Project Online Project Limit

Does anyone know if the 2000 project limit for Project Online applies to all projects? Meaning the number 2000 includes archived, draft, and published projects?

Hi Roland, Usually you will publish all projects for reporting and/or timesheet purpose, meaning that you will have the same amount of projects in the draft and published DB. The number of archived projects wil depend on the backup policy you put in place.
Thus the limitation applies to the draft/published DB.

  • Project Online: project will not move to next workflow stage

    Hi, another workflow question: I've created a workflow using the SPD 2013 for a Project Online PWA. When a project has gone through the portfolio analysis it should move to either the Selected or the Not selected workflow stage. The problem is that some
    projects do and some don't:
    ("Naam van werkstroomfase" = Workflow Stage Name)
    All projects were checked in when I committed the portfolio scenario.
    Does anyone else have the same experience and how did you solve it?

    Hello All:
    I have an issue open with Premier Support and through hours of testing and tweaking, I've summarized as follows:
    The 'stalls' always happen when any of the following code is added to the SPD2013 workflow. The common thread is Project Custom Fields and the code has been inserted at various points to prove the failure.
    When a SharePoint Designer 2013 workflow attempts to access a large number (more than 10?) of Project Custom fields from the Start a process command, the workflow stalls. In this case we are adding custom field values to the
    email body for Gate Approvers.
    When accessing a large number (12 or more?) of custom fields and writing those values out to a SharePoint List as a baseline 'snapshot' of custom fields, the workflow stalls.
    When attempting to update a Project Custom field value, the workflow stalled. (i.e. Set Project Status = ‘Approved’ at Gate 3)
    We have pulled that code (and function) from this release and begin user training tomorrow.

  • Project Online - Projects getting regularly stuck in queue - waiting to be processed

    Hello,
    We have an issue with a client that is using Project Online with around 80 projects and 100 users. However projects are regularly getting stuck in the queue and show "waiting to be processed" when the check-in is failing.
    This is consistently happening and the only way to clear the queue is to cancel the pending jobs.
    Please advise.

    Yep - that's what we did although wasn't entirely a success as they couldn't really identify the root cause.  The problem seemed to be a bottleneck in the processing of projects that remain checked out. Projects seem to take a while to check in. The
    more projects that are in the queue waiting to be checked in the longer the gap between each successful check-in, and there is a point at which project check-in times out, leaving the project in a checked in state.  Projects that are published we noticed
    users are not allowing enough time for the project to save correctly before publishing. and so projects get to 80% checked in state and then publishing fails of course.
    However, not to be outdone, we have now built a utility that will run through every project, check to see whether it needs to be published (compares draft and published projects), then checks it out, updates the project, saves it and publishes it, then
    checks it back in, with a user variable wait time between each operation. That way we can automate the check-in and publishing process with NO errors in the queue and all projects successfully publish and check in OK.  !!  With several hundreds
    of projects (will be thousands) to deal with it works perfectly ! :-)

  • Project Online - Project Create is failing

    I have a demo O365 environment and have created 2 pwa instances populated with MS demo data. One instance is Sharepoint Permissions mode and the other Project Permissions mode. A problem occurs when creating a new project in PWA - the screen does not build
    correctly it displays "Create a new Project" form title, but no actual form) for the SP permission instance, but it behaves fine for PS permission instance (displays PDP form).
    I thought the problem might be browser related (IE11\Windows 8.1) as I had previously had success with IE11\Windows 7), but also tried Chrome with same result. I also tried flipping permission settings which seemed to suggest the issue was related to this setting
    but having gone back and forth a couple of times I am not sure.
    Any thoughts?

    I raised a ticket and got an very quick response (so impressed). There is a bug but not related to permissions or browsers. I am not sure whether it affects both online and on premise but it can easily catch you out. The demo data supplied by MS contains
    a number of EPT's. On my failing instance I had modified one EPT - see below. I added a second line to the EPT description field. Do not do this as it causes Project New to fail for any EPT! Who'd have thought.

  • Project Server or Project Online

    Since we do not have SharePoint and it's not coming soon, what options do we have for Project Server or Project Online?  Will either work without SharePoint? 
    The biggest need for project management is to allow the staff assigned to tasks to be able to update their portion of the project.  More and more of our project managers are using MS Project Professional at their desks.   Any recommendations?

    Project Online/Project Server are SharePoint applications. You cannot have one without the other. If you are not familiar with these technologies, I suggest that you consider at least discussing your direction with a certified partner. It may be that you
    can accomplish what you want using Project Pro and SharePoint online with Project Online. You can synchronize an individual Project with a SharePoint task list and users can update their assignments in SharePoint. If you need Enterprise features, cross-project
    reporting, resource management and the like, Project Online is the way to go.

  • Project Online and Project Lite Licenses Transferable?

    I was wondering how the user licenses are handled when deactivating and reallocating.   Are user licenses transferable for Project Online, Project Lite, and Project for O365?

    It depends on how you are defining "Transferrability". As a bottom line, the number of "Active" users at any time, cannot be more than your licenses. And the license for each product are its own.
    I am no licensing expert, and I suggest you talk to a Microsoft Rep for a concrete statement on the licenses.

    Hello,
    Unfortunately Project Professional 2010 will not connect to Project Online / Project Server 2013. You will need to use Project Professional 2013 to connect to Project Online / Project Server 2013. Project Pro 2010 will only connect to Project Server 2010.

    Are there any good resources online for learning about Project Online/Project WebApp?  I've kind of pieced together some things here and there and I managed to get a Project Pro project imported but I can't find much beyond getting started videos
    for actually learning about Project Online.  Or what I do find are old videos from the "preview" version that seem to be more marketing/sales oriented rather than for training.

    The boundaries are more a question of projects than users. Here is the
    boundaries adviced for Project Online, for example 2000 projects and 150 custom fieds. Note that few weeks ago
    Project Online has been scaled up.

    Hi all, according to the below TechNet article

    WPC last week that this is no longer strictly true but when I searched online I couldn't find any updates to the above article.
    Does anyone know what the current situation is? Ie are we still limited to the 45 fields?

    This is a limitation specific to OData.  All available ECFs are just the 45. That is why it is listed as a limitation.
    You can create hundreds of custom fields, but you won’t be able to see them in the OData feed.  It is a hard stop on the 45 limit – maybe 45 isn’t an absolute limit, but is instead a safe - conservative limit.

  • Custom fields with the same name in Project Online

    Today I discovered something interesting when creating custom fields in Project Online.
    I usually create a certain set of custom fields that are useful to have on both the project and the task level. An example of these is Reportable, which I use to determine which tasks to roll up into reports and also which projects overall to report on.
    So I created a project level custom field called Reportable. No problem.
    I then created a custom field on the task level called Reportable. And the computer said no!
    I then learned that although you could do this in Project Server 2013, you can't in Project Online. You can't have duplicate custom field names, even if they are of different types.
    This has led me to use a naming standard, such as Reportable Task and Reportable Project. But I really don't like that as codes are for computers, not us humans. So I hope this changes in the future, but for now you just need to think about how you approach
    the fields.

    Just made a test on a Project 2013 instance on-premise and I cannot create a task ECF and a project ECF with the same name. The same test on a Online instance returns the same result: the ECF names must be unique whatever the entity is.

  • Importing existing project to Project Online

    Hello, my company recently purchased Project Online to add to our existing Office 365 environment.
    From the Project Web App home page, I would like to use the Create or Import projects tile to add an existing .mpp project file that I have uploaded to my SkyDrive to Project Online, and manage this project from the Project Web app.
    However, I cannot figure out how to do this or if it is even possible. The tile itself says "Create new or import from Sharepoint sites and project files.".  To import an existing project you're then referred to this site: http://office.microsoft.com/en-us/project-server-help/more-ways-to-create-or-import-projects-HA102923810.aspx.
     On that site the only listed ways of importing an existing project are to import a Sharepoint task list (not what I want) or by connecting your local Project Pro to Project Online and publishing the project.
    Importing or uploading an existing project file directly to Project Online would seem to be a fundamental basic usage of Project Online. Do I really need to also purchase Project Professional in order to import existing project files to Project Online?

    Project Online cannot read mpp files, hence the reason for requiring Project Professional 2013 if you want to import these into Project Online - even if you only want to manage them via Project Web App from then on.  
    If you've not got Project 2013 Pro, you could cut and paste the existing task list from Project into a SharePoint list, and create the project from there.
    The way forward will depend on the complexity of your schedules, remember that PWA does not have all of the capability of MS Project 2013

  • Project on demand/click to run not working in Project Online

    Do I need to do anything special to allow the click to run functionality in Project Online to work? Or does it not work for Project Online?
    We have a Project Online trial, but when the users who do not have Project Pro on their desktops, try to select Edit the project in Project Pro, they get an error saying that Project Pro needs to be installed first.
    I would have expected click to run to download it.
    I feel I may be missing something basic here.
    Any advice please?

    Project Online in itself is not sufficient.  You need Project Online with Project Pro for 0365, or another Office 0365 sku that includes Project Pro.
    Assuming you have either of these, then the admin has to assign the Project Pro licence to the user (admin | users and groups)
