version and config. Its a busy small business and this issue is extremely unpredictable.
    Thank you

    Hi
check if you have DHCP snooping disabled (at least try to turn it off and see if it helps)
check if you are running Rapid version of STP protocol
check if all ports toward end-user devices are configured as spanning-tree portfast ports. if you are not use portfast, your port transition to forwarding state could takes longer time resulted that all DHCP discover packets from client will be just dropped on switchport site until port transits to forwarding state.

  • Why is Firefox preventing Windows 7 from shutting down? I must force quit.

When I try to shut down Win7 (Home Premium) , Firefox hangs and must be manually force quit. If I close Firefox before shudown, there is no issue. There are no warnings when I open or close Firefox (3.6.8).

I have the same problem. I run 3 different PCs, all with Windows 7 x64, FireFox 9 in all cases and on all systems this problem happens. When I shutdown Windows while FF is still running, FireFox will hang up and it has to be force closed. When I exit FF before shutting windows down, no problems occur.

I just did a fresh installation on a reformatted hard drive of Windows 7 SP1 x64 Ultimate and iTunes 11.04. When iTunes is running, the computer will not go to sleep (aka standby). I've enabled many of the networking features of iTunes (Remote, Home Sharing, etc.), so I guess the next step in troubleshooting is to disable these one at a time. Has anyone else already done this? Any ideas where to begin?

  • New WRT610Nv2 router preventing Windows Update from functioning properly

I have installed my new WRT610Nv2 router and everything is great except 1 thing. It does not allow Windows Vista Update to run successfully. The update process runs automatically, identifies the updates, but gives an Error Code 646 after it appears to run through the whole process. Even after my PC security and the Router Firewall are completely disabled, the update process is not able to complete successfully. I have since manually downloaded the updates and installed them, but I want to avoid doing this for every update.
What do I need to configure on my router to allow the Windows Update process to complete automatically.

Yes, I have completely disabled my firewall and security software on my PC and tried it. All my updates worked cleanly up until I installed the router. I use Norton Internet Security v17, and I my ISP is Rogers via cable.
Its difficult to pinpoint because Windows Update was able to scan my PC and determine which updates were needed (This would not happen with my firewall enabled), and the 3 updates appeared to run straight through to the end. I will try the laptop (wireless) but its still running XP.
I figure that there is some option on the router that I have not set that is interfering in the process. I installed the updates manually so at this point all I can do is wait until the next set of patches to recreate the problem.

  • Prevent Ctrl-W from closing Full Acrobat Search window

When I do a Full Acorbat Search on a folder tree, it can take quite some time for all the hits to be found, and quite some time to work through the hits.  Usually, multiple PDF files are opened as I work through the hits.  As I close the PDFs with ctrl-W, it is very easy to accidentally close the Full Acrobat Search window, which means waiting forever to re-do the search and find my way to my current spot in the list of hits.  I find it highly inappropriate for ctrl-W to close the Full Acrobat Search window in the same way that it closes PDF files.  It is especially risky in Windows 7, where the window frames are translucent and the window with the focus is highlighted in a way that makes it very difficult to distinguish from the windows without the focus.
Is there a way to prevent ctrl-W from closing the Full Acrobat Search window?  I am using Acrobat Professional 8.

    Thanks, Dave.
I'm finding other inconsistent behaviour that is exacerbating the problem. If I close the last PDF file with ctrl-W, the search window stays open.  If I close the last PDF file from the task bar, boom, the search window gets clobbered too, which entails another lengthy re-search.

  • Content searching fails, indexing yields empty or nonexistent index files

If I remove the content index by issuing these commands in succession: "sudo mdutil -i off /" and "sudo mdutil -E /", then turn indexing back on with "sudo mdutil -i on /", the needed index files in /.Spotlight-V100 are either empty or nonexistent (sometimes an empty ContentIndex.db file is created), and Spotlight searching by content yields no results.
I posted a similar message previously, but it was at the end of another topic, and the problem remains unsolved with the 10.4.5 update. I'm still looking for an answer. One partly effective workaround is to force updating of the index with this command:
    sudo mdimport -f /
That doesn't allow index updating to occur incrementally and it doesn't prevent the indexing attempt from occurring again after each login, though.
I've already tried reinstalling the 10.4.4 and 10.4.5 combo updates after performing an archive and install of 10.4.3. I did retain users and network settings when installing. I've tried everything I've been able to find in the Spotlight topic on these forums as well. I can turn off indexing with the "sudo mdutil -i off /" command on each volume and delete the "/.Spotlight-V100" folder and it's contents using "rm -ri" on each volume. After restarting and turning indexing back on, each time I start up again or switch users the Spotlight menu contents change from search field to indeterminate progress bar often displaying other volumes but always finally displaying my internal boot drive as the target of the indexing process with the phrase "Calculating time" underneath. If I watch the progress bar long enough, the contents of the window will change directly from the indeterminate progress bar to the normal Spotlight search entry field. No crash is reported. Here's a snippet from the Terminal showing results of the listing for the pertinent folder on the internal boot volume as well as on an external volume. The following is the terminal session excerpt containing the output of commands issued after the indexing process gave up.

    PARTIAL ANSWER
The problem was a file in /Library/Preferences called com.apple.metadata.mdserver.plist
Its entire contents existed of a single boolean in the Root dictionary: EnableSniffing: No

    <!DOCTYPE plist PUBLIC "-//Apple Computer//DTD PLIST 1.0//EN" "http://www.apple.com/DTDs/PropertyList-1.0.dtd">

    <dict>
    <key>EnableSniffing</key>
    <false/>

I'm assuming a user defaults command issued by some application resulted in the generation of this file, but I need to do more research.

  • How do I stop Windows 7 from searching hidden files and folders

In XP it was simple with the intuitive Advanced Search Options.
Even if you enable "Don't show Hidden Files and Folders" in Windows 7, they still show up in the search menu.  A similar post included a suggestion by a support dude to post a question here.  I've searched for every possible solution and yet something so simple appears to be non existent.  Has Microsoft just lost its mind with omitting this feature?  Is this something that will never be solved?  Indexed or not, hidden files and folders still appear in Search.
    Thanks

what have you setup in Explorer->Organize->Folder & Search Options?
Don't show hidden and Hide: Empty, Protected, etc. all ticked
if you have at some stage indexed all those system folders, and subsquently removed those from the index scope, then you may need to rebuild the index so those results are not presented by searches?
i've assumed that you are getting things like \windows included, and this seems to be typical. perhaps because some common tools like notepad, wordpad etc reside in those folders.
have you checked out the Indexing Options?
from memory, "don't show hidden & system" really only obscures the stuff when you're browsing in explorer. the indexing engine doesn't respect that kind of setting. you'll need to get your indexing scope worked out to affect the search results presented.
I'm not concerned much with indexing, it's just amazing that there is no option to stop "Search" from searching hidden files and folders when "Don't show hidden" is checked - the way it was with XP, etc.  As I understand it whether folder is indexed or not, will not stop "SEARCH" from searching them.  It was quite simple in XP but in Windows 7 it seems it is impossible.

  • Is there a way for preventing the placeholder from appearing if there is not content for it?

I am creating a structure with tags and place holders.  However, not all my entries have all the same information. For example, my first entry has a 3 line address (123 West Street, Suit 23, Lincoln NE 68521) but my second entry only has 2 line address (456 North Street, Lincoln NE 68521).  When imported into my structure, the second address reads 456 North Street, <address2>, Lincoln NE 68521. My question for you is, is there a way for preventing the placeholder from appearing if there is not content for it?

    IJWAA,
A work-around if you don't already use XSLT (to avoid having to) is to not have placeholder text, just use empty tags in your text layout that correspond to your incoming XML structure (any unused by the incoming structure IN ORDER, will be skipped). So long as you don't mind the blank line (rather than left over placeholder copy).
If you had placeholder copy in your text box (<address2> for example) look at it using the story editor window (edit > edit in story editor, or command-y/control-y) so you can see the surrounding tags... style the surrounding tags by selecting them with the cursor and applying character or paragraph styles (with text in between the tags at the time) and then delete only the placeholder text from the middle of the sandwich, leaving the tags in tact. Trying to do this without being in the story editor will not work.
Also, when importing the XML, I believe you'll still need to use "merge content" and "don't import empty white space" as you have been in order to replace placeholder text in any areas you had it.
For situations when you have a mixture of dynamic and static text in the same text block and you are merging data (more so when the placeholder text has been deleted as I've suggested above but the dynamic tags for the possible incoming text are still there), you can use a tag you've created (I call mine "staticText") in your layout to wrap ANY bits of text you don't want to accidentally delete when the surrounding tags get populated or not, using the merge option upon importing your XML. Just be sure never to use "staticText" as an actual tag in your structure or surrounding incoming data. The text contained within staticText tags in your layout will be ignored by incoming data, and won't accidentally get deleted when it's sandwiched between two sets of tags that are dynamically populated when merge content is the import option.
In my example below I'm using brackets/carats with the tag name instead of the color coded tag icon you see in the story editor, also I've used LB here to indicate a regular line break in Indesign and SP a regular space character in indesign:
    [staticText>Name:<staticText][firstName>Abc<firstName][staticText>SP<staticText][lastName>Xyz<firstName][staticText>LB<staticText]
    [staticText>Address:<staticText][address1><address1][staticText>LB<staticText]
    [address2><address2][staticText>LB<staticText]
all other tags on following lines...
This should just leave a blank line for address2 when no data comes in for it. I'm assuming you have line breaks, if not, all the better.
